1 Alma: One-to-One Connections: Alma and Primo Abstract: This session will focus on public services aspects of the relationship between Alma and Primo. Topics will include: A-Z List: created from Alma data & loaded to Primo Delivery: Print/electronic/digital holdings displayed in Primo including course reserves information, Hold & digitization requests, ILL Link Resolver / Primo Service page: Alma manages e-resources and serves as link resolver for remote resources discovered via Primo Sign-in/My Account: User circulation data, fines & fees, etc. Live demonstration of the one-to-one connections will occur.

3 NEEDED FOR SESSION: Implement Course Reserves scope for searching. Publish course reserves info, physical and electronic info from Alma to Primo. Run Primo job to bring updated records into Primo. Is Primo Central hooked up to this?? Need to be able to search in Primo Central for ILL. PrimoURL: b/action/search.do?dscnt=1&fromlogin=true&dstmp= &vid=trainalma&fromlogin=true Alma Prod Training environment: ATION_INST&auth=local
4 You ll be using Alma to manage all of your print and electronic holdings, indicating what you have in your collection, what you subscribe to, and so on. Just like what you may have had previously with a Voyageror Aleph, or III extract for example, Alma will now serve as a publishing source. Data is extracted from Alma and loaded into Primo. Holdings and Items are managed by Alma, but discoverable in Primo by patrons since the front-end functionality exists in Primo. 4

7 Remember that even though all electronic data is managed in Alma, Alma doesn t have the end-user interface. The end-user interface that patrons use is Primo. On a regular basis, the list of electronic resources (which includes e-journals) from Alma is published & loaded to Primo. This allows Primo to use that information to display the A-Z e-journal list to patrons. You ll also see the availability link for each e-journal. When you click on the Available Online link, that information comes from Alma also. Demo: Primo: Show A-Z list in Primo. (Not signed-in user yet.) Alma: Search for journal title in Alma and where data is coming from. 7

9 Delivery is the way we present holdings in Primo, and the way we present the services associated with the holdingsto users. Services would be, for instance, linkstofull-text, or Hold requests,or ILL links, just to name a few. Just a reminder of the 2 primarydelivery functions. (1)View It functionwhich delivers electronic and digital resources, and (2) Get It function which delivers print resources. The content of the View It and Get It windows is defined by the services enabled in Alma. In terms of display of these resources and services, some configurations are controlled in Alma. For example, the ability to define the order that resources or services will appear, determine if and when resources or services display in the list, direct link to fulltext, and in addition, another customization is you can change the text labels that display in the View It or Get It tabs. These customizations are available to you through the Alma configuration menus after Alma Certification Training. 9
10 When multiple resources exist, each resource is listedin the View It tab for the user to select one. Demo: Do search in Primo show View It tab (and show Details tab to show bib info.) Do not sign in yet. Show in Alma briefly explaining there s an electronic resource activation process and how access can be to test prior to making available to patrons. 10
11 Focusing now on the Get It tab which is for print resources The Get It tab will indicate where titles can be found, if it s available on the shelf or not, as well as Request options such as ILLor Resource sharing request, or placing a hold request. Demo: Do a search in Primo show Get It tab and how it will display if there are print resources available. (Do not sign in yet.) Can show a search of a title that has BOTH print (View It) and electronic resources (Get It), and just print resources (View It only.) Show Details tab for bib info. Show same print title in Alma to show where the information is coming from. 11
12 If there s just a single holding per title, this is what you d see the item barcode, availability, and whether the item is loanable or not. Demo: Search in Primo for a single title and how it looks in the Get It tab. (Do not sign in yet.) Search in Alma for title to show where the information is coming from. 12
13 In the case of multiple holdings per title, you ll see each location and the availability of the item in each location. 14 Notice that if you are a Guest user and not signed-in, you ll only see the print item exists in the library s collection and whether it s available and loanable. Though not shown in the screenshot, you may see some limited request options as a guest user. Demo: Not signed-in yet. Primo show screen from previous multiple holding search. 14
15 It s only when you sign-in asan authenticated user that the Policy changes from loanable to the specific policy (in this case 4 weeks) based on your user type in Alma. Asa signed-in user, you ll also see all Request options in the Get It tab. Demo: Sign into Primo. (Note:Remain signed-in for the remainder of the session.) Show screen frommultiple holdings searchto show added request options, plus more detailed loan policy information. 15
16 Also when you search forserials in Primo, there are filters that can be used to narrow down the results if you re looking for a specific volume or year for example. There can also be item-specific request options such as hold requests or digitization requests. This all comes to & from Alma. If a patron clicks on a request link for example, that request is communicated back in Alma so staff know there s a request to fulfill. Demo: Primo: Search for a serial title. Show how issues are displayed, filters, and options when you re signed-in. Alma: Search for the serial title. Show how the holdings look for volumes & issues. 16
17 Could alsoselect a booking request using the Request link if configured in Alma. Demo: Primo:Do a search as a signed-in user for something not available (checked out by someone else, etc.) and place a hold request for it. Alma: Show where the hold request information will show up (Pick from shelf, monitor requests and in process items, patron s record, etc.) Note: We ll show where the patron can track their requests towards the end of the session. 17

ForCreate/add linksto external resources: e.g., Amazon link in Water boyby David McPhail Get It tab. For Locations ordering: Create locations ordering profile to determine the holdings locations display in Primo search results. Holdings locations are displayed in one of the following ways: According to the holdings location and its proximity to the patron (the locations in the libraries closest to the patron based on patron s IP -are displayed at the top of the holdings list). According to the holdings availability, regardless of proximity to the patron. When this option is chosen, locations are displayed in the following order:(1) holdings in temporary locations,(2) holdings in permanent locations,(3) holdings in remote locations 22

24 Alma alsoacts as a link resolver.a link resolver uses citation data to find and link to related electronic resources or services that the library subscribes to. Alma s link resolver is sometimes called the Uresolver. 24
25 The workflow starts with a user s search -the user can search in Primo, or in another resource such as Ebscohostor Google Scholar. Ultimately, the user is most likely looking for full-text. However, the places he s searching may or may not have full-text because perhaps full-text isn t available in the resource, or the library doesn t have the access rights to it. This is where Alma s Uresolver comes into play. For this example, let s say the user is searching in Primo. When the user searches for an article in Primo, an OpenURLwith metadata about the citation is sent to the Primo Service page. The OpenURL could have metadata such as the ISSN, ISBN, author, title, article page number, volumes and issues, as well as other pieces of data, included. You ll see a snippet of an OpenURLhere, with some of the metadata elements highlighted such as date, volume, author, and so on. Primo then sends along the OpenURL to the Alma Uresolver. Alma s Uresolverthen uses the metadata in the OpenURLto see what s available that the library subscribes to, or the library has in its repository or collection. 25
26 Uresolverthen sends an Open URL back to Primo, which displays the available services to the end-user on the Primo service page. The services could be for full-text for the article, but they also could be other services such as to the library holdings. DEMO: Primo: Do a search in Primo for an electronic resource title. Link resolver used in A-Z list to show what s available, used in Citation Linker, used in any searches to show what s available. Alma:Showor mention behind-the-scenes configurations: settingup proxy as part of link resolver, managing patron access via IP, Campus group, openurl, or campus location, could also show testing access for the electronic resource again in Alma. 25
27 Things to check: Check that the electronic resource is actuallyactivated in Alma, and available to the public. Check thresholdin Alma electronic resource portfolio level to make sure it accurately reflects the correct coverage dates for the journal title. Check vendor site to make sure article is actually available there. Request changes/corrections if required to Support. 26

29 Usually by the time you ve clicked on the link, you might have been redirected through your proxy, so taking the link from the URL bar in the browser doesn t always work. In IE, you can right-click on the link and copy shortcut, then paste into an or text editor OR (click) In Firefox you can right-click on the link and copy link location.

31 Userdata such as user records and circulation data like what the user is currently borrowing, fines & fees, as well as what requests the user has placed -resides in Alma. This user circulation data will be migrated from your current ILS toalma. When a user signs-in to Primo, the user record in Alma is being checked to confirm their patron privileges. This is so, for example, the correct loan length will display on the Get It tab if a user is looking for an item the library has in its collection. If the sign-in user then clicks on My Account, their circulation and requests data will display. My Account in Primo looks like the same as it always has, but the data will now come from Alma as it s contained in the user s record. DEMO: Show My Account in Primo. Go through Loans, Requests, Fines & Fees, Blocks and Messages sections. Show in Alma > Manage Patron Services; look up patron. Show where loan info, request info, fines & fees and blocks & messages is coming from. 30
