1 Web For Alumni Web for Alumni is the alumni self-service interface to Wofford s administrative software system. It will allow you, as an alumnus, to find information about classmates or change information about yourself, volunteer to be a career advisor for current students or other alumni, post and view employment opportunities, make pledges or donations online, and view your personal giving history. 2 Gaining Access to Alumni Services on Web for Alumni You can gain access to Web for Alumni by entering the URL in your web browser. You soon will see the main Web for Alumni menu. Click on Enter Secure Area. You will be prompted for your User ID and PIN. NOTE: If this is the first time you have used Web for Alumni, please see the Appendix to these instructions to learn about your User ID and PIN. In the Secure Area menu, click on Alumni Services. Soon, you will see the Alumni Services menu. All of the web-based Alumni services can be accessed from this menu. September 18,

3 Alumni Communications Menu To reach the Alumni Communications menu click on Communications in the Alumni Services menu. The items on the Alumni Communications menu allow you to search for classmates to find out where they live and to send messages to the Alumni/Development office about changes in your life (marital status, children, new job, or new address for example). You also have the opportunity to increase or decrease the amount of information that is displayed when another alumnus does a Find a Classmate search for your name. Find a Classmate Click on Find a Classmate to search for information about your classmates. You can search for a classmate by name their last name for example. When you have entered their name, click on Go find it. Note: Growndes is a fictional name used for the sake of example in these instructions. As of 2005, we have no alumnus with this last name. You can set the search to display between 1 and 10 search results on a page. The default is 5. September 18,

4 The results of the search will be displayed. Although a person s current name will be displayed in the list of results, the search also will look for past names in case a name has changed. For example, if a classmate s maiden name was Mary Smith, a search will find her even though her name has changed to Mary Jones. She will be listed in the search results with her current name Mary Jones though. This is why you often will find people with last names different from your search query in the list of search results. If the person s last name is a common one you may retrieve several search results. If there are more search results than will fit on one page, you can see the next set by clicking on the Next set of records button at the bottom of the page. One way of limiting the search results is to narrow down the class year range to a few years. You also can search for a class year (e.g., 2001 to 2001) without a name to display information about everyone who graduated that year. This, of course, will be a long list. If you cannot remember exactly how a name was spelled, you can use a wild card search character, %. For example, a search for grow% would find growndes, grownds, and grownes (as well as growl, growker, and growtte). You also can check the Sounds Like Name Search box and enter a spelling that sounds like you remember the name. Class Notes You can send the Alumni Office information about yourself. Click on Class Notes in the Alumni Communications menu. September 18,

5 This will create a new message to the Alumni/Development office at Wofford with the subject title, News about myself. In the body of the message will be a request for you to let us know if we can publish the information in the Wofford Today or elsewhere. You can enter your information in the body of the message and then Send it. Show Directory Profile By default, Web for Alumni displays the following Alumni Directory Profile information after a Find a Classmate search: Name Permanent address Permanent telephone number Preferred address Class year You have the opportunity to change the information that is displayed. To see your profile and change the amount of information that is visible, select Show Directory Profile from the Alumni Communications menu. September 18,

6 You will see your current profile. If an item is checked, it will be displayed in your directory in the results of a Find a Classmate search. If an item is unchecked, it will not be displayed. You can click on a checked box to make it unchecked and vice versa. Click on the Submit Changes button at the bottom of the page when you have made your changes. If you need to make changes in the Directory information (e.g., let us know your new Permanent Address), you can click on the Alumni Office link and send us this information by . NOTE: When you click on Submit Changes in the Directory Profile, you unavoidably will be sent to the Personal Information page. Click on RETURN TO MENU at the top of the page, which will return you to main menu. You can return to the Alumni Services menu from that page. September 18,

7 The Career Opportunities Menu To reach the Career Opportunities menu, click on Career Opportunities in the Alumni Services menu. The Career Opportunities menu allows alumni to sign up to be a Career Advisor and students or alumni to find one. It also allows alumni and the Career Services office to post job opportunities where other alumni or seniors can search for them. Become a Career Advisor If you would like, you may become a career advisor to Wofford students or graduates. There are four types of advising opportunities: Share Information: You can share information with an advisee via or phone. Make Presentation: You can make informal career presentations on campus. Internship: There may be internships possible within your organization. This would not obligate you to personally sponsor the internship. Interim Jobs: There may be job opportunities within your organization during Interim. This would not obligate you to personally supervise a student on the job. September 18,

8 To become a Career Advisor, choose Sign me up to be a Career Advisor from the Career Opportunities menu. To sign up as a Career Advisor you need to specify two pieces of information the year in which you will advise and the type of advising to which you are making a commitment. For example, if Internships may be available within your organization in 2006, you would make the selections shown below: You also may wish to specify your current occupation. September 18,

9 When you are finished, click on Submit. You then will see your commitment on the screen. If you want to sign up as an advisor for more than one year, you may do so. Suppose, for example, that internships also may be available within your organization in 2007 and Enter Internship for 2007 and click on Submit. Then do the same for You also may sign up for more than one type of advising making a presentation in 2006 for example. When you are through you will see the list of advising opportunities for which you have volunteered. September 18,

10 Checking Your Career Advisor Commitments To check your Career Advisor commitments, click on Am I already an Advisor? in the Career Opportunities menu. You will see the years and types of advising in your records. If you would like to add an advising year or a new type of career advising, click on Add a Year. If it is necessary for you to cancel an advising commitment click on the Alumni Office link, which will allow you to send information to that office about the cancellation. September 18,

11 Finding a Career Advisor To Find a Career Advisor click on Find a Career Advisor among Wofford alumni in the Career Opportunities menu. You have a variety of choices you may make to help you find an advisor. Do not enter a class year (unless you specifically want to find an advisor who graduated in a particular class year). Suppose, for example, that you are interested in an internship with a chemist. Choose these from the Type of Advising and Occupation menus, respectively, and click on Go find it. You can set the search to display between 1 and 10 search results on a page. The default is 5. September 18,

12 You will see a list of Career Advisors who work at organizations at which internships may be available during the current year. If your list contains more than the number you have specified, click on the button at the bottom of the page to see more. You can specify a particular city if you need to limit your search. Keep in mind that the more you limit a search the fewer results you will find. Search for Employment Opportunities You may search for job opportunities that other alumni and the Career Services office have posted. Click on Search for Employment Opportunities in the Career Opportunities menu. September 18,

13 You will be able to specify the organization, location, job, and industry category for your search. Suppose that you are interested in relocating to the Midwest. You check the pull-down list of States and see that a job in Wisconsin has been posted. Click on Go find it to see what employment opportunities are available in Wisconsin. You will see information about the employment opportunities available. The amount of information you see will depend on how much was entered when the job was posted. Click on New Search at the bottom of the page if you want to do another search. If you like, you also can specify a second criterion for the search the Job Category, for example. Keep in mind that the more criteria that you specify for the search, the fewer search results you will obtain. Post Employment Opportunities To submit a job posting select Post Employment Opportunities from the Career Opportunities menu. September 18,

14 NOTE: If your employer is not listed in Wofford s Banner database, then you will see the message that our records do not show a current employer for you. If you would like to add your employer to our database so that you can post employment opportunities, click on the link to contact the Wofford Alumni/Development Office. If your employer is listed in our records, you will see the page shown here: Although these are not required fields, to help potential applicants search for your organization, enter the City, State, and Job Category for the position. When you have entered the fields describing the position, click on Add the Posting at the bottom of the page. September 18,

15 Adding Your Employer to Our Database In order for a job opportunity in your organization to be posted on Web for Alumni, we must have an internal ID number for the organization listed in our Banner database. If you saw this error message when you tried to post an employment opportunity, then we do not have your employer listed in our records. To add your employer to our records, click on the link to contact the Alumni/Development Office in the Add or Change a Posting error message shown above. You also can click on List my employer so I can post Employment Opportunities in the Career Opportunities menu. You then will see an message to be sent to the Wofford Alumni/Development office. Enter the organization name, address, and phone number along with your name and position. Send the message when you have entered the information. NOTE: There may be a delay of one business day before your employer has been assigned an ID in our database. September 18,

16 Review Opportunities You Posted At some point after you have posted an employment opportunity, you may want to delete the listing or change the listing in some way. To do this, select Review Employment Opportunities you posted in the Career Opportunities menu. You should see a list of the opportunities you have posted. To make a change in or delete a posting or to see more detailed information about the posting, click on the job title. In this example, suppose that you want to make a change in the Media Specialist listing. Click on the job title, which is linked to its job description. September 18,

17 If you want to remove this job, click on Delete this Posting. If you want to make a change in the job description, for example change the last date on which applications will be accepted, click on Change this Posting. In the latter case, you will see the Change or Add Posting web page again, on which you can make the changes you desire. The Voluntary Support Menu To reach the Voluntary Support menu, click on that phrase in the Alumni Services menu. On this menu you can make an online pledge or donation, or view your giving history. 18 Make a Pledge If you would like to make a pledge online, click on Make a Pledge in the Voluntary Support menu. You can enter the Dollar Amount of your pledge. You can designate the Campaign or Designation for the pledged funds. September 18,

19 You can specify the Duration of the Pledge and the Frequency of the Installments. You also may specify the Start Date. NOTE: The date must be entered as MM/DD/YYYY, for example 01/01/2006. When you are ready, click on Send Pledge. NOTE: There may be a delay of one business day before an online pledge is displayed in your Giving History. View Your Giving History To view a list of your gifts and pledges to Wofford, click on View Giving History in the Voluntary Support menu. September 18,

20 You will see the totals for your giving listed by fiscal year. You also can list your gifts and pledges in several other ways. Make an Online Donation To make an online donation using your credit card, click on Make a Donation in the Voluntary Support menu. This will send you to the web page. Click on Make a Gift Today to make an online donation. September 18,

21 Alumni & Friends Web Page Clicking on Wofford Alumni & Friends Web Page will send you to the Alumni & Friends web page on the college web site. Contact the Alumni/Development Office Clicking on Contact the Alumni/Development Office will create an message that you can send to this office. September 18,

22 Appendix: For First-Time Users of Web for Alumni Personal Identification Numbers (PINs) To enter a Secure Area, Web for Alumni requires a User ID and a PIN. Your User ID will be an uppercase W followed by an 8-digit number, such as W This number will have been sent to you by the Wofford Alumni/Development Office. Your initial PIN is your birth date (MMDDYY). If your birth date is not recorded in Banner, then your PIN will be the last 6 digits of your User ID (e.g., ) The first time you use Web for Alumni, you will be required to change your PIN to any 6-character combination of letters and numbers. If you forget or lose your PIN, you can use your verification security question (described below) to reset your PIN to your birth date. Do not try to guess your PIN. If you enter the wrong PIN five times in succession, your Banner account will be locked. If you forget or lose your ID or PIN and have problems with the verification question, you must call the Alumni/Development Office at or They will reset your PIN to your birth date. Entering the Secure Area for the First Time The Secure Area is your own personal area on Web for Alumni. You need your Banner ID and PIN to enter the Secure Area. Click on Enter Secure Area. Enter your User ID and PIN. The W in the User ID is uppercase. When you log in for the first time, your PIN is your birth date MMDDYY (if your birth date is January 25, 1983, your PIN would be ). If this does not work, try the last six digits of your User ID. Click on Login September 18,

23 When you log in the first time, the system will prompt you to enter a new password. Type in your old PIN (MMDDYY) and enter a new PIN twice. The new PIN must have 6 characters numbers or letters. REMEMBER YOUR NEW PIN. You will need it to access Web for Alumni again. Click on Login Next, enter a Security Verification Question and Answer so that you can get your PIN if you forget it. The question can be anything. Keep the answer short. Click on the Submit button. At this point you will be in your Secure Area. NOTE: For security reasons, Web for Alumni is set to time-out after fifteen minutes of inactivity. If this happens, you will be prompted to enter your User ID and PIN again. September 18,
