3 Doing Work as Another Agent Mimicking 1. If you have the authority to do work as another agent, and need to do so, click on User in the left frame. Result: The Select User screen will display. 2. Click on the agent you want to do work as. Result: The home page will be displayed, this time showing the new agent as a mimick. 3. Notice the original agent is shown, but all work will now be done as the mimicked agent. 3
4 Notice of Loss Index Existing Notices To retrieve an existing NOL for viewing, editing, or deleting, locate it in the Notice of Loss Index: 1. To access the Notice of Loss Index, start by signing on to Agency Link. 2. On the Agency Link Home page, click the Notice of Loss Link located in the left frame. 3. Click on the Notice of Loss Index to inquire on existing notices of loss. 4. Enter search criteria (Notice of Loss Number, Date of Loss, Date Reported, Notice of Loss Status) and click the Search button. You can enter one or any combination of search criteria. NOTE: Only notices entered by the user will be displayed. 4
5 5. To open an item listed in the index, click the corresponding link found in the Notice of Loss Number/WIP column. 5
6 6. You can Submit, Save or Delete the Notice of Loss by clicking the appropriate button at the bottom of the page. 6
7 Possible Status Values for a Notice of Loss Submitted The Notice of Loss (NOL) has been submitted. If you are the original agent who entered and submitted this NOL, you also have the capability to delete it. If you are other than the original agent, you may view a submitted NOL but can not delete it. Pending The NOL has been saved as Work-in-Process (WIP). If you select a NOL with Pending status, you can view, add, or change the information (except Date of Loss). Then you can save it as WIP or submit it. If you are the original agent who entered this Pending NOL, you also have the authority to delete it. If the Pending form is completed and submitted, the status changes from Pending to Submitted. If the Pending form is re-saved as WIP, the status remains Pending. 7
8 Creating a Notice of Loss There are two starting points for creating a NOL; Starting in the Agency Link Inquiry subsystem: o Use this starting point to enter a new NOL for a policy that is already in Inquiry. Some data from Inquiry will prefill the new NOL, which will save you time. Starting in the Agency Link Notice of Loss subsystem; o Use this starting point to enter a NOL for a policy that may not be on the Agency Link system. You will fill out a blank NOL form from scratch. Also use this method to locate a NOL that has already been started, saved, or submitted in the NOL subsystem. Agency Link supports different types of NOL depending on the policy s line of business. For example, there is an Automobile Notice of Loss, a Liability Notice of Loss, and a Property Notice of Loss. When you create a Notice of Loss from Policy Inquiry, you can select the link to the appropriate type of Notice of Loss. For example, from an Auto Policy Inquiry screen, you will be able to link directly to the Automobile Notice of Loss. From a Liability Policy, you will be directed to the Liability Notice of Loss. From a policy that has both Liability and Property coverage, you will be able to choose one of the two. When you create a Notice of Loss from the NOL subsystem, you need to select the proper type of NOL based on the type of loss. 8
9 Entering a Notice of Loss from Policy Inquiry These instructions apply to all NOL types; Automobile, Property and Liability. 1. Sign into Agency Link and navigate to Policy Inquiry 2. Enter search criteria to locate the policy you want to enter a NOL on. 3. Click the policy number of the desired policy. This will open the Policy Inquiry screen. 9
10 4. Click on the Coverage Tab to access the appropriate Notice of Loss link. 5. Click the desired Notice of Loss link. This opened a new NOL page that has some fields already filled in with information from the policy you inquired on. Processing from this point will be the same as step 3 from Entering a Notice of Loss. 10
11 Entering a Notice of Loss These instructions apply to all NOL types; Automobile, Property and Liability. 1. To enter a Notice of Loss, sign into Agency Link and click on the Notice of Loss link in the left frame. 2. Click on the type of Notice of Loss you want to enter. 3. Once you are into the Notice of Loss for your chosen NOL type, begin entering details into the fields on the page. You can move from field to field by using the Tab key or moving your cursor to the field you want and clicking within that field. 11
12 4. When you have completed entering data, you may click on the Save, Submit, or Delete buttons. You can also navigate away from the page by using the Back, Exit or left frame functions. Results: Submit will send the completed NOL for Claims Processing. Save will store the NOL as Work-in-Progress (WIP). Delete will clear the NOL off the system. If you right-mouse click and choose Back, or click the Back button (if one is displayed), you will be returned to the prior page without saving the data. If you exit (close the application) no information will be saved. If you click on the left frame to move to another screen or application, your data will not be saved. 12
13 Submitting a Notice of Loss When you have finished entering details on the Notice of Loss page, you can submit the Notice of Loss. 1. Before you can submit the NOL, all required fields (marked with *) must be entered. 2. To submit the Notice of Loss, click on the Submit button. 3. Once you submit the NOL, you will see a confirmation message displayed. 4. The NOL will be assigned a NOL ID Number, changed to Submitted status and sent to the Utica First claims department. 13
14 Saving a Notice of Loss When you click on the Save button, the information you entered will be saved and a NOL ID Number will be assigned. However, the claim will not be submitted to the Utica First Claims Department. 1. When you click the Save button, if you have any errors, a warning message will be displayed. Results: If you click on Cancel, you will be returned to the entry page and can make changes. If you click OK to continue, the following screen will be displayed. 14
15 2. Once you click Continue, the NOL will be saved. You can then submit the NOL to Utica First at another time. NOTE: Saving a NOL will not cause the Notice to be submitted to Utica First (refer to Submitting a Notice of Loss in this document). 3. The NOL will be assigned a NOL ID Number and changed to Pending status. 4. If you entered the Notice of Loss from the Notice of Loss home page, you will have a Continue button. Click on Continue to be returned to the Notice of Loss home screen. 5. If you have entered the Notice of Loss from the Policy Inquiry screen, you will have the choice of returning to the Policy Details or the Policy Inquiry index screen. 15
16 Deleting a Notice of Loss Any existing NOL that is in Pending status can be deleted. If the NOL is submitted, only the submitting Agent can delete the NOL. 1. Find the NOL from the Notice of Loss Index and click on it. 2. To delete the Notice of Loss, click on the Delete button. 3. Once you click on Delete, the following confirmation message displayed. 4. If you click Cancel, the Delete action will be ignored and you will be returned to the NOL. 5. If you click OK, the Notice will be deleted and the confirmation screen displayed. 6. Click on Continue to be returned to the Notice of Loss home screen. 16
