1 eschoolplus Interim Progress Reports Follow the steps below to prepare for teachers to enter marks for interim progress reports, copy and calculate attendance, and print progress reports. 1. Login to eschoolplus 2. Update the marking period Menu Path: Administration > System Setup > Building > Mark Reporting Click search and a list of the buildings in your district will display Click on the name of your building The Mark Reporting Configuration screen will display. On the > Interim Progress Reporting Tab, in the Current RC Run field, type or select from the drop down list the current marking period being processed. Be sure the process IPRs flag is checked on the bottom portion of the screen. Click SAVE 1

To add or change existing IPR Run dates Menu Path: Mark Reporting Center > Setup > IPR Runs Click search and a list of the buildings in your district will display Click on the name of your building Add a run date by entering the date in a blank IPR Run Date field To change an IPR Date, type in the corrected date or select it from the calendar. Click SAVE NOTE: You cannot correct an IPR Run Date if teachers have already entered marks and comments for the date you are changing. Correct the date by typing over the current date or select a new date from the calendar. **** If you make a change to your IPR Dates, please inform your eschoolplus Support staff so related changes can also be made. 2

Open Teacher Access Center for teachers to begin entering IPR Marks Menu Path: Mark Reporting Center > Setup > Mark Types Click search and select your building Click on the Interim Progress tab, on the Mark Type screen If all the marks in your table are not valid for IPRs, in the Valid Marks column select the valid marks from the table. If all marks are valid, leave this field blank. In the Teacher Access column, change from V-View Only to M-Maintain and View Click SAVE NOTE: DO NOT CHANGE ANYTHING IN THE RECEIVES GRADEBOOK RESULTS COLUMN. 5. Open Teacher Access Center for teachers to begin entering Comments Menu Path: Mark Reporting Center > Setup > Comment Types Click search and select your building In the Teacher Access column, change to Maintain and View for each comment Click SAVE 3

4 Once Teachers have had an opportunity to enter their marks, you may want to run the following 3 Reports before closing IPRs to Teachers: 6. Run the IPR Card Missing Submission Report if desired This will generate a report to identify any teacher and course for which no IPR data has been submitted for the IPR run (this is not foolproof, if a teacher saves even one IPR grade for a course it will keep them off of this report). When the Missing Submissions utility is run, an report can be sent to teachers who have not submitted grading information and/or to administrators. The Missing Submissions s which are sent to teachers and office staff include different information. The sent to administrators and/or office employees indicates which teachers need to submit information, which information needs to be submitted by the teacher, and whether or not the teacher was notified. The sent to teachers indicates which information needs to be submitted. To set this up, first go to: Admin>System Setup>Building>Mark reporting> TAC tab In the Missing Submission Sender Address enter the address to use as the sender when the missing submission report is sent to teachers. This address will be used as the reply to address. This address will also receive messages about undeliverable addresses. This must be filled out for an to be generated. In the Missing Submissions Report to field select the Admin user IDs for whom the report cards missing submissions report should be sent. If multiple users should receive the missing submission report, enter IDs in a comma-delimited list. Make sure Teacher s have been entered in the staff pages. If not, the cannot be sent to the Teacher. Path: Reg Center>Staff Information 4

5 To run the Report, go to: Path: Mark Reporting Center > Reports > Interim Progress > Missing Submission Select or type in your building Select the correct IPR run from the dropdown (Warning: If an IPR run date from a building other than the selected building appears in addition to the date for the selected building, contact eschool support as this means that a shared Teacher has entered grades under the wrong date for a building.) Click in the Teachers box if you want to the report to teachers. (Remember their addresses must be in the staff information ) If you want to check all teachers no filter is required. Sample Missing Submissions Report that is generated for Administration: Caution: Just because a teacher s name does not appear on your report doesn t mean that they have entered marks for all their students. If one mark is entered and saved they will not appear on your list. Sample IPR Missing Submission sent to Teacher Sample Missing Submissions Report File Sent to Teachers: 5

6 7. To check for blank marks, run the Student Mark Summary Report: Path: Mark Reporting Center > Reports > Interim Progress > Student Mark Summary Report Type in or select your building. Select the current IPR Run Date In the Print Marks field, click Selected but leave the list of marks blank. Check for Blank Marks = Yes (check) Mark Types Select the Mark Type you are looking for (Grd) Absent Types = None Comment Types = None Include MBS Student: MBS are those from another bldg. taking a course in your bldg. Print All courses leave unchecked Page break after each student optional, prints each student on a separate page. Check Log Statistics You can filter by student or teacher if desired. If you don t filter you will see every teacher who hasn t entered a mark and all the students with blank marks. Sort as needed 6

Run the IPR Verification Sheets report Path: Mark Reporting Center>Reports>Interim Progress >Verification Sheets This report prints the interim progress marks, comments, and absence information that have been entered for students and can be distributed to teachers for verification purposes. Type or select your building Select the current IPR run Filter as needed Sort as needed The following report will be generated: For students who have IPR information entered for the selected IPR date, the report also includes the IPR information for the IPR date prior to the selected IPR date so teachers can compare data for the student. A similar report can also be generated in cognos8 Path: Cognos>Mark Reporting Reports > IPR Reports >IPR Information for IPR Date - AL 7

8 If a Teacher is unable to enter Marks and you must do it for them, Marks can be entered by course or by individual students. 9. To Manually Enter or Change IPR Marks at the office for an entire course: Select the Building. Individual IPR leave unchecked Select IPR Run Date. Select Course-Section Click on Enter Marks Path: Mark Reporting Center > IPR Entry by Course The following screen will appear: Enter the marks, comments and notes click Save 8

9 10. To change an individual student s mark: Path: Student Center (search for the student) > Student Center Mark Reporting folder > IPR Summary Select Existing IPR Run Date that you are updating Click on the course you want to update. Make needed changes and click save. 9

10 Close marks and comments to teachers before processing IPRs 11. Close Teacher Access for marks Menu Path: Mark Reporting Center > Setup > Mark Types Click search and a list of the buildings in your district will display Click on the name of your building Click on the Interim Progress tab, on the Mark Type screen In the Teacher Access column, change from M-Maintain and View to V-View Only Click SAVE 12. Close Teacher Access for Comments Menu Path: Mark Reporting Center > Setup > Comment Types Click search and a list of the buildings in your district will display Click on the name of your building In the Teacher Access column, change to View Only instead of Maintain and View for each comment type. Click SAVE Now you are ready to prepare to generate your IPR file 10

Setup the IPRs to print the correct current and year-to-date absences Menu Path: Mark Reporting Center > Setup > IPR View Setup Click search and a list of the buildings in your district will display Click on the name of your building Select the Attendance Tab For each defined absence type, change the attendance interval in the current interval column to match the current IPR reporting run. For example IPR1, IPR2, IPR3, IPR4. (see below) Set up the year-to-date intervals in the YTD Intervals column. For the first IPR run the YTD interval is IPR1Y. The YTD Interval is always the current IPR interval followed by Y (example: for the 2 nd IPR, use IPR2Y). NOTE: The Interval columns must be changed for every IPR Run or your attendance totals will be incorrect. 11

12 BEFORE DOING THE FOLLOWING TWO ATTENDANCE CALCS, YOU MAY WANT TO RUN AN ATTENDANCE ERROR SCAN TO IDENTIFY AND FIX INVALID ATTENDANCE BEFORE IT IS TRANSFERRED TO THE IPR 14. Copy class attendance to IPRs if applicable. NOTE: This process should be run right before you plan to print IPRs. If you want the teachers to see class attendance when they enter IPR grades you can run this before opening TAC. However the process should still be run again the night before you plan to process IPRs. Menu Path: Mark Reporting Center > Calculations > Class Attendance to IPRs The Class Attendance to IPR Calculation screen will display. Select your building in the building field In the IPR Run Date field, choose the current IPR run date from the drop down menu. Under the Run Options click once and type in a time after school ends and enter the current date. Click RUN 12

Run the Attendance Interval Calculation to print Daily Attendance totals on the IPRs Menu Path: Attendance Center > Calculations > Interval Calculations Select your building in the Building field Click Selected in the View Types field. For most districts the view that should be selected is the ABS View. If you are not sure which view to select, please call us. In the Run Calculation field, select For Interval. From the drop down list, select the current attendance interval and run. Wait for the process to complete before calculating the next interval. Once complete, select the current interval YTD and run. So: First IPR Run use interval IPR1, IPR1Y Second IPR Run use interval IPR2, IPR2Y Third IPR Run use interval IPR3, IPR3Y Fourth IPR Run use interval IPR4, IPR4Y 13

14 If you are processing and/or printing your own IPRs 16. Print IPRs Menu Path: Mark Reporting Center > Reports > Interim Progress Reports > Print IPR Cards Select your building in the building field IPR Run Date- Select the correct date from the drop down list. Be sure to select the correct date especially if more than one of your buildings does IPRs. Mailing IPR Cards If you are sending the IPRs to the parents, select send cards to those flagged in registration. Click refresh IPR data before print Process Courses without Marks/Comments Most districts do not print these courses on the IPR. Type in the Earliest Withdrawal Date for Inactive Students. Students who withdraw before this date will not get an IPR. Key in the IPR Run Date so that it prints on the Interim Progress Report. If you are printing Interim Progress Reports for everyone in the building there is no need to filter. However if you would like to print an IPR for just one student you can filter on that student ID. In the Sort section of the screen, select the order the IPRs should be sorted in when printed. Click RUN NOTE: It s a good idea to save your IPR file from one marking period to the next. Then if you have to produce another IPR for a student you can find the student s record and just print that one page. Sample screen on next page 14
