Concept In addition to traditional addresses, most individuals have at least one or web address and several telephone numbers. Use the Electronic page to enter or review and URL addresses for an individual. Consider this scenario: Your institution wants to maintain electronic addresses for all individuals. You need to enter electronic address information for a prospective student at your institution. Field(s) Type Address Preferred Comments The type of address being added to the student's account. The University of MO - Columbia has uses only 2 types of addresses: UM Assigned and Other. The UM Assigned type is assigned by the university and cannot be edited or removed. There can be only 1 address with the type of "other". The address of the specified type. The preferred address of the student will always be the UM Assigned type and cannot be edited. Page 1

3 Procedure This topic will demonstrate how to add/update an electronic address on a student's account. In this example we will be adding an account to Cobra Commander's account. 1.) Electronic Maintain information about a student's and URL addresses. Home>Campus Community>Personal Information (Student)>Biographical (Student)>/Phones>Electronic 2.) Electronic Maintain information about applicant's and URL addresses. Home>Student Admissions>Application Entry>Personal Information>Electronic Page 3

4 1. Enter the student's id into the EmplID field. Enter " ". Conducting a Search When you open a task (using a hyperlink or page link), either an entry page will display or a search page (also referred to as Find an Existing Value) will appear prompting you for search keys needed to locate a record. To find a record, or many records, search criteria must be entered, then click Search, and a Search Results page displays. Search pages contain: Search keys Operators Search fields Once you have entered in the search criteria key fields, click Search to process the search. If you wish to refresh the page (without saving), so you can enter new or different criteria, click Clear. When the magnifying glass icon is next to a field, this means that there is a list of values associated with the field. If the desired value is not known, click on the magnifying glass icon, this will display the List of Values page for the field. From this page you can perform a search to find the value and then select the value by clicking on it. Page 4

5 2. Click the Search button. 3. A student may have only 2 address assigned to them. All students will have a UM Assigned account which cannot be edited, and an "other" type. A student can have only 1 address assigned to the type of "other" and this can be edited. Page 5

6 4. In this example, you want to add information for Cobra's personal address. Click the Add button. 5. Click the Type list. 6. Select "other" from type the list. Page 6

7 7. Enter the address into the * Address field. Enter NOTE: If an "other" type already exists, you may edit it just by changing the listed address and clicking Save. 8. The Preferred check box next to the UM Assigned type is selected to indicate the individual's preferred address, which is the one to use first when contacting this individual. The UM Assigned address is the preferred address and cannot be changed. Page 7
