1 USER GUIDE RESUME The user flow is summarized as follows: 1. The user registers on the platform: o Users connect using their Office 365 address if they have one. The connection is routed through OAuth, via Office 365, like Yammer for example. o If users connect with a different account, they must follow the usual registration process ( address, password, verification). 2. The user fills out their details in the Profile page. You must complete all the fields to access all the functions of the platform. 3. The user searches for a buddy on the Search page: o When users have specific questions that relate to specific skills, they should request an Expresso collaboration. o When users wish to establish a long-term relationship (four months) and begin a win-win exchange of skills, they should request a Co-mentoring pair. 4. The user consults their contact list in the Chat page. Relationships can be developed by sending messages, planning meetings and awarding badges to colleagues when a user wishes to thank their buddy for their involvement (this feature is available after a certain time): o For Expresso collaborations, users may transform the relationship into a Co-mentoring pair if neither party has a co-mentor. o For Co-mentoring pairs: Users may request a split. If the request is accepted by the platform administrators, the pairing will be downgraded to an Expression collaboration, and both parties are then free to find a different co-mentor. If the co-mentoring pair is maintained for the full four months, users fill out the satisfaction survey sent to them by The user can find all of this information (requests pending, upcoming events, etc.) in the Home page. 2 HOMEPAGE The platform s homepage is made up of several sections: A tag line encouraging users to start the connection process A presentation of the SMART DIGIT/SMART LEADER concept An overview of the different kinds of relationships: CO-MENTORING/EXPRESSO Links to various pages for further information: o Profiles: Smart Digit and Smart Leader o Programs: Co-mentoring or Expresso o User guide o Legal notices o Contact AccorHotels Co-mentoring User Guide 2

3 CONNECTION The connection page invites users to: Connect directly with Office 365 by entering your address. Microsoft Office will not ask users to create a password; they will be redirected directly to their personal page on the Co-mentoring platform. Register without Office 365 for those who do not have an Office 365 address etc.) in the following way: Users enter their address. The address is checked to ensure it is compatible with the whitelist. If not, users are given the details of a person from the support team to contact. If the address is approved by the whitelist (as is the case for all AccorHotels new business addresses, such users are required to fill out the form with their first name, last name, job title and password. Once the user s address is confirmed, they are redirected to their personal homepage. AccorHotels Co-mentoring User Guide 3

4 Personal Homepage PROFILE First, users must ensure they fully complete their profile. All profile fields are mandatory: o Role o Region o address for notifications o First name o Last name o Job position o Description o Skills (users must detail at least one) o Languages spoken However, there are two optional settings for users: they can turn their profile offline in order to stop receiving new requests and turn off notifications. 5 AccorHotels Co-mentoring User Guide 5 HOME Once they filled their information, users are redirected to the Home page. This page is a dashboard that shows various elements: A Find your first/next co-mentoring widget that suggests users to search for a Co-mentoring relationship. Once users are in a Co-mentoring relationship, the widget changes its name to Co-mentoring with. An Expresso relationships widget showing users their actual Expresso partners. An Expresso requests widget showing off their pending requests. An Events widget summing upcoming events with pairs.

6 SEARCH Once users have filled out all their details, they can search for potential pairings on the platform. They input the search criteria and are able to send requests to other colleagues. For Expresso requests, users must give details of their need in an initial message, including the skill required for their specific need. When an initial request is sent, the employee in question receives a notification by (optional function). The collaboration request can be found in the Chat or Home tab. Association rules: Smart Leaders and Smart Digits should match through a Co-mentoring or Expresso relationship. Please note that two Smart Leaders or Smart Digits can connect with each other for an Expresso collaboration. 7 CHAT Chat (List) This page shows all colleagues with whom the user has been in contact via the platform, irrespective of whether or not the request was accepted or declined. It gives a summary of each conversation that has taken place with each colleague, including both past and current requests. By clicking on a summary tile, users are able to open the chat page (Conversation Details). In this Chat tab, users will be able to see who is connected among their contact list and will receive notifications. In order to facilitate the access to all individual conversations, users are able to filter their list contact and can search by kinds of relationships (Expresso, Co-mentoring and Archived conversations). Chat (Conversation Details) Full details of all messages sent and received can be found in the middle of the screen. This is also where users write and send new messages. On the right-hand side of the screen is the chat tool bar, which allows users to: Organize meetings: o By sending invitations to an event (insert a new message in the conversation, send an to colleagues with a calendar file attached in.ics format). Scheduled meetings will appear in each individual conversation and on the Home page. Award badges to their buddy, if they wish to do so. This option appears after 24h of relationship for an Expresso and after 3 months for Co-mentoring. At the end of each pairing, users can choose to award their buddy with a badge, in which case: o The buddy will earn 16 points for a badge received following a Co-mentoring relationship and 1 point for a badge received as a result of an Expresso collaboration. 8 o When a user has earned 16 points, they are awarded a star. Likewise, when a user obtains 32 and 48 points. There are two ways in which they can earn a star: o o When a Co-mentoring relationship is maintained for a period of four months, either person can award a badge worth 16 points to the other. When users prioritizes Expresso relationships and successfully help their partners, either person from each pairing can award a badge worth 1 point each to the other. All stars earned will appear on the left side, just below their personal picture. Establish and develop relationships: o By developing Expresso and Co-mentoring relationships where possible. o By requesting to split up a Co-mentoring relationship. o By archiving old Expresso conversations that are no longer relevant. If needed, users can reactivate archived conversations in the Chat page. In order to do so, users will need to send a message to their pair to unarchive the conversation. 9 NOTIFICATIONS Users will receive automatic notifications in the following circumstances: When users receive new requests: Co-mentoring or Expresso When users get an Outlook invitation for an event When a Smart Digit or a Smart Leader splits from the relationship, they must first provide an explanation as to why they wish to end the collaboration. A notification is then sent to the administrator who decides whether or not to accept the request. Users involved in a Co-mentoring relationship receive specific s: A notification is sent to both colleagues in the pairing three weeks before the collaboration is due to come to an end. When the relationship has lasted four months, an is sent to the Smart Digit and the Smart Leader asking them to fill in a satisfaction survey. The pairing is then free to look for another partner. A week after, an reminder is sent to the pairing to make sure they have completed their satisfaction survey.
