3 1. Introduction Microsoft Dynamics 365 comes with several tools to help you manage data. One of these is the auditing feature, which allows you to track changes made to data in Dynamics 365. It also tracks each time a user logs into your system. If auditing is enabled, CRM automatically creates logs for the changes that are tracked. But, we cannot access the System Auditing Entity. This Actionable Audit solution will provide the user to track the audit history of the configured entities and will be able to generate the reports on the Audited data. Also, provides user friendly web resource for Case entity with the Search, Export to CSV options.

4 2. Verify Solution Installation Please follow the below steps, to confirm that Actionable Audit history is successfully installed in CRM. Go to Settings -> Solutions -> check whether MicrosoftLabsActionableAudit is available or not. 3. Audit History Migration CRM Configuration 3.1 Enable audit for the CRM organization Navigate to Settings > Auditing > Global Audit settings.

5 3.2 Enable the audit for the respective entity in the CRM. Navigate to Settings > Customizations > Customize the system > Entities > (Any entity i.e. Account/Contact/Case/Opportunity/ (Custom Entity)) > Enable the auditing Account: After enabling Audit for a particular entity, please confirm, auditing is enabled for the Primary Field of that entity

7 Opportunity: 3.3 Enable audit for the fields which user supposed to capture record in custom audit entity. Navigate to Settings Customizations Customize the system Entities (Any entity i.e. Account/Lead/Custom Entity) Fields > (Any field i.e. Account Name/Account Number) Enable the auditing

Audit History Migration Plugin Configuration 4.1 Download CRM SDK from the given URL Open plugin registration tool (...\SDK\Tools\PluginRegistration\PluginRegistration.exe) and follow the mentioned steps: a) Click CREATE NEW CONNECTION button in the upper blade of the plugin registration tool. b) Provide proper Username and Password and login from the list presented choose Respective organization and click Login. c) Once logged in MicrosoftLabs.AuditMigration assembly and respective steps for basic entities like Case, Account, Contact, Opportunity will be available.

10 4.2 To enable the audit history for other entities user needs to create step. Right click on the assembly (MicrosoftLabs.AuditMigration) and click on Register New Step as per figure. Enter the following details and click on Register New Step button. Message: Create Primary Entity: Lead/Custom Entity/System Entity Event pipeline stage: PostOperation Execution mode: Asynchronous/Synchronous based on business requirement

11 Right click on the create step added in the last stage and click on Register New Image button and provide the exact same details as given in the following screenshot and click on Register Image button. Name: PostImage EntityAlias: PostImage Once image is registered the final version will look as per the figure.

12 For update operation register the step as per create operation and provide the following details and click on Register New Step". Message : Update Primary Entity : Lead/Custom Entity/System Entity Event pipeline stage : PostOperation Execution mode : Asynchronous/Synchronous based on business requirement Right click on the update step added in the last stage and click on Register New Image button and provide the exact same details as given in the following screenshot and click on Register Image button. Add PostImage as well as PreImage for the update step. Name : PostImage EntityAlias : PostImage

13 Name: PreImage EntityAlias : PreImage Once image is registered the final version will look as per the figure.

15 For delete operation register the step as per following details. Message : Delete Primary Entity : Lead/Custom Entity/System Entity Event pipeline stage : PreOperation Execution mode : Synchronous Right click on the delete step added in the last stage and click on Register New Image button and provide the exact same details as given in the following screenshot and click on Register Image button.

17 After performing procedure final step will look like below. 5. How to disable, Custom Audit for not required Entities User can disable the Custom Audit, for which it s not required after enabling too. Please, refer below steps for disabling the Custom Audit for an existing entity. Scenario: for Account entity, the custom entity has been already configured. Now, we no longer required the custom audit for Account entity. Steps: 1. Open, Plugin Registration tool (...\SDK\Tools\PluginRegistration\PluginRegistration.exe) a. Click CREATE NEW CONNECTION button in the upper blade of the plugin registration tool. b. Provide proper Username and Password and login from the list presented choose Respective organization and click Login.

18 2. After logged in, select MicrosoftLabs.AuditMigration assembly and the entities can be found for which custom audit, has been enabled. 3. Let s disable Custom Audit for Account Entity, for which it s been already enabled. For that, select the Step created for Account Entity, shown below and right click on Step, Create of Account.

19 4. Right click on the Step and click on Unregister the step Actionable Audit

22 User has to follow the same steps for Update and Delete steps also for Account. Otherwise, whenever user update/delete account that info would get captured in Custom Audit history entity. 6. Audit History Migration ISH Configuration This section provides information on Custom Audit web resource configuration in ISH. This web resource, can help in showing the audit history of a particular entity record on the form itself. Below is the web resource msdyn_audithistroy.html This web resource will list all the attribute changes on the form itself. 1. Edit Entity form (Form Type: Main - Interactive experience) to create new tab and insert msdyn_audithistroy.html web-resource for the Custom Audit functionality for respective entities. Save and publish the changes made and navigate to case entity in ISH and open case form. User should be able to see the tab as below

23 7.Audit History Migration Configuration in CRM This section provides information on Custom Audit web resource configuration in ISH. This web resource, can help in showing the audit history of a particular entity record on the form itself. Below is the web resource msdyn_audithistroy.html This web resource will list all the attribute changes on the form itself. 1. Edit Entity form to create new tab and insert msdyn_audithistroy.html web-resource for the Custom Audit functionality for respective entities.

24 Save and publish the changes made and navigate to case entity in ISH and open case form. User should be able to see the tab as below

25 8.End User Experience Once the solution is imported and configured in the Dynamics 365 organization, a user can see the custom audit history for each and every record of entities, for which custom audit is enabled. The steps outlined below illustrate how it works 1. Navigate to a Business Entity (e.g. Case) 2. Create a record and Save it. User can able to see the custom audit info, as shown above.

26 3. Update any field on that record. Eg: changed the priority field value from Normal to High. The updated field will be also updated in the grid, as shown below

27 4. All this Actionable Audit information, can also be exports to CSV file to user s local machine. Click on Export to CSV, the CSV file gets downloaded to local machine Actionable Audit

28 9. Custom entity access, by other Roles (apart from SYSTEM ADMIN) This section helps on how to provide custom entity access (Custom Audit History), to other roles (apart from System Admin). Scenario: System Admin, wants to provide Audit related info access to Sales Manager role. 1. Login to the CRM, and Go to Settings > Security.

29 2. Click Security Roles and click on Sales Manager role. Actionable Audit

30 3. Select CORE RECORDS tab and Go to Miscellaneous Privileges and provide the privileges as shown in the below image. Actionable Audit

31 4. Along with this, go to Custom Entities tab and provide all these read/write/update/assign/assigned permissions for Sales Manager, as shown below
