1 Hawksoft Client Management System Hawksoft Client Management system provides Agents real time policy and client information in one easy to access system. Accessing Hawksoft Hawksoft is set up for each user by Pacific Crest. Each user is provided with their own unique User Initials and Password. To access your Hawksoft you will open the Hawksoft Anywhere Icon located on your desktop. You will then log in with your User Initials and Password. *Note The User Initials will always auto capitalize and the password is not case sensitive. Tour of the Start Page When you log into Hawksoft you will always be taken to the Start Page. The Start Page contains useful tools for Agents to keep them informed.
2 Tour of the Client File When you retrieve a customer the information is broken out into different sections in the Client File. Client Tabs - Select a tab to view an open Client file. To close a file, click the X on the tab. You can have multiple Client Files open at once Client Information Pane Holds contact information for the client, as well as the type and status of the file. There are multiple phone number and address fields available. The two primary contact sources will display here. *Click on the blue data fields to copy the information, for example the phone number or the address to paste outside of Hawksoft. Client/Policy Bar Displays policies for the client, even if they have expired or have been canceled. When a policy is canceled or expired, the policy tab is marked with an X. Polices that are pending cancellation are marked with a \.
3 Client/Policy Detail Bar Detail bar options vary depending on the tab selected on the Client/Policy bar. Reading Policies in Hawksoft Auto Policies Auto policy information is shown through the Policy Information Bar. The information is within the Vehicle, Driver, Accounting and Attachments tabs. To view vehicles coverage you will click on the vehicle in the Policy Information Bar which will take you to a new view. Policy Information Bar Line of Business Carrier name Policy Term Policy Premium Agent Code with Carrier Vehicle View Coverages Available Tabs Contacts Misc Info Policies Personal Cross-Sell / XDates Claims For the Following Client Information Includes information entered on the Name and Address Screen Includes information entered on the Client Miscellaneous Information Screen Lists all policies entered for the selected client Lists information entered into the Personal Profile section of the Name and Address Screen Includes details entered into the Cross-Sell / Xdates for the selected client Includes details for the claims entered or downloaded for the selected client
4 Vehicle Premium per Vehicle Reading Policies in Hawksoft Home View Home policy information is shown in different views. You can view the Coverages, Scheduled Property, Underwriting on the policy, Endorsements, Additional Interests, Accounting and Attachments from the Policy Information Bar. Policy Information Bar Coverages Policy Premium
5 Reading Attachments in Hawksoft Attachments in Hawksoft are filed by policy. To find the attachments for the corresponding policy click on ATTACHMENTS in the Policy Information Bar. To open any attachments double click on the row containing the file. Policy Information Bar Attachments Date Attached Title File Format Assigned for Review Attachment Actions From the ATTACHMENTS tab in the policy / client file you can complete actions to send, save, or remove the attached file. View Click on VIEW to open a document. Copy Click on COPY to copy the document to your clipboard. You can use this option to past the document outside of Hawksoft. Click on to this document out of Hawksoft to anyone. Copy To Click COPY TO to duplicate the document on another policy or client file in Hawksoft. Move to Click MOVE TO to move the document to another policy or client file in Hawksoft. This action will remove it from the current policy / client file.
6 Assign Document for Review Choose this option to assign someone else to view this document. Mark as Reviewed Choose this option to complete the document review assigned to you by someone else. Archive Click ARCHIVE to remove the document from the policy / client file. Restore Click RESTORE to active a document previously archived on the policy / client. Properties This option will show you who originally attached the document to the policy / client file. You can also use this option to change the title of the document.
