5 Chapter 1 Configuring the OpenText RightFax Connector for HP MFP Overview of the Connector for HP MFP With the Connector for HP MFP, you can link one or more of several supported HP Multifunction Products (MFPs) on your network to a RightFax server. Users can scan documents on the HP MFP and transmit them as fax or messages through the RightFax server. If you are using the optional SecureDocs Module, scanned documents can be sent via Certified Delivery or encrypted for security. For more information about SecureDocs, see the SecureDocs Guide. The Connector for HP MFP connects the RightFax server and HP MFPs by using a software module called the External Document Connector (EDC). The EDC monitors folders on your network called repositories for HP documents to process and transmit. All HP MFPs that will submit fax jobs to the RightFax server must be configured to store scanned documents in the same network folder that EDC will use as a repository. See your HP documentation for instructions on setting this folder location. To create a user interface on the HP device, you must design a Workflow using software provided by HP. This Workflow includes user input fields such as destination fax number and User ID. Each user input field is assigned a keyword that relates to a Fax Server sending option. The information entered by the user is sent to the fax server along with the scanned image files for transmission. Using the Connector for HP MFP, users scan and transmit faxes by following this basic process: 1. Using the HP Workflow, the user enters fax transmission information on the HP MFP and scans the document. 2. The HP MFP saves the document as an image file, creates an associated job file and then save the files in the repository folder on the network. 3. EDC picks up the files from the repository, converts the image file to a file format appropriate for use by the RightFax server, and then places it in the RightFax send queue for transmission. 4. The RightFax server transmits the file as a fax or message to the destination specified by the user in the HP Workflow. 5

6 OpenText RightFax 10.0 Connector for HP MFP Guide 6 RightFax Server Support and Requirements The OpenText RightFax Connector for HP MFP is installed as part of the RightFax 10 External Document Connector but must be purchased separately and activated through the Product Licensing Utlility. Refer to the Installation Guide for specific information on server requirements. Note If you have upgraded a system that did not previously include EDC, you may need to add EDC separately. Run the RightFax Product Suite installer from the Windows control panel (Programs and Features or Add/Remove Programs). On the Select Features page of the installation wizard, select External Document Connector and follow the on-screen prompts. Also required: IIS 6.0 or higher with File Transfer Protocol (FTP) Services enabled ASP.net The Repository Folder The repository folder where outbound faxes originating from the HP device will be placed must be configured as an FTP site on an IIS server on your network. Before you begin, ensure that the FTP component is installed on the IIS server you want to use, and make sure that Read/Write options are enabled for your intended repository folder. HP MFP Support and Requirements In general, the RightFax MFP Module supports devices running the HP Digital Sender Series (DSS) version 4.0. For a list of supported HP MFP devices, see faxsolutions.opentext.com/hp-integration.aspx on the OpenText Web site. Configuring Connector Settings on the RightFax Server To configure the Connector for HP MFP, use the EDC Configuration Wizard that is included as part of the RightFax server installation. To run the EDC Configuration Wizard: 1. On the Start menu of the RightFax server, click All Programs and then click OpenText. Click RightFax EDC Monitor. 2. If you are running EDC Monitor for the first time, you will be prompted to initialize EDC. Click Yes. The EDC Configuration Wizard appears. If EDC has already been initialized, EDC Monitor will open in its default Activity view. On the Tools menu, click EDC Configuration. 3. On the first page of the configuration wizard: If you are installing the connector for the first time, select Add/Remove modules and then click Next. If you want to make changes to an existing connector, select Modify a module and then click Next. 4. On the Add/Remove Modules page, select the Hewlett-Packard Device check box. If a Module Dependencies dialog box appears, click OK to continue; the additional modules will be installed automatically. Click Next. 5. On the Wizard Summary page, verify that the information is correct and click Next to configure the connector. 6. On the Select Module page, select Hewlett-Packard Device in the list of modules and then click Next. 7. On the Device Repository page, click browse. Browse to the shared folder that will be used as the HP repository and click OK. 8. Click Add to add the Repository Path.

7 9. Repeat steps 7 and 8 for each HP repository folder on your network. When all HP repository folders that will be monitored by the RightFax server have been added, click Next. Caution If the HP MFP is using an FTP site as its repository that is remote from the RightFax server, you must change the RightFax EDC Manager service to log in from an account with FTP access, instead of the local system account. To configure RightFax EDC Manager to pick up faxes from a remote FTP site, open Services on the RightFax server, right-click RightFax EDC Manager Module and select Properties. Click the Log On tab, select This Account, and then enter the domain and user name of an account that has administrative access to the computer on which the FTP site is located. Configuring the RightFax Server On the RightFax Setup page you can set up defaults that the Connector for HP MFP will use when sending faxes. 1. The RightFax Server Name defaults to the local RightFax server. If you want the Connector for HP MFP to send faxes using a different RightFax server on your network, enter the name of the other server here 2. On the RightFax Setup page, the Default User Name field is the RightFax user ID that will be used for all faxes originating from HP MFPs that do not have a RightFax user ID specified. The Default RightFax user ID is set to Walkup by default. This user is created in RightFax during installation. If you want to change the default RightFax user ID, set the Default User Name to an existing RightFax user ID. Regardless of the user ID you specify, the user ID should be configured in RightFax with the sending options that you want for all faxes originating from HP MFPs. For information about creating and configuring RightFax user IDs, see the RightFax Administrator s Guide. 3. In the Default To Name box, enter a default recipient name that will appear on the fax cover sheet if no recipient name is specified by the sender. 4. In the Default From Name box, enter a default sender name that will appear on the fax cover sheet if no RightFax user ID is specified by the sender. 5. Click Next. 6. On the Print Notifications? page, select Print Notification if you want a transmission status message to be automatically printed on the HP MFP each time it is used. Click Next. 7. On the Notifications? page, select Notifications if you want a transmission status message to be automatically ed to the sender for each fax sent. If you select this option, specify an SMTP server name, the address from which notifcation s should be sent, and a name that will appear as the sender of notifications. Click Next. 8. On the Wizard Summary page, review the information. Click Back to make changes, or click Finish if you are done. You may need to start the services if they are not running. If the services are not running, perform the following steps: 1. On the Start menu of the RightFax server, click All Programs and then click OpenText. Click RightFax EDC Monitor. 2. On the EDC Monitor Tools menu, click Services. 3. Click Start All Services. 4. Click Close to close the window. Configuring the OpenText RightFax Connector for HP MFP 7

9 Chapter 2 Configuring the Repository Folder and RightFax Interface on the HP MFPs You must configure HP scanners and MFPs in two ways before they can communicate with the RightFax server using EDC: Configure the repository folder where the HP devices will store outbound documents intended for the RightFax server Create an interface on the HP devices that will allow users to input transmission data such as the destination fax number. To create an interface for users on the HP device, you can design a Workflow using HP software or you can use the Fax interface provided on the HP device. Workflows include user input fields such as destination fax number and user ID. Each user input field has a keyword assigned to it that tells the RightFax server what data is being entered in that field. Important If you use the built-in HP fax interface, the notification options set in the EDC Wizard and the advanced DataFlow configuration options described in the appendix will not apply. Tip The instructions in this chapter were developed using an HP 9200c. The specific steps provided here may be different from the steps required to configure other HP devices, however, the goals are the same for all supported HP devices. If the steps provided here are different from the steps required for your specific device, refer to the HP documentation for configuring your particular HP model. Configure the Location of the Repository Folder This step is required regardless of the fax interface you want to provide users on the HP device. If you choose to use the Fax functionality built into the HP device, this is the only required step. After this configuration has been completed, the HP will use the RightFax server when the Fax functionality is used. Important Your HP device includes configuration software which is normally shipped on a CD with the device. The Connector for HP MFP requires that this configuration software be version 4.0 or higher. If you have not already installed and run this configuration software you should do so now. Ensure that the appropriate access methods, domain, user name, and password to access the domain have been set up. Refer to the HP configuration software documentation for installation instructions. All of the instructions in this guide assume that this HP configuration software has already been installed. 1. Run the HP configuration utility and click the Fax tab. 2. In the Faxing Method field select LanFax. 3. In the Product Name field, select Captaris RightFAX. 4. In the Folder Path field, type the UNC path to the repository folder that you specified when you configured the Connector for HP MFP (described on page 6). 9

10 OpenText RightFax 10.0 Connector for HP MFP Guide Click the Verify Folder Access button. A window will appear confirming that the folder you specified is accessible. Click OK to close this window. 6. Click the Apply button. Create a RightFax User Interface on the HP To create a custom RightFax user interface on the HP device, you must create a custom Workflow form with specific RightFax input fields. You can add one or more of three types of RightFax forms on the HP device, depending on your needs: To add the RightFax menu to the HP Workflow 1. Run the HP configuration utility and click the Workflows tab. 2. Highlight Common MFP Group in the list and click the Add Menu button. This opens the WorkFlow Menu dialog box. 3. In the Menu Name field, type RIGHTFAX and click OK. A new menu called RIGHTFAX now appears under Common MFP Group. Figure 2.1 The RightFax menu added to the HP Workflow Table 2a Supported RightFax form names on the HP Form Name Fax CertifiedDelivery SecureDocs Description Lets users scan and transmit documents to a fax number or address. Lets users scan and save password-protected documents to a secure Web server that the recipients can access. Recipients are sent an message with a link to the document on the Web server. Requires the RightFax SecureDocs module. Lets users scan and transmit documents as PDF file attachments to messages, and specify passwords that will be required to open the documents. Requires the RightFax SecureDocs module. For each form you create you must specify the appropriate fields for users to enter the transmission data. To create a RighFax form, add a RightFax menu to the HP Workflow, then add one or more RightFax forms to this menu. You are now ready to add a RightFax form.

11 To add a form to the RightFax menu 1. Highlight the RIGHTFAX menu in the list and click the Add Form button. This opens the Workflow Form dialog box. Figure 2.2 The Workflow Form dialog box 4. Click the Add button. This opens the Add Prompts dialog box where you will add the data input fields that you want to include on the form. Figure 2.3 The Add Prompts dialog box 5. Click the New button to add a new prompt. This opens the Workflow Prompt dialog box. Figure 2.4 The Workflow Prompt dialog box 2. In the Form Name field, type the name of the RightFax form that you want to add from the list of form names in Table 2a: Supported RightFax form names on the HP. You must enter the form name exactly as it is written in the table, without spaces. (This field is not case sensitive.) 3. In the Folder Path field, type the UNC path to the repository folder that you specified when you configured the Connector for HP MFP (described on page 6). 12 OpenText RightFax 10.0 Connector for HP MFP Guide To add a prompt (a data entry field), you must enter a specific RightFax keyword in the Prompt Name field and the actual text that will be displayed on the HP in the Prompt Text field. The following table lists all of the prompts that you can add to the form. The Prompt Name must match the RightFax keyword exactly, however, you can enter any text you like in the Prompt Text field. If this prompt is left blank or not included in the form, the HP will use the default user ID that you specified when configuring the Connector for HP MFP. The RightFax password for the specified user ID. A password is only required if you have enable the Password Required option in the RightFax MFP DataFlow configuration. DocumentPassword Address FaxNumber FromName ReplyTo ReportPrinter ToCompany ToName ToVoice The password that will be used to encrypt the PDF document when using SecureDocs. The address of the recipient (for transmission). The fax number of the recipient (for fax transmission). The sender s name as it will appear on the fax cover sheet. The sender s address where transmission notifications will be sent. The name of a printer where the results page should be printed. The recipient s company name as it will appear on the fax cover sheet. The recipient s name as it will appear on the fax cover sheet. The recipient s company telephone number as it will appear on the fax cover sheet. You can add any prompts that you want to the form. 13 7. After you enter the Prompt Name and Prompt Text, click OK. The Workflow Prompt dialog box will close and the new prompt will be displayed in the prompt list in the Add Prompts dialog box. 8. Repeat steps 5 through 7 for each prompt that you want to add to the form. After you have added all the prompts you want, click OK on the Workflow Form dialog box. The completed Workflow should look like this: Figure 2.5 The Complete Workflow for the Fax form Sending a Document to a Phonebook Group If you want to send a document to multiple recipients at one time, you can substitute the name of a RightFax phonebook for the destination fax number in the fax dial string, whether you are using HP s Fax functionality or a custom Workflow. The phonebook group name must be preceded by a pound (#) sign, and the group name must exist in the specified RightFax user s phonebook (or the default user s phonebook if no RightFax user ID is specified). RightFax phonebook groups are stored for each individual RightFax user ID and can be viewed using the FaxUtil client. To view a list of phonebook entries for a user, run FaxUtil as that user and select Tools > Phonebook. This opens the Phonebook dialog box and a list of phonebook groups appears in the top list pane. If the phonebook group does not exist for the RightFax user being used as the fax owner, the document will not transmit. Caution When you send to a phonebook group, you will receive one notification (by whatever notification method you have set up, described on page 7) for every recipient in the phonebook group. This may result in a large number of notifications for a single transmission event, but the notifications are designed to let you know the transmission status for each intended recipient. 9. After you have added the first form, create any additional forms as desired. 10.Click Apply to apply the changes. The HP s display panel should now allow access to the new menus. Using SecureDocs and Certified Delivery The SecureDocs feature lets users scan documents and send them to one or more addresses as encrypted PDF file attachments. The recipient must have the PDF s password in order to view the document. The Certified Delivery feature lets users scan documents and direct them to your organization s Certified Delivery Web site. The recipient receives an message indicating that a document is available with a link to the Certified Delivery Web site. The link connects the user to the Web site where he can view all waiting documents. Configuring the Repository Folder and RightFax Interface on the HP MFPs 13

14 Certified Delivery must be installed and SecureDocs must be licensed on your RightFax server for these features to work. 15 Appendix A Understanding the RightFax External Document Connector Overview of the RightFax External Document Connector The RightFax External Document Connector (EDC) is a module for RightFax that monitors repository folders for documents to process and transmit. The EDC processes jobs using a set of steps called a DataFlow. The DataFlow is comprised of several distinct processes called FlowPoints. Each FlowPoint acts on the job, and then passes it on to the next FlowPoint. Using EDC Monitor 1. On the RightFax server, click the Start menu, and then click Programs or All Programs. Click Open Text, and then click RightFax EDC Monitor. The EDC Monitor program window opens in its default Activity view. See Figure A.1. EDC Monitor Overview You can use the EDC Monitor program to: Monitor the status of the connectors and processors that EDC controls. Add and delete processor services. Configure EDC components with the configuration wizard. 15

In the top right pane, all of the processors that are required by the FlowPoints are listed, and the separate instances of each processor are listed in the bottom right pane. Current status information is displayed for all objects listed in the EDC Monitor. Column heading Status Done Pending Errors Warnings Bad Jobs Activity Definition The EDC component s status. Possible values are: Failed - The component has shut down. Hung - The component is no longer responding. Job Errors - Errors prevented the image from processing. OK - The image was processed successfully. The total number of fax images that have been completed by this component. The total number of jobs currently queued for processing by this component. The total number of processing errors that have been logged by this component. The total number of processing warnings that have been logged by this component. The total number of jobs that could not be processed and have been abandoned by this component. The current active state of the component. Possible values are: Idle - The component is currently inactive. Processing Job - The component is currently processing a job. Paused - The component has been paused. No jobs will be processed. Shut Down - The component service is stopped.

17 Viewing and Clearing Processor Events Figure A.2 EDC Monitor Event Log EDC Monitor does not display errors that occur with individual processors. It will only report specific job files that have encountered errors. To check for errors in EDC processors, review the Event Log. Viewing Processor Events To view processor events in the Event Log: 1. In EDC Monitor, click the View menu, then click Event Log. A list of processors for which you can view events appears. See Figure A To view the event log for a processor, click its name in the Processor list. 3. To return to the EDC Monitor Activity view, click the View menu, and then click Activity. Tip You can update the Activity view or the Event Log by clicking the View menu and then clicking Refresh. Clearing the Event Log By default, events remain in the event log for 30 days. To clear the event log: 1. With EDC Monitor open, click the Edit menu and then click Clear All Events. 2. Click Yes to confirm that you want to clear all events. 17

18 OpenText RightFax 10.0 Connector for HP MFP Guide 18 Working with Processor Services EDC Manager and all of the individual processors that are managed by EDC are installed as services. You can use EDC Monitor to view the status of these services and to add and remove services. Viewing the Status of Services To view the status of services: 1. In EDC Monitor, click the Tools menu, and then click Services. Figure A.3 The Services Dialog Box Starting and Stopping Services To start or stop an individual service, select the service name and click Start Service or Stop Service. To start or stop all of the services, select the computer name at the top of the list and click Start All Services or Stop All Services. Adding Processors You can run a maximum of 16 of each type of processor. Processors can be run on the RightFax server or on remote computers. Note Although it is possible to install and configure more than 16 of each type of processor, only 16 of each will actually function at one time. To add new instances of a processor, do the following: 1. In EDC Monitor click the Tools menu, and then click Services. 2. If you want to add the service to a remote computer that is not listed, click Add Computer and enter the name of the remote computer. For additional requirements for remote processors, see About Adding Processors to a Remote Computer. 3. Select the computer to which you want to add the service and click Add Service. This opens the Add a Service dialog box. See Figure A.4. The Services dialog box displays the status of the EDC Manager service (which controls all of the processors) as well as the status of the individual processors.

19 Figure A.4 The Add a Service Dialog Box About Adding Processors to a Remote Computer Remote computers running EDC processor services must have access to certain folders on the RightFax server. To specify the location of the required shared folders: 1. In EDC Monitor, click the Tools menu and then click Advanced EDC Configuration. 2. Click the System tab and click the Core button. The EDC System Settings dialog box appears. 3. In the Remote Paths section of the dialog box, in the Root Directory box, enter the UNC path to the share name of the RightFax\EDC folder on the RightFax server. Example \\FaxServer\Program Files\RightFax\EDC 4. In the Shared Directory box, enter the UNC path to the share name of the RightFax\Shared Files folder on the RightFax server on which EDC is installed. Example \\FaxServer\Program Files\RightFax\Shared Files Removing Processors 4. In the Services list, select the service that you want to add. 5. In the Startup Type list, select the method that you want to use for starting the service. 6. In the Account box, enter the user name that the service will use to start up. This user account should have full administrative rights to the computer you selected in Step In the Password box, enter the password for the user account. 8. In the Confirm Password box, enter the password again. 9. Click OK. Warning At least one service must be present for each process type for the system to function. To remove processors: 1. In EDC Monitor click the Tools menu, and then click Services. 2. Select the name of the service you want to remove. 3. Click Stop Service. 4. After the service has stopped, click Remove Service. 19

20 OpenText RightFax 10.0 Connector for HP MFP Guide 20 Monitoring Remote EDC Processes You can use EDC Monitor to view the monitoring statistics of a remote EDC processor. To view remote processes in EDC Monitor: 1. On the File menu, select Close to close the current connection. 2. On the File menu, select Remote Connection. 3. In the Connect to Which Computer? box, enter the name of a remote computer on which the EDC services are running. The Activity view will display the statistics for the remote server. 4. To switch back to the local computer, select Local Connection on the File menu. Note Even though you can monitor remote EDC services, you can only configure services on the local computer. To configure remote services, log on to the computer that is running the services, run EDC Monitor locally, and then use the Configuration Wizard or Advanced Configuration. Advanced Configuration Overview The External Document Connector and its individual modules usually only require the configuration options available in the EDC Configuration Wizard. A number of advanced configuration options are also available, many of which were designed for use in troubleshooting in conjunction with OpenText Customer Support and do not apply to the normal operation of EDC or its connectors. Advanced configuration is typically only necessary for: Setting the logging level for an individual process for troubleshooting purposes Adjusting the delay between processes - anywhere from 5 minutes to 24 hours Pausing processing to troubleshoot a job file with the help of an OpenText Customer Support representative Debugging a process with the help of a OpenText Customer Support representative Warning: Always use caution when performing advanced configuration in EDC Monitor. If you are not certain about the changes you are making, contact OpenText Customer Support for assistance. Adjusting the Advanced Configuration Settings 1. In EDC Monitor, click Tools, and then click Advanced EDC Configuration. 2. In the Module list, click the module you want to edit and then click Edit. The Module Configuration window can be used for: Setting Advanced Repository Options Setting DataFlow Options and Filtering FlowPoints

21 Setting Advanced Repository Options In the Module Configuration window, click the Scanning Options button. To Change the interval at which the RightFax server checks the repository directory for jobs Stop the RightFax server from checking the repository for new jobs Save copies of repository job files Do this Click a time interval in the Scan Interval list. Select the Pause scanning for new jobs check box. Click Save copies of new job files and specify a directory in which to save them. Setting DataFlow Options Each EDC module processes documents through a series of steps called a DataFlow. The DataFlow consists of individual processes called FlowPoints. Some FlowPoints have configurable options. Warning: Always use caution when editing DataFlows in EDC Monitor. If you are not certain about the changes you are making, contact OpenText Customer Support for assistance. 1. To configure DataFlow options, click the name of the connector you want to edit in the DataFlows list and then click Advanced Options. 2. In the FlowPoints list, click a FlowPoint. Some FlowPoints have configurable tasks. 3. In the Options for Individual Tasks list, click the task, and then click Edit Task. Only some tasks are editable. Filtering FlowPoints Some FlowPoints have a filter option that defines which jobs will be processed by that FlowPoint. By default all FlowPoints process all jobs. For each configurable FlowPoint, you can specify which jobs to process with keyword and value pairs in the format of this example: {userid}=sales. You can create filters based on any keyword in the job file. Filters can either include or exclude jobs. Jobs are then passed on to the next FlowPoint. For example, the filter {userid}=sales will not match a userid of sales23. Warning: Always use caution when filtering FlowPoints in EDC Monitor. If you are not certain about the changes you are making, contact OpenText Customer Support for assistance. 1. To set up filters for a FlowPoint, click its name in the FlowPoints list. 2. In the Overall Options for this Flowpoint section, click the Jobs to Process button. 3. Click Process only the jobs that meet the filter conditions. 4. To include jobs, enter keyword/value pairs in the Include box. To exclude jobs from the FlowPoint and pass them to the next FlowPoint, enter keyword/value pairs in the Exclude box. 5. Click OK. When you are finished configuring options and filters, click the Close button to close the DataFlow window. Click Close to close the Module Configuration window, and click OK to close the EDC Configuration window.
