1 Bulk Registration and Pre-ID Label Tool User Tutorial Important: Bulk Registration resources are updated throughout the year. Be sure to access the latest resources online before preparing for the next Bulk Registration event.

4 Module 1: What s new 1. Users now have the option to fix errors and warnings online. Previously, users were required to edit records in the file and upload a full replacement file. This option remains available. 2. Additional registrations may be submitted in an add-on file. Previously, users had to submit a full replacement file if additions needed to be submitted. 3. User Upload History for the current event is viewable and the latest file is available for download. Prior to school year, upload history was not viewable. 4. Users have the option to complete early submission for earlier delivery of: SAT School Day admission tickets for students and ticket copies for schools (approximately two weeks earlier) PSAT Pre-ID labels at schools Files not submitted early will be processed when the bulk registration window closes.

6 Module 2: Getting started and uploading files If you are unsure of what you need in order to submit a file, click on Getting Started from any page.

8 Module 2: Getting started and uploading files Use the Bulk Registration File Specifications for guidance on required fields, field length, valid values, plus related warning and error messages (for example, AI Code). A Bulk Registration File Template is available for use in Excel and CSV formats:

9 Module 2: Getting started and uploading files After login, if your account is associated with multiple organizations, you will be asked to select the one for which you are uploading request(s).

10 Module 2: Getting started and uploading files After Terms and Conditions have been accepted, the request dashboard will be presented. When your file is ready to upload, click Create New Request. Refer to the File Specifications, Template, or Sample files under Getting Started if you need help.

11 Module 2: Getting started and uploading files Only events for which you are authorized to submit files will be displayed. Select the event(s) for which you are registering students. You may include registrations for multiple events in one file. Refer to the Bulk Registration File Specifications for differences in specifications between assessments.

12 Module 2: Getting started and uploading files Select the file you wish to upload. Be sure the column names are identical to the names in the Template or Sample File. Any differences will cause the file to fail validation.

13 Module 2: Getting started and uploading files Uploaded files are validated for errors and warnings. Validation will occur within 24 hours and is frequently completed sooner.

14 Module 2: Getting started and uploading files Validation status will be displayed on the request dashboard page. When validation is complete, you will receive an with validation results and a link to view the log file. The log file is also available to download from this page when validation is complete.

15 Module 3: Fixing errors and warnings The options to upload an add-on file and to cancel a request are available for a validated request before it is submitted and while the bulk registration window is open.

17 Module 3: Fixing errors and warnings As explained in Module 2, you will receive an with validation results and a link to view the log file when validation is complete. The log file will also be available for download from the tool.

18 Module 3: Fixing errors and warnings To view the results of the file validation online instead of viewing them in the log file, click the View Request Details menu option. This will take you to the Request Details page. Total Records and Records Passed are per event. Records Failed and Records w/warnings are per file.

19 Module 3: Fixing errors and warnings Errors and warnings may be corrected through: 1. the file, to be uploaded as a Replacement File 2. the tool, through the Fix Errors and Warnings menu option Note: If your file generates a large number of errors, you may find it preferable to make corrections in the file and upload a full replacement file instead of fixing errors and warnings online. To fix errors and warnings in the file, download the request log file and make corrections as needed. The log columns appended to the request file must be removed before uploading the replacement file, or file validation will fail. Refer to the Bulk Registration File Specifications for assistance if needed.

20 Module 3: Fixing errors and warnings If you elect to fix errors and warnings online, click Fix Errors and Warnings.

21 Module 3: Fixing errors and warnings Records with errors must be fixed in order for the record to be processed. Warnings should be reviewed to ensure that data is correct. Online help is available for fixing errors and warnings.

22 Module 3: Fixing errors and warnings Select a category of errors or warnings to view impacted records. The quantity of each of error or warning is indicated in parentheses.

23 Module 3: Fixing errors and warnings As records associated with the errors and warnings are modified, the reported number of Addressed will change. The last change to a record can be undone. Undo Change only applies to the most recent change.

24 Module 3: Fixing errors and warnings You may Save Changes at any time and return later. Note that any records with outstanding errors when the bulk registration window closes will not be processed.

25 Module 3: Fixing errors and warnings Important: Some validations will not occur until you re-submit the request. This will happen when you click Validate Now. Additional errors and warnings may be generated. If that occurs, follow the steps again to make corrections.

26 Module 3: Fixing errors and warnings Be sure to plan for sufficient time to address warnings and errors in your requests. If changes are not validated following inline editing, validation will occur at fulfillment. Records with errors will not be processed during fulfillment.

28 Module 4: File processing and fulfillment If you want to receive admission tickets (SAT School Day) or labels (ReadiStep, PSAT) earlier, click Complete Early Submission after all of your errors and warnings have been addressed. Important: Each bulk registration window has an Early Submission deadline. Only early submissions up to this date will result in earlier delivery. Be sure to consult your Bulk Registration s, tool Help or the Planning Calendar for specific dates during each window.

29 Module 4: File processing and fulfillment Once a request is submitted, it cannot be modified. If a request is not submitted early, it will be processed when the bulk registration closes, following standard processing times.

30 Module 4: File processing and fulfillment Files not submitted early will be processed when the bulk registration window closes, per the normal schedule. Refer to the website for bulk registration deadlines. Timelines for receiving labels and admission tickets are available in the Bulk Registration Planning Calendar, available from the tool Help. Request Status of Fulfilled will be displayed for files submitted early and files successfully processed after the bulk registration window closes.
