4 CONNECTING TO DEVICES CONNECT TO LAST VIDEO RECORDER Connecting to Last Video Recorder enables users to quickly access the most recently connected device. You must check 'Remember Password' when connecting to the device to enable connecting instantly. If you don t you will be prompted to enter the password every time (Figure 1). SELECT OTHER VIDEO RECORDER Browse and connect to Video Recorders by either scanning for them or manually connecting to them by tapping 'Select Other Video Recorder' (Figure 1). SCANNING FOR DEVICES To scan for available devices on the same network, tap 'Scan.' Devices will appear as they are discovered. To cancel a scan early tap 'Stop' (Figure 2). Note: Devices are discovered using a UDP broadcast. Networks must support UDP broadcasting for device discovery to work. FIGURE 2 FIGURE 1 PG003

5 CONNECTING TO DEVICES (CONTINUED) MANUALLY CONNECTING If your network doesn t support device discovery, or if you know the IP address of the device you would like to connect to, you can connect to it directly (Figure 3). FIELDS IP Address (required) - You will need the IP address of the device you would like to connect to. Display Name (optional) - This gives you the option to rename the device associated with this IP Address (ex: Operating Room 1, etc). User name (required) - You will need your user name to authenticate against the device with. Password (required) - You will need your password to authenticate against the device with. Remember password (optional) - When enabled, the password entered will be stored. The username is stored by default. To allow for quick connection to a device enable this feature. USERNAMES AND PASSWORDS Usernames and Passwords are managed on the Video Recorder. Each user added on the Video Recorder has access the Video Recorder with the MedXStream application using his/her username and password (Figure 4). Each recorder comes with a default user 'admin' with a password of 'admin.' Although the default 'admin' user is technically a user, it cannot be used without first changing the default password of 'admin.' This is to ensure that unauthorized users cannot access the system with default credentials that are shipped with every Video Recorder. FIGURE 4 After the required fields have been entered, tap 'Connect' (Figure 3). A prompt will be given if the device could not be found or the credentials are invalid. Pressing Forget will remove the device from internal storage as if has never been connected to before. FIGURE 3 PG004

6 DEVICE DEVICE HOME (Figure 5) Current Case - Allows you to view the current case being performed on the device. If no case is currently in progress, a notification will be given. Review - Allows you to review all the cases on the device. Cases, stills and videos can be downloaded in this section. Worklist - Allows you to manage (add/update/remove) the worklist on the device. Annotations - Allows you to manage the annotations exactly the same way as 'Settings > Annotations,' but with the option to download annotations from the device into MedXStream for future use. Keypad - This feature is only visible when connecting to an EvolutionHD Recorder. A keypad and keyboard can be used to control the EvolutionHD remotely. Info - This displays information/settings about the currently connected Video Recorder. Disconnect - Allows you to disconnect from the device. DEVICE INFORMATION The Device Information page is used to display information about the connected Video Recorder, as well as manage a few settings (Figure 6). Display Name - The friendly name of the Video Recorder (Operating Room 1, etc). IP Address - This is the IP Address of your connected Video Recorder. Username - Shown here will be the username that was used to connect to the device. Auto download stills - When enabled and when the device is available, stills from the current case will be automatically downloaded without any action needed if selected. Services - A list of all the services and their versions running on the connected Video Recorder will be shown here. This is useful for feature and support requests. FIGURE 6 FIGURE 5 PG005

7 REVIEW/CASES LOCAL VS REMOTE There are two ways to browse cases in the MedXStream application. Each mode has a similar user interface with slightly different actions available to the user. LOCAL Local cases are accessed using 'Cases' on the Home Page of MedXStream (Figure 7). All the cases, stills and videos visible within this section are locally stored on MedXStream and can be accessed without a connection to the Video Recorder or Wi-Fi. If multiple cases are downloaded from multiple Video Recorders, they will all appear in this single location. Since media items and cases are stored locally more features are available, such as ing, reporting, annotating, etc. REMOTE Remote cases are accessed when connected to a Video Recorder (Figure 8). Only cases, stills and videos available on the Video Recorder selected will be displayed. Users are unable to perform some actions ( ing, reporting, annotating, etc) without first downloading stills or videos from this location to local cases. However, if a remote still or video is being viewed, but it has been also found locally (meaning it has been previously downloaded), then the additional actions will become available from within this location (such as ing, reporting, annotating, etc). 8 REVIEW/CASES (CONTINUED) SEARCHING CASES When reviewing cases (Local or Remote), you may filter your view by providing search criteria. The FirstName, LastName and PatientID fields are used to determine the cases that should be displayed (Figure 9). FIGURE 9 DELETING CASES Local - When deleting cases from the local section, they will be removed from the internal database and file system. Remote - When deleting cases from the remote section, you will be prompted to perform one of the following (Figure 10): Delete Locally - Only delete the case locally (if it has been downloaded). If the case has not been downloaded already, the request will be ignored. Delete Remote and Locally - Delete the case from the Video Recorder, as well as the internal database. FIGURE 10 PG007

9 REVIEW/CASES (CONTINUED) CASE INFORMATION Information about the case may be viewed from the Review section. When connected to a device (remotely), only the configured patient fields will display. When viewing a case locally, all the patient fields will be displayed. No patient data will be present if the 'Stripping Patient Data' feature has been enabled on the Settings page. DOWNLOADING STILLS/VIDEOS When connecting to a Video Recorder remotely, you have the option to download stills and videos (Figure 11). Downloads are queued and processed one at a time. When a downloaded has been completed, the media item (and its associated case) will now be available for offline access, ing, reporting, annotating, printing, etc. If you would like to cancel a media item that has been queued for download, follow the same process to download the media item, but instead of tapping 'Start,' tap 'Stop.' This will cancel the download and remove all content associated with the case items that had started downloading. When connected remotely to a Video Recorder, if any new stills or videos are added to the case from the Video Recorder at the time you are viewing the case in MedXStream, the newly added stills or videos will automatically appear. Likewise, if any stills or video is deleted from the Video Recorder, they will automatically disappear in MedXStream. FIGURE 12 PG008

10 REVIEW/CASES (CONTINUED) DELETING STILLS/VIDEOS Local - When deleting media items locally they will be removed from the internal database and file system. Remote - When deleting media items remotely, you will be prompted to perform one of the following (Figure 13): Delete Locally - Only delete the case locally (if it has been downloaded). If the case has not been downloaded already, the request will be ignored. Delete Remote and Locally - Delete the case from the Video Recorder, as well as the internal database. FIGURE 13 VIDEO PLAYBACK Videos can be played back in MedXStream. If the video has been downloaded, the local video file will play. If you are remotely viewing a video, the playback will be live-streamed directly from the Video Recorder. During video playback, the user has the option the live stream the video directly to an AirPlay compatible device (AppleTV, etc) (Figure 14). Note: When live streaming video playback directly from the Video Recorder, large video files may take a few minutes to buffer due to the High Definition video capture by the Video Recorder. For a smoother playback, download videos locally to avoid network buffering. Note: Videos may be very large and could quickly utilize available disk space within the MedXStream application. 11 REVIEW/CASES (CONTINUED) STILL/IMAGE EDITING Stills can be edited for presentation or educational purposes (Figure 15). Note: Only downloaded stills can be edited. To edit an image from a Video Recorder, first download the still locally. You can edit the size, font, color, etc. of each annotation by tapping on the annotation and selecting 'Inspector' (Figure 16). FIGURE 16 PG010

12 REVIEW/CASES (CONTINUED) ADDING SURGICAL DESCRIPTIONS By tapping the 'Dd' icon you will be able to access all of your pre saved surgical descriptions as well as create new surgical descriptions to add to your still. You can edit the size, font, color, etc. of each description by tapping on the description and selecting 'Inspector.' You may also edit the text displayed by selecting 'Edit' (Figure 17). ADDING ARROWS By tapping the ' ' icon you will be able to create new arrows to add to your still. You can edit the color, opacity, thickness, etc. of each arrow by tapping on the arrow and selecting 'Inspector' (Figure 18). FIGURE 18 FIGURE 17 PG011

13 REVIEW/CASES (CONTINUED) ING STILLS Still images can be sent by (Figure 19). Videos are not supported due to file size limitations. Note: Only downloaded stills can be ed. To an image from a Video Recorder, first download the still locally. FIGURE 19 OPENING VIDEOS/STILLS 3RD PARTY On ios devices, 3rd party applications can register themselves to open certain files. For example, applications can pass videos to imovie and PDFs to DropBox (Figure 20). Note: Only a single video or still can be opened in another application at once. If multiple stills or videos are selected, the 'Open In' option is hidden. The still or video must be downloaded locally. FIGURE 20 PG012

14 REVIEW/CASES (CONTINUED) AIRPRINT STILLS Multiple stills can be selected and sent to any printer that supports AirPrinting on the same network (Figure 21). View Apple s AirPrint Basics page to see if your ios device and printer are eligible for AirPrinting. Note: Only downloaded stills have ability to be printed. FIGURE 21 DOWNLOADING STILLS TO 'PHOTOS' Stills can be exported to Apple s 'Photos' application for other uses. Stills are downloaded into the Photos application and into an album named after the 'LastName, FirstName' of the case. If no data is associated with the case, the media items are added to an album named 'Unknown' (Figure 22). Note: Only downloaded stills have the ability to be exported to the Photos application. 15 REVIEW/CASES (CONTINUED) OPENING STILLS FROM 'PHOTOS' IN 'KEYNOTE' By saving stills to 'Photos' you have the option to use 'Keynote' to reopen your images and add them to a current or new presentation. REPORTING STILLS Multiple stills can be included into a single PDF for reporting purposes. After selecting images to report, a report generator will be displayed to give the user the ability to modify parameters of the report (Figure 23). COVERSHEETS When generating a report, you have the option of including or excluding a coversheet that has been previously loaded into the application (see 'Settings > Coversheets'). If a coversheet is selected, it will be appended to the first page of the report (Figure 24). FIGURE 24 Note: Only downloaded stills have the ability to be reported. FIGURE 23 PG014

16 REVIEW/CASES (CONTINUED) HEADERS AND PATIENT FIELDS When generating a report, the user has the option to include content on the header and footer (Figure 25). HEADER The header text will appear in the upper left section of each page (excluding the coversheet) of the report. PATIENT FIELDS Different patient fields can be included onto the bottom left and right of each page (excluding the coversheet) of the report. These fields include First name, Last name, Patient ID, Study Date. FIGURE 25 MODIFYING REPORTS After the report has been generated and is visible, it can be further edited. ADDING ANNOTATIONS Tap the Pad and Pencil icon. By tapping the 'Aa' icon you will be able to access all of your pre saved annotations as well as create new annotations to add to your still. FIGURE 28 Note: When adding Surgical Descriptions to the coversheet, they will be auto positioned to the 'Info' section of the coversheet. 18 REVIEW/CASES (CONTINUED) ADDING AUDIO FILES Audio files can be added to a report for Notes. Tap and hold the Photo icon. By tapping the ' ' icon and tapping in a location on the page you will be able to create new audio files to add to your report (Figure 29). FIGURE 29 SHARING REPORTS After the report is been generated and modified it can be shared 3rd Party, by or AirPrinting. Note: When a password has been set for PDFs (see 'Settings > Reporting PDF Password'), the password will be needed to view the document. OPENING 3RD PARTY A report can be opened in 3rd Party applications for further modification or sharing (Figure 30). FIGURE 30 PG017

20 WORKLIST WORKLIST Your worklist on the Video Recorder can be managed from MedXStream. Worklist gives you the option to prepopulate with patient data to allow for quick access the day of their surgery. ADDING/EDITING CASES To add or edit a case, either tap '+,' or select a case from the worklist you would like to edit (Figure 33). Each case can have a performing physician and each physician has a set of enabled/disabled/custom fields. When changing the performing physicians, the worklist will display only the relevant fields needed for adding and updating cases. DELETING CASES When viewing all the cases in the worklist, you can delete individual cases by tapping 'Edit' and selecting the red indicators to delete the case. You can also select cases to delete by swiping left on the desired case to show a 'Delete' icon (Figure 34). FIGURE 34 FIGURE 33 PG019

21 KEYPAD KEYPAD With 'Keypad' in MedXStream you are able transform your ios device into a portable remote and keyboard. This remote allows you to have full control of your Video Recorder s functions (Figure 35). COMPATIBLE DEVICES For the time being, the only Device compatible with 'Keypad' is the Med X Change EvolutionHD. If connected to one of our other devices the keypad icon/feature will not appear (Figure 36). FIGURE 35 FIGURE 36 PG020

22 ANNOTATIONS ANNOTATIONS Creating and saving a list of frequently used annotations allows you recall annotations quickly. ADDING AN ANNOTATION To add a new annotation, tap 'Annotations' and tap '+.' Enter the annotation text. Tap 'Save' to persist for future use (Figure 37). FIGURE 37 DELETING AN ANNOTATION When viewing all your annotations, you can delete individual ones by tapping 'Edit' and selecting the red indicators to delete the desired annotations. 23 SURGICAL DESCRIPTIONS SURGICAL DESCRIPTIONS Creating and saving a list of frequently used surgical descriptions allows you recall descriptions quickly. ADDING A SURGICAL DESCRIPTION To add a new surgical description, tap 'Surgical Descriptions' and tap '+.' Enter the title and description. Tap 'Save' to persist for future use (Figure 40). DELETING A SURGICAL DESCRIPTION When viewing all your surgical descriptions, you can delete individual ones by tapping 'Edit' and selecting the red indicators to delete the desired surgical descriptions. You can also select surgical descriptions to delete by swiping left on the description to show a 'Delete' icon (Figure 42). 24 SETTINGS IGNORING PATIENT DATA When 'Stripping Patient Data' is enabled, all cases and media items downloaded from a Video Recorder will have all patient data removed. It will appear locally as an 'Unknown' case (Figure 43). FIGURE 43 COVERSHEETS Coversheets are used as the first page in a report. It can be used to present information about the procedure, case and facility. When creating a report from stills in a case, you have the option of selecting one of multiple coversheets to include in the report (Figure 44). FIGURE 44 PG023

25 SETTINGS (CONTINUED) ADDING A COVERSHEET To add a new coversheet, select the '+' icon. Enter a title to be associated with this coversheet. You then you must supply the actual coversheet to be used. This coversheet can generated multiple ways: From Template This option will present the user with some fields to enter. When finished, a predefined template will be created with the data positioned into the correct location. Blank This option will create blank PDF for the user to create a coversheet entirely from scratch. Text, images, lines and more can be added to the coversheet (Figure 45). EDITING A COVERSHEET To edit an existing coversheet, tap 'Settings' followed by 'Coversheets.' Select the coversheet from your list to edit (Figure 46). There are two ways you can edit an existing coversheet: FIGURE 46 After a coversheet has been created and it has been given a name, tap 'Save' to save this coversheet for future use. FIGURE 45 GENERATE By Selecting 'Generate' you will replace the PDF with a blank or template PDF (Figure 47). Changes will not be persisted until you tap 'Save.' FIGURE 47 PG024

26 SETTINGS (CONTINUED) MODIFY By Selecting 'Modify' you will be able to edit the existing coversheet you have created (Figure 48). Changes will not be persisted until you tap 'Save.' 27 SETTINGS (CONTINUED) REPORTING PDF PASSWORD A reporting PDF password can be used to encrypt and protect reports when sharing them with others. If no value is present, then reports will not be protected. If a value is provided, the value given must be used to unlock a generated report for viewing (Figure 50). FIGURE 50 REPORTING LOGO A reporting logo can be uploaded from the Photos application to be included on all pages of your report, including the coversheet. MedXStream ships with a default logo. It is recommend to change this logo to an image the represents the facility or organization. CHANGING REPORTING LOGO To change the logo, tap 'Settings' and select the current logo. From the Photos application select the logo you wish to use (Figure 51). Note: When a logo has been selected, it is copied internally into MedXStream and may be deleted from the Photos application.
