1 Golf Computer Systems Version June 2009
2 Introduction Golf Computer Systems is a software module designed to work with magnetic stripe or RFID door access systems, allowing them to integrate with an existing GCS Membership database. How it works A magnetic card reader is used to receive card swipes from members at the club. The Door Access application uses this data to identify this member in the GCS Membership database. If found a number of checks are made to determine if this member is allowed access and if so a signal is sent to the serial port to activate a door unlocking mechanism. Magnetic or RFID card reader Door unlocking mechanism application GCS Database Door access log file GCSLog.txt file The application also contains a number of rules that can be checked before the database is queried to allow certain cards to be always rejected or always accepted. All card accesses, whether granted or denied are recorded in a log file and where a member has been identified, against that member s facility access log. 3 The main form: Status The current status of the database connection and the serial interface are displayed. The details of the last swipe received are briefly displayed. The configuration cannot be changed while the Interface is Active. The system tray also displays information about the state of the application: Status App Tray Meaning Inactive The program is inactive and the settings can be modified. Also used to show Database not connected. Active The program is waiting for door swipes. Also used to show Database is connected. Door Open Only displays while the door open signal is active. A successful swipe has been read. Access Denied Only displays for a few seconds after a failed access attempt. Program Error An error has occurred, see the GCSLog.txt file for more information Exception An application exception has been encountered, see the GCSLog.txt file for more information and inform GCS. Configuration The Configure button is enabled when the interface is inactive. This allows configuration of the behaviour of the application. This form is divided into sections: Options Lookups Output Signal Inclusions General program options. A list of Lookup Tables used by MMS Settings for the door open signal that is sent to the serial port. A list of card numbers or swipes that are always permitted. Exclusions A list of card numbers or swipes that are never permitted, even if they are valid membership or Golflink cards. 3
4 Options Application Registered Name Registration Code Registration Expires Log Filename Hide application on startup Auto-start interface Close button hides application GCS Database Nexus Server Alias Card Reader Serial port The name of the entity this application is registered to. The registration code. Please contact GCS to obtain this code. Without a valid registration code, the interface cannot be started. This is filled in by the application to indicate when the registration code will expire. All door access attempts are logged to this file. See the section on Access Logging for more information. This is only used to log access to the door, not program error messages. If checked, the application will start minimised. When checked, the interface attempts to start when the application is started. If the interface cannot be started due to an error, this error will be displayed. Changes the close button to a minimise button. Name or IP address of the GCS Nexus database server. Database alias. Default is FACTS. Specifies the serial port that has the magnetic card reader. This contains a list of the serial ports found on this computer when the program was started and can be set to the same port as the output device. Baud rate The data rate of the card reader. Default is Data bits Supports 7 or 8 bits of data. Default is 8. Parity checking Choice of None, Odd or Even. Default is None. Access Options Disable sequence checking Membership cards only This home club only Process only the last X Sequence numbers are used by the Membership Management System (MMS) to keep track of how many cards have been issued to a member. If a member reports a card as lost or stolen, the sequence number is incremented and a membership card is created with the new sequence number and given to the member. If this option is not enabled then only the current membership card will be accepted. Enabling this option will prevent non-membership cards, such as Golf Link cards, from accessing the system. Enabling this option will disable the This home club only option. Enter a five digit Golf Link club code. This option will prevent access to Golf Link cards from clubs other than the one specified. This option is only used if Membership cards only is not enabled. Only the last X digits of the swipe will be read and processed as a membership number. Default is 5. 4
5 Lookups The Lookups are a list of fields used by the Membership System. These are properties that members have that can be used to filter access. This list contains all the entries found in the Lookup Table and two additional entries: <Blank> and <Not Found>. When a card is read and the member is identified, the member s details are compared to the Lookups and only those member s whose details match all of the selected Lookup values are permitted entry. If the member does not have an entry for a particular Lookup, the <Blank> entry is used. If the member has an entry that was not found in the Lookup table, the <Not Found> entry is used instead. Output Signal This section is used to configure the signal sent to the door when a successful card swipe has been received. The waveform chart is only a guide and does not necessarily indicate the actual voltage on the serial port. At this time, a failed card swipe does not cause an output signal. A future release may include the option to specify a failure output to alert the swiping member or security that the attempt has failed. Output Signal Serial port Specifies the output serial port for the door access signal. This contains a list of the serial ports found on this computer when the program was started and can be the same serial port as the card reader. Invert signal Check this to invert the signal voltages. As per the diagram, the default is to hold the line at the low negative level and toggle it to high for the duration specified. Set on duration (ms) This is the period of time, in milliseconds, that the active signal will be sent to the serial port. Default is Output to DTR When checked, the Data Terminal Ready (DTR) line on the serial port will be toggled. Default is checked. Output to RTS When checked, the Ready To Send (RTS) line on the serial port will be toggled. 5
6 Inclusions and Exclusions The program supports two lists of cards that can be set to always allow (Inclusions) or never allowed (Exclusions). To add cards to these lists, click Add and enter the card number or swipe the card (keyboard swipe reader). Use Remove to remove a selected card or Clear to remove all cards. The Inclusions list can be used when there is no database connection. The Exclusions list takes precedence over the Inclusions list and database searches. These lists store the card numbers without hyphens, semicolons or question marks. Access Logging All card swipes are logged to the file specified in the Log filename option in the configuration area. This file must be kept separate from the GCSLog.txt file that contains application error messages. The log file format is the same as the GCSLog.txt file and can be viewed in Microsoft Excel or the GCS LogViewer application. File Format The file is a comma separated values (CSV) file with the following fields: DateTime The date and time the swipe was recorded. This is a floating point number that needs to be viewed in MSExcel. Information Always zero. IP Address The IP address of the machine that created this log entry. This is useful when there are multiple computers running the program. Result Success or Failure Reason The type of swipe detected for a success or reason for a failure. Swipe Contains the data received by the program from the card swipe. Success Reasons These are the possible reasons a card swipe was successful: Inclusion This card was found in the Inclusions list Membership The card was determined to be a membership card and was found in the Membership database. Golflink The card was determined to be a Golflink card and a member with this Golflink number was found. Other The card was found in the Membership database assigned to a member. In addition to being recorded in the specified log file, successful non-inclusion list card swipes are recorded in the Membership database as Facility Usage for the relevant member. To view this information on a per-member basis, use the History tab on the Member Details form. Select Facility Usage from the Comment Type list. 6
7 Failure Reasons These are possible reasons for an unsuccessful card swipe: Exclusion This card was found in the Exclusions list. No GL allowed The Membership cards only option is enabled and this card was determined to be a Golflink card. Wrong home club The This home club only option is enabled and this card was determined to be a Golflink card from a different home club to the one specified. Not a membership card The Membership cards only option is enabled and this card was determined to be a non-membership card. No database connection The database connection is not active; check the GCS Database options are correct. Membership not found The membership number was not found in the database. Sequence number incorrect The sequence number on the card does not match the current sequence number in the Membership database. GL number not found The Golflink number on the card was not found in the database. Swipe not found The card was determined to be not a membership or Golflink card and was not found in the card swipe database. Unknown type The card type could not be determined. Player ID not set The member could not be identified Main membership record The member was identified, but a main membership record was not found not found. Membership card has The Card Expiry Date has passed. expired Member details record not The member was identified but a member details record was not found found. Member has resigned A Date Left has been set in the past. <Lookup> lookup check There was a problem reading from the Lookup table called error <Lookup> <Lookup> lookup check The member does not have a required value in the specified failed Lookup table. Application Errors Errors or exceptions in the program are logged to the GCSLog.txt file in the same location as the DoorAccess executable. Use the GCS Log Viewer application to view this file. The GCS Log Viewer uses icons for information types: Image Status Information this information is used for debugging Warning the operation proceeded regardless Error the operation was halted due to a problem Exception an internal application error has occurred 7
8 Log Viewer The Log Viewer shows the contents of the log file and allows filters to be applied. In the filename field at the top, enter the path to the log file and press ENTER. Double click a log entry to open the Message Detail in a separate window. Click the types icons to toggle the four information types on or off. If the log file is very large, use the option to Load last X lines only in the Options screen. Click Refresh (or press F5) to re-load the log file. 8
