1 How to register as a new user on the Welplan Auto Enrolment system Go to the Welplan website at Note there is Help available at the top of each page Click on Register as a new user Enter your user details. These are the details of who will be using the system to upload files etc. 1 9

2 Click Create Account - you will receive the following message: Log in to your designated where there should be an from Welplan If, after ten minutes, you have not received an from Welplan, click Re-send verification Click Verify to confirm your account, this will take you back to our website. Please note there is an expiry time period on the link. Re-enter your address and password then click Sign in, to log-into your new account. 2 9

3 To register a company/companies, input the company details. You can pre-populate the address by clicking Use my address Please remember to tick the box if you are an advisor Click next and wait while we process your company details If you already have an account with Welplan you can select your company from the dropdown list and confirm your details. Click next If you do not have any accounts with Welplan, click Confirm and input your address. On the next page you will input the contact details for the Pensions Regulator Employer Contact. This is the contact who has formal responsibility for the pension scheme, and not an agent. This is the information used by Welplan to associate the employer with the scheme on the Pensions Regulator s Exchange website. In the case of a breach of regulations, or for the exchange of key information, this is who the Regulator will be in touch with. The Pensions Regulator Employer Contact is ultimately responsible for ensuring schedules are provided and that there are sufficient funds in the nominated bank account for payments to be taken. The Agreement to Participate will be sent to this contact as part of the Registration process. 3 9

4 If you are an advisor you cannot use your own address for the Pensions Regulator Employer Contact. Click next You may exit and recommence the process at any time should you be interrupted or need to gather further information before continuing. If you exit and restart you will be shown this screen: Click Continue Registration to go back to the last screen you completed in full 4 9

5 This section is about your company and the terms under which you are enrolling. Additional information is available by hovering over the icons and going to the links where available. If you have multiple payrolls you may wish to set them up separately. Please contact us if you wish to do so and we will advise you how to. You can postpone enrolment. Please see the Pension Regulator s website for postponement terms. The Pensionable Earnings Definition determines the amount you must pay. This is important. More information is available by clicking on the link in the information box. Click next when complete 5 9

6 Input the details of the bank account from which pension contributions will be taken. If you are not the sole signatory or a designated signatory on the account from which deductions will be made, we will require a hard-copy of the mandate signed by the necessary signatory/ies. 6 9

7 Otherwise you will be advised: Click Ok to view the Direct Debit mandate. You may wish to print this document and keep a copy for your records. Please check you have input your bank details correctly. When you click next you will be presented Welplan s Service Promise which forms the agreement between Welplan Ltd and the enrolling company. Please read this page carefully. 7 9

8 You may access the current Trust Deed and rules by clicking on the blue link. These are the technical details of the Scheme. If you agree to the terms and conditions of the scheme, please tick the box, and enter the address of the person registering in the box that appears. Click next. The green box will shade while the system is processing and creating your Agreement to Participate. You will also be sent an advising you that you have completed the registration process. Please open and read your Agreement to Participate, you may wish to print a copy and retain it for your records. 8 9

9 Return to your Welcome Page in our system. You will need to upload files in a specific format. This is done by matching, or mapping the fields from your file to those in our data file. You will not be able to load a contributions file until you have mapped a file and your bank has confirmed your account details are valid. If the format of your files is consistent, then you will not need to map further files. To map a file: 1 Copy and save our excel file Contributions Template for Submission file from Employer templates to your desktop. 2 Open the file in Excel and enable editing. 3 Populate the template with your data and save it as your own template. 4 Delete the sample line of data already on the file and complete the data in all columns for each person you are enrolling. Much of this data will remain unchanged each week/month so you can copy and amend the file once it is set up. There is detailed information in the headers of each column to assist you in what should be input. Alternatively you can contact your payroll provider who should be able to provide a report direct from your payroll system that can be loaded to our system. Many payroll providers have Welplan Pensions template set up already. Welplan s system also accepts other standard templates which may be pre-loaded onto your payroll system, please contact us if you have pre-loaded templates to check if they are one of the ones we accept.
