1 Oversize Load Quick Guide The Oversize Load Module will be folded in the PT+ Module beginning December 1, All users will need to visit to login. The old system will no longer be used and has been disabled for users. Logging into NJUNS: 1. To login, visit Username = Address Password 2. Always make sure you are working under the correct code in the top right hand corner. Oversize Load codes begin with OL. Creating Oversize Load Tickets: 1. Click on the Pole Transfer icon to open the PT+ Module. 2. Click on the New icon to create a new Oversize Load ticket. 3. Input the member code for the Lead Agent. A list of member codes can be found at:
2 4. Complete the ticket header fields. Save your ticket in order to add steps. The Save icon is in the top right hand corner of the system. Once saved, the ticket will be assigned a ticket number and steps will now be able to be added. NOTE: The County field is the County where the move starts. If your move is going through multiple Counties, please list them all in the Route field. Also, when entering the Beginning and Ending Addresses, please include the entire address (House Number, Street Name, City and Zip Code). 5. Add one step for each company that has lines in the route of your move. Use the Member Code list here: a. To add a step, click on the Add New Instance icon, on the step toolbar. i. The Lead Agent should always be the first step on the ticket. b. The job type should initially be set to Awaiting Response (OL). c. The Days Interval for step 1 should equal 3. All steps after that should have 0 days interval. This will allow 72 hours for responses.
3 d. Save and Close. Adding DOT to Ticket: 1. Once all steps are added on the ticket, the lead agent is to add the DOT as the final step on the ticket. 2. Add a step for the Georgia DOT a. Member Code = OLGDOT b. Job Type = Approval c. Days Interval = 0 3. Complete the step immediately by changing the status from pending to complete. Save and Close.
4 Opening OL Ticket: 6. When finished adding all steps, change the ticket status from Draft to Open. Updating Steps (Approve/Not Approve): 1. To approve steps: a. Open up step. b. Change job type from awaiting response (OL) to Approval. c. Change status of the step from pending to complete. d. Save and close. 2. To NOT approve steps: a. Open up step. b. Change job type from Awaiting Response (OL) to Not Approved. c. Add a dispute to the step by clicking on the disputes tab and then Add New Instance icon. i. Dispute Reason = Other ii. Dispute Detail = explain why not approving step d. Keep the status of the step pending and Save.
5 Once the Lead Agent and Step Member have resolved the issue, Resolve the dispute by changing the Dispute Status from Active to Resolved. Write what action was taken in order for the step to change from Not Approved to Approval in the Detail field. Then follow the steps to Approve a step. Steps with NO response: 1. After the 72 hours has passed, the lead agent can complete any steps that still have a job type listed as Awaiting Response (OL). This will show that the member did not respond to their step in the allotted amount of time. a. Leave the job type as Awaiting Response (OL). b. Change the status of the step from pending to complete. c. Save and Close. Closing an OL Ticket: 1. Once the DOT has been added and all steps are completed, the lead agent is to close the ticket by changing the ticket status from Open to Closed.
6 Pulling up Oversize Load Tickets: 1. Click on the Pole Transfer icon. 2. Click on the dropdown to show Oversize Load Tickets of Interest. a. This is a list of Oversize Load tickets that are currently opened, created in the past 30 days, where your member code is associated with the ticket. 3. Double click on Ticket you wish to view. OR 4. Input ticket number into the quick search field and hit Enter. 5. Double Click on Ticket.
