1 TimeTarget Zeus ESS 1. Login Your time target Login can be found by clocking into Existing TimeTarget Kiosk Please book mark the following link s on to your computer or Mobile. Desktop Mobile For All first time logins, you're password your Date of Birth, (format ddmmyyyy) For existing users, forgot password or Employee code, please click on Forgotten section. An will be sent to your Registered (same as pay slip ) to reset. This is the first screen that an employee would see when they open the TimeTarget Zeus ESS. To access the system, an employee must enter their employee code and password. Page 1 of 11
2 2. Home Tab The default screen the employee sees after entering their employee credentials is the home tab. This screen displays the shift statistics specific to the employee and offers access to other important information. Change Password - allows the employee to update their password. Notifications - will display any information sent by the system that the employee has not read. For example, notification of approved leave will be displayed in this section. Clicking on the subject will take the employee to the messages section of the website and mark the message as read. Roster Summary - shows the upcoming shifts for that employee. Offered Shifts - takes the employee to their roster screen. New Messages - displays any unread messages that have been sent to the employee by another employee. Clicking on the subject will take the employee to the messages section of the website and mark the message as read. Leave Summary - shows any upcoming leave and its status. From here, the rostering options for the employee are located within the drop down arrow next to Employee at the top of the screen. The Clocking option in Zeus is an optional feature and may not be available. Please speak to a TimeTarget support consultant for further details. Page 2 of 11
3 3. My Details Tab This screen displays the personal details of the employee. If the employee has been given access, they will be able to click on the information, or select the Update your details button, to open up an editing screen and save changes. Permissions can be set to only allow certain sections to be updated and to determine whether or not changes made need to be approved before they can be saved. This screen also lets employees change their password using the Change your password button. Page 3 of 11
4 4. Messages Tab This screen displays all messages that have been sent to the employee. All/Unread - allows the employee to limit the displayed messages to those that have not yet been viewed or all messages received by this employee. Sent By - will display System for automatic notifications or the sender if they were sent by another employee. Message - displays the first line of the message. Click on this to open the full message and mark it as read. Received - is the date and time this message was received by the employee. New Message - allows the employee to send a message to another employee (access permissions required). Full Message - clicking on the message will display the full message and allow the employee to reply. Page 4 of 11
5 5. Rosters Tab This screen displays the employee's current roster. Confirming shifts is an option that may or may not be used. If there are no process. icons in the cells, there is no requirement to go through the below Dark Grey Cells - indicate rosters that have been offered but are yet to be accepted. This is also indicated by the question mark icon. Accepted Shifts - are displayed in a light grey colour with a green tick. shift to accept it. Click on an offered Declined shifts - are displayed in a light grey colour with a red cross. Double click on an offered shift to decline it. Click again to accept it if the submit button has not be clicked. Confirm All - will confirm any offered shift in the currently displayed calendar month. Information Area - displays the number of currently offered shifts, the number of shifts that have been marked as accepted/declined but have not yet been saved. Submit - this button will save any accepted or declined shifts that the employee has actioned. This button will only be available once the employee has accepted or declined a shift. Dates - rosters are displayed on their corresponding dates in the roster calendar. The dates display the start time, end time, Location, department and role. Rosters without symbols - are shifts that have been confirmed. Grey Cells that are diagonally striped - have been declined by the employee. Page 5 of 11
6 Times in Blue - are selectable and will bring up further information about the rostered shift. Roster view can be changed to a day row format or exported to Outlook. Page 6 of 11
7 6. Timesheets Tab This screen displays all the timesheets for the employee. Date - this is set to the month prior to and including the current date. Time in Blue - is selectable and will open further details of this timesheet. Further Details - will display additional information for this timesheet. If an employee has access, they will be able to adjust their own start and end time in this screen. Minutes are in 15 minute increments. Adding Timesheets - allows employees to add timesheets (access permissions required). Page 7 of 11
8 7. Availability Tab This screen allows the employee to view their availability. Depending on access level, updates can be made to an employee's own availability on a daily or weekly recurring basis. Month - will move the date rage forward or backward a month. All/Recurring - allows the employee to limit their current view to the recurring availability only. Edit - adjusts availability information for the selected dates and days. Select multiple dates/days by left clicking and dragging across the required days. Availability default - if the default is available for all days, employees will need to enter their unavailability. If the default is unavailable, employees will need to enter their availability. Availability Details Screen To adjust availability, click and drag across a date range or day in the recurring availability section and click the EDIT button to open the details section. This allows the employee to update the availability for that day or date range. Annual Leave is also requested in the details screen. Bar graph - displays a 24 hour spread broken into 30 minute blocks. A time range can be selected by left clicking and dragging from the start time to the end time. Splits - adjust the currently selected time, 6:30am 3:00pm in the example below, to the required availability option. Full Day - adjusts the availability for the whole day to the required availability option. Available - indicates that the employee can work on the selected day. Page 8 of 11
9 Preferred - indicates that the employee would prefer to work on this day. Unavailable - indicates that the employee is not able to work on the selected day. Leave - is also applied for in the availability details screen. Annual leave is selected by default. Default Hours - will update the leave request to the employee default hours. Profile Hours - will update the leave request to the award profile default hours. Template Hours - will update the leave request to the master roster template hours. Hours Available - displays the employee's available hours for the selected leave type. Results - shows a summary for that day. Save - applies the current selection. Reset - reverts any updated information back to the default settings. Cancel - closes the current screen without saving any changes. Cancelling leave requests - is achieved by setting the days to be cancelled as available. Page 9 of 11
10 8. Shift Bidding Tab Any unassigned published shift will appear in the shift bidding screen. An employee with a rostered shift on a day that an unassigned shift available, will be able to request to swap their shift. An employee not working can put in a bid for the shift. Please note that this is a request functionality, it does not guarantee the shift will be allocated. Once the Roster Manager authorised the bid/swap, it will then appear under the rosters tab. Month - changes the month displayed to the next or previous month. Information Box - contains the list of currently bid or swapped shifts. Submit - applies the currently adjusted shifts. Shift Swap - is available for days where the employee has a roster and there is an available shift. The available shift is display first, with the employee's current shift underneath. Shift Bid - is available for days where the employee does not have a roster and there is an available shift. Only the available shift is displayed. Page 10 of 11
11 9. Clocking The Clocking option from Zeus is an optional feature and may not be available. Please speak to a TimeTarget support consultant for further details. Clocking allows employees to clock in and out for their timesheets. Roster information - is displayed at the top of the screen. If the employee does not have a currently rostered shift, the system will notify them of their next rostered shift. Shift Details - are selectable by the employee if they do not have a rostered shift, otherwise the shift details will be pre-populated from the roster. Start Work - will commence the timesheet for this employee. Start Break - will be available for the employee once they have commenced their shift. It is replaced by end break once the employee has commenced their break. Clock Out - will appear as an option after clocking in for a shift. Page 11 of 11
