4 Company / Party Set-up in PLMS You will only be able to access the parties / companies that you have permission for Each company has two separate party records in PLMS Supplier Site or Agent / Broker The Supplier and Site (or Agent / Broker) records are linked in the background. This ensures the correct linkages on the Micros mycreations side of PLMS This is important for suppliers with multiple sites - ensuring each site has the right access 4

5 Company / Party Set-up in PLMS The first time you log in to PLMS you will need to search for your company After this, you can access your company information via the links in the Recently Viewed Documents on the Dashboard 5

6 How to search for your Party records Click on Vendor Management to expand this menu (below) IGNORE this Search menu Then, click on Party 6

7 How to search for your Party records This opens the Search screen Search in the Country field (AU for Australia, NZ for New Zealand) Do this now 7

8 How to search for your Party records The results of your search are listed There is a separate result for the Supplier and Site (or Agent / Broker) parties Click on the hyperlink to go to that Party record 8

9 Supplier Party Record The Supplier is a dummy party record that allows us to link multiple supplying sites or agent/broker records to if needed. The Supplier party does not have an Ethical or Quality audit (NOT APPLICABLE circled below). To tell, check the Type on the Overview page. 9

10 Site or Agent / Broker Party Record Check the Type on the Overview page. It will say either SITE or AGENT/BROKER. Check your Trade Status and Ethical and Quality audit status. XXXXXXXXXXX 10

11 Site or Agent / Broker Party Record - Product Coverage Product Category information (on the Overview tab) pulls through to the AOS for all Certified and Pending products listed. You should have a separate entry for each WW/Countdown Product under the scope of the SEP audit. You can update this. New products added have an automatic status of PENDING. Just let your QS know via the Party Comments and we will request the appropriate Status changes. 11

13 PLMS Contacts If you are not getting updates, surveys or invites. Contacts on PLMS will be wrong addresses are pulled from the Supplier record and the Site (or Agent / Broker) record. Make sure BOTH are up to date!! Add contact details in overview section. A generic address that multiple people can access is a good way of suppliers ensuring they are always getting information. 13

14 PLMS Contacts Tab There are also contacts for your site in the Contact tab. These were migrated from our old system so are not up to date. You can edit these directly and add new contacts. 14

15 PLMS Contacts Tab We need the right contact details for your business. There are many different contact types to choose from. The QA contact number in the contacts section is critical as is your emergency out of hours contact. If there is a product safety issue over the weekend or out of hours we need to be able to contact the right person quickly. If we cannot speak to the right person and understand what the impact of a product issue is, we may need to recall or withdraw a product without your input. 15

16 Homework 1. Check and update (if needed) the Main Contact details for both your Supplier and Site (or Agent/Broker) party records. 2. Check that your Product Categories and products / status listed are correct or amend as required. 3. Check and fix the contact details on the Contacts tab in your Site (or Agent / Broker party record. 4. Have a look through the information saved in the other tabs, such as your last audit report and CAR closeout information. 16

18 PLMS Useful info and Recent Updates Security Feature After 90 days your login is disabled if you haven t used it. Easy fix - get in touch with plmssupport@woolworths.com.au September PLMS updates rolled out to live system Nutrition Information Inclusion of Trans Fat by default into the nutrition input table. Declaration of Trans Fat remains optional. Our policy is to declare if total fat is >1g/100g 18

19 mycreations - Nutrition Updates Rounding rules have been updated to align to FSANZ requirements. Energy and Sodium now round to the nearest whole number Sodium now displays as '< 5mg' when less than 5mg Other Macro nutrients are now rounded to 1dp and 3 Significant Figures, along with and displaying as '< 1g' when less than 1g Micro nutrients are now rounded to 1dp and 3 Significant Figures % Daily Intake values display as '< 1%' when less than 1% Note, daily intake %s are calculated from the base input data and not the rounded values as displayed on the declaration. Reminder, Energy values are calculated by PLMS and may not match your NIP test report. We will use the PLMS calculated value on artwork. 19

20 mycreations - Specification Type Updates There are a number of categories which do not require nutrition information to be captured on the specification or displayed on pack, i.e. Tea, Coffee, Herbs and Spices etc. We ve added two new Food No-NIP specification templates for Australia and New Zealand. Reminder, the Type of Specification is selected when the Product Record is created. This is currently being done by the WW / Countdown Quality Specialist. 20

25 mycreations - Pack Copy Process Pack Copy Sent - Information required for the product label has been finalised and locked down. Recipe and Raw Materials, Allergy and Dietary Advice, Nutrition, Other Labelling Copy. The Packaging section must now also be completed and approved by the WW Packaging Technologist. This is so we have the correct recycling information on the artwork. Pack Copy information is ed in a separate document directly (from PLMS) to the Artwork agency selected. - Schawk Brandhub (NZ only products) You can download the Pack Copy for your own reference. We recommend you do this, especially if a different person (to who has worked on the Specification) is reviewing the artwork. 25

26 mycreations - How to download Pack Copy Put Spec in Edit mode Actions Menu - select Preview Pack Copy PLMS will generate a pdf document containing all the relevant information for Pack Copy This is much easier to look at when reviewing artwork!! NOTE: You can also do this when the Spec is in Collaborative Draft status. 26

27 mycreations - Artwork Review Process Specification Pack Copy Artwork (Opal or Hubsuite) CD Own Brand Category Manager, Supplier and Supplier s Printer review artwork and approve or make comments for change Quality Specialist reviews artwork and responds to all comments for change Amends (if approved by the Quality Specialist) are actioned and artwork is set for a new approval cycle Artwork should be approved by all parties at Version 2. Any versions beyond this incur a cost to the Supplier and also mean delays in the project timeline. THIS IS NOT THE TIME TO REQUEST CHANGES TO THE INGREDIENT LIST, NIP INFORMATION ETC. 27
