3 DGM Software Overview The DGM software expands the functionality of the system but it is important to remember that most of the data is stored in both the controller and the PC and to prevent synchronization problems, once the DGM software is used all programming must be done via the PC. DGM software runs under the Windows 95/98/NT operating systems. NT requires version 4.0 with service pack 3 or higher. The DGM suite of programs consist of 3 programs. DGM Comms This program handles all the communications with the DGM systems and allows programming of those parameters that are associated with installation e.g. Readers, Areas etc. This program must reside on the PC connected to the DGM system. DGM Administrator This program is used for programming, editing and reporting on Card Holders, Transactions etc. and is the main program used by the system operator. This program may reside on other networked PCs. Repair Utility. This program is used to test the integrity and where necessary repair the database files. This manual assumes that you have studied the DGM User Guide and are familiar with all the DGM functions. Conventions Most views that allow editing of tables have the following common buttons. Insert a new record Delete highlighted record Post (accept) record Cancel Edit Edit highlighted record Refresh data Pressing will send the selected record to the controller. 4 Data entry shortcut keys On most data entry forms the following keystrokes can be used. [Ctrl]+[Insert] [F2] [Enter] [Ctrl] + [Enter] - Insert a new record. - Edit selected record. - Go to the next field. - Post (Save) the record worked on. [Ctrl] + [Delete] - Delete selected record. [Esc] - Cancel Viewing Tables Many of the functions that allow viewing of tables have the following navigation buttons. First Record Previous Record Next Record Last Record Refresh data. 5 DGM Comms This program is normally installed to automatically run at the startup of the PC. If the Comms program is not running, it can be selected from the Windows Start Menu by selecting /Programs/DGM/DGM_Comms. Initial Log On To do any programing you must first log on by selecting File/Log On. The initial User Name and Password are shown below and although the 'admin' user name cannot be modified, its password should be altered to secure the system. User Name Password admin admin DGM Comms Window The DGM Comms window has a number of ways of indicating system status. Network Statistics The Network Statistics panel has a background colour that indicates the following: GREY BLUE YELLOW RED On-line and polling the system. System paused from menu Setup/Stop Polling (use Setup/Resume to restart polling - will take about 1 minute to resume.) Off-line -- no communication with the controller. Out of Sync -- the controller and PC database may have differing data. The Out of Sync state is determined by detecting that the controller keyboard was unlocked to allow editing and not by actual comparison of the controller and PC databases. The two may in fact be in sync if no editing was actually performed at the controller. DoorGenie Multi Software Handbook page 3 of 47

6 Status Indicators The right hand side of the lower bar displays the name of the current user. Sounding Alarm This indicates if any alarm conditions are active and their source. Active Time Zones This indicates which TZs are currently active. System Information Below the Active Time Zone box are some system statistics. Poll Indicator The bottom bar of the DGM COMMS window has an indicator showing the polling state. The background colour of the polling indicator shows the comm port activity. YELLOW GREY BLUE RED No activity on comm port. Activity detected on comm port. Comm port disabled by software. Comm port cannot be initialized. The colour of the polling indicator shows: RED GREEN PC has control of the DGM network. PC has relinquished control of the network. Under normal operation this will flicker between the two states. Alongside the polling indicator is a status message that will indicate the messages being sent to and from the controller. DoorGenie Multi Software Handbook page 4 of 47

7 DGM Comms - Menu Description This program sets up the parameters relating to the hardware installation. System Log Off The current user is logged off and the program access is taken to the lowest level. The program automatically logs off if there is no menu activity after a period of time. Log On Prompts for a User Name and Password. If passwords are forgotten it will be necessary to contact your dealer to get program access. Minimize Minimizes the DGM Comms application to the system tray at the bottom of the screen. Shut Down Quits the DGM Comms program. Setup Alarms Allows you to either activate or cancel the alarm relay on the controller. Areas Define and name areas. Controller Enables system features and Alarms -- see Controller section in this manual. Doors Allows all doors to be unlocked, locked or reset to normal operation. Individual doors may be set from Readers screen -- see Setup/Readers for details. Doors/Schedule Doors can be scheduled to be locked, kept open and operate normally -- see Door Schedule section in this manual. Ensure that the locks used are rated for continuous powered operation else they may be damaged using this function Readers Define readers -- see Readers section in this manual. Send All Tables Sends all the tables parameters for the DGM Comms and DGM Administration programs. DoorGenie Multi Software Handbook page 5 of 47

8 Tables are normally updated automatically. Only use this command if you suspect that the controller data is not up to date. During a send all tables the PC will add all configured readers back onto the controller. If for instance a reader with a address of 1 have been configured, but the controller does not know about that reader, the PC will add that reader to controller without any need to clear and reconfigure that reader. Unwanted readers have to be deleted manually using the Readers form (Setup/Readers menu item). Access levels and Time zone data are replaced. Tag records known by the controller are updated and unknown records are inserted. However, records that are now in the controller and which do not exist on the PC will remain on the controller. Use Setup/Purge tags menu item to remove these tags. Get All Tables Replaces Time Zone and Access Level data with latest data on the controller. Reader and Tag/Card Holder data are also uploaded and new records are added while existing records are updated in the relevant tables. All 16 areas will be defined with default description in the description fields for areas which was not defined on the PC. Manually delete unwanted areas using the Area form (Setup/Areas menu item). This function is normally used when adding the DGM software to a system that is already installed and operational. Use the Admin Program to find tags that are not on the controller. These tags will appear in the Card Holders window with a white background colour. Use the SEND button in the window to send these tags to the controller. Purge Tags Compares all tags on the controller against data on the PC and removes unknown tags. Use this function if there is a mismatch between the tag numbers in the PC database and the controller as reported at the Status Indicator Check Date and Time Checks and adjusts the date and time of the controller. Clear Update Flag A flag is set if the controller is edited directly via its keyboard. Use this command to clear the flag and change the status -- see page 3 for further details. Onefreemove This applies only to APB tags. All APB tags will be allowed to make one move irrespective of their current APB state. This will allow the current area field of all APB tags to re-synchronize. Only use this function if you are having a lot of problems with APB tags. The system should allow APB tags to re-synchronize automatically when a reader has been off-line. Stop Polling Stops the Comms application from updating data between PC and controller. Resume Polling Resume data updating between PC and controller. Communications Sets the comm port for the DGM network. DoorGenie Multi Software Handbook page 6 of 47

9 System Truncation Set the truncation days. (Number of days from the date when truncation is performed to the date of the oldest transaction left in the Transaction table after truncation.) Warning: Setting Truncation days to a value of 0 will cause all transactions to be deleted when truncation is performed. Auto Truncation If checked, truncation is performed automatically at midnight or whenever the Comms program is started. If not checked, truncation must be done manually from the Utils menu. (This menu is only available with the Administrator password.) If the table size is set too high or not set for automatic truncation, you may run out of disk space. To calculate the disk space required use the formula: Number of Transactions X 75 Bytes = Disk Space Required Display Event Messages If checked, then alarm and other event messages will cause a pop-up box to display a message over any application currently running. This box will remain displayed until acknowledged. Skipped polls Set to 1 during initial setup to ensure quick response to commands. If a large number of readers are used, it might me necessary to increase this value so that the PC will skip some polling requests and thus allow more time for the readers to be polled. Packages Allowed This sets the number of transactions that may be downloaded each time the PC is given control of the RS-485 network and the default value is 20. Setting this to a higher value will gather transactions faster but slow down the response time of the controller to readers. Setting it to a lower value will improve reader response but will cause the PC transaction data collection to fall behind during high traffic conditions. Users Define additional Users and Passwords. This menu is only available if logged on as admin. Utils This menu group is only available with the administrator password. Truncate Transaction Table Used to manually truncate the database. Use this menu if auto truncation is not selected. Create Tables Creates all the tables for both the DGM Comms and DGM Administrator programs. Use this function to recreate empty tables. Upgrade Tables DoorGenie Multi Software Handbook page 7 of 47

10 If tables exist and an upgraded version of the software is run for the first time, the system will automatically upgrade the tables structures. This function can be used to verify the table structures. Before upgrading tables make a backup! Memory Status Reports on system memory utilization and is used for diagnostics. Test Comms to Reader Tests communications to the selected reader and is used for diagnostics DoorGenie Multi Software Handbook page 8 of 47

11 Controller From the menu select Setup/Controller. Use this menu to configure the system. Care must be taken when making changes as these will influence operation of the system and determine which data fields are enabled in the Administrator and Comms software. Enabled Features Access Levels: Enable Access Levels as well as Time Zones. Anti-Pass-Back: Enable Anti-Pass-Back. Hard Anti-Pass-Back (only if APB selected): Enable Hard Anti-Pass-Back. Timed APB Period (only if APB selected): The period APB is enforced by Readers with Timed Anti-Pass-Back enabled. (See User Handbook for details.) Counter: Enable the counter feature Repeaters: Enable this option if repeaters used on the 485 network. Number of Rejects: Set the number of consecutive denied access violations that will cause an alarm to be reported. Alarm Settings Enabling alarm settings will cause the selected alarms to trigger the alarm relay on the controller. DoorGenie Multi Software Handbook page 9 of 47

12 Panic Alarm: Panic alarm input on controller. Reader Alarm: Alarm input on reader. This input may be linked to the reader tamper switch. Reader off-line: An alarm generated by the controller when one or more readers go off-line Door forced open: Alarm generated by the reader if the door is opened (door switch operates) by means other than under the control of the reader. Door left open: Alarm generated by the reader if a door is left open for longer than the specified alarm time for that reader. Reject Alarm: Alarm generated if Number of Rejects setting is > 0 and consecutive denied access violations cause an alarm to be generated. Viewing actual controller settings. The speed-button in the lower right corner will query the controller and return the actual settings on the controller. Clicking this button will also refresh the Controller version details. Incorrect data may be returned if the settings are requested directly after making changes. Allow at least 5 seconds to elapse before requesting controller settings so as to allow updating to be completed. DoorGenie Multi Software Handbook page 10 of 47

13 Readers Before attempting to add readers via the software, make sure you read and understand the section Function 20 in the DGM User s Guide. From the menu select Setup/Readers to display the Readers window. The left half of the window shows a list of all the readers on the system. The right half of the window shows the fields of the selected reader in the list. Reader Status When the Readers window is opened, the readers are polled to establish their status and in a large system may take a few seconds. The background colour of the readers listed in the left hand panel indicates the state of the readers. x BROWN Off-Line x GREY Reader not on the controller x GREEN On-Line The colour of the Description text indicates: x YELLOW Normal operation x RED Locked Door x GREEN Unlocked Door The status will automatically update at regular intervals. To immediately refresh the reader status press the Poll All Readers button. Special Function Buttons The special buttons at the bottom left of the window are explained below. Note that only functions enabled during installation will be displayed. Send This Reader Send All Readers Delete This Reader Poll All Readers Identify This Reader Silence All Readers Open This Reader's Door Keep This Reader's Door Open Reset Door Lock This Reader's Door If after clicking on a button it remains disabled, it indicates that the command is busy executing or the system is not on-line. 14 Send This Reader Adds or updates the selected reader by sending its parameters to the controller. If this is a new reader, a message box opens prompting you to flash a tag to the reader. (See function 20 in the DGM User Manual.) Delete This Reader Deletes the selected reader. The reader will display all 3 lamps for about 3 seconds and then flash all 3 lamps indicating that it is ready for programming. The reader parameters remain in the table and the reader is greyed out in the list box. The reader may be added back to the system by simply highlighting the reader and pressing the Send Reader button. Identify This Reader Causes the selected reader to identify itself by sounding the buzzer and flashing the GREEN lamp. Open This Reader s Door The highlighted reader s strike relay will operate for the preset strike time. Keep This Reader s Door Open The selected reader s strike relay is kept permanently unlocked until reset by the Reset Door button. The colour of the text changes to GREEN to indicate the unlocked door state. The GREEN lamp on the reader will come on to indicate the unlocked state. Ensure that the locks used are rated for continuous powered operation else they may be damaged using this function. Lock This Reader s Door The selected reader is locked and all tags will be denied access until reset by the Reset Door button. The colour of the text changes to RED to indicate the locked door state. The RED lamp on the reader will also flash. If you use the Open This Reader s Door command, the door will be opened and then returned to the Locked state. Reset Door Sets the selected reader back to its normal operational state. Silence All Readers Cancels the Identify Reader command and puts readers back into their normal state. Poll All Readers Updates the status of all the readers. Send All readers Adds all the new readers and updates existing readers by sending their parameters to the controller. 15 A message box opens prompting you to flash a tag to each of the readers. (See function 20 in the DGM User Manual.) They are added in the order in which they appear in the table. Reader Details Selecting a reader from the list will display its parameters in Readers Details window. See the DGM User Manual under function 20 for a detailed description of the parameters stored in the controller. Only features supported by the reader version will be displayed The DGM software has a number of additional fields which are fully described below: Address The reader address from 1 to 254. Description A name to describe the reader. This name is used in reports. Version DoorGenie Multi Software Handbook page 13 of 47

16 Once a reader is operational the reader version number and type are displayed. If you suspect the incorrect version number is displayed, run System/Get All Tables Area From Select the From Area using either the Area Number or Description drop down boxes. Use the + button to add another area without having to exit the Reader window. Area To Select the To Area using either the Area Number or Description drop down boxes. Use the + button to add another area without having to exit the Reader window. Alarm Input This box acts both as a function selection and description box. Each reader has an alarm input and can have a unique description. For example Reception Panic if a panic button is connected to the reader in the reception area. The default descriptions are: x x Reader Alarm Tamper Alarm x Strike Time Use as External Lock - this selection changes the alarm input into a Reader Lock input. Set the door strike time in seconds. Alarm Time The door left open alarm time in seconds. Requires the reader to have a door switch. Paired Readers (Only applies to readers ver 1.08 and above) This setting relates to paired readers as described in the Installation and User manual. See the manual for explanation of Master and Slave readers. Stand alone: Select if this is not a paired reader. Master: Select if this is a paired reader and the relay of this reader operates the door strike. Slave: Select if this is a paired reader and the relay of this reader is connected to the push button input of the master reader. Transaction Type This setting determines how transactions from this reader are recorded in the transaction file and is used to identify transactions as access only or clockings for Time & attendance recording. Transaction Type can be set as : Access Control - select this if the reader is not used for Time & attendance records. 17 Out Clockings - select this if the reader must record OUTclockings for Time & attendance To extract Time & attendance see DGM Admin program. Skip Factor In normal operation every reader is polled in sequence. In large systems it may be necessary to poll certain readers more frequently than others to improve system performance. This can be achieved by setting certain readers to be polled less frequently than others. The skip factor determines how many poll sequences are skipped before the reader is again polled. The factor can be set to 0,1,3,7. The higher the skip factor, the less frequently the reader is polled. Functions Functions enabled during controller configuration are displayed in this box. Possible functions are Anti Pass Back, Counter & Access Levels. Checking the box next to a function enables that function for the current reader. Allow If Off-Line Functions enabled during controller configuration and selected for this reader (see functions above) are also displayed in this box. Door Switch Anti Passback If checked, ignores APB when the reader is off-line and allows access based on other access criteria. If NOT checked, tags/cards with APB enabled are denied access if the reader is off-line. Counter If checked, ignores the counter when the reader is off-line and allows access based on other access criteria. If NOT checked, tags/cards with Counters enabled are denied access if the reader is off-line. Access Levels If checked, ignores Time Zones when the reader is off-line and allows access only to areas allowed by the tag s/card s Access Level. Thus a tag which has access to an area only during one time zone will have access to that area during all times if the reader is off-line. But a tag that does not have access to an area during any time zone, would still not be allowed into that area if the reader is off-line. If NOT checked, tags/cards with Access Levels enabled are denied access if the reader is off-line. Check this box if a door switch is connected to the reader. If checked, a transaction isn t logged until the door switch operates. Timed Anti-Pass-back Check this option if timed Anti-Pass-back is to be applied to this reader. Reject Alarm Select if the Reject Alarm is activated for this reader. To work, the Controller Configuration must have the Number of Rejects value greater than 0. 18 Door Schedule This feature is only available if enabled during software installation and is NOT available from the controller. The schedule function allows doors/readers to be set to the locked, unlocked or normal state at preset days and times. From the menu select Setup/Doors/Schedule. The change in readers state is controlled by the comms program and NOT by the controller. Therefore it is essential that the comms program remains on line. If thepcisoff-lineatascheduletime,theactionsforthat schedule are ignored. If a schedule is unable to set the reader states, these may be overridden via the keyboard on the controller. The top half of the screen displays the available readers and allows one of the readers to be highlighted. The lower half displays the schedule associated with the reader highlighted in the top half. 19 DGM Administrator - Menu Description The Administrator program manages all the access parameters and tag/card holder s information not covered by the DGM Comms program and produces reports based on the data files and transactions. From the Start menu, select Programs/DGM/DGM_Admin. The program will prompt for a password. The default password on installation is admin. The following are brief descriptions of the menu items. Where indicated, detailed descriptions are provided in later sections of this manual. System Edit Log on/off Brings up the password box and prompts for a new user. After 3 attempts the program will quit. If passwords are forgotten it will be necessary to contact your dealer for assistance. Exit Quit the program. Time Zones (see later section for details) Name and define the Time Zones. See Page 25 for a detailed description. Access Levels (see later section for details) Name and define the Access Levels. See page 20 for a detailed description. Departments Name and define Departments. Used for grouping of reports and counter modification. Card Holders (see later section for details) Add and edit card holder's details. See Page 21 for a detailed description. Reader Groups You can create a grouping of readers and assign them a group name. This name can them be used in certain reports to simplify report criteria. The Reader Group Screen lists all the available readers in the left panel. Readers to be grouped are copied to the right panel. The selected readers are assigned a group name. Passwords Add new users and define their access privileges. DoorGenie Multi Software Handbook page 17 of 47

20 View Controller Settings View the controller settings. (Tables are edited in the DGM Comms program.) Time Zones View the Time Zone table Access Levels View the Access Level tables. Departments View the Departments table. Card Holders View the Card Holders table. Areas View the Areas table (Areas are edited in the DGM Comms program). Readers View the Readers table. Reader Groups View Reader Groups. Door Schedule View the Door schedule. (Schedule are edited in the DGM Comms program.) Transactions (see later section for details) View Transactions on the screen sorted by Holder or by Time. See page 26 for a detailed description. Reports (see later section for on filters) Most reports are self explanatory. The descriptions below give an overview of the type of reports available. Areas Print a report of 'who was where' at a given date and time or 'who was in a particular area' during a given date and time range. Attendance Print various Time & attendance reports: First clocking IN and last clocking OUT Attendance report Absent report Card Holder Prints a detailed or summary report of tag/card holders. 21 Printed reports of system parameters. Transactions Prints transaction reports based on either time or tag/card holder. Utilities Counters Group Edit (see later section for details) Used to modify the counter values of a group of card holders. Clear Extraction Flag See later section on Export Clockings for details. Convert First and Last Transactions This utility will scan the transactions of selected tags and identify the first and last transaction for each 24 hour period. These transactions are then modified to be IN and OUT clockings which can be exported. Export Transactions (see later section for details) Export clocking data from the Transaction file for Time & attendance analysis. Import Transactions Allows transactions data from other applications to be imported to DGM. Contact your supplier for assistance on data format. Report Viewer View saved reports. Unused Tags (see later section for details) Find inactive tags on the system and optionally suspend or delete them. DoorGenie Multi Software Handbook page 19 of 47

22 Access Levels Selecting Edit/Access Levels displays the Access Level screen. Use the top left box to select the Access Level to be viewed or edited. The name of the Access Level can be edited in this box. The top right box displays the Time Zones that are defined in Edit/Time Zones. These Time Zones are common to all the Access Levels In the example above, level 2 (defined as Office Staff) is selected. The bottom box is a matrix of Time Zones and Areas. The names of the Areas are defined in the DGM Comms program in menu Setup/Areas. Placing an X in the matrix links the Time Zone in that row with the Area in that column. The X in the highlighted square can be toggled using the SPACE bar, entering 'X' or by double-clicking on the appropriate square. The combination of all the areas and time zones determines the access permissions for the selected level. DoorGenie Multi Software Handbook page 20 of 47

23 Card Holders Selecting the Edit/Card Holders menu displays the Employee Details screen. The left hand part of the screen lists all the records of tags/cards currently in the database. The sort order can be changed by clicking on the column title. A yellow background colour indicates that the record is known on the controller, while a white background colour indicates that the record is not yet known on the controller. At the bottom of the screen are edit buttons. The right hand of the screen displays the Employee Details screen for the highlighted record. Pressing the Add Record button will display a blank Employee Details screen. The record fields are: Employee Details Employee (must enter) An alphanumeric field for the employee number. Because this is not a numeric only field, sorting is done from left to right e.g. The numbers 1,2 & 10 would be sorted into the order 1,10 & 2. Provided only numeric values are used in this field, numeric sorting can be enabled by right-clicking anywhere in the cardholder list area of the window and selecting the desired sort order. Card Number (must Enter) Enter the number printed on the tag/card. This can be done from the keyboard or automatically as explained below. The tag/card number can be read from reader 1 by clicking on the hand button next to the card number field box. This will cause the GREEN lamp on reader 1 to light, indicating that it is waiting for a tag/card. (Only visible while DGM Comms program is on line.) DoorGenie Multi Software Handbook page 21 of 47

24 Introduce the tag/card to reader 1 and wait for the GREEN lamp to go off. The tag/card number will appear in the Card Number field. This may take a few seconds due to the manner in which the reader, controller and PC communicate. Name & Initials (must enter) Enter the employee name and initials. Department Assign the employee to one of the predefined Departments listed in the drop down box. Other fields All the other fields in the Employee Details section of the screen are optional and self explanatory. Valid Dates Valid From Sets the date from which the card becomes valid. The card becomes valid at 00:01 on the selected date. The current date is offered by default. Valid To Sets the date on which the card expires. The card is disabled at midnight of the selected date. A default date of 31/12/2096 is offered as the expiry date. Suspended Check this box to suspend a tag/card. Tags that have not yet become valid must not be suspended as the suspension will automatically be removed when the tag reaches the valid date. Dynamic Data Current Area displays the tags recorded current area. This may be edited to correct an incorrect value. This is normally only used in an Anti Passback system to correct a tag s/card s current area. The last recorded transaction date and time are also displayed. A simpler method to reset the APB status is to use View/Transactions/By Time & APB Management form. See later section on Transactions. DoorGenie Multi Software Handbook page 22 of 47

25 Card Options Anti Passback If this is checked, anti passback will be applied to this tag/card at readers that have anti passback enabled. Clocker Select this box if clocking transaction are to be recorded for this employee. Access Levels If checked, the Access Level selection box is displayed and the selected access levels will be applied to this tag/card at readers that have access levels enabled. Use Counter If checked, a counter is enabled for this tag/card. Count Up If checked, the counter will be an UP counter. If not checked it will be a DOWN counter. Counter Displays the current counter value for the tag/card. A plus or a minus is displayed after the value, indicating whether the counter is an UP or DOWN counter. Next to the counter box are two buttons. Reset Counter Add To Counter Add to Counter Clicking this button opens the Add to Counter box in which a counter value is entered. The entered value is added to the existing count value. (Only visible while DGM Comms program is on line.) Reset Counter Clicking on this button resets the counter value to zero. 26 Deleting Employees The following box is displayed when deleting a Card Holder record. A YES response will delete all associated records from the transaction file. Responding NO will leave all the records hidden in the transaction file. These records can later be restored by creating a new record with the same Employee number. Editing Employee Number. Records are stored in the transaction file by Employee number. The following box is displayed after editing the Employee number. A YES response will associate the previous employee transactions with the new Employee number. Responding NO will leave all the records hidden in the transaction file. Responding NO is recommended. 27 Time Zones Selecting Edit/Time Zones displays the Time Zone screen. The TZ numbers and descriptions are used to identify the time zones in other parts of the program. TheFromandTotimessetthetimeperiodinwhichtheTimeZoneisvalid. Time zones may cross midnight. A cross under the day of the week letter indicates that the Time Zone is valid on that day. To toggle the cross, left click with the mouse on the appropriate block or you can press the space bar. TZ8 does not have times or days associated with it. It is selected by a switch closure on the TZ O/R input of the controller. Closing the Time Zone form automatically updates the Controller. If the form is left open you must click on the "Send' button (walking person) to force the update. DoorGenie Multi Software Handbook page 25 of 47

28 Transactions (View/Transactions) By Holder Selecting this menu item displays the Transactions by Card Holder screen. Highlighting an Employee in the top half of the window will result in all the transactions for that employee to be displayed in the lower window Transaction Colours The background colour of the transactions indicates their type: White Blue Yellow Red Filtering Transactions valid transactions system events denied transactions Alarms transactions The panel at the top specifies the transaction criteria. Transactions are listed for the time period 00h00 on the From Date to 23:59 on the To Date. Use the drop down box to select reporting on All Readers or from a defined Reader Group. Check boxes at the top of the form select if Valid and Denied transactions are included in the transaction details. The bottom half of the screen lists all the transactions relating to the highlighted tag/card. Searching for a tag \ Employee record The top grid lists all the tags/cards in the database. To change the sort order click on the column title Card, Employee or Name. To search for a record, click on the column in which you want to search and type the value in the Search edit box. Updating transactions The display is automatically updated with new transactions as they arrive in the database. If Last Transaction is checked, the transaction pointer will always be forwarded to the last entry in the table every time the display is refreshed. The transactions can also manually be refreshed by pressing the Refresh button on the navigator bar. By Time Date finder Pressing the button allows you to search for transactions at a specified date and time Selecting this menu item displays the transactions sorted in date and time order. Transaction filtering is done in the same way as described above. Transactions are updated in the same way as described above. The background colour of the transactions identifies the transaction type. By Time & APB Management This function is only used in systems with APB implemented. 29 This is similar to the previous menu with the added feature that by double clicking on a transaction that failed APB, it is possible to then edit the current area of that card thus correcting its current area and allowing normal access to continue. 30 Reports Report Criteria All the reports offer a criteria selection window. This offers a wide selection of criteria on which to base the report. The various criteria offered are explained below. The options offered depend on the individual report selected. Filter Editor Although most reports have a comprehensive range of predefined filters and selection criteria, many have the ability to customize the output data by use of filters created by the Filter Editor. These filters are constructed in the Filter Editor using logic statements. At first this may appear complex to use but in fact are relatively simple to construct once the concepts are understood. Clicking the Filter button in a report displays the filter screen. A filter is constructed by following the sequence 1, 2, 3 (optionally repeating 1,2 & 3) and then 4 to save the values. In this example we are going to search for card holders who s name is in the range N to P and who s card number is less than Logic Type The first step is to select the logic type. The first line of the filter must start with an IF statement and is the only button available until the first condition is composed. Pressing the IF button makes step 2 active. 31 2 Filter Condition In the filter condition line, click on the <Data Fields> button to display a drop down box of available fields. (The example is based on the Card Holders report. Other reports will offer different data fields.) Select the Name field and press enter. Now click on the <Logic Condition> button. Select is greater than or equal to and press enter. Now click on the <Field Value> button. Enter the value for the condition -- in this case N. Now click the Add button. and the formula is added to the filter. Repeat steps 1,2 & 3 to add: AND Name is less than or equal to P DoorGenie Multi Software Handbook page 29 of 47

32 And repeat once more to add: AND Card is less than The display should now show the complete filter formula. Click on the Save button and give this filter a name. This filter will now be available to all reports. Sort By Most reports have a check box that allows sorting by Employee, Card Number or Name. In the Counter report you can also select to sort in counter value order. By default the sort order will be in ascending order. There is a check box to select the output to be in descending order. Department By checking the appropriate boxes, reports can be grouped by department and each department started on a new page. Range The selection of records to be printed in the report can be set using either a filter (see beginning of this section) or by selecting a Range of values. The values offered in the Range will be based on the sort field selected (Name etc.). By default the values offered will be the lowest and highest values in the database for that field. Date & Time Range Some reports offer a date and time range. To change the date, click on the drop down arrow on the right of the date box and select the required date on the displayed calendar. 33 Transactions Filter Most reports offer some predefined filters. These filters are applied in addition to the selection criteria setup in other parts of the Reports Criteria screen. Readers The Transactions By Time report has fields to select transactions from a range of readers or from specific readers added to a selection window. 34 Counters Group Edit This function under the Utilities menu, allows counter value modification of groups of tags/cards based on selected criteria. The screen has 3 sections that determine the selection criteria and the action required. Group Selection By Choose to modify the tags by selected departments or by a user defined filter. Selection Depending on the selection mode, one of the following selections can be made. By Department Selection Select one or more departments for modification. All tags/cards in the selected departments will have their counter values modified. By Filter Selection Tags/Cards that match the filter settings will have their counter values modified. Counter Edit Operation Select the type of modification required and whether the modification is applied to UP only, DOWN only or ALL counters. DoorGenie Multi Software Handbook page 32 of 47

35 Export Transactions This function is used to create export Time & attendance data for analysis by other programs. Selecting this function displays the Export Clockings screen. Sort By Selects the order in which data is exported Employee Number Range The range of employees can be selected by employee number range or by use of a filter. Reader Selection The export data can be based on all readers or on a predefined group of readers. See Edit/Reader Groups DoorGenie Multi Software Handbook page 33 of 47

36 Date Range Set the date range for the exported clockings Transactions Filter The transaction filter determines which transactions are included in the export data. Export Clocking Record Setup Use extraction flag to prevent duplicate export Check this box to prevent clockings that have previously been exported from been exported this time. This can be important where clocking periods overlap but you don't want duplicate clocking records appearing in your different export files. The extraction flag may be cleared using the Utilities/Clear Extraction Flags function. Clockings Export Format INI file This is the file that defines the format of the exported data. A sample file is included - look for \Program Files\DGM\Sample.ini Name of file to export to This is the path and file name to be created on export. If this is left blank, a default date filename in the format yyyymmdd will be created where the date used is the current date. DoorGenie Multi Software Handbook page 34 of 47

37 Unused Tags This utility provides a means of identifying unused cards/tags on the system and optionally deleting or suspending those selected. Selecting this menu item displays the Card Holders Maintenance screen. Select the inactivity period by either selecting a date or the number of days on which to report. The left hand panel displays all tags that have been inactive during the reporting period. The range of tags reported may be restricted by use of a filter. See section on Reports for an explanation on the use of filters. To report on, suspend or delete tags, those requiring action must be moved to the right hand panel. Use the > or < button to add or remove individual tags or the >> or << to move all tags. Check the Print report box to create a printed report of the selected tags. 38 Repair Utility In the event of table corruption or as regular maintenance, use the Repair Utility program. From the Start menu select Programs/DGM/Repair to start the program. 1. Select GSCCOMMS alias 2. Click Verify Only button 3. Click View Error Table and check for errors - if errors, proceed to 4 or else go to 5 4. Click Verify And Rebuild to repair errors 5. Read the log file and check that all tables were repaired. 6. Select DGM alias 7. Repeat steps 2 to If any tables were repaired the batch log file can be saved as a.txt file for reference. 9. 39 Software Installation MUST READ!! Controller Data Once the software is installed and tables created, there are two approaches to the initial setup of the software: x x New installations where the controller has not been preprogrammed. (This is the preferred approach.) Existing installations where the software is added after the controller has been programmed with all data. It is vital that the correct procedure is followed or else datamaybelost! x Modifications and additions to the controller by the DGM software are automatically uploaded to the controller, provided the Comms program is running and on-line (Network statistics panel GREY -- see page 3 for details). There can be a delay of 5 seconds before modifications are implemented. Backup It is essential to do regular backups of database files. See later section on data backup and recovery. Display Properties The Colour setting under Windows Display Properties must be set to greater than 256 colours, small fonts and resolution of not less than 800 x 600 pixels. If colours are <= 256, the program might not run! Database Integrity On startup of both the DGM Comms and Admin programs, the database files are checked and if necessary created or upgraded. If either of the programs terminate abnormally, the database files will be tested and repaired if required. In the event that this is unsuccessful the program will terminate and it will be necessary to run the Repair Utility. It is also important to verify database integrity on a regular basis. See section Repair Utility for details DoorGenie Multi Software Handbook page 37 of 47

40 Installation For network installation see the section entitled Networking DGM Close all applications. Insert disk1 into the A: drive. From the start menu select Run and at the prompt enter A:\setup Check the top of the welcome screen to ensure you are installing the correct software version and not a patch or upgrade. Follow the instructions on the screen and check the paths offered by the installation program. When prompted, enter the user and company name. This company name will appear on all reports Unless instructed otherwise, leave all the options checked in the Select Components screen. DoorGenie Multi Software Handbook page 38 of 47

41 Read the warning at the top of the Enabled Functions screen and select the functions you want enabled. These functions are explained in a later section of this document. Registering To register the software you must run the DGM Comms program. Run - First Time Startup On startup tables will be created. If tables already exist from a prior installation, the structures will be checked and if changes are required, you will be prompted to confirm the changes. Registration Unregistered or partially registered installations will display the registration window and you are offered 3 options: 1. Evaluation installation You have full functionality except for printing reports and comms with the controller. 2. Test installation Full functionality except reports are disabled and a reminder window will popup regularly. In addition the word UNREGISTERED appears in the Employee field of the transaction next to every recorded in the transaction record and next to every transaction This mode allows for installation and later registration. Registered Installation. Setup/Communications To register follow the on-screen instructions. Use this menu to select the correct Comm Port. Two methods can be used to confirm that the correct comm port has been selected, and that the comm port is operational. 1. If the GREEN lamp on the 485 convertor flashes constantly, the background colour of the polling indicator should turn grey to indicate activity on the port. This indicates that the comm port can receive data. DoorGenie Multi Software Handbook page 39 of 47

42 2. With the controller powered down, the RED lamp on the 485 convertor should flash for a short duration every 5 to 10 seconds. This indicates that the commport can transmit data. The controller will try and establish communication with the software once every minute on the change of a minute. If successful either the Network Statistics window will turn GREY or a Data Out of Sync Warning message will be displayed. If the latter is displayed, select the option Ignore. Before proceeding, communications must be established and the status box must be grey. If the status box is red or blue, use Edit/Clear Update Flag and Edit/Resume Polling to establish normal communications. Once communications have been established, use the following menus to setup the parameters: Setup/Controller Enable the required system features. (See function 40 in the DGM User s Guide) Setup/DST Settings (Daylight Saving Time ) Default values are based on Windows regional settings. These may be edited if required Setup/Areas Create and name areas Setup/Readers Define and add readers to the system. This is explained in a later section. Setup/System Refer to DGM Comms - Menu Description Setup/Users Define other user names and passwords. Although the "admin" user name may not be edited, the password should be changed to prevent accidental or deliberate modification of system parameters. Only logging on as admin gives access to the Utils & Users menu. Users other than admin can't create or edit passwords and don't have access to the Utils menu Users that have the 'Can Only Acknowledge Alarms' box checked don't have access to the menus but are able to acknowledge alarms. Setup/Clear Update Flag Once all tables are sent, the background colour of the Network statistics should be grey. If still red, select this menu item to clear the update flag. This is the flag that indicates that the system is out of sync. Setup/Resume Polling If the Network Statistics background colour is blue, select this menu item to initiate polling and normal operation. The colour will change to grey once comms is reestablished with the controller. This may take about 1 minute. DoorGenie Multi Software Handbook page 40 of 47

43 Existing Hardware Installations This method is used if the software is installed for a system that is already operational. It is necessary to extract parameters and data from the controller and update the PC s databases. When the Out of Sync warning box is displayed, select the top option: Get all tables from controller This may take a while depending on how many tags/cards are on the system. Setup/Clear Update Flag Once all tables are sent, the background colour of the Network statistics should be grey, if still red, select this menu item to clear the update flag. This is the flag that indicates that the system is out of sync. Setup/Resume Polling If the Network Statistics background colour is blue, select this menu item to initiate polling and normal operation. The colour will change to gray once comms is reestablished with the controller. This may take about 1 minute. Description Fields The data downloaded from the controller will have default field descriptions that will have to be edited. The same also applies to all the tables in the DGM Administrator program. DGM Administrator Once the DGM comms is installed and running, run the Administrator program. From the Start menu select Programs/DGM/DGM_Admin. See the later section for detailed description of the program. DoorGenie Multi Software Handbook page 41 of 47

44 Networking DGM A single page setup procedure which will work for simple network installations is provided at the end of this section The DGM software is written to allow networking of the GSC Administrator program on as many machines as the network will allow. Do not attempt to install this software on the network without the assistance of the network administrator. Database Basics Before installing the software it is important to understand some of the database concepts and requirements. DGM is written using the 32 bit version of Borland Paradox Database Engine (referred to as BDE in this document). All the database files must reside in a shared directory to which all computers have access. These files will normally reside on the system server so that they can be backed-up on a regular basis. The shared directory must be mapped on all the other computers to a drive letter and we recommend that the same letter be used on all computers. To control who is accessing what records and prevent multiple users from accessing the same record, Paradox maintains a file PDOXUSRS.NET which controls record access. This control file must be located somewhere on the network in a shared directory that is accessible by all users. Problems will arise if some of the computers on the network are also running other application software that is written to use the Borland Paradox Database Engine. These applications will also require access to PDOXUSRS.NET and if more than one copy of the file exists either of the error messages below will be displayed. Multiple NET files in use Directory is controlled by other NET file It is therefore important to establish if other applications are also using this engine before installing DGM. This can be done on each of the computers by looking for the directory \Program Files\Borland\Common Files\Bde. If this is found it is recommended that you make a backup of the IDAPI32.CFG file before proceeding. Although the PDOXUSRS.NET file can be in the same directory as the DGM database file we would recommend that it have its own shared directory to which all computers on the network have access and not only those on which DGM will be installed. This will allow the sharing of the control file with other applications without compromising the DGM database files. Once the network is set up and software installed, it is necessary to run The Borland Database Engine Administrator program on each computer to configure it to point to the shared files. 45 Installation The drawing below depicts a typical network indicating the (S) - Server, (C) the computer connected to the DGM system and (A) other computers with the DGM ADMIN. Although the parts of DGM are shown below as distributed over different computers, the Database, DGM Comms and DGM Admin may all be on the same computer. The only restriction is the DGM Comms must be on the computer connected to the DGM system. ProxNet S C A A 1. Check computers on the network to establish if any of them are running BDE. If any of the (A) and (C) computers are already running BDE, make a backup of the IDAPI32.CFG file. Make a note of the other computers running BDE as they will require attention later. 2. Do a full installation on (C) as described at the beginning of this manual. 3. On all the computers (A) that are allowed access to the database, follow the installation procedure but select to install only: DGM Administrator BDE When installation is complete move the entire GSC directory, including all the sub directories and files, from (C) to (S). The database files are now all on the server. 5. On (S) share the \GSC directory with all (A) and (C) computers. To ensure data integrity, do NOT share this directory with other computers on the network. 6. On (S) Create the directory \PDOX and share this with all computers on the network. 7. On (S), (C) and all the (A) computers search for and delete all the copies of: PDOXUSRS.NET, PDOXUSRS.LCK and PARADOX.LCK 8. On all the (A) and (C) computers map the shared directories as: S: mapped to server \GSC P: mapped to server \PDOX 9. On the other computers not running DGM but running other BDE applications (as recorded in step 1 above), delete the PDOXUSRS.NET, PDOXUSRS.LCK and PARADOX.LCK files. Also map the shared \PDOX directory as: P: mapped to server \PDOX. DoorGenie Multi Software Handbook page 43 of 47

46 BDE Configuration It is now necessary to correct the configuration of the BDE on each of the computers so that they know where to find the database and PDOXUSRS.NET files. On all of the computers that use the BDE (including those in step 9 of the previous section) run the BDEADMIN.EXE program found in: \Program Files\Borland\Common Files\Bde\ 1. For all computers select Configuration tab. Then select /Drivers/Native/Paradox and modify NET DIR to read P:\. as shown below. This ensures that all computers share the same PDOXUSRS.NET file. 2. For all computers using DGM select Databases Tab. Then select GSCComms and edit PATH to read S:\Data\Gsccomms as shown below. DoorGenie Multi Software Handbook page 44 of 47
