1 Student Management Suite Additional information about these and other changes is available via the Release Notes area of Skyward's Support Center. To see only the Key Features, select Yes from the Key Feature drop-down list on the Release Notes filter screen. Verify that the Release selected is October 2016 Release PMP0 Addendum0, and that the option to Include Future Release Notes is checked. 2 October Release and Addendum 01 Student Configuration Add Gender Identity Option (PS\CA\ST\CF) An option has been added to allow customers to track a new Gender Identity field. They can also optionally require that field and choose to have it display in place of Gender on Family Access, Student Access, and/or Educator Access Plus. Navigate to Product Setup > Skyward Contact Access > Student Management > Configuration. 1. A new Gender area has been added to the Configuration screen. The options available include: Track Gender Identity for Students Require Gender Identity Show Gender Identity in Educator Access Plus and Family/Student Access If this option is selected, the Gender Identity value will display in place of the Gender value. 3 2. Navigate to Student Management > Students, and click Add to enter a new student. The Gender Identity has been added to the student add process. Revised: 09/19/2016 Page 3 of 21 Version

4 3. Navigate to Student Management > Students > General Profile. The Gender Identity field can be viewed and modified from the General Information area. 4. Navigate to Student Management > Students > Pseudo Approval. Gender Identity is available in Pseudo Approval. 5 5. If selected in the configuration, Gender Identity can be viewed in Family/Student Access Student Information, Homeroom, as well as Mobile Student Information. In addition, several screens have been updated in Educator Access Plus and include the following: Profile tab, My Students, My Homeroom, My Students with Disabilities, My LEP Students, My Section 504 Students, My Gifted and Talented Students, My At Risk Students, Gifted and Talented, My Cases as Assessor, My Cases as Case Manager, My Students as IEP Manager, and Student Search By Entity and By District. 6 Entity Configuration Add New Optional Benefits to Online Applications (WS\FA\FM\PS\CF\EC) For states that manually defined Optional Benefit codes (WI, MI, TX, WA, KS) for the Online Application, the Optional Benefits from the Food Service Configuration will now auto-fill for selection in the application template. 1. The applications will continue to use the existing setup until the Family Access, Food Service Application template is edited and saved. 2. The Optional Benefits selected on the online application will transfer to the Pseudo Application, then to the manual application, and to the Fee Management customer browse, where applicable. Navigate to Student Management > Family > Family Access > Setup > Configuration > Entity Configuration > General Information, and select Edit next to Food Service. Note: The pictures provided for this feature are from a Wisconsin database. In addition, the Entity Configuration is Entity specific where it cannot be accessed in the District (000) entity. 1. On the Food Service Entity Configuration screen, click the Additional Options button and then expand the Application Options area and click the Edit button as shown below. 2. Click the drop-down for the Application Section and select Sharing Information with Medicaid, BadgerCare, Other Programs. Revised: 09/19/2016 Page 6 of 21 Version

7 3. Under Section Options, make your selections for Include Medicaid/BaderCare on the Application and then click the Optional Application Benefits link to select the optional benefits. In addition, you may select Include Other Programs on the Application. When this option is selected, you may then select the programs under Name of program specific to your school. Click Save. 4. Navigate to Family Access > Food Service tab. Select the Application link and click Add Application. Select Next. 5. Continue working through the application screens. 8 6. On the Sharing Information with Other Programs screen, note the Name of program specific to your school area. You can now select the programs with which you would like to share information. Prior to this change, you had to manually indicate the number of Other Programs available, choose whether or not to show them on the application, and manually enter the names of the programs. Enter the child s name if choosing a program and click Next. Note: If you haven t set up the new configuration or if you view an old application, the old configuration is still available. 7. 9 8. Select Entity 000 and navigate to Food Service > Pseudo Applications. Locate the application for the student and expand the record to the Application Details area. Prior to this change, the Pseudo Applications browse showed all benefits in a single column. 9. Continue to create and approve the application for the student. 10 10. On the Create Application screen, note the Optional Application Benefits, which will display the programs that the applicant chose to share on their application. Click Save. Prior to this change, the Optional benefits needed to be manually selected and now they are auto-filled based on the allowed programs selected by the applicant. 11. Navigate to Food Service > Payor/Customer Maintenance > Payor. Locate the payor record and expand the Application area. 11 Test Key Pads Update Dual Keypads to Prevent Mixed Content Error WS\FS\PS\CF\KP) SkySerial Version 3 can now connect keypads with HTTPS web pages. Note: This update will need to be completed on each computer that runs Food Service and the Keypad Configuration will need to be updated for each user account. 12 2. Check the Enable Key Pad/Wanding option and then click the Configuration link. 3. In the Keypad Configuration, change the Host configuration to Next click the Download HTTP SkySerial button and proceed through the install. Note: Hardware (keypads) are required to proceed. 14 Health Records Hearing Report Screening Letter Option (WS\OF\HR\RE\HE) The Hearing report now includes options to print a letter and to the guardians. Navigate to Student Management > Office > Health Records > Reports, and select Hearing. 1. Click Add to create a new template and enter a template description. Note the capability to generate Letters. 2. Enter the Additional Student Ranges as well as the Hearing Ranges. 3. Under the Letters Printing Options, create the letter and note the capability to select Merge Fields. Revised: 09/19/2016 Page 14 of 21 Version

15 4. Under the Options, note the capability to to Guardians as Attachment. If selected, check the families you wish to receive an as well as the guardians. Families to First Families Only send to families who receive Report Cards Second Families Only send to families who receive Forms All Families Guardians to First Guardian Second Guardian All Guardians 5. Enter or modify the Subject and Body as needed. 6. Select the Referral Ranges button to set up the Health records that should be included. 7. Click Save and Print. 16 8. A Hearing report will be generated listing the student, guardian, and the address. If the guardian does not have an address, then the report will say No Recipients Found. 9. Navigate to Product Setup > System Administration > History to view the status of the s generated. 17 Entry by Student Main Screen Create Intervention Defaults by Class (WS\SS\RI\ES\ES) The RTI Intervention Defaults screen now allows multiple default templates to be created and saved when adding new interventions to students. This allows a template to be created that can be selected as interventions are added to students who follow the same program. 1. Navigate to Student Management > Student Services > Response to Intervention, and select Entry by Student. 2. Expand a student s record and select the Add Intervention Detail link. 3. Next, select the Defaults button. The Templates to Load drop-down has been added to the screen to show multiple templates that exist for this current user. The first time that the user loads this screen, it will show the last-created template. 4. Select New Template from the drop-down to clear the values and create a new default template. 19 Students Add Counselor to Various Screens and Reports (WS\ST) The Counselor has been added to the Entity tab in Student Profile, Entity Information in the Student browse, the Family Access/Student Access Student Information tab, the Mobile Application, Educator Access Plus Student Information, Data Mining, and the Student Mass Change utility. The Counselor option was also added to the Discipline Detail report, User Defined Discipline Detail report, Discipline Summary report, Student Discipline List report, Suspension/Expulsion report, Absence Occurrence report, Attendance Detail or Summary report, and Student Information report. 1. Navigate to Student Management > Students > Student Profile and under Entity, select the Entity Info link. The Counselor field is now available and only staff marked as Counselor on the Staff Information screen (Student Management > Staff > Staff > Edit Staff record) are valid selections for the field. 20 Emergency Contacts Add Date for Criminal Background Completed (WS\ST\EC\EC) When the Criminal Background Completed field is checked, a date can now be entered. In addition, a new option to hide the Criminal Background Check in Educator Access Plus has been added to the District Setup (WS\EA\PS\CF\DS) and a Criminal Background Check Date field has also been added to Data Mining, to the Mass Change Criminal Background Completed utility, and to Pseudo change. Navigate to Student Management > Students > Student Profile, and select the Family tab. 1. Click the Edit link for a guardian and note that under the Criminal Background Completed checkbox there is now a date field that can be entered. This field was also added to the Emergency Contact screen. 2. Navigate to Student Management > Students > Pseudo Approval. Both the Family and Emergency Contact screens are available to create Pseudo Requests. Revised: 09/19/2016 Page 20 of 21 Version

21 3. Navigate to Student Management > Educator Access Plus > Setup > Configuration, and select District Setup. The option now exists, which allows you to Hide Criminal Background Check in Educator Access Plus. 4. The Criminal Background Check Date can also be reported via Data Mining and a date range has been added to the Mass Change Criminal Background Completed utility located at Student Management > Advance Features > Name Maintenance > Setup > Utilities.
