9 INDEXING METHODS Do you have DATA from other Applications or Computer systems? Total number of Index Points OK for Microsoft Access? YES How many fields are there and which ones do you want to import? Use Look-Up Append Feature! NO Prior Computer DATA is NOT available Would new powerful Search capabilities of current and future Data be useful? How many Fields must be available? What are the number of pages per File? What should the Field Search Sequence be? (Max. 20 Fields!) Remember: The Index field Sequence may be rearranged in! Design Indexing procedure to save labor! Could the KEY FIELD be Bar Coded? Could the KEY FIELD be OCR'd? Additional Labor Savings! Can a Bar Code label be attached to the Key Document, or can a Bar coded Sheet be inserted as a File Lead Sheet? For manual Key Entry: Re-arrange Index Fields to match information layout on the document image and use ZOOM ZONES! Could full image OCR be used with full text search?

12 INDEX FOLDER and SCAN (NOT BATCH FORMAT F2/F5) From FILE / Preferences Menu Set Imaging Options to: Single Page TIFF Images / Folder Files OPTIONAL: Select Multi Page TIFF Images for Image and Index Export to other Imaging Systems Set Imaging Options to: Single Page TIFF ImagesNOFolders New File Add images to existing File Each Document is a new File F2 key Starts new File, scans first Document in Feeder and opens indexing window. Search Database for a specific file. F2 key Starts new File, scans ONEDocument in Feeder and opens indexing window. Key enter index information Click OK or push F8 key. Stores Index Files in Database and completes scanning of all Documents in Feeder F5 key scans documents in Feeder and adds it to open file. (System may pre-scan another page depending on scanner used) Key enter index information Click OK or push F8 key. Stores Index File in Database F2 Key for new File or F5 key to add pages to opened file.

13 PRODUCTION BATCH SCANNING From FILE / Preferences Menu Set Imaging Options to: Single Page TIFF Images / Folder Files OPTIONAL: Select Multi Page TIFF Images for Image and Index Export to other Imaging Systems Set Imaging Options to: Single Page TIFF Images NOFolders Files with multiple images and File Separator Sheets ADD IMAGES to existing Files Files without multipleimages and NO Separator Sheetse Each Document is a new File Select SCAN BATCH Enter Batch number and click OK scans all Document in Feeder Search Database for a specific File! Select SCAN BATCH and place first Folder into Feeder Select SCAN BATCH Enter Batch number and click OK scans all Document in Feeder Select SPLIT IMAGE FOLDERS. Select correct BATCH Click Ok. F5 Key scans one document at a time to the open File. Select START All documents in Feeder are scanned Select INDEX from IMAGE and select correct BATCH Select: INDEX IMAGES and select correct BATCH then key Index Image Select NEW FOLDER and place new Folder documents in Feeder Index each image Click OK or push F8 key. Stores Index File in Database and displays next image. Click OK or push F8 key. Stores Index Files in Database and displays next image. Select START All documents in Feeder are scanned... Exceptions? Occasionally add displayed image to previous image: Push F12 KEY

Enter data into field(s) in "Text Contains", "Starts with" or "Exact Search" Mode Result: Single "Hit" Images are displayed on "thumbnails" Multiple hits: Double click on desired "Hit" Record Enter word(s) into OCR field Boolean Search: John Miller = John OR Miller must be on page John AND Miller = both names must be on page John AND Miller AND Mary = all three must be on page "John F. Miller" = must match exactly as shown One image found 2+ images found No image found

Note OCR Hit Page number (ie. OCR HIT 76) OCR hits did not yield correct pages in file folder Click on STANDARD Button Display switches from OCR HIT diplay to desired page number in main file folder (ie. Page 76) Not the correct page? Click on OCR button to switch back to OCR hit display. OUTPUT Highlight* wanted images... Click on Tools menu and select: Convert to PDF... Launches Acrobat Viewer automatically Open (click on) desired Distribution Folder Highlight* desired images (* How? Control click on ea. image or shift/click on 1st and last image). Right mouse click on Distribution Folder then click on "add images to folder" OUTPUT Use image correction, annotation, etc. and distribute images via right mouse click on Distribution Folder
