1 View Class Roster Using Administrative Page Begin by navigating to the Class Roster link located at Curriculum Management Class Roster Class Roster You are taken to the Class Roster Search Criteria Screen. The system enters the Academic Institution value based on your user default settings. If the Academic Institution field does not default to UBFLO, update this field. In this example we want to view a Class Roster for a Spring 2014 section of English 101. the list. Click the Look Up button (Magnifying Glass) and select Spring 2014 from Last Updated: April 30,
2 Use the Subject Area Look UP function (Magnifying Glass) to find English. While in the Look Up search criteria you can use the Subject Area field and type eng in it, then Look Up. You can then select English from the list results. In the last step we select the Subject Area (Department) for the course. Now we will need to enter the Catalog Nbr. In this example, we ll be entering 101LEC. Click the Search Button The Search Results of all the ENG 101LEC class sections will appear below the Search Criteria box. From the Search Results click the Class Section link that you are interested in viewing the roster. In this example, we will view the Class Section R1. Notice that each Class Section has it own unique Class Nbr. Later in the Script we will us the Class Nbr for ENG 101 Section R1 to Print a Class Roster. Click the link for section R1. 3 Once you click the link, you will be brought to the Class Roster page. The top area of the screen provides information about the class section. You will see when it meets, where it meets, who the instructor is, and the dates that the class meets. We will not change the Enrollment Status field for the purposes of this tutorial. The system will display the Meeting Information and enrolled students for the Class Section you select4ed. If students who register have since changed their status, you will be able to view these by: 1. Change the Enrollment Status to Dropped if you want to see students who were enrolled but have dropped the class. 2. Change the Enrollment Status to Waiting if you want to view students who have attempted to enroll and were placed on a waitlist for the class. 3. Change the Enrollment Status to All if you want to see all students who were enrolled or on the wait list in the class at some point in time even if they have now dropped the class. 4 The Enrollment Capacity shows the maximum number of students that can be enrolled in this class. This could set as a result of seats available and fire code restrictions of how many seats are allowed for that particular classroom. The Enrolled shows the number of students enrolled in the class. The student names are linked to their . Should you need to a particular student, click the link and a new window addressed to them will appear. Next we will begin the steps to print a Class Roster using the Print Class Roster page from the Main Menu. Navigate to Class Roster Print Class Roster Next we will create a new Run Control ID. The first step will be to click the Add a New Value tab. A Run Control ID is an identifier that, when paired with your User ID, Uniquely identifies the process you are running. The Run Control ID defines parameters that are used when a process is run. This ensures that when a process runs in the background, the system does not prompt you for additional values. For our example, we will name our Run Control ID ClassRoster. Click the Add button. You are then taken to the Print Class Roster Page. Use the Print Class Roster page to set the paramerts for this report. In this example, we want to print a Class Roster for a specific class; English 101, section R1 which was offered in the Spring 2014 Term. Last Updated: April 30,
5 Click the Look Up Term function (Magnifying Glass) and select Spring 2014 from the list. To make your search easier, you can change the drop down box from Term to Description. In the Search field type Spring Select the term from the results list. Notice that the Session field auto populated Last Updated: April 30,
6 Note: You can only select one of the the following search criteria in this group box. If you have more than one search criteria shown, you will get the following message when you hit the Run button: If you want to use Subject Area, we are looking for English. Click the Subject Area Look Up funciton (Magnifying Glass). In the Description field type ENG. Click English in the Search results. For our search, this is not the preferred method. Note: If you have searched for a Subject Area and want to search by Class Nbr, you will be unable to do so and will receive the message above when you click the Run button. The preferred method is to search by Class Nbr. In the Class Nbr (Class Number) field we will enter the Class Number for English 101LEC R1: If you put a Subject Area criteria in, remove that search criteria. If you don t know the actual Class Number, you can use the Class Nbr Look Up function. In the drop down box change the Search by to Class Section. In the begins with area type R1. In your results, you will get all the R1 sections in all the subject areas. You can then sort the Subject Areas by clicking on the heading. Clicking the Subject Area column heading a second time will sort the list to descending order. You ll notice there are two ENG classes there, but only one class is a 101LEC class. 7 In the Students In the Report group box, we want to view all students, regardless of their status. Check all the boxes; Enrolled Students, Dropped Students, and Waitlisted Students. Finally click the Run button You will be taken to the Process Scheduler Request page. Click OK. Next, you ll be taken back to the Print Class Roster page. Click the Process Monitor link. You may have to click the Refresh button several times to have the Run Status value change from Processing to Success on the Process List tab. Last Updated: April 30,
8 Click the Details link In the Actions Group box, click the View Log/Trace link. To view the Class Roster report, select the file with the PDF extension. The file is located under the Name column in the File List group box. When you click the link, a new window will open with the class roster in it.
