4 2018 Application Outline for New Technology Presentations 1. Date: September 5 (Wed.) 7 (Fri.), Venue: APA Hotel & Resorts Tokyo Bay Makuhari Hotel New Otani Makuhari (adjacent to the show venue) About 15 rooms with the capacity of 100 or 200 persons will be reserved. 3. Eligible Participants: Exhibitors of JASIS 2018 (for general booth exhibitors only) 4. Themes: Topics related to analytical and scientific instruments and technologies 5. Duration: 50 min. or 25 min. session (Please refer to the article (7) of 13. Notes below.) Please select 50 min. or 25 min. session (with or without simultaneous interpretation) 6. Fees: 1) 50 min. session ( 150,000 / session) 1.08 Consumption tax 2) 25 min. session ( 90,000 / session) 1.08 Consumption tax < Simultaneous Interpretation (Optional) 2018 Special Fee > 50 min. / 25 min. session [2018 Special Fee] (Regular Fee + 30,000) / session 1.08 Consumption tax 1) or 2) [Regular Fee] 1) 50 min. session: ( 150,000 / session) 1.08 Consumption tax 2) 25 min. session: ( 90,000 / session) 1.08 Consumption tax *Simultaneous interpretation optional plan includes the interpreter fee, all equipment and engineering fees including transportation, installation and dismantling. *Applications are accepted to apply both English-Japanese and Japanese-English simultaneous interpretation. *Application solely for the optional plan will not be accepted. *Please refer to 13. Venue & Facilities (6) and 14. Notes(7)-(10). *For consecutive interpretation, changes 1) & 2) are only be applied. However, interpreter must be arranged by the applicants. 7. Applications: Please apply by website ( Deadline for application: April 9, 2018 *If the number of the applications exceeded the total capacity, the late applications may not be accepted. *Because of the limited number of the rooms with the simultaneous interpretation, the late application for those sessions may also be rejected. 8. Payment of charges: Please wire the payment as instructed in the invoice sent at a later date. Deadline for payment: June 8, 2018 Please note that the payment would be carried out neither in cash nor in checks. (Fees are not refunded after the presentations program has been fixed.) 9. Session script submission: The Organizing Committee will request the submission of the session script to be published in the Official Guide Book and the other materials at the end of March, Materials to be submitted; Session Title (English (mandatory) and Japanese (if available)) Session Abstract ((English) (mandatory) or Japanese) Request of 200 person capacity conference room Deadline for submission: April 17, Determination of programs: The Organizing Committee will coordinate the number of sessions (themes) and decide the program. The sessions with simultaneous interpretation will be programmed and gathered in one room of Hotel New Otani Makuhari. (The consecutive sessions would not be restricted.) The program and the room assignments for the presentations will be informed to the exhibitors by by the end of June Changes of the presentations: Please be noted that after the session abstracts have been submitted and the presentation program has been fixed, the cancellations and the changes of the presentations (i.e. numbers, contents etc.) are not accepted. 12. Advertisement: The outlines of the presentations will be mailed to exhibitors and their clients in advance. And the same information will be provided by our web site. Presenters are expected to undertake the sufficient public relations with the audiences in advance. 13. Venue & Facilities: (1)About 15 rooms with the capacity of 100 or 200 persons will be reserved. (2)Presentation venues are scheduled at APA Hotel & Resorts at Tokyo Bay Makuhari and Hotel New Otani Makuhari. (3)Desks, chairs, screens, pointers, and audio systems will be prepared by the organizer. (4)The presenters must supply their own PCs with the relevant data loaded there in. In case of unexpected occurrences, please bring a USB loaded with the data. (5)LCD projector is provided at no charge. We also provide a room where the presenters can check the connectivity between the LCD projector and a presenter's computer before the presentation. (6)For one of 15 rooms (One at Hotel New Otani Makuhari), the organizer will set up the simultaneous interpretation equipment. Because of the change over time constraint, all of the sessions with the simultaneous interpretation will be programmed in this room. Each presenter is expected to be preconditioned with the interpreters directly to be certain with the quality of the interpretation. (7)The consecutive interpretation need to be arranged by the presenters. 14. Notes: (1)Excess capacity of the audience is prohibited. The Organizing Committee may stop people entering the room if the room capacity is exceeded. This measure is for the safety of the visitors. We appreciate your understandings and cooperation. (2)Because of the visitor's safety, please apply for 200 person capacity conference room in advance. (Upon the submission of the presentation outline, please identify the preferred room capacity. The changes are the same for both room types. However, a number of the 200 person's room is limited.) (3)Request for 100 person capacity conference room will not be accepted. (4)The distribution of gifts, foods or refreshments to audiences is prohibited. Officials may request to stop the presentation in case that such actions are observed in the session. However, below cases will be allowed. Distribution of small presents or exchange tickets for technology materials in order to promote the visitation to the exhibition venue Distribution of announcement documents by an envelope or a plastic file (with company name or logo) Distribution of clip pencils (with company name or logo) for answering the questionnaire (5) Use of hazardous substances is prohibited (such as pressurized poisonous combustible gasses, malodorous substances) (6)Instruments and equipment related to the presentation contents is available to be brought into the room except the restriction articles of the local regulations. (7)The presentations in any languages are accepted. For the presentations other than Japanese or English, the presenters are expected to arrange the interpretation. Please identify the presentation language (other than Japanese) to be used with or without the interpretation by stating "English without interpreter", "French without interpreter" and so on, when you submit the presentation outline (Starting from March 22) for the audiences' convenience. (Details are to be informed after the application would be registered.) (8)The sessions with the simultaneous interpretation will be programmed in a designated room. And the organizer will arrange the interpreters and the equipment. (For the sessions with word-for-word interpretation, presenters need to arrange the interpretation at their cost.) (9)Because of the capacity's limitation, a number of the sessions with the simultaneous interpretation will be limited. Therefore, the late application may not be accepted. Please apply at your earliest convenience. (10)Organizer will set the highest level of the interpreters and the equipment. However, the organizer is not in the position to assure the quality of the interpretation. Each presenter is expected to be preconditioned with the interpreters directly to be certain with the quality of the interpretation. (11)Please distribute the materials such as the abstracts and/or the brochures at the room entrance on the day. (12)The 50 min. or 25 min. time allotted for each session must include the time of the presentation, the Q&A, the filling out and the collection of the questionnaires and the vacating of the room. Please be punctual. (13)Please keep noise levels down so as not to disturb the adjacent rooms. (14)As long as the purpose is for company records, video and audio recording equipment may be brought into the JASIS New Technology Presentation room by the presenting companies only. (In the case of a video recording, a video recording permit is required from the JASIS Organizing Committee.) Live broadcasting or public release of the audio or visual media (eg. TV, radio, Homepage, on demand media, etc.) either during or after the exhibition, is strictly prohibited.
