1 Configuring Semester Report Cards for Printing After verifying that grades have stored successfully (see Grade Reporting for Secondary Schools Handbook, Part 3: Storing Semesters Grades for Report Cards), you can proceed to configure your semester report cards for printing. The steps involved are: 1. Calculate Citizenship GPA 2. Print Office Copy of semester report cards and Review for Accuracy. 3. After confirming accuracy, configure report cards to Submit to District. 1. Calculate Citizenship GPA For schools that have stored Yearlong and S2 grades Calculate Citizenship GPA using Historical Store Code S2 a. On the Start Page, under the Reports area on the left, click System Reports. b. Click the SDUSD tab. c. Click Eligibility Report. d. Click the blue Calculate Citizenship GPA link. e. Enter S2 as the Historical Store Code, and click Submit. For schools that have stored S2 and Q4 grades You will need to store these grades again, using a different Store Code F2. This will enable a Semester End term GPA to be calculated that will include both Q4 and S2 grades. (See Grade Reporting Addendum-Combining S2 and Q4 Grades) Calculate Citizenship GPA using Historical Store Code F2 a. On the Start Page, under the Reports area on the left, click System Reports. b. Click the SDUSD tab. c. Click Eligibility Report. d. Click the blue Calculate Citizenship GPA link. e. Enter F2 as the Historical Store Code, and click Submit. 2. Configure Secondary Report Card Settings to Print Office Copy and Review for Accuracy Use the following settings: a. Students to scan: Select All Students b. Report type: Report Card c. 2 d. Format: Hand-out e. Report Title: Semester 2 Report Card (*Required Title) f. Reporting Term: S2 g. Sort order: Your choice h. Effective Date: 6/13/2014 i. Period: Used only if Teacher is selected in Sort order j. Include legend: Yes k. Report Cards to Print: Office Copy Configuring Semester Report Cards for Printing Page 2

3 PRINT JOB INFORMATION (*This is NEW and REQUIRED in order to enable the SUBMIT button) l. *Print Job Name: Type the name of your school followed by the word, Handout. m. *Comment: Current Term (in this case, S2) n. * Address: (You will receive an notification) o. *Store Codes (Reporting Terms) for the report card For schools that have stored Yearlong and S2 grades: Column 1: S2 Print GPA (Checked) Print Credits Earned (Checked) For schools that have stored S2 and Q4 grades: Column 1: Q4 Print GPA (unchecked) Print Credits Earned (Checked) Column 2: S2 Print GPA (unchecked) Print Credits Earned (Checked) Column 3: F2 Print GPA (Checked) Print Credits Earned (unchecked) Configuring Semester Report Cards for Printing Page 3

4 IMPORTANT! Before you click submit, print this page by clicking on the printer icon in the upper right hand corner. This information is necessary for troubleshooting issues with stored grades at your school. *To disable Pop-Up Blocker: In the upper left corner of the Firefox web browser, click Tools > Options > select Content tab > uncheck Block pop-up windows > OK p. Click Submit. *If the Block pop-up windows is unchecked, you will be taken directly to the Report Card page. q. After clicking Submit, *if you leave Block pop-up windows checked, you will be returned to the Start Page. r. Under the Functions area on the left, click Special Functions. s. Select Secondary Report Card Print Job t. In the Job Queue window, click the radio button to the left of your Print Job Name. Do Not Clear the Job Queue. Print jobs contain information necessary for troubleshooting issues with stored grades at your school. u. Click Submit. v. Your Report Cards will appear in a new window. w. Refer to Grade Reporting for Secondary Schools Handbook, Part 4: Removing Headers and Footers from the Report Card before Printing for page set up prior to printing. x. Once office copies have been printed and verified, proceed to configure your semester report cards for district printing. 3. Configure Secondary Report Card Settings to Submit to District (NEW) Use the following settings: a. Students to scan: Select All Students b. Report type: Report Card c. Logo: if SD_logo.jpg isn t in the box, click the Set Default button d. Format: District mailer form CHANGE e. Report Title: Semester 2 Report Card (*Required Title) f. Reporting Term: S2 g. Sort order: Zip Code CHANGE h. Effective Date: 6/13/2014 i. Period: not needed for district mailing j. Include legend: Yes k. Please check the selections carefully. s. If selections are correct, click the Submit to District button. CHANGE To Print Report Cards at a Later Date If you choose to print your report cards at a later date, they can be retrieved from the Job Queue. To access the Job Queue, follow these steps: a. Under the Functions area on the left, click Special Functions. b. Select Secondary Report Card Print Job c. In the Job Queue window, click the radio button to the left of your Print Job Name. d. Click Submit. e. Your Report Cards will appear in a new window. f. Refer to Grade Reporting for Secondary Schools Handbook, Part 4: Removing Headers and Footers from the Report Card before Printing for page set up prior to printing. Do Not Clear the Job Queue.
