6 Ⅱ.TOP page (How to search) Ⅱ-1. Type of business: MO/PR, others, electronic components The following window will appear when you open the DB. Select items or enter items inside of the blue framework, and then click the search button. Then, information of item number and so forth that meet the search conditions will be displayed. The details concerning search conditions are described in the following. Select the items in the blue frame Click the Search button. 1. Status It displays the status of reply for the parts numbers on which we requested you to conduct a survey. Under investigation : The survey is requested of your company, but answers have not been received by us yet. Response submitted : We have already received answers from your company. All : This refers to both Under investigation and Response submitted. By checking either of the status when using the search function, search is executed within the scope of the status. 2. History If you have submitted answers on the same item number more than once, you can select to display either all of the data you have submitted so far, or only the latest data. Hide : Only the latest data you entered will be displayed. Show : All data entered so far will be displayed. Therefore, if you have submitted data more than once, more than one response will be displayed. Furthermore, the column that says the latest on the raw B is checked when the latest data is displayed. This function is applied only to parts (general parts) excluding electronic components. The column B indicates Latest. 3.Type of parts Parts are categorized into electronic parts and the other (general) parts. By checking either of these categories in searching parts, search function applies within the range of that category. 5

7 4.How to sort Sort is used to sort out the search results. By checking the conditionings of sorting before clicking the Search button, Search results will be shown as they are sorted by the pre-conditions. 5.Search by part numbers Part numbers are used when searching by part numbers. By clicking the Search button after entering part numbers, you get index of all said part numbers on the screen. Keyword Search can be used as follows. Example: By entering B130 and clicking the Search button, you can get index of all part numbers starting with B130. *By leaving the part numbers field blank, all part numbers are searched. 6.Search by series/type numbers In the same way as part numbers in 2. in the above, you can search parts by series/type numbers. Search procedure is the same as well. This Search can only be used for electronic parts, and it cannot be used for searching general parts. 7.How to Clear Clear is used to delete search conditions. Status, parts, sort pre-condition will returned to default condition, and part number and series/type number fields will be blank. Ⅱ-2. Raw material The following window will appear when you open the DB. Select items or enter items inside of the blue framework, and then click the search button. Then, information of materials and so forth that meet the search conditions will be displayed. The details of search conditions are described in the following. 8 1. Status The status of your answers to the survey of materials that we requested of your company will be displayed. Under investigation : The answers to the survey we have requested of your company have not been received by us yet. Materials waiting for reception : Your company has submitted the answers, and now Ricoh is checking the content. Already answered : Your company submitted the answers, and Ricoh has checked the content already. All : It refers to all of Under investigation : Material_ waiting for reception and Already answered. By checking either of the status when using the search function, search will be executed within the scope of the status.. 2.Classification of materials Materials are classified into steel sheet and plastic.by checking either of these categories in searching parts, search function applies within the range of that category. 3. How to sort Use this function when you want to have your search results displayed as sorted. Check the item you want to sort in advance, and then click the Search button. The search result will be displayed as sorted. 4. How to clear Clear is used to delete search conditions. Status, parts, classification of materials and sort pre-condition will returned to default condition, and part number and series/type number fields will be blank. Thus, no survey is necessary for child part item numbers (for which item numbers are set) that comprise the said parts being assembled. When some of them are used, enter net masses in applicable columns. When there is substance which is not used, enter zero (0) in net mass. If it is not used, enter zero (0). If solders are used, please enter the net masses used for each side of the circuit board, one facing parts and the other facing solders, and if lead is contained or not. When solders are used for parts other than substrates, enter the value in the column of part surface. * Adhesives include both-faced tapes. Please enter net mass in the following way within possible measurement scope. For a part weighing less than 10g, please enter its net mass down to the third decimal place. (This does not apply if it is impossible to measure because of various conditions of equipments and the like) For a part weighing 10g or more, please enter its net mass down to the first decimal place. (Notice) If weighing less than 0.001g, let the checkmark off from "No joint material (such as )is used" box and put zero in every box. * Scraps and the like created in manufacturing processes are not included. * If mechanical joint methods are used such as screws, calking, welding and the like, this survey is not necessary. If this is the case, please enter 0 (zero) in the field for solders, adhesives, grease and the like and end this survey. 12 Please categorize the following parts as single component materials. 1Press and mold parts with plating, silk screen printing or paint. 2Screws, E-shaped retaining rings, washers 3Urethane foams and labels applied with adhesives (including double-faced tapes) 4Printed papers and the like 5) Entering information of main component materials Select component materials out of the list of 31 kinds of component materials. You may answer either component ratio or component weight. Select either one. 1In the case of single material Of the list of 31 kinds of materials, select one kind of material that applies. Enter 100% for the component ratio, and net weight for the component mass. 2In the case of more than one material. Input the values for the corresponding items in the list of 31 kinds of materials so that a total component ratio becomes 100 or a total component mass becomes net mass. Be sure to input multiple data. *When the total value is less than 5 grams, data for individual material is not necessary. Check component ratio (%), and enter 100 in the column of Others. 6) Entry of Whether or not any ozone depleting substance is used in manufacturing processes Please answer if ozone-depleting substances are used in manufacturing processes. In the main page, click the series/type number of the parts you want to copy, whose survey answers have been already completed. 2. Click the Copy button in the top right corner of Environment impact information page. 3. The main page appears, so search parts you want to copy. 4. Out of parts found by the search, check Copy on the right hand side of parts you want to copy. 5. Click Copy button in the right bottom corner. 6) Transmission of your answers Lastly, check if there is any mistake in your entry, and then enter your signature and send it to the person who requested the survey. Raw materials 1) Confirmation of information on materials If you find raw materials which your company does not use, or any mistake in the information of materials, enter your comment in the column of the reason for returning, and return it to the person who requested you to submit the data. 15 small to measure, enter zero (0), and then enter your comment in special note on the content. 1) How to enter the field for Contained by intentional addition and Contained over the threshold defined for the material Please enter the fields in the following manner. (Red framed cell)please make sure to select either yes or no. (Plain black framed cell)please examine if chemical substances exist or not, no matter if their existence is intentional or unintentional. Please conduct survey for each item, and select yes when it applies. If it does not apply, you may leave it blank. (Grey shaded cell)it does not need enter any. 2) Content by intentional addition Existence by intentional addition refers to the existence of chemical substances when they are consciously added to improve performance or alter property. Furthermore, when the chemical substances are added intentionally, they will be regarded as contained regardless of the content. Here, please select yes if they are intentionally added, and no if they are not. 3) Content over the threshold defined for the material For substances whose thresholds are defined, please answer if they exist over the thresholds defined for each of them, regardless of the fact that their existence is due to intentional or unintentional addition. Please select yes if they exist over the thresholds, and no if they do not. * Different values may be set for the thresholds depending on the different uses. In this case, take the use into consideration in determining if the value exceeds thresholds. As for the thresholds, refer to Table 4-1-2: Management Standards of Banned Substances of RG Green Procurement Standards_ Chemical Substance. 4) Understanding of existence Please enter yes if you have the understanding of existence, regardless of the fact their existence is due to intentional addition or not. 5) Content per single unit of survey (mg) Please enter the contents of said substances for each single unit of survey by figures and enter mg as unit. Please make sure to enter if you selected yes to either one of Existence by intentional addition or existence over threshold defined for the material Enter two effective figures (Please round the third figure to the nearest whole number) Content of metals and metal related substances To enter the contents of metal related substances, please enter the values converted into that of each metal element contained in the substances, instead of the value of existent metal related substances themselves. * With respect to conversion into metal element value, please refer to 7. 7 Metal and metal related substances in content metal substances survey in Survey manual. Note: When a target substance is not contained, do not enter anything in the column of content. (Do not enter 0.) 14

16 6) Special note on content Please select the reasons if you selected 0 (zero) for content. When "Others" is selected in here, explain the reason of the selection with free format in "Comment" column next to "Others". 7) Purpose for the use and the part they are used Please answer the purpose for the use of substances and the part (position) they are used. Select your answer from the list of parts concerning the part substance is used or purpose of use. If you cannot find your answer in the list, select Others, and then enter specific part or purpose in the Comment when you answered others concerning the part of use. When entering the name of the part, enter the identical name used in the specifications and drawings, or calling name at the supplier or common name. Select from the list Example of the part of use If the investigated subject is a single, generic electronic part, and other single parts, what is included in its component drawing and the list of parts is regarded as part. Example1.Ceramic materials installed inside a layered ceramic condenser, internal electrode materials and external electrode materials Example2.Lead wires inside an electrolytic condenser, electrolyte solution, ceiling materials and electrode foil Example3.Rubber contact inside a switch, spring, plastic cover Example4.Rubber part of a rubber roller, metal center When the investigated subject is equipment product and assembled electronic part and is included in the component drawing and the list of parts, it is specified as part. Example. Layered ceramic condenser, electrolytic condenser, printed board, assembled solder *For the details, since examples of part are indicated in the Attachment 1 of the Survey Manual, refer to these examples. Example of purpose of use Example1.Stabilizer, pigment, additive, solder Example2.Improvement of cutting, lead below 0.35wt% in a steel material Five items at most can be entered for the purpose and part of use. If you need to enter more than one purposes and parts (positions) for the use of substances, please enter them all. 15

17 8) About chemical substances 1 Antimony and antimony compounds Among antimony compounds, likewise as in the above, please answer individually for antimony trioxide. As for the column for antimony and its compounds, enter the total volume of antimony compounds including antimony trioxide (Total volume of antimony element). 2 Chlorine and chlorine compounds Among chlorine compounds, likewise as in the above, please answer individually for pentachlorophenol. However, enter the total volume of chlorine compounds including pentachlorophenol (Total volume of chlorine element) in the column of chlorine and its compounds. Furthermore, exclude Polychlorinated Naphthalenes, Short Chain Chlorinated Paraffins, Medium and Long Chain Paraffins, PCBs, PCTs, Polyvinyl Chloride, and Ozone Depleting Substances in entering your answer to the column of Chlorine and its compounds. *Please enter answers concerning these chlorine compounds individually in separate sections. 3 Brominated Flame Retardants In the top column of Brominated Flame Retardants, please answer yes or no concerning intentionally contained, exist above threshold for the material, understanding of existence only. Then, in the field beneath it, by selecting the substances used by your company from the list of sample substances of Survey manual, and enter them either by CAS.No or ISO code in the field of Chemical substances, and also enter contents, purposes of use and parts (position) they are used for each substance respectively. * Here, the subject is Brominated flame retardants excluding Polybrominated Biphenyls (PBBs) and Polybrominated Diphenyl ethers (PBDEs). Therefore, enter your answer in each column for each of these Brominated flame retardants. 4 Organotin compounds Here, please answer concerning organotin compounds other than tributyle tin oxide (TBTO), tributyl tins and triphenyl tins. *Please answer in other sections concerning TBTO, TBTs and TPTs individually. 5 Radioactive substances Please answer radiation doses (unit: becquerel (Bq)) for radioactive substances instead of content. 19 3.Change in item number suffix. When the suffix in the display window and the suffix in your answer are different, change the suffix in the display window and enter your answer. Example: When the suffix was A at the time the survey request was made, and then the suffix was advanced to B due to a design change after the survey request was made. You can answer with either suffix A or B. But, try to answer with suffix B as much as possible. When you answer with suffix B, change the suffix in the display window to B, and then enter your answer. * The suffix of item number can be changed only when the type of business is MO, PR or Others. 4.How to update data already submitted (Type of business: MO, PR, Others) When it became clear that the data you already submitted was the wrong data, or when the actual object became different from the data already submitted due to a design change, etc., you can correct the data previously submitted on the survey display window. *Note that only the latest input data in the data history can be updated. *Carefully check the content of updated data before sending it, because the updated data will be immediately used as formal data in Ricoh. Changes accompanied by environmental correspondence can be reflected instantaneously. Please make the most of it. How to pre-examine data before entry Even if you try to send the answers, if there are omissions or mistakes in the entry data, you cannot send it because error check function is activated. So, entry check function is set to enable entry omissions check before sending. By clicking Entry check, errors are checked, and you will be notified if there is any error. 3. How to save temporarily When you want to save data in the middle of working on data entry, please use Temporarily save function. For saving data only, please click Temporarily save button, and for saving data and closing the window, please click save and close button. Downloading with JGPSSI format It is possible to download the submitted data into JGPSSI (Japan Green Procurement Survey Standardization Initiative) format.
