3 Introduction Promethean s Registration Portal allows users to register ActivPanels and their associated hardware (e.g. ActivConnect OPS-G), ActivBoards, ActiViews and Promethean Projectors. The Registration Portal can be accessed from the following link: Benefits of registration Registering products will amend the start date of the warranty to be the installation date of the product in your location. You will be given a unique Promethean ActivCare Account Number, which will provide you with free, high priority access to Promethean s telephone support services. You will be able to view all products you have registered, and request warranty certificates, so that you can easily track the warranty details of your product. Promethean will store your registered product details, in accordance with our Privacy Policy, meaning we will be able to resolve your support queries more efficiently than if you had not registered your product. You will additionally be able to activate any purchased Promethean ActivCare Plus Warranties. Promethean ActivCare Plus Warranties provide enhanced warranty over ActivCare Standard Warranty. If you have purchased a Promethean ActivCare Plus Warranty, your reseller should have provided you with a relevant ActivCare Plus Activation Code, which you should then enter into the Registration Portal against the product to which it applies. You can find more information on ActivCare Standard and ActivCare Plus by going to prometheanworld.com/activcare. Data Security and Privacy Promethean s Data Protection and Privacy policies restrict the use of any data entered by users for any other purpose but to use the submitted data to fulfil the warranty and support services that Promethean provides. During application for access to the Registration Portal, users are given the option to opt-in for marketing messages. If you elect to receive these marketing messages, Promethean may send you carefully selected messages that may be of interest. It is possible to for you to turn this option on and off using the Edit Profile function described in this guide. For security reasons, data entered by one Registration Portal user will not be shared with any other Registration Portal users. This means that you will only be able to see the products that you have registered. Who Can Register Products? Anyone can register and set up an account on the Registration Portal and then register Promethean products. We advise that this be done centrally to avoid any duplication. It is possible for a user such as a district representative, a centralised IT support function or a Promethean Partner or Reseller to register products for more than one organisation. To do this, please tick the option Please select if you install Promethean products for multiple schools or businesses when creating your account and see the information under Creating an Account for Multiple Schools or Businesses for information specific to that type of account. 4 Help with the Registration Portal If you have any issues while using the Registration Portal, please do not hesitate to contact Promethean Technical Customer Support via our Support Portal: support.prometheanworld.com. If you receive any error messages, please log off and back on again, then try the operation again. If the issue persists, please take a screenshot and provide this when contacting us. 4 Registration Portal User Guide
5 Creating an Account for a Single Location When you first visit the Registration Portal, you will be presented with the following screen. To register your details for the first time, please click Register. You will now see the Register screen. Please ensure that you enter a valid address, as this will be used to send you a temporary password. Your address will also be used to confirm the registrations that you enter and to provide you with the Promethean ActivCare Account Number needed to access Promethean s free telephone support lines. Click Register. Once your data has been accepted, you will receive a temporary password via . It should arrive immediately, so if you do not receive it, please check your junk/ spam folder. Please click the link from the or return to the log in screen and enter your address and temporary password. Click Login and you will be presented with the Change Password screen. Enter the temporary password and a new password. Type the new password again to confirm the accuracy of the password and click Update. Please note: the password must be between 6 and 15 characters long. After you have changed your password, you will then be prompted to set your location. Registration Portal User Guide 5
6 Select either the United States or Other and enter the information for the location of the products to be registered. United States select the relevant information from the drop downs and click Save. Other you must enter at least the School/Business Name, Country, Street & Town for your organisation to be found and click Save. If you already have an ActivCare Account Number for your location, enter this into the field (no need to fill in the other details) and click Save. You may get a pop-up message asking you to select the appropriate account if we have found a match within the Registration Portal. Please make a selection or choose Create new address as entered if your account is not listed. Click Save. Your account is now set up, and you will be automatically redirected to the Home page. From this screen you can choose to register hardware, request warranty certificates, view products you have already registered, search for warranty information using a Hardware Serial Number, access Help, view your account information, and log off. How to Register Your Hardware Click the Hardware Registration button from the Home screen. Enter the hardware serial number, installation date, and associated ActivCare Plus Activation Code if you have one. Please ensure there are no spaces before or after the hardware serial number to avoid any errors when registering. 6 Registration Portal User Guide
7 If you have more than five products to register, you can click Add New Product to add more lines. However, if you have several, or already have the details in a spreadsheet, click Single Account Upload to download the Upload Template. Please follow the instructions as outlined on the screen and then upload your file. Once all the products have been entered onto the Registration Portal, click the Register button. If the data is valid, you will be taken to the Hardware section of the My Products page. When registering an ActivPanel, you should also register any associated hardware that was purchased with the ActivPanel, such as an ActivConnect OPS-G. Upon submitting an ActivPanel registration, you will be prompted to enter the serial number of the associated hardware if you haven t done this. You can choose to proceed with the registration of an ActivPanel only, if no associated hardware has been purchased. If you did not enter your ActivCare Plus Activation Codes at the time of registering your hardware, and you are still within 90 days of purchasing your ActivCare Plus Warranty, you can still activate those codes against all the products to which they apply. The codes should have been provided to you by your reseller. From the My Products page, click Upgrade your warranty with ActivCare Plus under Hardware Products. Enter the ActivCare Plus Activation Code in the column against the relevant product and click Register ActivCare Plus. ActivCare Account Number The ActivCare Account Number is unique to your organisation and is created when the first product is registered for your location. You will need to use this number when contacting Promethean s Technical Customer Support via the toll-free telephone numbers. This ActivCare Account Number should be shared with all staff that are likely to require technical support or who are likely to register products on behalf of your organisation. When you create an account on the Registration Portal, you will be associated with your organisation s ActivCare Account Number. To see what that number is, click your address in the top right corner of the screen to open your profile. In the Registered Location section, you will see your organisation s ActivCare Account Number. Registration Portal User Guide 7
8 Warranty Certificates Warranty certificates contain a list of all registered products and their product codes, serial numbers, ActivCare Plus Activation Codes, warranty expiration dates, and warranty codes. Your organisation s name and ActivCare Account Number will be listed as well as a link to the toll-free Promethean Technical Support telephone numbers. If you require an electronic record of all of your registrations, you can request a warranty certificate. From the Home screen, click Warranty Certificates. Click Request Certificate, and you will receive an with a PDF attachment. Editing Your Profile To edit your profile, click your address in the top right corner of the screen. You will then see the following screen. All of the information presented here should be the same information that was entered when you created your account on the Registration Portal. However, if any information is incorrect, or you need to update the information, most of it can be edited here. Change Profile Information The Name and Phone number fields are freely editable. If you need to change your address, you will need to send an to ActivCare@PrometheanWorld.com. Marketing Opt-in: Selecting this box will enable the account to receive marketing information from Promethean. Click Update Profile to save any changes. Change Password If you should ever need to change your password, please click the Change Password button. Type your current password and a new password. Type the new password again to confirm the accuracy of the password and click Update. Please note: the password must be between 6 and 15 characters long. 8 Registration Portal User Guide
9 Creating an Account for Multiple Schools or Businesses If you choose the option Please select if you install Promethean products for multiple schools or businesses when creating your account, you will be taken to a screen to set your Company Name. This should be the organisation that you work for. You can then amend the Location as appropriate when registering products for different sites. Select either the United States or Other and enter the information for your company. United States select the relevant information from the drop downs and click Save. Other you must enter at least the School/Business Name, Country, Street & Town for your organisation to be found and click Save. If you already have an ActivCare Account Number for your location, enter this into the field (no need to fill in the other details) and click Save. You may get a pop-up message asking you to select the appropriate account if we have found a match within the Registration Portal. From this screen you can choose to register hardware, submit installations, request warranty certificates, run Account ID reports, view products you have already registered against a chosen Location, search for warranty information using a Hardware Serial Number, access Help, view your account information, and log off. 10 How to Register Hardware For a Single Location Click the Hardware Registration button from the Home screen and choose the relevant location you can choose your current location, a previous location you have registered for, pick a different location, or enter the ActivCare Account Number of a location, if this is known. Once the Location has been entered, you will also need to enter the Site information, this should be the person at the location where the products are installed that should receive a copy of the warranty certificate for their products. You should also enter the Promethean Trained/Registered Installer information, i.e. the name of the person that installed the product at the location. Click Continue. Enter the hardware serial number, installation date, and any associated ActivCare Plus Activation Codes for the products that have been installed. If you have more than five products to register, you can click Add New Product to add more lines. However, if you have several, or already have the details in a spreadsheet, click Single Account Upload to download the Upload Template. Please follow the instructions as outlined on the screen and then upload your file. Once all the products have been entered onto the Registration Portal, click the Register button. If the data is valid, you will be taken to the My Products page. If you receive any error messages, please see the Registration Portal Help section for further information. These products can now be seen against that location in My Products. For Multiple Locations If you do installations at multiple locations, you do not need to maintain a spreadsheet for each location, nor do separate registrations. With a correctly formatted spreadsheet, you can register all of your installations for all your locations. From the Home screen, click Submit Installations. Please follow the instructions as outlined on the screen and then upload your file. If the data is valid, you will be taken to the My Products page. If you receive any error messages, please see the Registration Portal Help section for further information. 10 Registration Portal User Guide
11 Here is an explanation for the columns in the template: Account ID: Locations are also called Accounts. An Account ID is the unique identification number for each location. If you do not know a location s Account ID, you can find this by running an Account ID report. From the Home screen, click Account ID Reports. Select the country or state for your location from the drop down. Click Continue. A spreadsheet of all the accounts within that country or state will download. Open the spreadsheet, find the required location and you will see the Account ID in the Salesforce ID column. If you frequently do installations in the same country or state, it may be convenient for you to save the spreadsheet for easy access. Installation Date: The date the product was installed (MM/DD/YYYY) please wait to register products until they have been installed. The Registration Portal does not recognise dates in the future. Certified Installer: Enter your Certified Installer Number here, if you have one. Registered Installer: The name of the person that installed the product. Interactive Display Product Code: The product code can be found on a sticker on the product, along with the serial number. Interactive Display Serial Number: The serial number can be found on a sticker on the product, along with the product code. Projector Type: The model number of the projector, which can be found on a sticker on the product. Projector Serial Number: The serial number of the projector, which can be found on a sticker on the product. ActivCare Plus Code: If ActivCare Plus has been purchased for the product, enter the Activation Code in this field. Please note, ActivCare Plus Activation Codes need to be activated within 90 days of purchase. Site The address for the location s main point of contact for Promethean products. This should be the person that will receive the warranty certificate. If you enter your address here, please ensure you provide the warranty certificate to the appropriate person at the location when you receive it. Optional Address: If there are multiple points of contact, you have the ability to add two additional addresses to the registration. Warranty Certificates Warranty certificates contain a list of all products you have registered in a single location, their product codes, serial numbers, ActivCare Plus Activation Codes, warranty expiration dates, and warranty codes. The location s name and ActivCare Account Number will be listed as well as a link to the toll-free Promethean Technical Support telephone numbers. Warranty certificates will be ed to the address you specified upon successful product registration, however if you require a copy, you can request a warranty certificate. From the Home screen, click Warranty Certificates. Select the location for which you require a certificate from the drop down, which will show all locations against which you have registered products. Click Continue and the certificate will be displayed in your browser. Editing Your Profile To edit your profile, click your address in the top right corner of the screen. 12 All of the information presented here should be the same information that was entered when you created your account on the Registration Portal. However, if any information is incorrect, or you need to update the information, most of it can be edited here. Change Profile Information The Name and Phone number fields are freely editable. Change Registered Location The information here is usually the organisation that you specified during registration. The ActivCare Account Number shown here is the one that is associated with your organisation. To associate your account with another organisation and thus register products to that location, please click Change Location.
