1 Set defaults for all your conferences NEW INNOVATIONS Conference Module Training Main Conferences Configuration Information left side of page Configuration Defaults for New Conferences Default Training Location for New Conferences Doctors Hospital Defaults for Conference Attendance Roster * Include people from My Divisions * Allow Level 4 users in conferences for this department/division to add and/or remove people from attendance rosters this will allow program directors to take attendance * When taking attendance show a default of 75 attendees on each page Conferences and Duty Hours PGY 1 7 or whatever you need Auto Login Yes Save Configuration *note when you edit a recurring conference, you will apply to all in series, however this will only apply changes to conferences in the future, it will not change conferences that have already occurred. Set defaults for all your attendance rosters Configuration Information left side of page Default Roster Configuration This is the default you will start from every time, configure it the way you will use it the most. Build Attendance Roster By Rotation And Status Build Attendance Roster By Department Personnel you will use this mostly Status types PGY 1 7 or whatever you need, Faculty if you plan to track their attendance Include People from My Divisions (if applicable) on Attendance Roster when it is automatically built. Save Default Roster Configuration Set attendance requirements Main Conferences Configuration Information left side of page Attendance Requirements Set by Status Option 1: Set Requirements with a Department Percentage 1
2 This sets a percentage for the entire department Option 2: Set Requirements by Status Type Set % required for each status type Option 3: Set Requirements by Status Type and Content Category The most detailed option, allows you to list percentage, link it to a content category, and assign it to individual status types. Can be used to comply with basic standards or whatever the program director wants Save Requirements 2
3 Cross Populate the Duty Hours and Assignment Log Main Administration Setup tab Sharing Assignment Definitions & Duty Types Conference Assignment Schedule, Duty Hours Save Create Conferences Main Assignment Scheduling Configure Assignment Definitions +New Name: Name it Duty Type: (Conference, usually) Location: Don t need yet Time: Leave at default Duration: Leave at default Color: Pick color When used in Duty Hours, share with Assignments Scheduling When used in Assignment Scheduling, share with Duty Hours Save Assignment Definition Schedule Conferences Main Conferences Manage Conferences Add (This pulls up the Conference Editor) Main Tab Name: Use standard naming i.e. DH: IM: Journal Club Content Category: Can add to the drop down by using the + to the right of the drop box Training Location: Where event takes place (optional) Credit Hours: CME Notes: Add things to show on calendar view i.e. Bring stethoscope Make conference required for attendance statistics Include on people s My Schedule Speakers Tab Can enter new or pull from NI Can add topic Attachments Tab Select to upload from your computer. Individual document cannot be over 12 mb Can attach as many as needed Descriptive Name: make name meaningful i.e. change wretqzy.pdf to Journal Club Jan 2012 Links Tab Name: name of link you want to appear on calendar, i.e. Poison Control Address: the web link itself Attendee Notification Tab Add Notification: Notification Name: i.e. IM Sim Lab Skills Testing weekly reminder 3
4 To: Filter to desired recipients From: You Subject: i.e. IM Sim Lab Skills Testing July 21 Attachment: add any relevant articles or documents Enter Additional Message: i.e. Bring Stethoscope Competencies/Objectives Tab Core Competencies: Check those that apply Add Objective: Disregard, if you need to use this it is easier to create a word doc that lists the objectives and add it in the attachments tab Survey Tab Set up like Evaluations Notifications can be sent as s, or have link on residents start screen when they log in SAVE 4
5 Take attendance Main Conferences Manage Conferences * Select a conference, click Attendance * Rebuild Roster Now will eliminate archived people * Attendees can be checked off as Present, Tardy or Excused * When you are done taking attendance, Save * Clear All will remove everything you have done (both from the list and from the duty hours) so that you can resave Add People * Can pull people in by departments, then select those you want to add, can also filter by status or rotation * When you go back to the attendance roster, the people you added will be in a teal box on the list Remove People * Remove them so they don t show up on reports as not having attended something they should have Sorting Attendance List Name alphabetical Status Dept./Div. department Primary Rotation Check attendance Main Conferences Attendance top navigation bar By Conference can pick a range of dates to display Copy attendance records choose source and destination, useful for multi hour events that fit different categories By Person pick person off of the drop down menu, select a range of dates Create an attendance report Main Conferences Reports top navigation bar By Person 5
6 Only show conferences that are required and covered by one of the attendance requirements Only show conferences held in DH Medical Education Allow paging one resident per page Include details check the details that you want included in the report from * at the bottom of the report there will be overall attendance statistics View Report By Conference Pick conference off of drop down menu Pick people by department, rotation and/or status type View Report the list 6
7 Create a Survey Surveys Manage Survey Forms There are 2 defaults, Form 1 and Form 2 Form 1 used for CME type programs Form 2 closer to what we will use, but the questions answers are Can also create new forms, copy them and edit inconsistent New Enter name for new survey form Add Question Customize Question Box Enter the question Link this question to Conference Objectives This only works if you have the conference objectives set up, not really worth the effort Select the type of response None New Response You create the answers give response a name Existing Response preprogrammed responses, plus the ones you have created previously Include a comment box for additional feedback Save Copy a Survey Your survey and your custom answers are saved to your department, but you can copy them to other departments Surveys Manage Survey Forms Copy Copy Survey Form Make a copy in this department Select department Copy Survey Form Manage Responses Surveys Manage Responses Survey Responses Can edit or delete the responses in use New make a new response type 7
8 Survey Reports Reports Surveys Survey Responses Report Mode By Speaker Pick off the drop down menu Choose a date range By Conference Pick off the drop down menu Choose a date range Can export the results to Excel, or just print screen What to do with reports? Faculty evaluations Visiting faculty need these for their faculty development folder Resident evaluations Monthly reports Survey Status Report Who did what Displays name, date and time of conference, the attendee, what survey form was used and whether the survey was completed. Filter by date range, top right corner, then update Results can be filtered click the funnel icon at the top of each column for a list of options Attach a survey to a conference Manage Conferences Edit Conference Editor Survey Settings Survey Form Options Survey Form Pick off of drop down menu Statuses defaults to everyone present, but you can change this via the drop down menu Date Options Set due date and expiration date Distribution Only those marked in attendance This will also send to the speaker, you must manually remove them if you do not want them to complete the survey Attendee s Send initial 8
