3 Introduction This is a manual for the online platform of HRD Antwerp: My HRD Antwerp URL: Available: September 2014 Public: Available for everyone Private: Available for each HRD Antwerp registered customer 1 My HRD Antwerp has a public and a private zone. In the public zone any person can look up the results of a grading report and/or Jewellery Report For the private zone you need to have a valid log in. All information found on My HRD Antwerp exclusively intends to facilitate the user of this service the confirmation that the grading report number(s) and/or examination results of diamonds and jewellery correspond to an existing non-digital Natural Diamond Grading Report, Diamond Identification Report, Diamond Colour Grading Report or Jewellery Report issued by HRD Antwerp database as of: January 1st 2005 : Diamond Grading Report, Diamond Colour Grading Report January 1st 2008 : Diamond Identification Report September 22nd 2014 : Jewellery Report, Jewellery Mini Report, Jewelcard PDF files of Grading Reports can be downloaded on My HRD Antwerp for diamonds/jewels which are issued from September 22 nd 2014 in any HRD Antwerp laboratory. My HRD Antwerp is supported on Internet Explorer version 9 or higher, all recent versions of Firefox, Safari and Chrome on Windows pc, Mac and tablets. 1 If you are a customer of HRD Antwerp without access to the online grading database, please contact HRD Antwerp - Customer Relation Service to retrieve access. 3

4 Public zone What? In the public zone, any person can look up the results of a Grading Report. You don t need to register. How to search? With a valid HRD Antwerp Grading Report number, a search can be initiated. - Fill out the valid Grading Report Number or Jewellery Report Number - Press find diamond / or Find Jewel If there s a match with the Grading Report number, a detailed overview will appear: 4

5 The same search can be performed for a Jewel report. If there is a match, again the details of the jewel piece will appear: How to download.pdf? In the details view there are 2 clickable buttons: Download PDF: download the Grading Report in PDF as issued by HRD Antwerp Print results: print the details in a print-friendly version How to connect to HRD Antwerp online? There are 2 ways to directly connect your private webpage to the HRD Antwerp online Grading Report database: - Connect directly to My HRD Antwerp url by adding your Grading Report number on the end of the hyperlink: o o Example: - Use the My HRD Antwerp Webservice API (XML) o All information is included in the API documentation, available on the download page of HRD Antwerp: 5

6 Private zone General Only customers who have a valid login can enter the private zone of My HRD Antwerp. When you don t have a valid log in you will have to register through My HRD Antwerp registration (page 20). In the private zone you can find the following topics: Overview: After logging in, you enter the overview page. This page is divided in 3 blocks: My Grading Reports (1) Diamonds in Transit (2) Search fields (3) 6

7 My Grading Reports In the first block, the last 5 issued Grading Reports by HRD Antwerp will appear. There are 2 buttons for each Report: View details: Download PDF: shows again the details of the Report directly download the PDF of the Report The View all button leads you to the overview of all your Grading Reports, showing the last 10 issued Reports, ordered by issue date descending, report number ascending: The Select/Deselect all button selects or deselects all the Reports on the current page. 7

8 The Export selected button exports the results of the selected grading reports in a CSV 2 file: The Download selected button exports the PDF s of the selected grading reports in a ZIP file: 2 Tip: If the layout of the CSV differs from the one in the example picture, change the list separator in your regional settings of windows to ; 8

9 The Print selected button allows you to get a print-friendly overview of the results: Filters In most of the cases, customers are interested in some sets of reports. There are several filter options the get the correct list of grading reports to download, export or print the results. There are 5 basic filters: Grading report number (contains) o Enter parts of the HRD Antwerp grading report number to get a correct list Carat (weight) o Slider to get min/max carat of diamonds Grading report type o Type of HRD Antwerp report Origin o Natural Lab grown- Treated From Until o Choose your date range based on issue date of the grading report To not apply a filter: leave it blank or choose the - - value. 9

10 There are several advanced filters Shape o Filter on different shapes o Other shapes = shapes that are not in the current list Colour grade o Filter on colour grade Clarity grade o Filter on clarity grade Fluorescence o Filter on Fluorescence Cut o Prop Filter on cut proportions VG+ = VG and better (= EXC + VG) G+ = G and better (= EXC + VG + G) o Pol Filter on cut polish o Sym Filter on cut symmetry Inscription(s) Hearts & Arrows Lab Customer reference (contains) o Filter on customer reference (as provided by the customer) Invoice number (contains) Return note (contains) o HRD Antwerp return note filter Return date o Date picker range based on HRD Antwerp return date of the grading reports Receipt number (contains) o HRD Antwerp receipt number filter Receipt date o Date picker range based on HRD Antwerp receipt date of the grading reports 10

11 Transit From the overview page, you can enter the Transit Zone of My HRD Antwerp. The transit functionality of My HRD Antwerp has a new layout, with a faster export and with the 24h overview as a new feature. On the main transit page, an overview of all the diamonds in transit of the customer is shown. Settings 11

12 By clicking Show/Hide Columns transit columns can be added/removed. The maximum number of transit items per page can be selected too. These settings will be saved automatically in the My account part of My HRD Antwerp: How to acces results? 12

13 From the overview page, the details of the current stone(s) in transit can be accessed, by clicking on the detail icon: From the details page, there is a possibility to directly print the transit results. 13

14 How to export results? From the overview page, all the transit results can be exported to a csv file. Select/Deselect the transit stones and click Export. A.csv with the results will be available for download: How to enter instructions? From the transit zone, customers can mark what examinations or actions HRD Antwerp has to perform on their stones in transit. First of all, additional examinations can be requested: Fluorescence o check / recheck Colour o regular check/recheck o fancy check/recheck Clarity o check / recheck Cut o check / recheck 14

15 Customers can also Define Action to take on their stones in transit: Send back to transit Send back to me Send back and create "Diamond Identification Report" Send back and create "Diamond Grading report" Send back and create "Diamond Colour Grading report" After entering the details, customers need to confirm their transit requests: Request overview On the Request overview from the last 24hrs page, customers will see their transit actions of the last 24 hours: 15

16 Track & Trace What? Customers having diamonds or jewels in any HRD Antwerp lab, are able to track the status of their current goods in the lab on My HRD Antwerp. How does it work? The Track & Trace status page is divided into 5 parts: Samples The samples overview is a dynamic number of all your goods in the lab, depending on the location filter which is applied. By default are all locations are marked, which means you get an overview of all your current goods on all the HRD lab. In case you filter on ready for example, the sample list will show the current number of goods which are ready for pickup. If you filter on several locations, the number will dynamically adapt according to the filter which is in place. 16

17 Location filter There are 4 location filters available on the track & trace page: LABO o Goods currently in the lab undergoing requested examinations o If no results are available yet, detailed results will be empty. TRANSIT o Goods currently in Transit, waiting for customer approval o Results of requested/performed examination are available ADMIN o Goods currently undergoing administrative tasks (example: printing) o Results of performed examinations are available READY o Goods ready for pickup at the HRD Antwerp reception o Results of performed examinations are available 17

18 o If grading reports are picked up at the HRD Antwerp reception, they disappear from the list and appear in the reports overview. External ID In case a customer is looking for a particular stone/jewel result, the external ID can be entered in the External ID search field. The detailed results of the particular stone/jewel are displayed in a popup window. A quick search is added also on the main My HRD Antwerp overview page for an individual stone/jewel. Receipt note There is also an option available to research on a particular HRD Antwerp receipt note number. Just enter the number in the search field, the overview will only display the current status of the goods on that receipt note. Track & Trace overview 18

19 All the filtered goods, both diamonds and jewels, in the lab will be displayed here. Customers are able to filter on all columns available just by clicking on the header. All goods are individually clickable to see their results. As mentioned above, only results will appear in locations TRANSIT, ADMIN and READY. Search entries The third block on the overview page is again a search block. As in the public zone, customers can search for individual grading reports/jewel reports. In case customers have several grading report numbers, which they cannot filter with the HRD Antwerp filters on the grading report overview, a Multiple Search Entry (Bulk Search) can be performed. Add the different grading report numbers and hit the Find these grading reports button: 19

23 My account Change password In the My account section, customers can change: Transit settings (as explained in the transit section of this document) Your user password to access My HRD Antwerp: 23

24 Forgot or Reset Password On the homepage, the Forgot your password button allows you to receive a new password. By submitting your username or address you ll receive an with a link to reset your password. 3 3 Please note that you ll only receive a confirmation by using a valid address 24

25 Confirmation By clicking on the link in the confirmation you ll be forwarded to the Change Your Password. In this section you can enter your new password (minimum 6 characters) 25
