1 Preparing to Submit an Abstract for PETEX 2018 Before you register for the abstract submissions system, you may wish to prepare your abstract so you are ready to submit it. You can download a copy of the template abstract here: March-2018-Corrected.doc or from the PETEX website. We suggest you use the template to prepare your abstract before copying/pasting directly into the website documented in the following pages of this guide. You can write your abstract directly into the website if you prefer, and indeed the website allows you to save an incomplete version and come back to amend it at a later date.

2 Submitting an Abstract for PETEX 2018 Part One: Once you have registered to use the Oxford Abstracts online submission system, you will be taken to the following online entry screen. Part Two: Complete all fields requested, including title and the full abstract. Mandatory fields are indicated with an Asterix (*). You may copy and paste text and images into the title and abstract fields (formatting will not be retained). Please refrain from entering author details in either of these two sections.

3 Abstract content for PETEX 2018 Part Two (cont) Abstracts should be a minimum of 500 words and a maximum of 2,000 They may include images, equations and charts At time of launch, you must copy and paste images into the abstract box, rather than upload We suggest you download the template abstract to write your abstract and then copy & paste into the abstract box. Click here to adjust the input box to make it longer or shorter When you copy/paste it does strip formatting, so you will need to apply bold and italic after you have copy/pasted using these icons Equations can be written in word and copied across but it is best to use images to retain

4 Part Three: Enter all authors details in the Authors and Affiliations section. Note that the authors will be listed on the Abstract in the order that they are entered here. Authors of your abstract Part Four: You can modify both authors and affiliations by clicking on the respective green icons. Part Five: You can add other authors by clicking on this blue icon.

5 Approval & Bios Part Six: Please check the boxes to confirm that a) all authors included have approved the submission, and b) at least one author will attend PETEX 2018 to present. Part Seven: Please enter presenter biography in the following field. Note that both text and images are accepted as entries.

6 Part Eight: please select from the dropdown menus both your preferred means of presentation as well as the subject category for the presentation. Categories & Permissions Part Nine: Please provide permission details as requested by either checking on the box, or selecting the Yes or No radio buttons. Part Ten: Please click on Green Submit icon to submit Abstract.

7 Submitting an Abstract for PETEX 2018 Part Eleven: At any point in time during the application process you can submit your application. If the application is incomplete upon submission, a pop-up window will advise you of this. You can re-enter the system to complete or amend abstracts up until May 25 th, Part Twelve: Once you click on the OK button in the screen above, the following screen pops up. In this example two Abstract submissions have been entered. Note that the first submission has been designated Complete, and that the second is Incomplete (orange lettering).

8 Submitting an Abstract for PETEX 2018 Part Thirteen: If you have submitted an Incomplete Abstract submission where not all required entries have been completed, you will be notified by from sender PETEX 2018 and the header of the will read Incomplete Abstract Submission. Part Fourteen: Once completed, you will receive a second from sender PETEX 2018 and the header of the will read Complete Amended Submission. You can print this if required.
