1 COMMISSIONERS/VOLUNTEERS WELCOME Clan Macneil Association of America is pleased to have you join our family of Commissioners and/or Volunteers to represent us at Highland Games in the United States. This packet is to assist you in preparing for your first few Games as well as submitting Memberships (new or renewal), Sales and Galley or Website submissions. Games Registrations Register for your Game in a timely manner in order to pay and receive your Game packet from the Game s Coordinator. There are 2 options for paying for it once the registration form is ready to submit o Option 1 Pay for the Games yourself and then submit the expenses for reimbursement to Clan Treasurer. (aradia.lgs@gmail.com) is quickest form but you can mail as well to Leandra Slate, PO Box 1, Linville Falls, NC, 28647; either way, include the registration form, a copy of your check or the page of credit card bill with the charge on it. o Option 2 Send the completed registration to Clan Treasurer via or mail. Ask Treasurer to inform you when the check has been mailed to the Game coordinator so that you know to follow-up with her/him a few weeks later if you have not heard from Game coordinator yet. Clan Webmaster (cmaawebmaster@gmail.com) your Game you will be setting up at to include the name of the Game and website link. The webmaster will make sure to post your Game with the link and dates under the appropriate state on the Games Calendar page. NOTE Our website only lists games that our Clan has representation of our clan tent. Merchandise Kelli Werkmeister, Clan Quartermaster, qtrmstr-cmaa@hotmail.com Our Clan has a merchandise start-up kit for New Commissioners/Volunteers for your first few games. This will allow you to focus more on your greet and meet at your clan tent and educating possible new members, get membership renewals and take pictures of your tent with your visitors and the games. 1

2 o The Kit will contain credit card slips, our books (The Clan Macneil and Castle in the Sea), bookmarks, pens, static window clings and keychains o Purchase a duplicate receipt book for your sales, Example 1 of completed slips Original copy to the purchaser Carbon is for your records to complete the Treasurer Sales Slip form later o Utilize the Commissioner/Volunteers Tool page on our website for tent ideas and/or print the Clan Website Summary Handout to give to your visitors o Print New Membership Application and Renewal application located on the Membership & Septs page of our website Do not get discouraged if a new member does not wish to take the time to complete the genealogy page at the Games. You can print an individual page with contact info on it separately as well to give the new member. This is located on the Membership & Septs page at the bottom after the listing of the Septs o After the Games, our Quartermaster should receive a copy of the Treasurer Sales Slip in order for her to maintain each commissioner s inventory and to submit our sales at the Annual General Meeting Sales after the Games Leandra Slate, Treasurer, aradia.lgs@gmail.com Complete Treasurer Sales Slip, Example 4 utilizing your receipts. Forms of payment o Cash if you received cash at the games, please write a check payable to Clan Macneil Assoc. of America to send in lieu of the cash with any checks you received Credit Cards The purchaser can fill in their personal information (name, address & telephone #) BUT you should always complete the credit card section and write the 3-digit security code on the slip even though there is no line for it at this time. Make sure you have the correct telephone number and 3-digit security code. Yellow copy to the purchaser/white original will be mailed with other sales documents to Treasurer after Games. Example 2 o Credit Card Readers If you have a square or other type of cc reader, you would deposit to your account and then write a check for the cc total payable to Clan Macneil Assoc. of America Before mailing, copy the Treasurer Sales Slip and forward to the Quartermaster via or mail Recommendation is to Leandra when you have mailed everything to her 2

3 Memberships Sally Mitchell, Membership VP, On membership application forms (new or renewals), please make sure name, address, phone number and are all legible and then write at the bottom of the front page o Type of payment cash, credit or check with check # Example 3 o Write name of Games and your name Either or mail the applications to Sally. She will then complete the following steps o Send the new member or renewal member a new membership ID card o Notify Vicki Sanders Corporon, Editor of our Galley, so they will be announced in the next Galley issue and receive it as well o Notify Quartermaster how many new members you received at your games for the new Incentive program [points will be earned to utilize towards your renewal, etc. still in implementation stage presently] o or mail copy of the application to the Genealogist, Alissa Nolan, so she can assist free genealogy for the member Website Game Gallery Website Our Clan loves to post pictures on our website as well as other social media sites. If you take photos and them to our webmaster (cmaawebmaster@gmail.com), she will place on our website on the Games Gallery page as well as share on other social media sites. NOTE Our website has the capacity to hold a lot of photos so don t limit yourself. 3
