Introduction 1.1 Product Description The HMH Download Center provides an easy, convenient way for districts and schools to view the digital learning products they have purchased from Houghton Mifflin Harcourt (HMH). It also allows them to manage the distribution of those products to schools, teachers, and ultimately, students. This user guide is for district administrators, school administrators, and teachers to support them as they use the HMH Download Center to distribute digital learning products. This chapter describes the following topics: How to run the HMH Download Center application How to log-in to the HMH Download Center and what to do if you forget your password How to manage your account What administrators need to do before starting the HMH Download Center How students access products 1.2 Running the HMH Download Center The HMH Download Center is a web application and runs within your Internet browser. The Uniform Resource Locator (URL) for the application is: Type this URL into the web address field of your browser and press Enter to run the HMH Download Center. The following browsers are supported: Microsoft Internet Explorer (versions 8.x 10.x) Mozilla Firefox (versions 17.x) Google Chrome (version 27.x) Apple Safari (versions 4.x, 5.x, 6.x) HMH Download Center 2.0 User Guide 1

5 1.3 Logging In After you enter the HMH Download Center URL into your browser, the Login page appears. To log in to the HMH Download Center, you need to have your username and password, which you should have received by . Depending on your role, this will come from different sources as follows: District Administrator If you are a district administrator, the will have come from HMH Customer Services <customer_services@hmhco.com> as it is generated automatically once your order is processed. School Administrator If you are a school administrator, the will have come from either HMH Customer Services <customer_services@hmhco.com> (if you placed an order) or from HMH Publishing <digitalcontent@hmhpub.com> if the district administrator set up your account. Teacher If you are a teacher, the will have come from HMH Publishing <digitalcontent@hmhpub.com>. HMH Download Center 2.0 User Guide 2

6 Once you have obtained your username and password, you can log in to the HMH Download Center by doing the following: 1. On the Login page, enter your username into the Username field. 2. Enter your password into the Password field. 3. Click Log in. 4. On Initial Login, you will be prompted to change your password and accept Privacy Policy and Terms and Conditions. After you have updated your details, the HMH Download Center will open, and you should see the My Dashboard page. HMH Download Center 2.0 User Guide 3

7 1.4 Forgotten Password If you have forgotten your password, take the following steps: 1. Click the Forgotten your password? link, which is located below the Password field. The Forgotten Password page appears. 2. Enter your address in the address field. 3. Click Send . The HMH Download Center will you a link that will enable you to access the HMH Download Center in order to assign a new password to your account. 1.5 Getting Administrators Started with HMH Download Center Administrators must perform certain start up tasks before their district, schools, and teachers can use the HMH Download Center effectively Creating Users Organizations implementing the HMH Download Center will first need to create users (administrators and teachers) in their district or school before they are able to distribute any products or licenses. Only administrators can create other administrator users, and the following rules apply: District administrators can create other district administrators, school administrators, and teachers. School administrators can create other school administrators, and teachers. Teachers cannot create any other users. HMH Download Center 2.0 User Guide 4

8 Depending on your approach, you can create the school administrators, who can in turn create the teachers in their school. Alternatively, you can create all the users required in your district, including teachers. You create users by using the Create User page, which you can open from the Schools and Users option on the main navigation bar. As well as being able to create users one at a time, you can create multiple teachers in one-step through the Bulk Upload Teachers option. Smaller districts may not have identified school administrators in each school. In such cases, the district administrator may bypass the creation of other school administrators and just create teachers in each school. Detailed instructions for creating users are in section 7. Schools and Users (For Administrators Only) Getting Mobile Devices Ready for Students For a successful implementation of the HMH Download Center, you need to ensure that all student and teacher mobile devices or desktops have the Houghton Mifflin Harcourt etextbooks app installed. You can access the Houghton Mifflin Harcourt etextbooks app from the following locations: itunes / Apple App Store for the ipad app Google Play Store for the Android app Download Center for the PC and Mac apps HMH Download Center 2.0 User Guide 5

9 1.6 Student Access Students are not required to log in to the HMH Download Center with a username and password. Instead, students will access the HMH Download Center via the Houghton Mifflin Harcourt etextbooks app. This app is available for both Apple and Android tablets and for Windows and Mac desktops/laptops. Below a list of supported operating system versions at the time of writing: Operating system (and device type) Supported operating system versions ios for tablet computers (ipad) ios 6, ios Android for tablet computers Android 4.0, Android 4.1, Android 4.2, Android 4.3 OS X for desktops/laptops (Mac) OS X 10.7, OS X 10.8, OS X 10.9 Windows for desktops/laptops Windows 7, Windows 8.1 HMH will review and update the app as new versions of operating systems are released Choosing a Device Type Students can get instructions on how to download desktop/laptop apps by taking the following steps: On the Login page, click I am a Student. The Get Started page appears. This has three panels labeled: ipad (ios), Tablets (Android), and Desktop/Laptops. Click the panel that is appropriate to your device. 11 2. Navigation When you log in to the HMH Download Center, you will see the My Dashboard page with a navigation bar along the top of the screen. This navigation bar provides one-click access to any area of the HMH Download Center. Your name and role will appear in the right-hand corner, above the navigation bar. Note: Clicking the HMH Download Center logo on the top left of the screen will always take you back to the initial Login page. 2.1 Navigation Bar Menus Different menu options are available on the navigation bar, depending on the user s access rights Navigation Bar Menus for Administrators For district and school administrators, the menu options are as follows: MY DASHBOARD This option takes you back to your dashboard from any point in the HMH Download Center. 12 PRODUCTS AND LICENSES This option allows you to view and manage your products as well as allocate products to schools and teachers. This is described in section 4. Products and Licenses. It contains the following sub-options: Products Allocate Licenses Manage Licenses Allocation History Teacher Resources Admin Resources BUNDLES This option allows you to create, view, and manage bundles of products for distribution to students. This functionality is primarily aimed at teachers. However, district and school administrators can also create bundles. This is described in section 5. Bundles. It contains the following sub-options: Create Bundles Manage Bundles PACKAGES This option allows you to create, view, and manage packages of products for distribution to multiple devices. Only district and school administrators can create packages. This is described in section 6. Packages. It contains the following sub-options: Create Packages Manage Packages SCHOOLS AND USERS This option allows you to view, edit, and create district and school administrators and teachers. 13 2.1.2 Navigation Bar Menus for Teachers For teachers, a smaller range of menu options is available: MY DASHBOARD This option takes you back to your dashboard from any point in the HMH Download Center. The dashboard is described in section 3. My Dashboard. PRODUCTS AND LICENSES This option allows you to view and manage your product licenses as well as the number of available licenses for each product. This is described in section 4. Products And Licenses, which contains the following sub-options: My Products Teacher Resources BUNDLES This option is primarily for teachers. It allows them to create, view and manage bundles of products for distribution to students. This is described in section 5. Bundles. 14 2.2 Managing Your Account To view and edit your account, click Your Account. This option is located on the upper right corner above the navigation bar. On the Your Account page, you can do the following: Click Profile to view and edit personal account details such as name or . Click Change your password to change your password. 15 2.2.1 Profile When you click Profile, the Your Account page appears. Here you can edit the details of your personal account. To change your account details, take the following steps: 1. On the Your Account page, click Profile. 2. Select a new Title from the dropdown list. 3. Enter a new First Name, Last Name, and Address as needed. 4. Click Save Updates to confirm your changes. To return to the main Your Account page, click Your Account on the top left of the page. HMH Download Center 2.0 User Guide 12

16 2.2.2 Change Your Password When you click Change your password, the Change Password page opens. To change your password, take the following steps: 1. On the Your Account page, click Change your password. This allows you to change your password 2. In the Current Password field, enter your current password. 3. In the New Password field, enter the new password. It should have a minimum length of six characters. 4. In the Confirm New Password field, enter the new password again in order to confirm it. 5. Click Change Password to save your changes. To return to the main Your Account page, click the Your Account link on the top left of the page. HMH Download Center 2.0 User Guide 13

17 2.3 Other Menu Options The HMH Download Center also features a number of links that provide access to extra features. These include: Support Privacy Policy Terms & Conditions of Use Support When you click the SUPPORT link, the Customer Care Online Service Center opens. This page offers useful resources to help you use the HMH Download Center. To download any document, click its listing Privacy Policy The Privacy Policy link is available on the very bottom of the main page. When you click this link, HMH s policy for user privacy appears Terms & Conditions of Use The Terms & Conditions of Use link is located to the right of the Privacy Policy link. When you click this link, the details of the terms and conditions for using the HMH Download Center software appear. 2.4 Logging Out To log out of the HMH Download Center, click the Log out link, which is located at the top of the screen. This will return you to the HMH Download Center Login page. HMH Download Center 2.0 User Guide 14

18 3. My Dashboard The MY DASHBOARD page is your home page in the HMH Download Center. Here you can see a series of large panels that show important types of information as follows: Licenses available This panel shows the number of licenses currently available for all products. Active bundles This panel shows the number of active bundles that you have created. A bundle is a group of learning products compiled for distribution to students. Total users (Administrators only) This panel shows the number of administrators and teachers that have been set up in your district or school. This will be displayed only for administrators. Teachers will see only Licenses Available and Active Bundles. Clicking any of the panels will take you to a page that allows you to view more information. HMH Download Center 2.0 User Guide 15

19 3.1 Licenses Available When you click Licenses available, you are automatically taken to the Create Bundle page where you can start the process of packaging products together into a bundle, which you provide to students. For more information on creating bundles, refer to section 5.2 Creating Bundles. 3.2 Active Bundles When you click Active bundles, the Manage Bundles page opens. Here you can view a list of all the bundles of products that you have created. For more information on managing bundles, refer to section 5.3 Managing Bundles. 3.3 Total Users (Administrators only) When you click Total users, the Manage Users page opens. Here you can view a list of all the users that have been set up for your district or school. For more information on managing users, refer to section 7.3 Managing Users. 20 4. Products and Licenses The PRODUCTS AND LICENSES option allows district and school administrators to allocate or assign learning product licenses to particular schools or teachers. For teachers, the PRODUCTS AND LICENSES option offers a reduced set of actions. Teachers can view only the products and the quantity of licenses that their school administrator has made available to them. 4.1 Products and Licenses Menu for Administrators When a district or school administrator clicks PRODUCTS AND LICENSES, a dropdown list appears, showing the following options: My Products This page shows a catalog of products and the number of licenses available for each one. It allows searching and filtering of products and provides detailed information about each individual product. Allocate Licenses This page allows you to allocate licenses of products to a particular school or teacher. Manage Licenses This page shows a list of all product allocations and allows you to modify the quantity of licenses allocated, if required. Allocation History This page provides a record of allocations that you have made, showing all the products and licenses that you have allocated to schools or teachers. Teacher Resources This page shows a list of Teacher-only products, which can be downloaded and installed on a teacher s desktop/laptop, for example, Teacher One Stop, ExamView. Teacher Resources allows searching and filtering of products and provides detailed information about each individual product. Teachers download these products directly from this page. 21 Admin Resources This page shows a list of Admin-only products, for example, Common Cartridges. Admin Resources allows searching and filtering of products and provides detailed information about each individual product. A district administrator or school administrator can download these products directly from this page Introduction for Administrators The primary purpose of the PRODUCTS AND LICENSES option is to assist district and school administrators to allocate or assign product licenses to particular schools or teachers. A district administrator uses the PRODUCTS AND LICENSES option as follows: To allocate a specific number of licenses of one or more products to particular schools. To allocate a specific number of licenses for one or more products to particular teachers. The licenses may have originated from the district because of an order placed by the school Products When you click the Products option, the Products page opens. It displays a catalog of the learning products and the number of licenses that the district has purchased. District administrators also see additional information such as Order Number, Format, Grade, Expiration Date, Total Licenses, and Remaining Licenses. HMH Download Center 2.0 User Guide 18

22 Note: If a district or school has placed two separate orders for the same product, two entries for that product will appear on the Products page. To view a detailed description of any product title, click the arrow icon to the left of the product listing. The listing for that product expands to show a detailed explanation. In each product listing, you can click four links to view different sets of information as follows: Description This link shows a detailed text description of the content of the course. Product Details This link shows other information about the learning product, such as the ISBN number, edition information, and the version date. The Status field indicates whether the product license is still active. Only active licenses can be allocated. Order Details This link shows information about the particular order for that product, such as Order Number, Order Date, Start Date, End Date (valid until) and Total Quantity. Units This link shows the different units that make up an etextbook. Most etextbooks are not downloaded in one unit but are broken up into smaller units of learning materials that correspond to different sets of chapters. This allows for faster downloading and accommodates storage constraints on student devices, which may have restricted HMH Download Center 2.0 User Guide 19

23 memory/storage. Note: You can view only one detailed product listing at a time. This table describes the detailed data available for each product order: Name Description Detailed Listing - Description Description Detailed Listing - Product Details ISBN Grade Edition Status Version Version Date Detailed Listing - Order Details Order Number Order Date Purchased By Total Licenses Start Date Valid Until Detailed Listing - Units Title Format Size A detailed description of the learning product The ISBN of the product ordered. In the case of etextbooks, this is the etextbook digital ISBN, which may differ from the print ISBN on the print edition of the corresponding book. The grade code associated with a product. The code indicates the following: PK - Pre Kindergarten K - Kindergarten 1 - First Grade 2 - Second Grade Etc. Indicates the intended audience for the product, either student or teacher The status of the product (can be Active, Depleted, or Expired) The version number for the etextbook The date that this particular version was issued The HMH number for the order that contained this product. An order number is generated for each order placed by a customer. The order number is also shown on the order confirmation . The date that the order was processed and the product was made available to the district/school. An order can be processed multiple times until all products in the order are fully processed and available. The name of the individual who placed the order Total number of licenses for this product (same as Total Licenses in main listing) The date that the licenses associated with the order become available for use (set automatically when the order line is processed) The date at which the licenses associated with the order expire The name of each unit The format of the etextbook, for example, PDF or epub The size in kilobytes (KB) of each unit HMH Download Center 2.0 User Guide 20

24 Name Version Description The version of the etextbook Customizing Your View on the Products Page The Products page offers a range of methods to tailor the product listings so that they display according to your current interest. By default, district administrators see only products that have been purchased by the district directly from HMH. By default, school administrators see only the products allocated to them by their district and the products purchased directly by their school. The product listings can be customized as follows: Search The Search field is located above the product listing. It allows you to search by keyword, product title, product ISBN, or order number. Column Sorting By clicking the actual text in most columns, you can sort the listing in ascending or descending order for that particular column field. For example, to sort by Order Number, click the text Order Number in the column heading. A down arrow will appear to indicate that the listing is now sorted by descending order number. If you click Order Number again, it will sort in ascending order, indicated by an up arrow. This method works for all columns except Format. HMH Download Center 2.0 User Guide 21

25 Filter by Grade To show the entries only for a specific grade value, click the current Grade setting, for example, All. From the dropdown menu, select the grade value that you want to view. The page will refresh to display only the products for the grade you selected. Filter by Status Using the status filter, you can display only products of a particular status type. Click the Status value setting to filter products by the following status types: All Active These products have not expired and have remaining licenses. Depleted These products have not expired but have no licenses remaining. Expired These products have reached their expiration date. Filter by License Type To filter by the type of product license, click the License Type setting to show a dropdown list that allows you to filter by the following license types: All District Licenses School Licenses District administrators and school administrators may use this filter. The information could influence a district administrator s decision to allocate more product licenses to that school. HMH Download Center 2.0 User Guide 22

26 4.1.4 Allocating Licenses (Create License Allocation) When you click Allocate Licenses, the Create License Allocation page opens. This page allows district administrators to give available product licenses to particular schools, a process called allocation. School administrators use this page to allocate product licenses to particular teachers. To create a license allocation, take the following steps: 1. From the PRODUCTS AND LICENSES menu option, click Allocate Licenses. The Create License Allocation: 1 page opens. This is the first page in the two-step process of license allocation. On the Create Allocation: 1 page, there are two main areas: Products Available to Me on the left of the page and Products Added to Allocation on the right. Products Available to Me lists the products that you can allocate to a school or a teacher. Products Added to Allocation is a holding area that lists the products you have selected to allocate. 2. To allocate a product in the Products Available to Me area, click + (add button) in the Licenses Available column on the right of each product listing. This product now appears as a listing in the Products Added to Allocation area on the right. If you change your mind, and want to remove a product from your allocation list, click (remove button) in the Licenses Available column. HMH Download Center 2.0 User Guide 23

27 To remove all products from your allocation, click Empty. 3. When you have added all the products you need to the allocation, click Continue in the Products Added to Allocation area. This brings you to the Create License Allocation: 2 page, where you decide the number of licenses for a specific product to allocate to a school or teacher. 4. Enter the number of licenses you want to allocate for each product in the text box in the Quantity to Allocate column. 5. District administrator: you now need to select the school to which you want to allocate the licenses. School administrator: you need to select a teacher. Start typing the name into the School field, and a dropdown list of schools will appear. Select a school from the list. In both cases, you can select options from the list in the School or Teacher dropdown lists. Alternatively, you can type the name of the school or teacher into the field. 28 At this point, if you are a district administrator, the Teacher field will become active. If required, you can make the allocation to a specific teacher in the selected school. 6. When you have specified the school and/or teacher, click Allocate to complete the allocation process. A message appears indicating that the allocation to the school or teacher was successful. Note: The value in the Licenses Available field will be reduced to reflect the licenses just allocated. To change an allocation, click Amend Product List on the bottom of the page. This will take you back to the Create License Allocation 1: page, where you can add other products to the allocation. When you make an allocation to a school, you will notice that the list of products allocated remains on screen. This is so you can easily allocate the same list to another school or to a range of schools. If you want to do so, take the following steps: 1. Enter a new value into the Quantity to Allocate fields. 2. Select a new school. 3. Click Allocate. HMH Download Center 2.0 User Guide 25

29 4.1.5 Managing Licenses When you click Manage Licenses on the PRODUCTS AND LICENSES dropdown list, the Manage Licenses page opens. This page presents you with a list of the product allocations that you have made. Here you can modify the quantity of licenses allocated. For example, you may have allocated 100 licenses to a school but later realized that the school used only 60 of those licenses. Rather than let the extra 40 licenses go unused, you can recall the unused licenses, so they can be allocated to another school. For every allocation listing, there is a field called Quantity Allocated, which you can modify. The column Available to add indicates how many additional licenses you can add to the allocation. The column Available to remove indicates how many licenses you can subtract from the allocation. The number of additional licenses that you can add to an allocation is based on the number of licenses available to the district or school for that product. The number of licenses you can subtract from an allocation depends on whether the licenses have already been given to a teacher or the licenses have been used in a bundle or package. To change the quantity of licenses in an allocation, take the following steps: From the PRODUCTS AND LICENSES menu option, click Manage Licenses. Find the listing for the allocation you want to change and click Modify in the Quantity Allocated column. You can now edit the number in the field as required. HMH Download Center 2.0 User Guide 26

30 Click Update when you are ready to change the quantity. The values for Available to add or Avail to remove will be updated to reflect the new quantity. The Manage Licenses page allows you to manipulate how allocations are displayed as follows: Click the name in each column heading to sort the list of allocations by that field. Click the column heading again to toggle between descending and ascending sort orders. In the Search field, you can enter a string to search for and list all the allocations that contain that string. You can also search allocations by product title and product ISBN that are allocated to the user or school. This is useful, for example, for listing all the allocations of a particular product or for seeing all the allocations made to one particular school. In the Grade dropdown list, you can choose to filter the listing by grade value Allocation History When you click Allocation History on the PRODUCTS AND LICENSES dropdown list, the Allocation History page displays a list of all the product allocations that you have made. 31 The Allocation History page allows you to manipulate how allocations are displayed in the following ways: Click the name in each column heading to sort the list of allocations by that field. Click the column heading again to toggle between descending and ascending sort order. In the Search field, you can enter a string of text, and a list appears with all the allocations that contain that string. This is useful, for example, for listing all the allocations for a particular product or for seeing all the allocations made to one particular school. In the Grade dropdown list, you can filter the listing by grade value. Using the Date Range fields, you can view only products allocated within a specific range of dates. To specify a date range, click in the first field to show a date picker that allows you to select a From: date. Click in the second field to show a date picker for a To: date. Click Search to show allocations for that time period Teacher Resources When you click Teacher Resources on the PRODUCTS AND LICENSES dropdown list, the Teacher Resources page opens. If you are a district or school administrator, you will see a catalog of the learning products and the number of licenses that the district/school has purchased for each product. If you are a school administrator, you will see also see a catalog of the teacher-only desktop apps that can be installed via the Download Center, for example, Teacher One Stop and ExamView, and the number of licenses that the district has allocated and/or the school has purchased. You will also see a download button as well as information such as Order Number, Format, Grade, and Expiration Date. Note: If a district has allocated and the school has also placed an order for the same product, there will be two entries for that product on the Teacher Resources page. 32 To view a detailed description of any product title, click the arrow to the left of the product listing. The listing will expand to show the following types of information: Description Click to see a detailed description of the content. Product Details Click to see product information such as ISBN number, edition information, and version date. The Status field indicates whether the product license is still active. Order Details Click to see information about the particular order for that product, such as Order No., Order Date, Start Date, End Date (valid until) and Total Quantity. 33 4.1.8 Customizing Your View on the Teacher Resources Page You can customize your view of the Teacher Resources page in a variety of ways. If you are a district administrator, by default you will see only the Teacher desktop products that have been purchased by the district directly from HMH. If you are a school administrator, by default you will see the products allocated to you by your district and the products purchased directly by your school. You can customize your view as follows: Search The Search field is located above the product listing. It allows you to search by keyword, product title, product ISBN, or order number. Sort Columns By clicking the text in most columns, you can sort the column s contents in ascending or descending order. For example, to sort by grade, click Grade in the column heading. A down arrow will appear to indicate that the listing is now sorted by descending order. If you click Grade again, it will sort in ascending order, indicated by an up arrow. This method works for all columns except Format. Filter by Grade To show only the entries for a specific grade, click the current Grade setting (for example, All). From the dropdown menu, click the grade value of your choice. The page will refresh to display only the products for the grade you selected. Filter by License Type Click License Type to see a dropdown list, which you can filter by the following license types: o All o District Licenses o School Licenses Downloading Teacher One Stop and Examview Content A bundle is a mechanism that teachers use usually to provide products to their students through the HMH Download Center. Teacher One Stop and ExamView products, however, do not need to be bundled in order to be used by teachers. (For more information on creating bundles, refer to section 5.2 Creating Bundles.) Because teachers normally use Teacher One Stop and ExamView products to create their own materials, HMH has provided a direct download link on the Teacher Resources page. You can download each Teacher One Stop or ExamView product only once per session. Note: Teacher One Stop and ExamView products cannot be used on mobile devices, such as tablets and smartphones. To download any Teacher One Stop or ExamView product title, click Download for Windows or Download for Mac. 34 1. Click Download for Windows or Download for Mac. 2. You will then be prompted to Open or Save the file. Save it to your computer and make a note of the folder where you have saved the product. 3. 38 Admin Resources When you click Admin Resources on the PRODUCTS AND LICENSES dropdown list, the Admin Resources page opens. If you are a district or school administrator, you will see a catalog of the common cartridge products and the number of licenses/number of seats that the district/school has purchased for each product. If you are a school administrator, you will see also see a catalog of the common cartridge products and the number of licenses/number of seats that the school has purchased. You will also see a download button as well as information such as Order Number, Format, Grade, and Expiration Date. Note: Common Cartridge Products must be downloaded by a District or School administrator, and cannot be allocated to a teacher, or added to a package, or bundle. To view a detailed description of any product title, click the arrow to the left of the product listing. The listing will expand to show the following types of information: Description Click to see a detailed description of the content. Product Details Click to see product information such as ISBN number, edition information, and version date. The Status field indicates whether the product license is still active. 39 Order Details Click to see information about the particular order for that product, such as Order No., Order Date, Start Date, End Date (valid until) and Total Quantity/Number of seats. As there is no license management for Common Cartridge products, you can download Common Cartridge Products as often as you like. Note: Common Cartridge products cannot be used on mobile devices, such as tablets and smartphones without the use of a learning management system (LMS) that supports such devices. 42 4.2 Products and Licenses Menu for Teachers If you are a teacher and click PRODUCTS AND LICENSES, you will see a dropdown menu containing the following options: My Products Click My Products to view all the products and the quantity of licenses that have been made available to you by an administrator. Teacher Resources Click Teacher Resources to view and download teacher-only products, for example, Teacher One Stop and ExamView products. Each download will consume one license. You can make learning products available to students by creating a Product Bundle. You then give the bundle code to students, so they can download the products via the Houghton Mifflin Harcourt etextbook app on their mobile device or desktop. You do not need to create bundles for Teacher One Stop and ExamView resources. You can download these directly from Teacher Resources. HMH Download Center 2.0 User Guide 39

43 4.2.1 My Products The My Products page allows you to view all the products and the quantity of licenses that have been made available to you by your school or district administrator. You can see a detailed product listing for each entry by clicking the arrow to the left of the listing. The My Products page allows you to customize how your product allocations are displayed as follows: Click the name in a column heading to sort the list of products by that field. Click the column heading again to toggle between descending and ascending sort order. This is possible in all columns other than Format. Use the Search box to find products by keyword, product title, product ISBN, or order number. Use the Grade dropdown list to filter listings by grade. Use the Status dropdown list to filter listings by the following status values: o All o Active These products have not expired and have licenses available. o Depleted These products have not expired but have no licenses available. o Expired These products have reached their expiration date. 47 5. Bundles 5.1 Introduction to Bundles A bundle is a mechanism that teachers use to provide products to their students. Teachers package a group of products for their class into one or more bundles. Each bundle has an associated bundle code, which teachers give to their students to download the products. The students in turn, launch the Houghton Mifflin Harcourt etextbooks App on their mobile device or desktop/laptop. The students enter the bundle code and can view the list of products that the teacher has put in the bundle. The students can subsequently download each product to their mobile device or desktop/laptop. Although the bundle tool is used mainly by teachers, district and school administrators can also create bundles. When you click BUNDLES, a dropdown menu containing the following two options appears: Create Bundles Use this option to create a new bundle. Manage Bundles Use this option to view and edit bundles you have already created. You can also recall bundles in order to re-issue the products and licenses to other students. 48 5.2 Creating Bundles To create a bundle, take the following steps: 1. From the main menu navigation bar, click BUNDLES. 2. From the BUNDLES dropdown menu, click Create Bundles. The Create Bundle: 1 page appears. This is the first page in the two-step process of creating a bundle. On the Create Bundle: 1 page, there are two main areas: the Products Available to Me area on the left, and the Products Added to Bundle area on the right. Products Available to Me lists the products that you can add to a bundle. Products Added to Bundle is a holding area that lists products you are putting into the bundle. 3. To add a product to a bundle, find the product listing in Products Available to Me and click the + (add button) that appears on the far right side of the product listing. That product then appears in Products Added to Bundle, and the + button disappears. Note: You are not able to create bundles that contain a mix of Student and Teacher editions. To remove a product from your bundle, find the product listing in Products Added to Bundle and click the (remove button) on the far right side of the product listing. To remove all products from your bundle, click Empty. HMH Download Center 2.0 User Guide 45

49 4. Once you have finalized the contents of your bundle, click Continue on the lower right of the Products Added to Bundle area. The Create Bundle: 2 page appears. On this page, you can specify certain details about your bundle. Begin by naming your bundle in the mandatory field, Bundle Title. You can also type information in the optional fields, Subject and Assigned Grade. A bundle Type will be assigned automatically, appropriate to the type of materials you have used in your bundle. The type will be either Student or Teacher. 5. Specify the period for which the bundle will be active. This is the range of dates during which students can download the products from the bundle. Specify the mandatory Start Date and End Date values by clicking the calendar icon beside each of those two fields. Notes: The End date must be after the Start date. If this is not the case, you will see the following error message: Please ensure the end date is after the start date. These fields are particularly useful if you want to make titles available to students only for a specific time, for example, a semester. Once the semester is over, the licenses can be recalled and the bundle re-issued with a new bundle code to another group of students. Bundles expire at the start of the end date. For instance, if the end date is January 21, books will expire at 12:01 a.m. on that day. HMH Download Center 2.0 User Guide 46

50 6. In the mandatory Licenses field, type the number of licenses for this bundle. The maximum value for this number is the lowest number of licenses available among the products in your bundle. For example, if there are 7 licenses available for one of the products in your bundle, and 15 licenses are available for another product in the bundle, the maximum number of licenses you can issue is 7. If you want to change any of the products in the bundle, click Amend Product List. This takes you back to the Create Bundle: 1 page. 7. When you are satisfied that all the details of your bundle are correct, click Create Bundle. A message will notify you that your bundle has been created. The message will also contain the bundle code that students will need in order to download the bundle using the Houghton Mifflin Harcourt etextbooks application. 51 5.3 Managing Bundles On the Manage Bundles page, you can view a list of your bundles, their bundle codes, and the number of remaining licenses. You can also edit and deactivate bundles, if required, or recall a bundle for re-issue. To view all the products within a bundle, click the arrow on the left of the bundle title. To view details about a product within the bundle, click the arrow beside the product listing Sort, Search, and Filter List of Bundles You can customize the display of the Manage Bundles page as follows: Click the name on a column heading to sort the list of bundles by that field. Click the column heading again to toggle between descending and ascending sort order. This is possible in all columns except Licenses and Modify. In the Search field, type a string of text to search for and list all the bundles that contain this text in either the bundle title or the products included in the bundle. In the Status dropdown list, you can filter the listings based on the following status values: o All o Active These bundles have not expired and have licenses remaining. o Inactive These bundles have a future start date. o Depleted These bundles have no licenses remaining. o Expired These bundles have reached their expiration date. o Recalled These bundles have been recalled and student access has been withdrawn. 52 5.3.2 Editing a Bundle To edit a bundle, take the following steps: 1. On the Manage Bundles page, click Edit on the right of the bundle you want to edit. The Edit Bundle page will appear, so you can edit the details of that particular bundle. You can also add or remove products from the bundle. The Products Added to Bundle area shows the bundle s initial creation date as well as a list of its modification dates. HMH Download Center 2.0 User Guide 49

53 2. Edit the details of the bundle as required. When you are satisfied, click Update to commit the changes. The Manage Bundles page opens Deactivating a Bundle If you deactivate a bundle, students will no longer be able to access it. If students have already downloaded products in this bundle, they will no longer be able to view them. The End Date displayed on the bundle changes to the date when it was deactivated. It then appears under the Expired filter on the Manage Bundles page. To deactivate a bundle, take the following steps: 1. On the Manage Bundles page, click the Deactivate link to the right of the bundle listing. Because deactivation cannot be undone, the following message appears: Are you sure you want to deactivate this bundle? 2. If you are sure you want to continue, click Deactivate. Remember that your students will no longer have access to the titles in the bundle. The bundle is deactivated. On the Manage Bundles page, the word Deactivated now appears alongside the bundle listing Recalling a Bundle You can recall a bundle to re-use its products and licenses for a new set of students. Recalling a bundle means that students who currently have access will not be able to download products from that bundle nor will they be able to open any products from that bundle that they have already downloaded. Students trying to access products from a recalled bundle will see the following error message: Bundle has been recalled. Please talk to your teacher. To recall a bundle, take the following steps: 1. On the Manage Bundles page, click the Recall link to the right of the bundle you want to recall. The following message appears: When you recall a bundle, all licenses will be withdrawn. Students will not be able to download products and will not have access to products that they have downloaded. This step cannot be undone. 2. If you are sure that you want to continue, click Recall. 54 The bundle is recalled. On the Manage Bundles page, the word Recalled appears in the Status column and a Re-issue link now appears alongside the bundle listing. The Licenses and the Remaining Licenses fields are set to 0. HMH Download Center 2.0 User Guide 51

55 5.3.5 Re-issuing a Bundle If you have recalled a bundle, you have the option to re-issue it. At this point, you can edit the bundle and the number of licenses. A new bundle code is generated upon re-issue. To re-issue a bundle, take the following steps: 1. On the Manage Bundles page, click the Re-issue link to the right of the bundle you want to re-issue. When the Re-issue Bundle page opens, you can edit the details of the bundle. You can also add or remove products. 2. When you are satisfied with all your changes, click Re-issue to commit the changes. A message appears notifying you that your bundle has been re-issued. The message also displays a new bundle code. You can use the Recall and Re-issue functionality to re-issue the same titles to students in a given grade year after year. HMH Download Center 2.0 User Guide 52

Packages 6.1 Introduction to Packages Packages are a facility to allow a District or School Administrator (or an IT representative) to distribute one or more etextbooks (the package ) to multiple devices without student involvement. While packages are similar to bundles, there are some key differences: Only a School or District Administrator can create a package on the HMH Download Center. A package can be deployed to several devices at the same time without student interaction. A package can be deployed to devices using an internal school network (instead of an Internet connection). A package is loaded to devices in its entirety, meaning that students do not need to download books from the Download Center before they can read them. Licenses are consumed at the time the package is finalized since the distribution of the package will occur independently of the Download Center. An audit of all devices that have received the package and are connected to the Download Center (when an Internet connection is identified) will be maintained. Packages are designed to be used when a district or school wants to set up devices for its students, for example, in preparation for the new school year. The following should be considered in the creation of packages: If the students each have their own personal device, then it might be best to create gradespecific packages, for example, all etextbooks for Grade 4, and distribute these to just the devices that will be given to the Grade 4 students. If the students share devices, for example, in a lab or from a cart, then it might be better to put all the etextbooks for a school into one package and distribute these to all devices in the school. For example, a K-6 elementary package, a 6-8 middle school package, and a 9-12 high school package. Note: Care must be taken in the shared device model. HMH etextbooks are licensed per device, rather than per student. Therefore, notes, bookmarks, and highlights are stored locally on the device and are accessible to all students using the etextbook on the device. HMH Download Center 2.0 User Guide 53

57 6.2 Creating and Managing Packages on the HMH Download Center School and District Administrators will see PACKAGES in the navigation bar on the HMH Download Center. When clicked, a dropdown menu containing the following two options appears: Create Packages Use this option to create a new package. Manage Packages Use this option to view, download, and recall packages you have already created. HMH Download Center 2.0 User Guide 54

58 6.2.1 Creating Packages To create a package, take the following steps: 1. On the PACKAGES dropdown list, click Create Packages. The first page of the Create Package process appears. This is the first in a three-step process of creating a package. On the Create Package: 1 page, there are two main areas: Products Available to Me on the left, and Products Added to Package on the right. o Products Available to Me lists the products that you can add to a package. o Products Added to Package is a holding area that lists products as you are creating the package. 59 2. To add a product to a package, find the product listing in Products Available to Me and click the + (add button), which appears on the far right side of the product listing. The product then appears in Products Added to Package, and the + disappears. Note: You are not able to create a package that contains a mix of Student (S) and Teacher (T) editions. If you attempt to mix editions, you see the following error message in the Products Added to Package area. To remove a product from your package, find the product listing and click the (remove button), which appears on the far right side of the product listing in the Products Added to Package area. To remove all products from your package, click Clear contents. HMH Download Center 2.0 User Guide 56

60 3. When you have finalized the contents of your package, click Next Step on the lower right of the Products Added to Package area. The second page of the Create Package process appears. On this page, you can specify certain details about your package. Begin by naming it in the mandatory field, Package title. You can also type information in the optional fields, Subject and Assigned grade. A package Type appropriate to the materials you have used in your package is assigned automatically. The type will be either Student or Teacher. 4. Specify the period for which the package will be active. Specify the mandatory Start date and End date values by clicking the calendar icon beside each of those two fields. Select the Start date and End date on each calendar as required. Notes: The Start date defaults to the date on which the package is created. Changing the package start date will not affect availability of the licenses in the package. Package contents are available for deployment to devices immediately after the package is finalized. The End date must be after the Start date. If this is not the case, you will see the following error message: Please ensure the end date is after the start date. ) Packages will expire at 12:01 a.m. on the expiry date. 61 5. In the mandatory Licenses field, type the number of licenses for this package, that is, the number of devices to which you will distribute this package. The maximum value for this number will be the lowest number of licenses available for any of the products in your package. For example, if there are 5 licenses available for one of the products in your bundle and 15 licenses available for another product in the bundle, the maximum number of licenses you can issue is When you are satisfied that the details of your package are correct, click Next Step. You will progress to step 3, where your package is still in Draft status and you can still make changes. Note: In the Draft stage, you can take one of several steps. Remove or add products Cancel creating the package HMH Download Center 2.0 User Guide 58

62 Save the package as a draft so you can finish it later Finalize the package 7. Click Finalize Package. A popup note asks you to confirm that you want to proceed with finalizing the package. Note: Once you have finalized a package, you cannot edit it later. Products cannot be added or removed. The number of licences in the package cannot be changed. The licenses in the package will be consumed. 8. If you are satisfied, click Finalize. Notes: It may take a while to finalize a package. The package creation webpage will refresh after the package has been finalized and will display a confirmation. You will also receive an notification with the details of the Package you created. If you have to close your browser or you do so by mistake, the package will still be finalized. When you log back in, you can view the package status in Manage Packages. If the package is still being finalized, the status will read, Build in Progress. Otherwise, the status will be Active. 9. After you have created a package, the Completed Package window lists the contents on the left side and the details on the right side. 64 6.2.2 Viewing a List of Packages On the Manage Packages page, you can view a list of your packages, search for a package, and check each package code, status, type, start date, end date and the number of remaining licenses. You can also take actions such as view, download and recall a package. To open Manage Packages, select it from the PACKAGES dropdown list. To view the products in a package, click the arrow on the left of the product listing. Below, the Algebra 1 package is expanded. HMH Download Center 2.0 User Guide 61

65 To view the unit details of any product within the package, click the arrow on the left of that product listing. Below, the Holt McDougal Algebra 1 product is expanded Sort, Search, and Filter List of Packages You can customize the display of the Manage Packages page in the following ways: Click the Package title column heading to sort the list of packages in that field. Click the column heading again to toggle between descending and ascending sort order. This is possible for all columns except Licenses, Remaining licenses and Action. Use the Search box to find packages. You can search by the following attributes: o Package title o Package code o Product title o Product ISBN When you start typing, a list of matching package attributes is shown. You can keep typing for a more specific match or select a package from the list as it first appears. This search feature is particularly useful when you want to find packages containing a specific product or a group of related products. HMH Download Center 2.0 User Guide 62

66 In the Status dropdown list, you can filter the listings based on the following status values: All This shows all of your packages. Draft These packages are not yet finalized and can thus still be edited. Active These packages are available for download as well as use, and still have licenses available. Depleted These packages have no licenses remaining. Expired These packages have reached their expiration date. Recalled These packages have been recalled. Build in Progress These packages are being built. When completed the status will be Active. HMH Download Center 2.0 User Guide 63

67 6.2.4 Managing Packages In the Action column, you can View, Download, and Recall a package Viewing a Package In the Actions column, click the View link of a specific package to view its contents and details Downloading a Package In the Action column, click Download to download the package ZIP file to a specified folder. When you download a package, your browser will show its progress. Note: The downloaded ZIP file is named after the package code. It is important that the ZIP file name is not changed as the package will not be valid otherwise. To allow students access to the books in the package, please see section 6.3 Loading and Managing Packages in the HMH etextbooks App Recalling a Package You may want to recall a package to reclaim the licenses used or to distribute the package to a new set of devices, perhaps the following school year. If you recall a package, you must remove this package from any device and HMH etextbooks app where it has been downloaded. To recall a package, take the following steps: 1. On the Manage Packages page, click the Recall link on the right of the package you want to recall. 2. In the warning message, click Recall if you are sure that you want to continue. Note: This step cannot be undone and any devices that have this package installed may no longer be able to access the etextbooks in the package. HMH Download Center 2.0 User Guide 64

68 3. Remove the package from all devices. Note: You can be certain a recalled package is removed from all devices by launching the HMH etextbooks app on any device that is connected to the Internet. Books from any recalled packages will become unavailable to the students if they are not part of any other, still active package or bundle. Such books will have an Unavailable overlay in the app s library and, when clicked, will display this message: This book is no longer available, you can delete it. If you still need it, ask your teacher. On the Manage Packages page, the package name and details are faded, and the word Recalled appears in the Status column. 69 6.3 Loading and Managing Packages in the HMH etextbooks App Installing the HMH etextbooks App See section 1.6 Student Access for instructions on how to download the HMH etextbooks app. The ability to create packages and distribute them to multiple devices was added to the HMH etextbooks apps in the app versions below: ios (ipad): Android: OS X (Mac): Windows: To see whether the version of the apps you are using has this functionality, open the settings by clicking the symbol on the top right corner and see if there is a tab called Admin. If there is not, then you must upgrade to the newest version of the HMH etextbooks app by following the instructions in section 1.6 Student Access Managing Packages and their Download in HMH etextbooks App You can find all settings for loading packages into the HMH etextbooks app and all information on already downloaded packages by clicking the Settings icon and then clicking the Admin tab. There are two sections in Settings on the Admin tab: Top section: Get Books from Packages Bottom section: Downloaded Packages HMH Download Center 2.0 User Guide 66

70 6.3.3 Getting Books from Packages Packages can be downloaded to the HMH etextbooks app from a network source location. (For more information on different ways to download packages into the app, see Downloading Packages into the HMH etextbooks App). In the top section of the Admin tab, the network source location the app uses is set. You have two options: Use the default source location and log-in information: These settings are already provided in the app by default: o Source Location: o Username: HMHeText o Password: 1*Packag3 This gives you the option to set up the source location on your network and not need to make any changes to the settings in the app. To do this, configure PK.hmhco.com in your DNS to point to the IP address of the file server. Notes: o Ensure the IP address is static. o On a web server, enable the "Directory Listing" feature. Use a custom source location and login information: If you would like to use a custom source location and/or login information you have set on your network, you can set them in the HMH etextbooks app by clicking the Change source location link. The view extends and you can provide any of the information below: o A new Source Location o A new Domain\username o A new Password You can Cancel the changes you made at any time and thus revert to the previously saved settings. You can also Restore to default, which enables you to save the default source location and login information. HMH Download Center 2.0 User Guide 67

71 After entering the new settings, click Save. If the app cannot currently access the changed source location, this message appears: The specified source location does not exist or cannot be accessed. Try re-entering the location or log-in information. Click OK to edit your entries. Click Save Anyway to store the entered location and login information, so they are ready when the location is accessed at a later stage. Click Cancel to revert to the previously saved settings. 72 6.3.4 Downloaded Packages In this section, you see all packages that have been downloaded to the app and their status. By clicking a package icon of an active package, you can view its contents. You can only delete packages in the Admin tab (see trash bin icon), and you can delete them only as a whole. Therefore, when you delete a package, all the books in the package are removed from My Library. This is an important difference between packages and bundles: you cannot delete each book unit separately in packages. Note: Any notes, highlights, or bookmarks that the students made in the books will persist on the device even if the book is deleted with a package. If students get the book again at a later stage (through a bundle or another package), they will be able to see their previous annotations Downloading Packages into the HMH etextbooks App There are three ways to download packages into the HMH etextbooks apps. Automatic pull using a location on a network to automatically download packages to the app Manual pull using package codes to download a specific package from a location on a network Push pushing a package into a local folder on the device linked to the app Note: The ZIP file name of the package must not be changed. This is very important, since the package will not be valid if the ZIP file name is changed and the products will be unavailable for use as soon as the device connects to the Internet and thus to the HMH Download Center. 73 Automatic pull The HMH etextbooks app points either to a default source location or to a custom source location (for more information, see Getting Books from Packages). For the automatic pull to work, there needs to be a subfolder called Automatic at the default or custom source location to which the app is pointing. To create an Automatic subfolder, take the following steps: 1. At the source location pointed to by the IP address, create a subfolder called Automatic. Ensure this subfolder has read/write rights for all users. 2. Copy the downloaded package ZIP file(s) to this Automatic subfolder. Every package placed in this subfolder in the source location is automatically pulled by any app that connects to the source location. This option works well if all devices in a school are getting the same package. Note: You do not have to change the source location to e.g. for the automatic pull to work. The app is set to look for a subfolder called Automatic in the provided source location. Manual pull When you do not want all apps to download all packages from the source location, you can use the manual pull feature. This requires that packages be placed directly in the specified source location (not in the Automatic subfolder, but on the same level as the Automatic subfolder). The code for the package must then be entered into the HMH etextbooks app in each device. Then only that package will download into the specified devices. This option might be best if you have created grade-specific packages that will be distributed to specific sets of devices. Note: The package code is the same as the name of the ZIP file in the source location. For example, if the file name is KLFQ8X.zip, then the package code is KLFQ8X. You can also see the package codes and other information about the packages you created on the HMH Download Center under Manage Packages. (For more information, see Managing Packages.) 74 Push A package can be pushed to a specific folder on one or more devices. When the HMH etextbooks app is launched, it downloads the package from the folder. Notes: The app must be opened at least once before any package can be pushed to the device. Desktop device management software can be used to push packages to a certain folder on Windows and OS X operating systems. At the time of writing, HMH is not aware of any mobile device management software that would enable this on ios and Android operating systems; however, we have catered for this being possible in the future. Check with your software provider if this is an option for you. The folder to be used on the device depends on the operating system (OS) used on the device: ios (ipad): <etextbooks app path>/documents/etextbooks/packages Android: <root>/etextbooks/packages OS X (Mac): /Users/<UserName>/Downloads/eTextBooks/Packages Windows: o Windows XP: <root>\documents and Settings\<UserName>\eTextbooks\Packages o Windows 7 and later: <root>\users\<username>\etextbooks\packages HMH Download Center 2.0 User Guide 71

75 6.3.6 Messages Regarding Package Download Problems in the HMH etextbooks App Various error messages refer to problems in downloading packages to the HMH etextbooks app. Below is a table with the messages and their meanings. Note: These messages appear only when packages are being downloaded by manual pull. No messages appear when packages are being loaded to the app via push or automatic pull. However, packages will be entered into the Downloaded Packages section in the Admin tab in an inactive state and with an appropriate status. (For a list of package statuses, see Package Statuses in the HMH etextbooks App.) Message Package download failed: package not found. Package download failed: source location not found. Package download failed: package already exists on device. Package download failed: package expired. Package download failed: not enough memory. Package download failed: package corrupt. Package download failed: connection timeout during download. Package download failed: not enough memory (approx. X MB needed). Meaning User submitted a package code, but the package does not exist in the source location specified. User submitted a package code, but the app cannot access the source location specified because it does not exist, the login information is incorrect, or there is no network connection. User submitted a code of a package that has already been downloaded. User submitted a code of a package that has expired. The app is trying to download a package, but there is not enough memory on the device for the download to complete. User submitted a package code, but the package is corrupt and cannot be loaded into the app. User submitted a package code, but the package was not downloaded successfully due to a drop in connection. User submitted a code of a package that is too large to be downloaded to the device. The message will show the approximate space on the device required to download the full package. 76 6.3.7 Package Statuses in the HMH etextbooks App All packages that were successfully or unsuccessfully loaded to the HMH etextbooks app are entered into the Downloaded Packages section in the Admin tab with an appropriate status. Below is a table with all statuses and their meanings. Status Active Package deleted Package restored Package expired Package corrupt Not enough memory Meaning You can see the contents of an active package by clicking the package icon or name. Active packages have a delete option. A package was active but was then deleted in the app. Note: It is possible to Restore a deleted package. This is only possible when connected to the Internet. A package was active, was then deleted in the app and afterwards restored when the app was connected to the Internet. Since packages are restore in the form of bundles, package functionality is no longer available and the package shows as inactive on the list. Package has expired. Books in the app s library will be unavailable. Package ZIP file cannot be read by the app, due to different reasons: The ZIP file name has been modified. Files within the package ZIP file are missing or have been modified. Note: By following the steps below, you should be able to fix this problem: 1. Download the package anew from the HMH Download Center. 2. Place the package in the same location you have beforehand, depending on whether you were using automatic pull, manual pull, or push to load the package to the app previously. 3. Click Download again in the Downloaded Packages section in the Admin tab in the HMH etextbooks app. 4. If the newly downloaded package is not corrupt, it will be loaded to the app and the status will change to active. If the newly downloaded package is still corrupt, it is best to recall the package on the Download Center, create a new package with the same products, and begin the process of downloading to the app anew. There was not enough memory on the device to download the package. Delete files or apps on the device to create enough memory and then click Download again in the Downloaded Packages section in Admin tab. HMH Download Center 2.0 User Guide 73

77 Package recalled Package depleted The package has been recalled on the HMH Download Center. Books in the app s library will be unavailable. More licenses have been consumed than there are licenses available for this package, i.e., the package has been deployed to more devices than specified when creating the package on the Download Center. Books in the app s library will be unavailable. For more information, see When the App Connects to the HMH Download Center When the App Connects to the HMH Download Center When the HMH etextbooks app connects to the HMH Download Center, the status of the package is checked. If it is Active, then a license is decremented. Once a package has been Recalled and the app with that package connects to the Download Center, any books from that package in the app s library will become unavailable. Note: If a book from a recalled package is also in another active package, that book will still be available in the app s library. HMH Download Center 2.0 User Guide 74

78 The Remaining Licenses column under Manage Packages on the Download Center indicates how many apps have connected to the Download Center and have downloaded the package. In the screenshot below, Ninth Grade classes shows that 18 of 20 licenses remain available. This means that two students have downloaded the package and then connected to the Download Center, which in turn registered the consumed licenses. When a package has a status of Depleted, the remaining licences are 0. If any further apps with that package connect to the Download Center, the books from that package will become unavailable in the app s library. HMH Download Center 2.0 User Guide 75

79 7. Schools and Users (For Administrators Only) 7.1 Introduction to Schools and Users The SCHOOLS AND USERS option allows you to manage schools and create new administrators or teachers. This option is available only for administrators. When you click the SCHOOLS AND USERS option, a dropdown list containing the following three options appears: Create Users This page allows you to create new users, who can be district administrators, school administrators or teachers. Manage Users This page allows you to view a list of users in your district or school and edit user details if required. Manage Schools This page allows district administrators to view a list of all the schools in their district. HMH Download Center 2.0 User Guide 76

80 7.2 Creating Users The Create User page allows you to create new administrators or teachers in your district. It also has a facility to create a number of new teachers in one go using the Bulk Upload Teachers facility Creating a Single User To create a single new user, take the following steps: 1. From the main menu navigation bar, click SCHOOLS AND USERS. 2. From the SCHOOLS AND USERS dropdown list, click Create Users. The Create User page appears. HMH Download Center 2.0 User Guide 77

81 3. First, select the role for the new user. This is a mandatory field located on the upper left of the Create User page. (All fields are mandatory on this page). 4. On the dropdown list in the Role field, select District Administrator, School Administrator, or Teacher. 5. In the School field, select a school on the dropdown list. If a district administrator is using this page to set up a new district administrator, this field will change to District. It automatically displays the district in question. 6. In the Password and Confirm Password fields, enter a password for the new user. The new user is prompted to change the password on initial login. 7. Enter the person s details in the Title, First Name, and Last Name fields. 8. Finally, enter the details of the user s in the Address field. You can click Clear All Fields at any point to reset all the details, so you can start the process again. 9. Once you are satisfied that all the details are correct, click Create User to complete the process and create a new user with the details you just entered. The newly created user will receive an from HMH Publishing <digitalcontent@hmhpub.com>. This will contain login details and a link to access the HMH Download Center. 82 7.2.2 Creating Multiple Teachers Using Bulk Upload Facility The Bulk Upload Teachers facility on the Create User page allows you to create multiple teachers in one operation using data formatted in a CSV file (Comma Separated Values). To create multiple teachers using the bulk upload facility, take the following steps: 1. Select the SCHOOLS AND USERS option on the main navigation bar. Select Create Users on the dropdown list. The Create User page appears. 2. Scroll down the page to the Bulk Upload Teachers area. 3. Click the Download example CSV file link to open a template spreadsheet file that you will use to record the details of each teacher to be imported. This file is called exampleuploadfile and will open in Microsoft Excel. HMH Download Center 2.0 User Guide 79

83 4. In the spreadsheet, complete a row for each teacher that you want to import. The table below summarizes the requirements for each column entry in the row. Column Name Mandatory/Optional Rules Title Optional Valid titles are: Mr, Mrs, Miss, Ms, Dr, Rev Ensure titles do not contain a period. For example: Mr Mr. (Accepted) (Not Accepted) First Name Optional Alphanumeric characters only. Last Name Optional Alphanumeric characters only. UserName Mandatory The address of the teacher. An address is mandatory and must be under 100 characters. Password Mandatory Password must be between 6 and 32 characters and comprise of the following: A to Z a to z ' - 0 to 9 ( _! # $ % ^ & * Spanish characters School ID Mandatory Must be a valid School ID* HMH Download Center 2.0 User Guide 80

84 When importing teachers and using the bulk upload feature, ensure that you have used the correct School ID. A district or school administrator can find the School ID by doing the following: 5. From the SCHOOLS AND USERS menu option, select Manage Schools from the dropdown list. On the Manage Schools page, each school is listed along with its Unique ID, which is the School ID. Note this value and enter it into the batch import spreadsheet for every teacher being imported. 6. Enter the teacher details in every row of the spreadsheet for each teacher to be imported. 7. After you have entered all the teacher details, you need to create a.csv file containing this information. You can create a.csv file easily in most spreadsheet applications. For Microsoft Excel, the steps are as follows: a. On the main Excel navigation bar, click File. b. Click Save As. c. Enter a name for the file. d. Select CSV (Comma delimited) in the Save as type: dropdown list underneath the file name. (This file type should be selected by default if you started with the exampleuploadfile.) e. Click Save. The.CSV file will be created. f. Now upload this.csv file from the Bulk Upload Teachers area by taking the following steps: g. Click Browse. Navigate to the folder where you created the.csv file. Click the file to select it. h. Click Upload. A message appears confirming that the upload has been successful. You will receive an containing a status report about the upload. Take the following steps: 1) To view the status of the teachers you uploaded, open the.csv file attached to the . If a teacher was not successfully imported, an error description shows in that row. In the example below, the first teacher has an invalid and was not imported, but the second teacher was imported successfully. HMH Download Center 2.0 User Guide 81

85 7.3 Managing Users 2) You can review all teachers that were successfully uploaded in the HMH Download Center by first selecting SCHOOLS AND USERS option from the main navigation bar. Then select Manage Users from the dropdown list. The newly imported teachers will now be listed on the Manage Users page. On the Manage Users page, district administrators can view a list of users in their district and edit or deactivate users as required. A school administrator can view a list of the users only in their school. HMH Download Center 2.0 User Guide 82

86 7.3.1 Customizing the View on Manage Users Page The Manage Users page allows you to customize how users are displayed as follows: 1. Click the name on a column heading to sort the list of bundles by that field. Click the column heading again to toggle between descending and ascending sort order. This is possible on all column headings apart from Title and Modify. 2. In the Search field, you can enter a string to search for and list all the user entries that contain that string. 3. On the Role dropdown list, you can choose to filter users based on their roles, from the following options: o o o o All District Administrators School Administrators Teachers 4. 87 7.3.2 Editing a User To edit a user, take the following steps: 1. On the Manage Users page, click the Edit link to the right of the user you want to edit. On the Edit User screen, you can edit the details for that user. 2. Alter the user details as required. Note that you cannot alter the Role, School, or Address fields. 3. 88 7.3.3 Deactivating a User If you want to remove a user from the system, you need to deactivate that user. To deactivate a user, take the following steps: 1. On the Manage Users page, click the Deactivate link to the right of the user listing. A warning message appears describing the implications of deactivating a user. Note: This step cannot be undone. 2. If you are sure you want to continue, click Deactivate. Any active bundles created by the user will remain active until the bundle has reached its expiration date. The user will be deactivated and will now appear as Inactive on the Manage Users page.
