4 Welcome to Insignia Software Thank you for choosing Insignia Library System for your library. This training will provide you with the knowledge and the hands-on experience needed to learn the key components of the Insignia Library System that you will use to manage your library. Training format consists of a lecture followed by hands-on practice. For each module we have defined the objectives and the tasks that we would like you to complete during the hands-on period. Step by step instructions for tasks to be completed during the hands-on portion of the training are in the second half of the training guide. Please pay attention to the lecture as it is the best way to get the most out of the training. You will have plenty of time to explore Insignia Library System during the hand-on session. Login IDs will be provided during the hands-on exercise. There is a summary of tasks at the end of this document. Please make sure you can perform those tasks by the end of this training. If you have any questions during the training, please let me know. System Requirements The computers in the training lab and the computers in the library for cataloging and circulation should meet the following requirements: 1. Windows XP+ (Recommended Windows 7). 2. PIV+ with 1 GB RAM (Recommended 2 GB). 3. Resolution 1024x Adobe Reader Internet Explorer 8.0 (recommended IE9), Firefox, Chrome. 6. Microsoft Silverlight. 7. Microsoft Critical update in last six months. For student and staff search, the requirement is: 1. Any computer with leading browser 2. Resolution 1024x800. 9 Part II: Hands-On To start using Insignia Library System 1. Start IE or Firefox. 2. Go to the ILS URL. Search: 10 min Simple Search 1. Select the checkbox left of the item to be marked lost. 8. Click on Lost. Renew an item If not in Checkout screen Click on menu Circulation > Checkout or click on in the Quick Toolbar Enter a few letters of patron s last name then space and then a few letters of their first name and press enter or just enter/scan the patron barcode. 9. Select the checkbox left of the item to be renewed Click on Renew To renew all items, click on checkbox right below Items on Loan tab and click on Renew. 12 16. Click on Collect Fines tab. 17. Select the checkbox left of the item for which fine is being collected or waived. 18. Click on Collect or Waive button If you are waiving fines, you will need to specify a reason. 19. Specify the amount collected or waived When waiving an amount you can specify either the value or %. 20. Click Ok. Check in Items 1. Click on menu Circulation > Check in or click on in the Quick Toolbar. Step 2/3.2 Step 3.4 Step 3.1 Step Scan the barcodes If an item is on Reserve, a popup message will show up requesting confirmation for the reserve. 3. To check in the damaged book: 3.1. Select the Check in Damaged Books checkbox Scan the barcode Specify a fine, a new location, and comments if needed Click on the Check In button. If the item is not on reserve and the loan constraints are not exceeded the system will automatically renew the items for the patron based on the loan parameters If patron has breached any constraints, a popup message will require an override password 3. To renew the items for a different date other than the date based on circulation type, click on Renewal Due Date checkbox. 4. Specify the date. 5. Scan in the items to be renewed. 6. To open Checkout and load the profile of the current patron whose books are being checked in, click on Checkout 7. To check in textbooks, select the checkbox if textbook barcodes are not unique Homeroom Checkout 1. Click on menu Circulation > Homeroom Checkout or click on in the Quick Toolbar. To change default due date, select the checkbox and specify a date Patrons: 10 min Add a Patron All student and staff have been added, you only need to add non-district patrons such as volunteers or parents. 1. Select the proper Circulation Type and Patron Group from the dropdown list. 5. If this patron will help you catalog/circulate books in the library then select the checkbox Can Use Desktop and Silverlight. 6. If this patron works in more than one library, select all the libraries they work in. If no libraries are selected, the patron will be able to work in all of the district s libraries. 7. Click on Save 8. 15 9. When adding a student/staff, it is recommended you wait until next day when automated process imports it automatically. If you have to add student/staff right away, do the following: 10. Search for any student in the district by selecting the Union checkbox 11. If you find the patron, select it 12. Click on Change Library Select your Library, Group Type, and Circulation Type, the rest is optional 13. If you cannot find it add as shown above 14. You must enter the student id or staff id as patron id/student id, if you do not have student id/staff id please do not enter it. Step 10 Step 22 Step 10/16/20 Step 18 Step 12 Delete a Patron Only non-district patrons such as volunteers or parents need to be deleted, others will be archived automatically. 15. Click on menu Patron > Find/Add Patron or click in the Quick Toolbar. 16. Search for the patron by selecting search criteria from the dropdown list and enter a search term in the search field. 17. Select the patron from the list. 18. Click Delete. Reset Patron Password: 19. Click on menu Patron > Find/Add Patron or click on in the Quick Toolbar. 20. Search for the patron by selecting search criteria from the dropdown list and enter a search term in the search field. 21. Select the patron from the list. 22. Click Set Password: Enter the new password and confirm password and click on Change To automatically generate and send a confidential password to the patron by click on Reset and Send. 16 Reports: 10 min Print Common Reports 1. Click on menu Reports > Circulation tab or click on in the Quick Toolbar. 2. Select Items in Circulation for a List of overdue books: 2.1. Select the parameter(s) from the right Click on Preview. 3. Select Overdue Message to generate overdue letters. Add Reports in Favorite List 1. Click on Circulation tab (any other tab). Repeat above steps to add your important reports to the favorites list. 6. Next time the report is needed, simply go to My Favorites tab. 18 If you have a preprinted barcode scan it into the barcode field or leave it blank to let system generate a barcode automatically Click on Save. Insignia recommends that you let the system generate the barcodes for you. Quick Cataloging 1. Start internet explorer 2. Go to this url: 3. Login with user id and password, your user id is cat0### and password is 0###, where ### is your school id (if not sure what it is please call us) 4. More than one person can use the same login ID Step 5 5. Click on the icon Step 6.3 Step Do the following to catalog a book: 6.1. If there is no barcode label on the book, place one on it Scan or type the ISBN Enter Call No (strongly recommended but not required) Enter Price (optional) Scan the book barcode Click on Catalog. 7. 19 Catalog a Title by ISBN Step 3.1 Step 3.1 Step 4 1. Click on menu Cataloging > Find/Add Item or click on in the Quick Toolbar. 2. Scan the ISBN at the bottom left and click on Z3950 Cataloging: 2.1. ILS will search for that ISBN and if it finds a match it will import the MARC record Repeat step 2 for all items to be cataloged. 3. Select the title and click on Edit to make changes: 3.1. Make sure call no, material type, and collection type is set according to your standard. 4. If you like to limit lending to a specific group, select the group. 5. Click on Save. 6. To add copies click on Add Copy in the Basic tab: 6.1. Specify the quantity and click OK If entering more than one copy specify the quantity and Click OK Select how you like to generate the barcodes and Click OK Specify price and Call No and circulation type, everything else is optional If adding a single copy, enter the quantity 1 and click Ok If you have a preprinted barcode scan it into the barcode field or leave it blank to let system generate a barcode automatically Click on Save. 20 Catalog from a File/Import Record Step 5 Step 3 Step 6 1. Click on menu Cataloging > Find/Add Item or click on in the Quick Toolbar. 2. Click on Import. 3. Click on Select File. 4. Click on Browse: 4.1. Select the File Click open. 5. Specify additional parameters or use default values: 5.1. Leave defaults unless you want to select a different parameter. 6. Click on Import If the file does not have 852 tag then search for item by Date Created (step 1 above) and specify today s date Select the title. 7. To add copies click on Add Copy in the Basic tab: 7.1. Specify the quantity and click OK If entering more than one copy specify the quantity and Click OK Select how you like to generate the barcodes and Click OK Specify price, Call No, and circulation type, everything else is optional If adding a single copy, enter the quantity 1 and click Ok If you have a preprinted barcode scan it into the barcode field or leave it blank to let system generate a barcode automatically Click on Save. 8. Repeat above steps for all titles imported. Important: If MARC file contains tag 852, please make sure the barcodes are 14 digits. 21 Catalog using Z39.50 (Catalogers only) Step 2 Step 4 Step 3 Step 6 Step Click on menu Catalog > Cataloging > Z39.50 or click on in Quick Toolbar. 2. Select the Z39.50 server to search: 2.1. Strongly recommended that you do not pick more than three Z39.50 servers Right now we have added three for you: Mitinet Amicus Library of Congress. 3. Enter the search term such as title, author and the criteria to search by 4. Click Search. 5. System will return titles matching the search criteria: 5.1. To see more detailed of the title, double click on the title in the grid. 6. If you wish to import the MARC record, select the checkbox for the item in the grid If you like to catalog as regular library book, click on Catalog It: 6.2. If you like to Catalog it as textbook click on Catalog As Textbook. 7. Now Go to Find/add Item. 8. Search for item by Date Created by today s date. 9. Edit each record to make any change you like: 9.1. The most important fields to check will be call no, collection type, material type and audience type as those many not match your district standard. 10. Click on Save. 11. To add copies click on Add Copy in the Basic tab: Specify the quantity and click OK If entering more than one copy specify the quantity and Click OK Select how you like to generate the barcodes and Click OK Specify price and Call No and circulation type, everything else is optional If adding a single copy, enter the quantity 1 and click Ok If you have a preprinted barcode scan it into the barcode field or leave it blank to let system generate a barcode automatically Click on Save. 12. 22 Original Cataloging (Cataloger Only) Step 3 Step Click on menu Cataloging > Find/Add Item or click on in the Quick Toolbar. 2. Click on New. 3. Select the Bibliographic Item Type (e.g. Books, Maps, Music): 3.1. Click Select % of the time it will be the default type Books. 4. Enter all the information available in the Basic Information tab and Notes/Subjects tab: 4.1. Remember the author s name is entered as last name, first name in main entry Additional authors and subjects can be added in the Subjects tab You will get a dropdown list for all authority items, such as series title, author, subject headings, publisher, etc. 5. Click on Save when all information has been entered. 6. To add copies click on Add Copy in the Basic tab: 6.1. Specify the quantity and click OK If entering more than one copy specify the quantity and Click OK Select how you like to generate the barcodes and Click OK Specify price and circulation type, everything else is optional If adding a single copy, enter the quantity 1 and click Ok If you have a preprinted barcode scan it into the barcode field or leave it blank to let system generate a barcode automatically Click on Save. 24 1. Click on menu Cataloging > Barcode Spine Label from or Click on in the Quick Toolbar. 2. Select filtering criteria ('Date Created' and 'Created By' criteria are always selected by default). 3. Select the layout from the Layout Type dropdown list. 4. Click Preview. 5. To print click on the printer icon Remember to set the page scaling to none and auto-rotate unchecked. In OPAC your school will be selected based on your school IP or the login id You may be prompted to enter login information When prompted for login, enter your network login id and password you use to login to your computer in the morning. 2. To search for an item in your library select your library if not already selected. 3. Enter a search term and press enter. 4. To refine search click on any of the refine search parameters on the left. 5. Click on the shelf list to see the shelf list. 6. Click on Locate It to see the shelf where book is located. 7.
