5 5 1.0 Open Office Guide 1.1 Word Processor - Writer Applications > Office > OpenOffice.org Word Processor How to open a file Select Open from the File menu. Select the source location and click the Open button Saving Select Save from the File menu.
6 6 Then select the destination location and click the Save button How to save in PDF format Select the option Export as PDF from the File menu. Select configuration options for the PDF document, then click the Export button at the bottom of the PDF Options dialog box. Provide a file name and select a save location when prompted.
7 How to Export in Other Formats Select the option Export from the File menu. Enter a file name and save location, and choose the export format (note that PDF is offered as a choice here, as well.) Click the Save button.
8 Creating Tables From the main menu, users can directly access the option Table. Choose Insert: Table. Select the initial parameters to generate the table (which at any time thereafter can be changed):
9 While working within the table, the Table Toolbar appears, showing basic options to edit and modify the tables. 9
10 Printing To find information about the printer(s) connected to the system, go to File and select Printer Settings from the drop down list. Select a printer from the drop-down list and click Properties to configure printing. To see what a printed page will look like, choose Page Preview from the File menu: From the Page Preview, users can print, save or export the document.
11 Spreadsheet - Calc Performing Mathematical Operations Applications > Office >OpenOffice.org Calc; Basic operations such as add, subtract, multiply and divide are performed using the +, -, * and / respectively; An operation can be performed directly within one field in the spreadsheet. 13 13 Users must be careful with the priority of operations. By mathematical standards, * and / have higher priority than + and -. If users want to dictate the order in which operations are conducted use parentheses: Then the result is different because it is performed the way users have defined using parentheses:
14 14 Another way to perform operations is to enter values in different fields and then use those values in another operation: And the result is: When using multiple fields, it is possible to modify each value independently of the others. Using mulitple fields also makes it possible to create graphs and charts from the data and calculations.
15 Presentation Processor - Impress Impress is a tool for creating effective multimedia presentations. Presentations will stand out with 2D and 3D clip art, special effects, animation, and high-impact drawing tools. To create slide presentations (similar to Power Point) use OpenOffice.org Impress Applications > Office > Open Office.org Impress
16 16 Getting Started with Impress When first opening Impress, there is a choice to work with an Empty (blank) presentation, a template or open an existing presentation. Additional templates than the pre-set templates already included with Impress can be found and downloaded from the following site: Key Tasks within Impress include: Creating a slide Rearranging slides Adding a slide Animating text & graphics Inserting pictures Creating slide transitions Formatting text Adding speaker notes Previewing a presentation Creating handouts Inserting tables and charts Documentation & tutorials for Open Office and Impress can be found here:
17 17 Templates & Layouts Finish choosing a template in the template wizard and click Create. The initial view of a blank presentation has a default layout. There are options for Layouts & Master Pages (templates) on the right side of the screen
18 18 Adding Slides Right click on the selected layout, then click Insert Slide. Each slide layout has directions on where to click to place images, text and charts.
19 19 Alternate Views Alternate views are available to sort slides, view notes and handouts. These are visible in tabs across the main workspace. Normal View Handout Outline Slide Sorter Notes
20 20 Viewing Slide Shows To view a slide presentation, click F5. Click the screen to advance the slide. To close the presentation before the presentation has finished, click ESC. At the end of the presentation, there will be an option to Click to close the presentation. Impress has many other options to customize presentations and slides. 21 Internet Basics client options: Ubuntu comes with an application called Evolution Mail. Evolution Mail is found in the Applications menu under either Internet or Office (Applications > Internet > Evolution Mail or Applications > Office > Evolution Mail and Calendar ). Evolution Mail is an client that can handle multiple accounts. There are several open-source options for clients. Thunderbird by the creators of the web browser Firefox is a popular choice.
22 Thunderbird Why Thunderbird? It s user-friendly. Thunderbird is open-source software that is free to download and use. It works on Windows, Mac OS X and Linux. Thunderbird has state-of-the art junk mail and spam filters, and can use outside spam filters as well.
23 Installing Thunderbird Download Thunderbird at Find the latest version of Thunderbird, as well as additional information, updates and extensions The software download is archived in Bzip format; download the open-source bzip data compressor free from Configuring Thunderbird When opening Thunderbird for the first time, a new account must be created. 1. 25 25 4. Then fill in details about the incoming mail server, click Next. Fig. 4 Server information 5. At this point, fill in a user name (typically assigned by the provider for example, electronics. Then click Next. Fig. 5 User name 6. Now give the account a name so it can be easily identified from a list, and choose Next. Fig. 6 Account name
26 26 7. A summary is provided; check the information carefully and if all is correct press Okay. 8. Test the newly created account: Choose the account and click Get mail. Fig. 7 Finish Fig. 8 Inbox 9. Enter the password of the account and press OK. Thunderbird should now be configured for use. See the next section for more information on using the Thunderbird client.
27 Buttons and Basic Options Receiving messages Check the mail server for new messages Write: Opens a new window for composition of an message and managing attachments Addresses: Opens the Address Book See all saved addresses Add new contacts Send instant messages Chat online with a contact Reply: Opens a new window for composing a reply to the currently viewed . The send to address is automatically the sender of the being replied to.
28 28 Reply to all: Opens a new window for composing a reply to the currently viewed . The send to addresses include the sender of the being replied to PLUS all the other recipients of the . Forward: Opens a new window in which the selected message goes as an attachment or embedded (included as text) in the new message. Delete: Deletes the selected . (Pressing the delete key on the keyboard has the same effect.) Trash: Marks the selected message as trash (also known as spam or junk ). Print: Sends the selected message to the printer Stop: Aborts the current task; for instance, in order to stop sending a big message, or stop downloading thousands of messages from newsgroups. Stop
29 Reading Mail When opening Thunderbird, the client automatically connects to the mail server and searches for new messages. These messages are downloaded to the local Inbox, (which appears to the left as a subfolder of user s address). Clicking on the Inbox shows the messages in the Inbox in the window on the right. Fig. 9 Inbox If Thunderbird is inactive, press the Get mail button to download new messages. Another way is to configure Thunderbird to check periodically for new messages (this can be done in Tools -> Account Settings).
30 Writing and Sending There are two ways to compose a new message:: click the Write button on the Mail toolbar, or choose Message > New Message from the menu bar. Both open a new window, where the user can write an and send it. Fig. 10 Writing a new message
31 Attachments After creating a new message, use the Attach button to attach one or more files. Note that next to the Attach button is an arrow that presents three options: attach a file, attach an address / website or attach a card from the accounts contacts. Fig. 11 Browser window to attach files Clicking the Attach Files option opens a window to browse folders on the hard drive. Select the file(s) to attach, then click Open. To attach a web page, simply select Add Site and fill in the URL. Fig. 12 Attached file
32 Using the Address book New card: Creates a new card in the address book for a person or organization. New mailing list: Opens a new window for creating a new mailling list and / or editing an existing mailing list. Edit: Opens an address card for editing. Write: Opens a new window to write a message to the person highlighted in the address book. IM: Placeholder for a chat feature that is not working yet. Delete: Deletes the highlighted card from the address book.
33 Other Ubuntu Desktop Applications 3.1 Messenger: amsn Applications > Internet > amsn Use to chat with contacts from a variety of messaging/chat/ programs on the market. Ubuntu comes with the Empathy application that allows the use of accounts already active in other applications as well as the creation of new accounts.
