2 Tipico - event software. With the Tipico event software you can search for current events, order tickets, and process your order completely. Persons ordering or authorised to order by you can complete the guest- and attendance lists fully on their own and review their order status online at any time. This guide will take you through the whole ordering process and explain each individual step until you attend the event. Since the software is subject to a continuous optimization and development process, the manual might differ from the actual software (design, terms, features). 4 Homepage Multilanguage Upon successfully logging in, you have the choice to choose your preferred language (depending on your product activation and default settings of your software version) on the top right of the page. The standard language used is preset by the admin in the user data within the backend. Here you have the option to change the preset language. The selected language will be remembered for your next log- in. The selected language refers to: Display masks Help texts Lists Customer output Codes Homepage contents The homepage contents vary depending on your software version, since the frontend is usually adjusted specifically to the customer. It could therefore be that your frontend looks different than the one shown here. The homepage could be displayed like this: Choosing an event category Upon clicking on a category, the event calendar of the selected category will be displayed.

5 You can get access to further frontend areas through the navigation panel: Ticket calendar: Search and select events You can find your desired event through the homepage by clicking the menu button Ticket Calendar. Tipico Frontend Guide 5/20

6 Filter selection You can use various filters to help you find your desired event. For instance, you can select specific months or years in order to filter out the rest. Moreover, you have a filter for the different even categories, locations, time spans, and engagements. You can also make a direct, detailed search request for a certain event in order to find your desired event as quickly as possible. Tipico Frontend Guide 6/20

7 Calendar view In the calendar view, the current day is colour- marked respectively. Weekends are marked in dark grey. Click on the title of an event to see additional information regarding the event, and to start the ordering process. List view Apart from the normal calendar view, you also have the option to view the events in form of a list, in order to view events from the following month at the same time for instance. 8 Request / order tickets Normally, the Tipico Frontend is accessible to every intranet user. However, orders can only be made by authorised buyers after logging in successfully. Public users can place orders on so- called free events (see topic: Free events). The following describes an order by so- called authorized buyers. Once you have selected an event, you are authorised to order, and have successfully logged in on the frontend; first, select the ticket category and the amount of tickets required. Only one ticket category can be selected with every order. Should you require tickets from another category, please place another order. Tipico Frontend Guide 8/20

10 The first part of ordering is hereby finished. Since the availability of tickets cannot be guaranteed, you must wait for the final confirmation as displayed below, which is sent after the ordering deadline. You will receive the final confirmation for your tickets by mail. You will be requested to completely fill in the guest data by clicking on the link, by a certain time. My order If you are logged on as authorized buyer (with username and password), you can view your processed orders and choose to edit an order through the menu button My Orders. Note: Even if you simultaneously submitted a number orders for an event series, the events will still be shown as separate orders, and can be edited as if it were a single order! Clicking on the event name opens up the guest list of the order, which you can then completely fill in and edit if it has not yet been completed. Tipico Frontend Guide 10/20

11 You can sort the list in ascending or descending order by clicking on the column headings. If you have a large number of orders, they will be displayed on several pages. You can navigate through these with the paging bar (here: 2). You can use the arrow buttons to navigate forward or backward, and jump to the first or last page. Order status The order status is displayed in form of small icons in the column of the respective order number. The following are possible order statuses: open processing tickets sent cancelled confirmed rejected final guest list available attendance list requested attendance list completed Tipico Frontend Guide 11/20

12 Edit order / enter guest data You can edit orders (guest data) in the so- called Guest list editor. Depending on your order status, some functions will not always be available. Tipico Frontend Guide 12/20

13 Status Here you can follow the status of your order and receive important additional information. Possible order statuses: open directly after your request processing your request is being processed confirmed your request has been processed, the amount or category of the tickets might have changed. final guest list available you have filled in all the guest information and completed the order from your side. tickets sent the order is completed. The tickets are on their way to you. cancelled the order has been completely cancelled. attendance list requested after the event, you will be requested to fill in and complete an attendance list attendance list completed the attendance list is complete and the order is hereby finalized. The authorized buyer will be notified by e- mail with every status change. In certain order statuses, the guest data will not be editable. Your order can be edited or cancelled up to the status final guest list available. From then on, only the admin will be able to make changes to the order. Should notifications to the order be issued, they will appear here as well. Guests The guest data can be edited and completed by clicking on the respective guest names or on the tool button which appears next to the name. Tipico Frontend Guide 13/20

14 Data set status The first image in front of the guest name shows you if the data set has been filled completely or if some information is missing. Mandatory fields are marked with an asterisk on the input screen. Unfilled mandatory fields will be marked in red. You may only finalize your order once all the data sets are completed. There are two symbols for visualization: = guest data incomplete, information in mandatory fields is missing = guest data complete Representative status The second image shows the representative status of the guest. This becomes interesting after the event, when the attendance list is matched. There are three symbols for visualization: = guest is not present, ticket is foreited (standard before the event) = guest is present = guest is not present, representative is present Delete guest With the behind the guest name, you may delete individual guests from the order. Copy guest data Over the paste symbol you can copy guest data. If data is in the temporary memory buffer, you will see a behind the remaining guests. Filling out the guest data The data requested for editing your order is needed by the auditing department, since we are legally obliged to present the resulting monetary values for tax reasons. 15 When filling in guest data, you are obliged to fill in the fields marked with a *. Should address data not be available, you may also type in n/a. However, you are required to enter at least one address in order to be able to receive the tickets. First and last names must be filled in for all guests. Important: When a user who is logged in to the Frontend does not fill any guest data in his order, his complete authorized buyer details on file will be automatically taken over. This is important for the guest list or even the attendance check (check- in) among other things, since - in this case - the authorized buyer may appear multiple times, depending on the amount of the ordered tickets. Notice regarding input fields Street, Postcode, City, Country Business address Invitation reason Please select accordingly, since special cases might require special approval. 16 Guest status All co- workers from your own company are to be marked as internal. Customers, media representatives, VIPs, etc. are to be marked as external. Guest is supervisor When a co- worker visits the event to look after the guests, please mark the checkbox guest is supervisor. Shipping address If the tickets should be sent to the declared guest address, please select guest. Own addresses, for example your private address or the address of a supervisor may be generated or you could also enter a completely new address here. You can save changes that you make to the order details at any time, so you do not have to enter the data all at once. Should you change the guest and unsaved changes exist, you will be asked if you want to save the changes just in case. Tipico Frontend Guide 16/20

17 Event information Under Event, you will find all the important data of the desired event. If you press the more button, you can find the event and the location with all the additional information. Ticket information Here you will find information about the ordered tickets. If the status of your order is open, you will see the amount of tickets. Once the tickets have been confirmed, you will see the amount of tickets that have been confirmed. These numbers might differ from each other should a huge number of requests be made for that particular event for instance. The symbols have the following meaning: ordered ticket contingents allocated ticket contingents Visiting the event Upon filling in the guest list and the final transfer of the ordering details is completed, you will receive the tickets by post in a timely manner before the event. 18 Attendance administration (only for authorized buyers) When checking in to the event, the attendance of the booked guests will be checked. Upon visiting the event if all the guests who are listed in the guest list are present - the buyer s ticketing process is completed. Should, however, a representative make use of a ticket, the authorized buyer must enter specific data for him. In this case, the buyer will receive an with the request to confirm the attendance list or to amend and complete it. Filling in the representative s data in the attendance list is done as usual in the guest list editor. Tipico Frontend Guide 18/20

19 Once all the information of all the representatives is entered, the attendance list can be completed and transferred. Hereby, the order will be completed. No Show = The guest did not show up, and no representative took his place. Changing your password (Only for authorized users with active login) Under the menu button Change Password in the left navigation panel, you have the option to change your password. Should you change any saved data - including your password you will receive an automatic confirmation e- mail on the e- mail address which was provided by you. Tipico Frontend Guide 19/20
