3 The inspection tool lets you inspect a document for metadata, like author information, headers and footers, and other information that may be hidden in your document before you post it in a public setting or send it to others. In 2010, under info in file, you get a summery of some things that could possibly be in your document and then have the option to remove or edit those things. You will be shown an initial summery of possible problems, and then you are able to choose the check for issues option to see more detail about these problems. *Be sure to save your document before you run the inspection, or you could lose some changes. 9

4 There are other things that the inspection tool can look for, such as problems for people with disabilities and compatibility with other versions. There are several things that can show up as a problem for people with disabilities, like if you have too many blank spaces in your text. If someone is using the page reader, the reader will read blank for each of these spaces, and the person may think that the text has ended and may not continue reading. If you work with people who are on other versions of Word, it can also be important to check to see if people on other versions will be able to read or edit the document. The Compatibility inspector will let you know if others will be able to use the document. 10

6 Great if you need to share a confidential document, but don t want to alter the document by deleting all of the words or names. You have the choice of either going through and individually deleting certain words (like I ve done in the example) or you can choose to mark all of a certain word. Once you ve highlighted all the words you d like excluded, choose redact and a new document will be created with those words or names blacked out. You ll also still have a copy of the document with those words intact. Go to the link for the quick download. This example is in Word 2007 because the 2010 version hasn t be released yet, but it can be expected very soon. 12

7 The permissions option combines several features from old Word versions into one place. This is where you can choose to add a password, mark as final, allow permissions to other users, or add a digital signature. This can be a real helpful tool if you plan on sharing your document with other people, but want to keep control of who can see it. Setting a password is very easy, and can give you great protection against unwanted people opening your document when it contains confidential information. By marking as final, you are showing all other users who access the document that this is the final version. Adding a digital signature is a little more complicated than the others, and you ll need to access a 3 rd party program that offers those services, although Word 2010 will be compatible with those services. 13

8 There are a couple things to note about using a password; if you forget the password, it CANNOT be changed. You will not be able to access the document and change the settings without the password, so be sure to keep a list of passwords. Although it may seem inconvenient, this does provide secure and reliable protection for your document. Also, if you change your mind and decide that you would not like to have a password, once you are in the document (have entered the password) you can choose to change the password and simply delete it. This will take the password off of your document. 14

9 While in the permissions options, you can also make other choices to finalize the document. By choosing to mark as final, the document will be saved as a read-only and no more edits will be allowed. It will also indicate to all other users that the document is now in it s final form. In permissions, you also have the option to restrict editing, where you can choose what others can do to the document. You can set it so that others can view and edit, add tracked changes, or only view. You can also choose specific users that can do some things and not others. 15

11 Add a Watermark to your document for a very professional finished look. You have several choices of premade watermarks already installed, or you can choose to customize your own. You can even upload your company s logo, or write out your own text that you d like to include. If you re not sure what you re looking for, you can go to the Word 2010 website and view hundreds of extra premade watermarks to download. 17

13 Like in other Word versions, you have several choices of how you d like to view your document. Each of them can be helpful in different ways, although the most popular is probably print layout. You can change between these views without altering your document. This screenshot is under the views ribbon, but all of these viewing options are also available as icons along the bottom right of your Word screen. 19

14 Like Word 2007, documents in 2010 save as.docx files. If you re working with anyone who has 2007 or up, this won t be a problem, but it s important to know if you re working with people who use 2003, because you do have the option of saving the document in an older version. This version will then be available for other users to open, as well as those with new versions (in compatibility mode ). You also have the option of saving the document as a PDF, which will create a new document and save to Your Documents with the same file name. You will then have 2 documents, the original.docx document and the new.pdf document (this is helpful if you need to later change something in the.docx file). 20

15 One of the biggest view differences in Word 2010 is probably the printing view. But before you get too intimidated, it is mostly the same options with a different look. They also combined the print options and the print preview view they had in older versions. In 2010, you can see the print preview to the left of the print options, all on the same page. On this page you can choose your printer, which pages you would like to print, paper sizes, margins, single or double sided, and more. 21
