Title Create a New Document and Save it Contributors Dhanya.P Std II Reviewers Submission Date Approval Date Ref No: Brief Description This topic describes how a new document is created and saved. Goal Pre requisites Learning Outcome Duration To familiarize the concept of creating a new document and saving it. Familiarity with computer Will be able to create a new document in an application and save it. One Period Reference rules for naming file and directory names/ Detailed Description Lesson Plan Worksheet Evaluation Page Nos : 2,3,4 Page No: 5 Page No:6 Page No: 7 Other Notes Page No: 7
DETAILED DESCRIPTION Document" refers to any kind of file. For example, it can be a file of types PDF, DOC and so on. Creating a new document means creating a new file. The type of the file created depends on the application you are using. For example, you can create an Open document text (.odt), or Open Office text document (.sxw), or Microsoft Word (.doc) and so on with the application OpenOffice.org Writer. And the file you create with the application 'Paint will be of type JPEG, PNG and so on. Creating a New Document in OpenOffice.org Writer Open the application by clicking on the icon for it or selecting the application from the main menu. It is under the sub menu 'office' (Applications > Office > Word Processor). As shown below.
And create a document by typing the contents. It can be used for anything from creating a quick letter to producing an entire book. After creating the document, you need to save it for future use. For saving a document, press Ctrl + S ( Pressing the key 'S' while pressing the 'Ctrl' key) or select the 'Save' menu as File > Save. Then a dialog box as shown below will appear. Naming a file For saving a file, you have to give a name by which it is saved and the location where it is saved. You can name a file according to the contents of the file, so that it is easy to distinguish files by simply having a look at the name of the files. For example, if the document you created is a letter to a person, you can name that document as 'Letter'. And if you have created more than one letter document, you can identify each document by naming it, for example as 'Letter_to_Mohit', or you can name a file by the name of the owner of the file, or by the date on which it is created as '2007_03_15_Mohit', so that you can clearly understand when the file is created by simply looking on the name of the file.
Following are general rules for naming files for a Linux based system. * File names are case sensitive. * You can use upper and lowercase letters, numbers,. (dot), and _ (underscore) symbols. * You can use other special characters such as blank space, but they are hard to use and it is better to avoid them. * In shot, filenames may contain any character except /, which is reserved as the separator between files and directories in a pathname. * No need to use. (dot) in a filename. Some time dot improves readability of filenames. And you can use dot based filename extension to identify file. * Most modern Linux and UNIX limit filename to 255 characters. However, some older version of UNIX system limits filenames to 14 characters only. * A filename must be unique inside its directory.
LESSON PLAN OUTLINE 1. Ask the students to create a document in any application other than OpenOffice Writer. 2. Ask them to name the file appropriately and save it in a folder. 3. Ask them to find out the difference in the extension of the file if it was an OpenOffice Writer document. 4. Ask the student to save the current file with a different name. 5. Ask them to save the file with the same name in the same folder, and check what happens then. 6. Ask them to check what happens if the file is saved with the same name in any other folder. 7. Ask them to arrange files of a particular type under a particular directory. 8. Ask the student to create and save a file with the name 'MyFile' under a directory named 'MyDir' in OpenOffice Writer and OpenOffice Presentation and check if there is any problem as in Step Ask the student to open a created file by a) double clicking on it. b) right clicking on the file and then selecting the 'Open' option.
WORKSHEET Fill in the blanks 1. For creating a new document in an application, you select the sub menu from the 'File' menu. 2. For saving a file, the sub menu is selected from the 'File' menu or the 'Save' icon in the Toolbar is clicked. State whether the following statements are true or false. 1. A file can be saved with the same name in a folder. 2. File names 'SWEET' and 'sweet' are not same in a Linux based application. 3. A file can be saved with different names. 4. A file can be saved in any folder. 5. A folder can hold files and other folders also. 6. The filename 'Orange/Apple' is a valid one. 7. The filename 'Mango_2' is not a valid one.
EVALUATION In the Lab 1. Create a new document, listing the names of all the students in the class and save it with an appropriate name under a directory named 'MyClass'. OTHER NOTES This lesson describes the concept of creating a new document and naming it using the application 'OpenOffice Writer'. Exercise can be done with any application in any Operating System.
