3 Year-End Collection and Validation PCSB collects and validates data annually for use in several reports, including the Performance Management Framework and Equity Reports. PCSB uses two platforms to collect and validate data: File Transfer Protocol (FTP) and SharePoint. This document provides general guidance for accessing and using FTP and SharePoint to submit and validate data. For timelines and instructions for specific data collection and validation windows, please see 3

4 What are FTP and SharePoint? FTP: Schools use File Transfer Protocol (FTP) to securely submit data to PCSB. FileZilla is a program used to access an FTP server. SharePoint: PCSB uses an online platform called SharePoint to share data with schools so that they can view and download overall rates as well as underlying student level data. 4

5 What s New This Year? The data collection and validation process will be similar to last year s process. However, there are some changes: During all data collection windows, schools will upload files using FTP. (This process was used for early childhood and adult data last year, but will now be expanded to include re enrollment and high school data.) If a school requests a change to a rate, underlying evidence and documentation must be uploaded via FTP or ed to datatickets@dcpcsb.org before the validation window closes for it to be considered. 5

7 Data Collection via FTP Outline The next slides explain how to download templates and submit underlying data and evidence to PCSB using FTP: 1. Download FileZilla 2. Connect to FTP 3. Data Collection Templates 4. Uploading Data and/or Evidence 7

8 Download FileZilla (If you already have FileZilla or another FTP client installed, skip this step.) 1. Go to project.org/ 2. Click Download FileZilla client 3. Install FileZilla 8

9 Connect to FileZilla / FTP 1. Launch FileZilla (or another FTP client) 2. At the top of FileZilla, enter the following information: Host: ftp.dcpubliccharter.com Username and Password: [Assigned to each charter LEA contact datatickets@dpcsb.org for assistance] Port: Leave blank 3. Click Quickconnect 9

10 Connect to FileZilla / FTP (part 2) 3. Once you ve connected to PCSB s FTP server, you will see several folders. Double click on the 2015 PMF folder. Note for multi campus LEAs: If your LEA has multiple campuses, PCSB will collect data for all of your campuses together, but you will view and validate your calculated rates for each campus separately. 10

11 Data Collection Templates During a data collection window, schools first download the data collection template. PCSB will pre populate these templates with your LEA s student roster for the relevant grades. 1. Open FileZilla and connect to PCSB s FTP server to access the 2015 PMF folder for your campus. 2. Select the Templates folder. 11

12 Data Collection Templates (pt 2) 3. Download the relevant template by right clicking the file and selecting View/Edit. 4. The file will save to a temporary folder on your computer. Use Save As to save the file to a specific folder. 5. Follow the instructions for each measure posted on PCSB s data website for how to enter data into the template. 12

13 Upload Data and/or Evidence 1. Open FileZilla and connect to PCSB s FTP server to access the 2015 PMF folder. 2. Select the appropriate folder for your upload (only folders relevant to your LEA will be available): Re enrollment submissions (all re enrollment appeals and evidence) EC submissions (all early childhood assessment results) HS submissions (all PSAT, SAT/ACT, AP/IB, dual enrollment, career and technical education, and college acceptance data and evidence) AE submissions (all adult education framework results and evidence) 13

14 Upload Data and/or Evidence (part 2) 3. Using the left side local navigation pane, locate the files you wish to upload on your local hard drive. 4. Drag and drop the files into the appropriate submissions folder. 14

16 SharePoint Outline The next slides explain how to view and download student level data from PCSB using SharePoint: 1. Access SharePoint 2. View data on SharePoint 3. Export data from SharePoint 16

17 Access SharePoint 1. Use any web browser to visit PCSB s SharePoint site: 2. Login using credentials provided by PCSB. ( datatickets@dcpcsb.orgif you need credentials.) 17

18 Access SharePoint (part 2) 3. Select the appropriate report from the SharePoint navigation menu. For example, Re enrollment can be found from within the Enrollment menu. 18

19 View data on SharePoint 1. By default, SharePoint reports will show data at the campus level. 2. If you are a multi campus LEA, you can select a different campus using the parameters tool. 3. To drill down to student level data, click on a rate. 19

20 Export data from SharePoint 1. Access a SharePoint report and drill down to student level data. 2. Click Actions from the SharePoint menu. 3. Select Export from the Actions menu. 20

21 Export data from SharePoint (part 2) 4. Choose a format to export data, such as Excel or CSV. 5. The student level file will be exported and saved to your local hard drive. 21
