3 Logging in to In the Client Login section of the Home Page, type in your Username and Password to enter the TotalFlood site. Check Remember Me so that your computer remembers your login. 3

4 Placing a New Order To place a new flood order, click on New Order on the menu bar. Depending on your account setting, you may select Basic or Life of Loan service and then click Next Step at. the bottom of the page. 4

Editing Your Order/Batch After selecting Next Step on the Order Form, the Edit Batch screen will be displayed showing the key information for the request you have just entered. The Reference Number (unique ID assigned to your request) is also displayed here. At this point you have several options: If you decide you don t need this order you can click on the word Delete to cancel the request prior to submission. You can choose to wait to submit this order by selecting Hold. You can edit the request by clicking on the Ref#. You will be able to view and edit the request in the Order Form (see previous page). You can choose to submit the order to a batch if you are entering several orders and would like to submit them together. To do this click Add to Batch. To submit this order click Order Now. 6

7 Placing a New Order (cont.) Results Screen After selecting Order Now (either to submit a single request or a batch), you will be directed to the Results Screen. If the status shows In Progress click the Refresh button highlighted in red to update the status. Other statuses that you may encounter: Complete: indicates that the determination is completed and available for viewing/printing. You may print directly from this screen by either clicking on the word Print or selecting the check box next to the determination(s) you wish to print and clicking Print Selected. Map Analyst: request requires manual research. Duplicate Queue: the system has identified this request as a possible duplicate of a previously-ordered determination. Customer Service will review and submit these requests for processing, if needed. Refer to the Flood Status Legend for explanations of flood status codes. 7

8 Searching offers flexible searching capabilities for finding both pending and completed flood requests. Quick searches include: All Pending all requests pending completion for your account My Pending all requests pending completion that were placed by you; excludes requests placed by other users under the same customer account All from Today lists all pending and completed requests placed on the current day All from Yesterday lists all pending and completed requests placed on the previous day All from This Week lists all pending and completed requests placed in the current week All from Last Week lists all pending and completed requests placed in the previous week All from This Month lists all pending and completed requests placed in the current month All from Last Month lists all pending and completed requests placed in the previous month 8

9 Searching (cont.) For a narrower, more targeted search, you may use Advanced Search. The Advanced Search allows you to enter specific information about the request(s) for which you are searching, and even provides you the ability to combine criteria. To use the Advanced Search, enter ONLY ONE of the following in the left-hand box on the screen: Certificate # Reference # Batch # Loan # HELOC # -OR- Enter one or a combination of values in the right-hand box on the screen: Requested By Client Code Borrower Name Property Address Specific Date or Date Range (Request Date or Completion Date) 9

10 Editing Requests In addition to editing unsubmitted orders in a batch, you can also modify completed and pending requests by selecting the Add/Cancel Services option under the Edit menu. Some of the services that you can add or cancel are: Life of Loan tracking HMDA Rush (to expedite request completion) Cancel a certificate or pending request Transfer of loan servicing To find a request to which services are to be modified, enter the desired search parameters into the Advanced Search form, pictured below. For more information on searching, see the Searching section of this manual beginning on page 8. 10

11 Editing Requests (cont.) Add/Cancel Services from Request List You may submit modifications to requests from either the order list or from the details page of a selected order. To add or cancel services from the order list, be sure to check the box next to Add/Cancel Services in the lower right of the Advanced Search screen in addition to your selected search criteria, and then click Search. A list of requests that match your query will be generated (see below for example). In this list of orders you will see several check boxes to add or cancel services originally ordered. To add or cancel any of these, simply select the appropriate box(es) to modify Life of Loan tracking, HMDA provision, or to cancel an order entirely. 11

Add/Cancel Services from Request Details Page To add or cancel services from the request Details Page, you need not select the Add/Cancel Services box on the Advanced Search screen. In fact, this Details Page can be accessed by simply clicking on the Reference # of any request from any search results screen (i.e., All Pending, All from Today, All from Last Month, etc.). The Details page, as shown below, contains an Add-On Services section on the right-hand side of the screen. You will see all of the available services listed, each with a X or + next to them. To add services, click on the green plus sign; to cancel services, click on the red X next to the respective service you wish to modify. To transfer loan servicing for a specific flood determination, click on the Transfer Loan icon in the Add-On Services section. 12

13 Reports offers five real-time reports that can be generated directly from the website. The reports are: Volume Report: shows how many orders you have placed, how many are completed and pending, and how many were automated by LandAmerica Lender Services' system. Flood Status Report: shows how many orders placed have been determined to be in each flood status (IN, OUT, or Partial) Automaton Report: Shows automation percentages of completed certificates either by county or by state Flood Positive Report: shows all determinations in Special Flood Hazard Areas for a specified month Turnaround Report: shows how quickly LandAmerica Lender Services completes your requests 13

14 Reports (cont.) Volume Report To generate the Volume Report, select the date range and how you would like the report broken down (under Report On, select by Date, Customer, or Source Type). Then click Report to generate. You may also choose to run reports for all your clients (if you have numerous clients affiliated with your organization that are using this site), include transferred certificates, or include clients affiliated with your organization in the report that may not have placed any orders for the specified timeframe. 14

15 Reports (cont.) Flood Status Report The Flood Status Report will allow you to retrieve flood status statistics of all determinations completed in a specified timeframe listed by State, listed by County in a specified State, or in a specified County. 15

16 Reports (cont.) Automation Report To run the Automation Report, select a date range and specify if you want the statistics broken down by State or by County. Click Report to generate. 16

17 Reports (cont.) Flood Positive Report To obtain a Flood Positive Report of determinations that have been found to be within Special Flood Hazard Areas, enter a date range and click Report to generate. 17

18 Reports (cont.) Turnaround Report To obtain a report on turnaround time for each of your requests in a specific timeframe, enter the desired date range and click Report to generate. 18

19 Help For help with go to Help on the menu bar. The following are available under the Help menu: Change your password the Technical Support team to describe any issues you are encountering with the site Access the Address Tips document for assistance with entering property addresses and maximizing your automation rates and determination results Download Adobe Reader so that you may view and print flood certificates 19

20 Help Change Password To change a password click on Change Password under the Help menu. You will be directed to the below screen. Enter your current and new passwords and click Save. Make sure that your new password is at least six (6) characters in length, contains at least one number and one letter, and is not a dictionary word or proper name. 20

21 Help Technical Support When you click Help on the menu bar, you will be directed to the below screen. To contact the Totalflood.com Technical Support team, simply enter your information into the form (items in red are required), detail the nature of your issue and click Send. 21

22 Help Downloads Three downloads are currently available under the Help menu of User Manual This User Manual is stored and kept current on the website and may be accessed at any time. Address Entering Tips This document describes how addresses are standardized by the Totalflood system and recommends how to enter property information to maximize automation and improve your determination results. Adobe Reader You must download Adobe Reader in order to view and print flood certificates. Clicking the Adobe Reader link under the Help menu will take you directly to the Adobe site, where you will be walked step-by-step through the download process. 22
