2 Detailed Description : (For Use as a Teacher's script) A file is a collection of information with a name attached to it. Conceptually, a file is a sequence of characters, which resides somewhere on a disk. In computer terminology, file is the 'thing' that you work on an object, rather than an object holder. Depending on the program and medium you are dealing with, this might be a text document, a picture, a few seconds of sound, a video, a web page or many other things. The type of the file can be identified by the extension of the file, which comes after the '.' period in a filename. In our home, we have separated the rooms as kitchen, bedroom etc. Instead of separating like this, if we are building a large room for all these, then also, we can adjust, but it will be very difficult. Just like this, whatever you are storing inside a computer need to be arranged in a well organized manner, so that it can be handled properly. Instead of keeping all the files together, you can create different folders, and files can be stored inside these folders accordingly. In the case of house, we keep all the food items in the kitchen only. They are not kept in the bedroom. As another example, if you are keeping the dress of all in your home together, it would be very difficult for you to search for a particular dress of you and find it out in the shelf. Instead of this, if you have separate section for all members and the dress are kept only in the corresponding section, it won't be difficult to search for a particular dress of you; since then you need to search for the section allotted to you only. Like this you can categorize and store the files inside corresponding folders only. Suppose you have created so many files containing your study materials of all the topics. Then instead of storing all the materials together, you can create separate folder for each subject, such as 'Language', 'Science' etc and can keep language specific documents inside the Language directory and science materials inside Science directory. You can also create subdirectories inside these directories; if you don't want to store all the science documents inside a single directory, you can create folders like 'Computer', 'Physics' etc inside the 'Science' directory and can store the files accordingly. You can create sub folders at any level. Well organized files helps you in the following ways. make it easy to locate important files quickly keep related documents or files together make it easier to move groups of data, rather than having to search for individual files, back up important data quickly.

3 Suppose you have created folders like 'Finance' for storing all finance related articles. 'School' for storing all your school related documents. 'Home' for storing all your home related documents. Then it would be easier for you locate a file related to your study material, since you can search in the folder named 'School' instead of searching in other directories, if you have stored the files in a well organized manner. How to create a new Folder Go to the location where you want to create a new folder. Then right click the mouse, then you will be provided with a menu, which will look almost like the following. Create Folder Create Folder Create Document Arrange Items Some other Options Click on the 'Create Folder' option in the menu. Then a new folder will be created inside the current folder and it will look like

4 Then you can give a name to this folder, by just typing the name on the blue coloured area. If you have named it as 'First' then it will look like Lesson Plan 1. Ask the students about the advantages of arranging the files of different types in different folders. 2. Consider the following scenario. 5 3. To create the folder 'school', first go to the location where you want to create the folder and right click the mouse and select the option 'Create Folder' from the menu. Then give the name 'School' to the created folder. Before Naming After Naming 4. For creating sub folder inside the folder 'School', open the folder and then follow the same steps in Create a brief description of your school and store the files in a well organized manner. You can create as many folders and files as you wish.
