1 How-To: eschoolplus Preparing for Secondary Report Cards Summary: This Document goes through the prerequisite steps to be done before Building Report Cards are processed and generated. Steps: 1. Log into eschoolplus and verify the marking period Menu Path: Administration > System Setup > Building > Mark Reporting Click search and a list of the buildings in your district will display Click on the name of your building The Mark Reporting Configuration screen will display. Verify that the Current RC Run is correct. If it is incorrect change it by typing in the correct number or selecting it from the drop down list. Click SAVE If you require additional help, please enter a Service-Now request at or call the South SCRIC ESP_ESP_How-To_Preparing For Secondary Report CardsPreparing for Secondary Report cards 1

2 2. Do the following Advanced Search to determine if any Schedules have been left modeled in your Building: If any students show up in this list, resolve any scheduling conflicts and keep schedule before you run the building Synchronization 3. Run Scheduling Synchronization to create or update report card records to match what is currently saved in student schedules. This process will also trail grades after the first marking period based on what the Schedule Entry or Mass Entry screen indicates. If this process is not completed the courses that display on a student s report card might not be correct. Menu Path: Mark Reporting Center > Calculations > Scheduling Synchronization Enter your building in the building field Select to Delete Invalid Marks (does not actually synchronize if not checked) In the Amount to Log in Statistics field check Log Errors Only Click RUN SCRIC ESP_ESP_How-To_Preparing For Secondary Report Cards 2

Copy class attendance from teacher access center to report cards Menu Path: Mark Reporting Center > Calculations > Class Attendance to Report Cards Select your building, and the current report card run. In the Amount to Log in Statistics File select log errors only Click run **NOTE** You may want to run Copy Class Attendance to Report Cards before you open TAC for teachers. This will allow them to see Class Absences for the MP on their RC entry screen. Then it should be run again the evening before you are going to generate report cards. This will ensure that class absences on the report cards are up to date. SCRIC ESP_ESP_How-To_Preparing For Secondary Report Cards 3

Open Teacher Access Center for teachers to begin entering Marks at the beginning of each report card cycle Menu Path: Mark Reporting Center > Setup > Mark Types > Report Card Tab Click search and a list of the buildings in your district will display Click on the name of your building If your building has no restrictions on marks that can be issued for report cards, leave the Valid Marks column blank (this allows all marks to be chosen). If you need to exclude certain marks from being selected for Report Cards, click on the drop down arrow and select only the marks from the table that can be used (Do not select the marks that you need excluded). In the Teacher Access column, change from V-View Only to M- Maintain and View all mark types the teachers will be entering marks for during the current marking period Click SAVE NOTE: DO NOT CHANGE ANYTHING IN THE RECEIVES GRADEBOOK RESULTS COLUMN. *** The system typically calculates the FAV and therefore should be left at View Only **** Only open the Mark Types appropriate for the current MP If no Final Exam, Midterm, or Regents are given in the current MP leave at View Only SCRIC ESP_ESP_How-To_Preparing For Secondary Report Cards 4

5 6. Open Teacher Access Center for teachers to begin entering Comments at the beginning of each report card cycle, if your district allows teachers to enter canned comments. Menu Path: Mark Reporting Center > Setup > Comment Types Click search and a list of the buildings in your district will display Click on the name of your building In the Teacher Access column, change to Maintain and View instead of View Only for each comment type Click SAVE Teachers are now able to enter marks and/or comments through Teacher Access Center. 7. Now, notify teachers that they can begin entering marks SCRIC ESP_ESP_How-To_Preparing For Secondary Report Cards 5

6 You may want to run the following 2 Reports before closing Report Cards: 8. Run the Report Card Missing Submission Report if desired This will generate a report to identify missing submissions for Report Cards. The report will list any teacher and course for which no report card data has been submitted for the report card run. You can also select to have a Notification sent to teachers who have not submitted information for Report Card marks Path: Mark Reporting Center > Reports > Report Cards > Missing Submission Select or type in your building and the correct report card run Click in the Send Notifications box if you want the report to notify teachers. If you want to check all teachers no filter is required. Sample for Report Card Missing Submission Sample Missing Submissions Report Caution: Just because a teacher s name does not appear on your report doesn t mean that they have entered marks for all their students. To check for blank marks run the Student Mark Summary Report Path: Mark Reporting Center > Reports > Report Cards > Student Mark Summary Report Type in or select your building Report Card run from the drop down list. Page break after each student optional, prints each student on a separate page. Check Log Statistics In the Print Marks field, click Selected but leave the list of marks blank. Check for Blank Marks = Yes Mark Types Select the Mark Type you are looking for Comment Types = None Absent Types = None You can filter by student or teacher if desired. If you don t filter you will see every teacher who hasn t entered a mark and all the students with blank marks. Sort as needed SCRIC ESP_ESP_How-To_Preparing For Secondary Report Cards 7

8 To Manually Enter or Change Marks at the office: 10. Entering marks for teachers: If a teacher cannot enter marks and you must do it for them, follow the steps below. Path: Mark Reporting Center > Mark Entry by Course Select the Building, RC Run, Marking Period, and Course-Section Click on Enter Marks Enter the marks and comments and click Save SCRIC ESP_ESP_How-To_Preparing For Secondary Report Cards 8

9 11. To change an individual student s mark Path: Student Center > Mark Reporting > Report Card Summary > Select a Student > Click on the course you want to update. Click Save when necessary changes have been made. SCRIC ESP_ESP_How-To_Preparing For Secondary Report Cards 9

10 12. Close Teacher Access for marks and comments in order to begin processing Report Cards. Menu Path: Mark Reporting Center > Setup > Mark Types Select your building Click on the Report Card tab, on the Mark Type screen In the Teacher Access column, change from M-Maintain and View to V-View Only for all mark types. Menu Path: Mark Reporting Center > Setup > Comment Types Select your building In the Teacher Access column, change to View Only instead of Maintain and View for each comment type. 11 13. Optionally, run an Advanced Search to check for Priority 1Guardians that are not set-up to receive a Report Card. You can also modify the search by omitting lines or changing search values in the Custom Search Criteria depending on what you would like to see (ex- non Guardians set to receive RCs, Priority 2 set to receive RCs etc ) SCRIC ESP_ESP_How-To_Preparing For Secondary Report Cards 11

12 14. Do not do this step until after report cards have been printed. After report cards are printed, change the Current RC Run in the configuration to the new marking period. Menu Path: Administration > System Setup > Building > Mark Reporting Click search and a list of the buildings in your district will display Click on the name of your building The Mark Reporting Configuration screen will display.
