1 HOW TO SUBMIT AN ABSTRACT The WISA 2018 Technical Committee has set up an online abstract management system where all authors will upload their abstracts for review. Please follow the instructions below to upload your abstracts. If you need assistance, please contact us at: Charne Millett-Clay Tel: +27 (0) TO ACCESS THE SYSTEM: 1. Open your web browser 2. Go to the following URL (web address): 3. CREATING YOUR ACCOUNT: If you have not accessed the system before, click on Create an account and follow the instructions to create your account by using an address as your username. The system will send you a password by . Use this link once you have created an account if you have forgotten your password. The system will send you a new system-generated password, which you can change once you login. The first time you visit the page, create your account by selecting this link follow the instructions. Please note that passwords should be eight characters (letters and numbers), and include a punctuation mark if possible, for security reasons.
2 You will be directed to a new screen follow the instructions to create your user account. Compulsory Field Complete fields and select Next to continue If you are happy with all of your information, select Save all Details your user account will then be created and ready to use
3 You will receive a confirmation of your account creation please keep this for future reference. 4. TO ACCESS YOUR ACCOUNT THAT YOU HAVE ALREADY CREATED: Go to the following URL (web address): Enter your address and the password. Press Click here to log in You will be presented with a screen that looks like this: Shows a summary of your account Where you go to submit an abstract This is where you view the file that you have uploaded to the system, e.g. photos, biography, presentation, etc. This is where you register to attend the Congress This shows your current status The first time that you access the system it is important to edit your details to ensure that they are 100% correct these are the details that will appear on your abstract when it is published. NOTE: The Company / Institution is what appears on your abstract please ensure that you enter the correct information that you would like to appear on your abstract in this field. If you change the contents of the field before we publish abstracts, the system will automatically update this in all abstracts where you are listed as an author or co-author.
4 Click Edit your details. The following screen will come up: You will see that on this screen you can change your personal details, your institution, your country, your telephonic details, etc. Please ensure that this information is as correct as possible and provide as much detail as you can. The system will automatically use these details to pull through to your abstract. Press Save Changes. Once you have done this, your details will be correct on the system, and you will be able to edit them at any stage. 5. TO SUBMIT AN ABSTRACT: Click on abstracts, you will see a dropdown menu with an option to Edit / Create an Abstract. Click on this button. You will see the following screen: This is where you will be able to create an abstract or edit an abstract that you have already loaded and not submitted for review.
5 This displays the list of all of your abstracts on the system (where you are a presenter or where you are a co-author). The abstract highlighted in blue will be the selected abstract. To move to a different abstract, scroll down on the list and click to highlight an abstract already on the system. To submit a new abstract click New. You will open the following screen: This is where you select Oral or Poster
6 Add information required in Additional Details Add co-authors: PLEASE NOTE: The system will automatically use information from the user details for any coauthors and will override the content that you type in the co-authors field if they already have a user account. If the content is not correct, please contact the co-author to request that they edit their details as described in point 12.
7 Information required when adding a co-author: To insert your abstract content: You may cut and paste content from an MS Word document. The system will automatically format your abstract according to the prescribed font and font size. The number of words is 500 and does not include authors and titles, only body text. Note that any complex equations and text may be inserted as a graphic, if not compatible with the text output in the abstract text box. FIGURES: Please note that figures and attachments are not allowed. Abstracts should consist of text only.
8 To submit your abstract: Select Edit Abstract check the content of your abstract, scroll down to the bottom and select the button Submit Abstract for Review Your abstract will be submitted to the programme committee for review. NOTE: You will only be able to view the abstract and will not be able to edit it once it has been submitted.
