1 Agents Inquiry The Agent Inquiry allows you to scan the Agent database and display agent details. The Agent names, addresses and IATA numbers are maintained centrally and automatically distributed to all airlines each month when you process a File Transfer. ( See User Maintenance page The CIP information is also maintained centrally but relates only to your own airline plates held by agents. The area in Blue is not available to be changed. Only those agents with your airline plate are selected each time you enter the Agent Inquiry screen. You may adjust the selection using the various buttons: CIP Selects just those agents with your airlines plate. This button is usually depressed OPTAT Selects just those agents using OPTAT Region Selects all agents in a particular region established by IATA ALLNets Selects only those agents flagged by your airline as AllNets Region Selects those agents in a particular region established by your airline Group1 Selects those agents in a particular group1 established by your airline Group2 Selects those agents in a particular group2 established by your airline Group3 Selects those agents in a particular group3 established by your airline Reject Grp Displays all agents in Reject Group see user maintenance page V CS Displays all agents in VC Group The sequence of the list of agents may be selected: Sort by IATA No The list will appear in IATA number sequence and the search button will automatically search accordingly. Sort by Name The list will appear in Agent Name sequence and the search button will expect a search by Agent Name. Agents which have the same name will appear in their IATA number sequence. Sort by Sales The list will appear in order of descending sales total. This Sales total is created by pressing the Calculate Sales Totals button. The Search button will be disabled since there is no search by Sales total.

2 Other buttons available on the Agent Inquiry screen are: Search for an Agent Find and agent by IATA number or Name. Select All Agents in the current view Mark only certain agents so that printing can select an arbitrary list. De-Select All Agents in the current View This removes the mark mentioned above. Enter an ADM This will allow you to enter an Agency Debit Memo for this Agent. Enter an ACM This will allow you to enter an Agency Credit Memo for this Agent. Enter a Refund This will allow you to enter a Refund for this Agent. Show Agent Totals Display the summary totals as seen in Report Viewer Calculate Sales Totals Review the Agent totals for all agents, and using selected criteria, rebuild the Sales Totals column to allow the agents to be sequenced accordingly. Show Net Remit Deals for this Agent This function is only available for airlines using the Net Remit module. Set up the printer Print Agent Reports Print Agent Sales totals, Details or labels for the list of Agents displayed Print Summary Statistics for Agents (excluding Airline totals) This is only available for those airlines receiving statistics updates or generating statistics from reports.

3 Print Net Remit Reports and Fare Advices for the selected agents This is only available for those airlines using Net Remit Print Net Deal Statistics This is only available for those airlines using Net Remit. Search for an Agent While browsing the list of Agents, you may search by either NAME or IATA No. First select the sort order required: Sort by IATA Number before you search by IATA Number Sort by Name before you search by Name click on the Search button. The entry of IATA number is restricted to numerics only. Print Agent reports The print button at the top of the Agent Inquiry provides a number of report options: Reports The Sales Totals Report will print the selected list of Agents and their Sales Totals. The Agent Details Report will print the information about each of the selected agents The Address Labels Report will print the Contact, Name and address of the selected agents in label format Agents to Print You may select which agents to print by - All in current view - Only those displayed as selected with an "x" - Only the currently highlighted agent - The current Agent and all listed below it (from this Agent onwards...) You may select whether you wish to list all Agents or just those with non zero totals. You may also choose to start your label print part way into a sheet of labels to account for a partially used sheet. When you generate a report for Preview, this can be accomplished in memory, or to a file. Preview to memory is faster but you may have problems with large reports unless you have plenty of RAM installed in your PC.

4 You have the usual printer selection and setup control. Print will print directly to the printer. If you choose Preview then when the report is complete it is displayed on the screen and you may then choose to print it. Show Agent Totals This is exactly the same as Show Agent Totals accessed from Report Viewer, but also provides a number of additional statistics tables: These statistics tables will have data loaded only if the data is available to you and only if you have processed an update for statistics following a File Transfer Agent Sales St ats. This data is loaded from the HOT files provided by your BSP. It contains a single total per Agent/Currency per period. Plated Sales statistics including D/I. Domestic and International sales statistics for the plated agent. Originating Agent statistics. This data is only available if Originating Agent is coded specifically for statistics. Sales made through wholesalers and consolidators will be broken down by the original ticketing agent. (Not currently available) Deal Code statistics. This data shows which deal codes have been sold by each agent and is only available if you are using Net Remit. Those sales which are not nets will be accumulated into a blank code. Deal Stats code statistics. This data summarizes each agent s sales by the Net Deal Stat code and is only available if you are using Net Remit. Those sales which are not nets will be accumulated into a blank code. Deal Route code statistics. This data summarizes each agent s sales by Route code according to the most distant country visited on each ticket.

5 Agent Sales Stats If you choose to view the first option, Agent Sales Stats, you will see a simple table containing only one total (per currency) per agent: This displays exactly the same information as the Agent Totals button in Report Viewer. Refer to Graph and printing functions. These statistics may also be reported using Print Summary Statistics for the selected agents Plated Sales statistics including D/I The plated Sales Statistics table provides a breakdown of each agent s sales by STAT code. This will identify International (I), Domestic (D) and Other (Blank) sales. The columns may be rearranged, however, the sequence of columns viewed for all agent statistics except Agent Sales Statistics will be stored collectively. (i.e if you change the sequence for Plated Sales including D/I then the sequence for Originating Agent statistics, Deal Code Statistics, Deal Stats code statistics and Deal Route code statistics will all be be sequenced. Refer to Graph and printing functions. These statistics may also be reported using Print Summary Statistics for the selected agents Select Level Because we access these statistics from the Agent Inquiry screen, this will always be set to Agents. When viewing some statistics from the Net Deal point of view, you may select the Agent or Airline perspective. Select Stats You may change the view of the statistics and see all or just one particular STAT type. All View Domestic, International and Other. If you then graph the result t hen the amounts will be accumulated. The graph will then be exactly the same as if selected from Agent Sales Statistics Domestic View only the domestic sales. Deal code statistics Deal Stats code statistics Deal Route code statistics The deal code Statistics table provides a breakdown of each agent s sales by Tour code, Deal Stat code or Deal Route code. This will also identify International (I), Domestic (D) and Other (Blank) sales. All of the Tour/Stat/Route codes used by the agent will be displayed. Refer to Graph and printing functions. These statistics may also be reported using Print Net Remit Statistics for the selected Agent

6 Select Level Because we access these statistics from the Agent Inquiry screen, this will always be set to Agents, unless your have highlighted your Airline record. When viewing some statistics from the Net Deal point of view, you may select the Agent or Airline perspective. Select Stats You may change the view of the statistics and see all or just one particular STAT type. Refer to Plated Sales statistics including D/I for a full description of this feature. All View Domestic, International and Other. If you then graph the result then the amounts will be accumulated. The graph will then be exactly the same as if selected from Age nt Sales Statistics Domestic View only the domestic sales. It is possible that the statistics table will now appear empty if the current agent has no domestic sales. If you Print or Graph after selecting Domestic sales then only Domestic statistics will be printed or graphed. International View only the international sales. It is possible that the statistics table will now appear empty if the current agent has no international sales. If you Print or Graph after selecting international sales then only international statistics will be printed or graphed. Deal Current Deal You may select a particular deal code then click on the Current Deal button. This will display the agent s sales of just that one deal. In doing this, the Current Deal button will change to show the deal code selected. If you Graph or print with one Tour/Stat/Route code selected, the result will show the agent s sales totals just for that code. Calculate Sales Totals The Sales Total listed with each agent on the left of the screen is a ctually a work field which can be calculated from any of the available Agent Sales Stats fields and for a period specified by the user. Using these totals you may then display the Agents in Sales Total sequence. These totals may be calculated from time to time and the current calculation selected displays in Magenta across the Status bar at the bottom of the screen. When you select the type of data to recalculate you will see the full list of Summary Total fields to select from.

7 You may select the range of billing periods to include by scrolling the individual Report Period number, Month and year. If you are operating in a BSP where more than one currency is used you may also enter the currency. If in doubt review the Agent Totals to see the correct format of the currency code. Print Net Remit Reports and Fare Advices for the selected Agents This function is only available for airlines using the Net Remit module. This button will not appear if your airline is not set up for Net Remit. This function uses the selected list of Agents to produce Net Deal Reports or Fare Advices. You should adjust the list of agents displayed in the Agent Inquiry to select your list of Agents before pressing this button. This option will use the selection of agents displayed and will report deals available to each agent according to the last transfer to BSP. The deal information reflects the deals transferred and not any changes, which have been made since the last transfer. There is also an option to report Net Deal Reports and Fare Advices for a particular agent accessible from View Net Remit Deals for this Agent. First select you list of agents using the Group buttons etc or double-click the sel column (before you press this button). You may then further restrict the reports by choosing only current deals, deals changed since a certain date and/or deals in a particular range. Each of the selected agents will be reported separately, starting on a new page. Those deals applying to ALLNETS may print off a large number of agents so consider you agent selection well and if all are selected be prepared for a large amount of paper and lengthy processing time. There are three reports to select: Selected Report Print Summary List of DealsEach agent starts on a new page. For each agent the report lists the deals available, showing just one line per deal. Print Deals with Net Levels Each agent starts on a new page. For each agent the report lists the deals available on one line and the net levels on multiple lines following. Print Agent Fare Advices ready for dispatch to the agent. In Agent order, all Fare advices are printed on separate pages,

8 Agents to Print You may choose to further select the agents to print with the following options: Print all Agents in current view Any agent in the displayed list will be printed if they have net deals (within the deals selected below) Print Selected Agents Only print the agents displayed with a cross in the 'sel' column Print Current Agent Only Print deals for the currently highlighted agent only Print from Current Agent Print all agents starting from the currently highlighted agent. (from this agent down) Deals to Print You may select deals in two ways: 1. Choose all deals or just deals which are current (Last sales date being today or after) 2. Further restrict the list of deals in 1. above by a. Only deals changed since a particular date and/or b. Only deals within a particular deal code range. If your selection finds no agents with deals or no deals within criteria then nothing will print. Show Net Deals for this agent This function is only available for airlines using the Net Remit module. This button will not appear if your airline is not set up for Net Remit. This button will only be highlighted if: 1. The airline has completed the net deals and prepared them for dispatch to the BSP 2. The agent actually has Net deals available to it. As you scroll down through the list of agents, this button may change from enabled to disabled, depending upon whether the agent has any deals. If you have not yet prepared deals for transfer then this button will remain disabled for all agents. When the deal screen appears it will show the Agent name and address at the top. All deals listed are available to this age nt but the sales dates may have expired or even lie in the future. All deals for this agent are initially displayed. These include deals that the agent is specifically listed on (type "MANY") and those applying to "ALL" or "NETS". The display of deals available to the agent is deliberately similar to the normal Net Remit screen. It is not possible for the user to make alterations to any of these deals, in fact the detail displayed relates to the deal parameters at the time they were last prepared for transfer and may be different to the deals currently seen in the Net Remit menu option.

9 keyboard arrow keys. You may use the Navigator to scroll between deals or you may highlight a Deal Code then move from deal to deal using the For those users with MELO, you may display the parameter settings by clicking on the MELO button. To set the flag on a deal, just double click on the deal code. This flag will be used to select only certain deals for printing etc. To move into the Net Detail lines you may press Tab or click into the Net Detail area. This will allow you to scroll the detail lines using the keyboard arrows etc. To select only those deals, which have not yet expired, you may depress the Current button. While depressed, this button will only allow the display of deals, which have a Sales to date greater than or equal to the current date. To select only those deals using a particular Stats code, depress the Stats button. You will need to enter the stats code required. If there are no deals for this agent with this Stats code then a message will display and the button will automatically be raised again. If there is at least one deal then the button will stay down and the Stats code selected will replace the button name. If any of the other buttons are depressed then their selection will continue to apply. You can therefore select all current deals with stats code XXXXX etc. To select all those deals using a particular route you will need to select the route then press the tick button. If there are no deals for this agent with this Route code then a message will display and the button will automatically be raised again. If there is at least one deal then the button will stay down and the Route code selected will replace the button name. Selection of deals by Route will select all deals of this route and also any other deals with a route code contained within the selected route. By selecting Asia you will get deals labelled as Asia and, Central Asia, Northern Asia, Southeast Asia and Souther n sub-continent plus all the routes within these. To select all those deals, which specify a particular destination code in their list of valid destinations, you will need to enter the destination code: If there are no deals for this agent with this Destination then a message will display and the button will automatically be raised again:

10 Print Agent Deal Reports The report selection allows you to print information about the deals available to the agent. It takes into account the selections already made using the buttons as described above so select the deals displayed before pressing the Print button. Select Report The same reports available for All Agents can be selected, but of course, we are just reporting deals for one agent at the moment: Print Summary List of DealsEach agent starts on a new page. For each agent the report lists the deals available, showing just one line per deal. Print Deals with Net Levels Each agent starts on a new page. For each agent the report lists the deals available on one line and the net levels on multiple lines following. Print Agent Fare Advices for dispatch to the agent. After selecting all deals listed for the agent, only those which have been changed since a certain date will be printed. The normal Printer Setup is provided. The notes attached to each deal may be viewed by pressing the appropriate button.

11 Enter an ADM This will allow you to enter an Agency Debit Memo for this Agent. The Agent name and IATA number will be automatically loaded for you. This is only available for those airlines setup to allow transactions and its functionality is described in detail within the Transactions section, Enter ADM's. Enter an ACM This will allow you to enter an Agency Credit Memo for this Agent. The Agent name and IATA number will be automatically loaded for you. This is only available for those airlines setup to allow transactions and its functionality is described in detail within the Transactions section, Enter an ACM. Enter a Refund This will allow you to enter a Refund for this Agent. Generally, you should enter refunds from the Ticket Inquiry screen, so that you can automatically establish the refund data. The Agent name and IATA number will be automatically loaded for you. This is only available for those airlines setup to allow transactions and its functionality is described in detail within the Transactions section, Enter Refunds. Print Summary Statistics This function is only available for airlines using the Unix downloaded statistics. The data reported comes from the Plated Sales statistics including D/I table The summary statistics option can produce a number of specific reports. These have a similar format in terms of the fact that Agents are listed on each line of the report and the data is printed in columns. Agents Print from displayed Agents This will take into account the selection of agents currently displayed in Agent Inquiry. You can therefore use the Region or Group buttons to select a particular list of agents and then report the statistics for that group or a subset of that group. The selection of agents reported is determined by the list of agents displayed on the Agent Inquiry form. It is therefore important to determine this selection before the Summary Statistics button is pressed.

12 Print All Agents This will igno re the Agent Inquiry display, and print all agents that have statistics data according to the criteria below. Selected Agents only If this is unchecked then all agents displayed in the Agent Inquiry view will be printed. If checked then only those agents selected with an 'X' will be printed. Include Agents with zero totals If you check the box then all the selected agents will print, even if they have no statistics for the selected data and periods. This is sometimes useful when printing all agents in a group since all agents in that group will print. If you leave it unchecked then only agents with a non-zero total will print. Select the data to summarise The report can print a variety of different statistics. You will choose one of the following: Fare of Net tickets Tax on Net tickets Std Comsn on Net tickets Tax on Std Comisn on Net tickets Suppl Comisn on Net tickets Tax on Suppl Comisn on Net tickets Balance Payable on Net tickets Total Transaction Value in Cash Total Transaction Value in Credit Total Transaction Value Cash + Credit Total Std Commission Total Tax on Std Commission Tax & Misc in Cash Tax & Misc in Credit Total Balance Payable by Agent Value of Refunds Number of Refunds Value of ACMs Value of ADMs Currency Generally you will only have one currency in any one BSP and this will be shown as the default. You will be able to select what group you wish to use and each group will be given a group total for each stats column. Once this box is checked the selection of groups below becomes active. Group Once you have decided to sub total by group then choose which group to use. The group chosen will display in the heading of each page. Each group will be printed in alphabetical sequence with the group name, group totals on each column and a space before the next group. Within each group the agents will be listed in the sequence specified above in Sort by Print Net Deal Statistics Before you can report Net Remit Statistics, you will have to edit Statistics Code Report Column specifications in Net Remit Maintenance. To do this, you must enter Net Remit Maintenance and select Edit Airline specific Statistics Code Report Column specifications. Edit Route Code Report Column specifications The airline can establish a number of Statistics groups containing their Airline-specified statistics codes. These groups are used by the stats reports to select data for each column. Print Net Deal Statistics. This function is only available for airlines using the Unix downloaded statistics. Depending upon user selection, the data reported comes from one of the following statistics tables: Plated Sales statistics including D/I

14 Deal stat code statistics Deal Route code statistics The Print Net Deal Statistics option can produce a number of specific reports. 16 Select All Agents in the current view The "Sel" column in the list of agents allows you to flag certain agents to select for printing. This button will set the flag on all the agents in the current view. You may wish to select agents across several groups. To do this you should: 1. Open the current view to all Agents 2. De-Select all agents in the current view 3. Select a group of agents using one of the group buttons 4. Select All Agents in the current view 5. Select another group of agents using one of the group buttons 6. Select all the Agents in the current view 7. Open the current view to all agents 8. Press the Print button 9. Choose "Print Selected Agents Only". See De-Select All Agents in the current view. DeSelect All Agents in the current view The "Sel" column in the list of agents allows you to flag certain agents to select for printing. This button will clear the flag on all the agents in the current view. See Select All Agents in the current view. CIP button When depressed, this button will Select all agents holding your airline's plate. IATA maintain the two dates: Effective date The date the agent started to use your airline CIP plate End date The date the agent ceased using your airline plate. Agents who have started and not yet ceased to use your plate are selected. OPTAT Button Depress this button to Select all those agents who are OPTAT Approved. IATA maintains this information and records whether agents are: A Automated M Manual B Both Manual and Automated OPTAT Approved agents will be set to either A or B Region button - IATA maintained Select all Agents in a Region. You will notice that there are two Region buttons.

17 If your BSP provides a regular Agent update The left one is maintained by your BSP Plan Manager team (IATA) and updates are distributed automatically with the Agent and CIP database update. ALLNets button Airlines using Net Remit can establish a list of agents who are eligible for their general Net Deals. When depressed, this button will Select all agents having their ALLNets box checked. When the ALLNets box is checked the airline can establish the dates for which the agent may use General Net Deals. Sales from The date the agent starts to use General Net Deals. If left blank the agent will be permitted to use general net deals with no restriction. If specified then only tickets issued after this date will validate for Net Deals of type "ALLNets". Sales to The date the agent ceases to be eligible for General Net Deals (ALLNets).If left blank the agent will be permitted to use general net deals with no restriction. If specified then only tickets issued before this date will validate for Net Deals of type "ALLNets". Region Button - Airline Maintained Group1 Button Group2 Button Group3 button The second REGION buton and the buttons GROUP1, GROUP2 and GROUP3 all function in a similar way. When pressed they will prompt you to enter their contents and then they will select all agents with that value in that field. The entry will default to the value held for the current agent so the user will often find it convenient to jump to an agent they know is in the reguired Region or Group first before pressing this button. Each airline can establish their own contents for each of these fields and Select all Agents by Region or Group. Reject Group Button You may establish a number of reject groups in Net Remit Maintenance, and assign these to agents to allow processing of rejects by reject group. The reject groups should be established to separate agents for processing, both by operator and also by how severe you may want to apply the validation. To set the reject group, click on the drop-down box beside the reject button. You will notice a blank reject group is always provided for. The selection of Reject group will update the Agent record.

18 To view all agents in a particular Reject Group, press the Reject Group button and enter the Reject Group to view. Example: The following Reject groups could be set up for Martin E and Mary C: Reject Group Description ME All Agents processed by Martin ME W Wholesalers processed by Martin ME R1 Retail Agents processed by Martin (generally allowed the greatest flexibility in MELO options) ME R2 Retail Agents processed by Martin but allowed less flexibility ME R3 Retail Agents processed by Martin allowed no flexibility (no MELO override) MC All Agents processed by Mary MC W Wholesalers processed by Mary MC R1 etc When displaying Agents, Martin can * display all the Agents he processes by selecting reject group ME. * display just the Agents in a particular reject group (e.g. ME R2) When processing rejects, Martin should: * Select all his agents (Reject Group ME) * Revalidate all without overriding MELO settings * Select each Reject Group in turn and review the rejects, adjusting the MELO override options as appropriate for each group and revalidate unprocessed rejects. * Once all groups have been reviewed and any necessary adjustments made, select all his agents (Reject group ME) and print the reject report. * Once the adjustments have been approved, select all his agents again (Reject Group ME) and write the adjustment transactions. By keeping the selection of agents restricted to his own list of reject groups, Martin can ensure that his processing does not interfere with other operators on the same network. Variable Commission Group The Variable Commission Group is used to group agents into a Variable Commission Matrix. All Agents in a particular Agent Group will be given the same variable commission rates and amounts.

19 If an agent has a blank VComisn group, their tickets will be processed as for the "All Agents" group. Before you can select a Variable Commission Group for an Agent, you must first establish the list of valid Agent Groups in Variable Commission Maintenance. To select the Variable Commission Group for an agent, click on the small arrow button and the list will appear: Select the Agent Group required. If you need to clear the Agent Group, just select the blank Group at the top of the list. The VComisn button will allow you to browse the Agents in a particular Agent Group.
