1 Setting User Access to Business Objects Enterprise To grant or modify user access to the Student System reporting system, Business Objects Enterprise, you must sign on to the Memo administration tool at Click on the link that contains your school. Sign in with your administrator user name and password. Page 1

2 There are two steps to grant a user access, first they must be added to the Group of Names. After signing on, click on the Manage Group of Names link. Then click on Modify Existing Group of Names. Page 2

3 You will then get the following screen. Enter RPTUsers-XXX (where XXX is your college code, i.e. CGC, DSSC, EMC, GC, GWC, MC, PC, PVC, RIO, SC or SMC) in the Common Name field and click search. After several seconds, the addresses of the users at your school will populate the center section of the screen. To add a new user, enter their name in the right section and click search. Click on the name of the person you want to add and click the Add Selection to member list button at the bottom of the page. You can verify the addition by going to the end of the list to see the name you have added. Page 3

4 When you have completed your changes, click on the Update List button at the bottom of the center section to save your changes. The updated list will then be displayed in the center section as in the second screen shot. Page 4

5 You can now either sign out or go to the previous menu with the links at the top of the page. Page 5

6 To delete an entry, go to the same page and get the same Group of Names. In the center section, use the slider bar to display the user you want to delete. Click on the name to highlight it. Click on the Delete selected Entry to remove the user. When complete, click on the Update List button to save your changes and the updated list will be displayed. Page 6

7 Once the users have been added to the Group of Names, it is necessary to add the user to security group(s). To do this you go to the initial Memo Administration screen and click on the Manage Users link. Page 7

8 And then click on the Modify Existing Users link. You can then search for the user you want to modify access by entering some part of their name and clicking the search button. Click on the name of the person to modify and click Insert selection into form button. The person s data will populate the right side of the screen. Page 8

9 Using the slider bar on the right section of the screen you will need to scroll to the bottom of the page. You will see a section labeled Crystal Access. This is where users are added to BOE security groups. To add the user to a group, use the drop down list to select the group the user should be in and click the Add button. This will put the user s name, school, and security group(s) into the display box. Note: It is not necessary to fill out both the Department and the Access boxes. Page 9

10 Then click on the Submit button to save your changes. Changes are transferred to Business Objects Enterprise every 15 minutes.
