1 The DALNET elibrary Collections are now being added to the Alma Community Zone. Alma is designed to track and manage electronic resources along with all of the other physical materials in the library. You can activate collections in the Community Zone in batch or one by one within a collection. The first DALNET elibrary collection to be approved for addition to the Community Zone is the Ted Talks video collection. Activating an Electronic Collection in Alma 1. In Alma, do a repository search limited to Electronic Collection, and look for the collection name: 2. Note that after your search, there are two tabs for results, one for Institution and one for Community. Titles in the Institution tab are owned by your library. If you are looking for a collection that you have not yet activated you will have to click on the Community Zone tab to find it: Additional titles are shown in the Community Tab:

Once you are viewing the collections available in the Community Zone, scroll through the results and select the title for the collection you want to activate. If you click on the... menu you may click on the Activate link, or you may also click on Portfolio List to view the individual titles in the collection, for individual activation: 4. If desired, select an entire collection for activation and complete the Activation Wizard as shown in the sample below. Also, if desired, you may select an individual title for activation and complete the Activation Wizard.

3 Alma Electronic Resources Activation, 3 5. Complete the Activation Wizard as shown below. A. Fill in a Public Name (whatever would be listed in the Primo public catalog). Often you may choose to just repeat the collection name. B. Select the Library by searching in the Library box for name of the library you are activating the collection for. C. Uncheck "Mark Bib as Suppressed" if you want to activate the collection and make it available. This setting hides your activated collection in the public catalog until you uncheck it. This setting can be used if you are configuring a collection before it is ready for access or you want to delay access to the collection for a later date. A record that is marked as suppressed is not shown in the public catalog. D. Select Electronic Collection Proxy Enabled, No, if you are activating a free and/or open access collection in the Community Zone. E. Check "Activate this electronic collection service" and check "Make service available." This will activate the collection in your system. F. Check "Automatically activate new portfolios" for the lab. This box should be checked if want new titles activated when they are added to the collection. Do not check this if you are activating only certain titles in the collection individually. G. If you wish to you may add a Service Authentication Note. H. You may leave all other fields on the record blank. See next page for settings image.

5 Alma Electronic Resources Activation, 5 7. You may leave the Linking information page blank: *Proxy does not need to be enabled for free/open access resources. 8. There will be a screen that asks you to select the activation type. Select "Activate all"* and click on Next: *You may also select the other activation types if relevant to the work you are doing. NOTE: If you are activating single portfolios, screens and options in the Activation Wizard is somewhat different than those shown above. Please see the end of this document for Activation Wizard: Individual Portfolios.

6 Alma Electronic Resources Activation, 6 9. Review your work and click on Activate to finish the Activation Wizard: 10. You will see a Processing pop-up and then a note that your activation job has been submitted: Note the Job id for future reference.

7 Alma Electronic Resources Activation, You may view your activation job in the Monitor Jobs portion of Alma to see if it is running and/or if it has already finished. If you are activating a collection that has thousands of titles it will take a while to finish the job. If the collection is smaller it should finish fairly quickly. If you are returning to Alma to check the status of your activation job you may want to search by your Job id as shown: 12. After your activation job has completed successfully, you can search for your collection again, by performing another Electronic Collection search. In the results you should be able to verify that your collection was activated, showing an icon, if you have correctly activated the resource:

8 Alma Electronic Resources Activation, 8 Key to Understanding Alma Activation Symbols: Symbol Meaning A Community Zone record that is owned by your library, and has been activated (As viewed in the Institution tab.) A Community Zone record that is owned by your library, but has not yet been activated, configuration has not been completed, and/or specific portfolios (titles) have not been selected (As viewed in the Institution tab.) A Community Zone record that is owned by your library, and has been activated (As viewed in the Community tab.) A Community Zone record that has not been marked for ownership by your library will have no association symbol next to it (As viewed in the Community tab.). Activation Wizard: Individual Portfolios 3. To activate an individual portfolio, after clicking on Activate in the... menu for the individual title, you will be prompted to select the library you are activating for.
