3 Introduction SmartLock Pro Plus (SLP+) User Management is a stand-alone utility included with SmartLock Pro Plus. It is designed to allow one connection from the PC of HR department to add and delete users as well as edit selected data fields. The PC on which the User Management software is installed must be able to map a drive to the data folder of the PC running the SmartLock Pro Plus software. Requirements User Management requires a networked environment of computers. The system hosting the SmartLock Pro Plus software must be set up to share the SmartLock Pro Plus data folder with the systems which will run User Management. Important: Pro Plus software support only one (1) connection from a workstation hosting software. Note: If SQL database is used, select Install SQL Native Client if not already installed on the computer where the Pro Plus or the add-on software e.g. is installed. Page 3 of 36

4 Setup Setting up a network share and installing the software can be accomplished by following the steps outlined below (note experience setting up network shares is a requirement and may require assistance from your IT staff). SHARING THE PRO PLUS DATA FOLDER NOTE: On Windows 7, 8, 10, the ProgramData folder is hidden by default. Follow the steps below to unhide the ProgramData folder. On Windows 7: Using the Windows Explorer, navigate to your PC s C Drive. On the toolbar at the top of the window, click Organize -> Layout -> Menu Bar. Page 4 of 36

5 You will now have access to a second toolbar at the top of the window. Click on Tools -> Folder Options. The Folder Options window will appear. Click on the View tab, and in the Advanced settings: list find the Hidden files and folders heading, then select the option Show hidden files, folders, and drives. After you have selected this setting, click OK. Page 5 of 36

7 On Windows 8, Windows 10: Using the File Explorer, navigate to your PC s C Drive. On the toolbar at the top of the window, click on the View tab, and tick off the box beside Hidden items. You will now be able to see the ProgramData folder. Share the parent folder of the SmartLock Pro Plus data folder on the system running SmartLock Pro Plus. Using the File Explorer (Windows Explorer in Windows 7), browse to the parent folder which is typically "C:\ProgramData\Cansec\Smartlock Pro Plus" (Windows 7, 8, 10) or C:\Program Files\Cansec Systems Ltd\Smartlock Pro Plus (Windows XP & 2000). Right click on the folder and select the Properties menu item, then click on the Sharing tab. Click on the Advanced Sharing button. Page 7 of 36

8 Check off the Share this folder option, then click Apply. Click on Permissions. Check off the permissions boxes that say Change and Read, then click OK. The Permissions window will close. Page 8 of 36

10 MAPPING A NETWORK DRIVE Map the shared SmartLock Pro Plus data folder on the PC you want to install SLP+ User Management on. Open the File Explorer (Windows Explorer in Windows 7), click on Computer (called This PC in Windows 8.1), then click on Map Network Drive. Type in the folder path (in the format \\computername\shared folder *), or browse to the folder and select it by clicking the Browse button. Make sure the box beside Reconnect at sign-in is checked off. * Replace computername with the name of the PC running SmartLock Pro Plus, and shared folder with the name of the shared SmartLock Pro Plus data folder on that PC. Click Finish. Page 10 of 36

11 INSTALLING THE USER MANAGEMENT SOFTWARE NOTE: If you are running Windows 7, 8 or 10, you may need to follow the following procedure in order for the shared Pro Plus folder to show up during SLP+ User Management installation. The following steps are to be done on the PC which you intend to install the User Management software on. From your Start Menu, select Run. Type in regedit and click OK to open the Registry Editor. 12 Navigate your way to Computer\HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows \CurrentVersion\Policies\System. Page 12 of 36

13 In the pane on the right, right click and scroll from New to DWORD (32-bit) Value and click on it. Name the new entry EnableLinkedConnections. Page 13 of 36

14 Right click on the entry you just named and click on Modify. Change Value data to 1. Click OK. Reboot your PC for these changes to take effect. Page 14 of 36

15 Installing the Software Run the SLP+ User Management installation file and you will be greeted with the first step of the installation process. Click Next. Page 15 of 36

16 Click Next to install the program to the default installation folder, typically "C:\Program Files\Cansec Systems Ltd\SLP+ User Management" (32-bit version of Windows) or C:\Program Files (x86)\cansec Systems Ltd\SLP+ User Management (64-bit version). Or, click Change, then browse to and select a different location to install the software to. Click Next to proceed. Page 16 of 36

17 Select the location of the SmartLock Pro Plus data folder. If Pro Plus was installed on the PC you are installing User Management on, select Local Installation. If Pro Plus was installed on a different PC, select Network Installation. Click Next to proceed. Page 17 of 36

18 Click Change to browse to and select the parent folder of the SmartLock Pro Plus data folder. If Pro Plus was installed on the same PC you are installing User Management on, the default location of the folder is typically "C:\ProgramData\Cansec\Smartlock Pro Plus" (Windows 7, 8, 10) or C:\Program Files\Cansec Systems Ltd\Smartlock Pro Plus (Windows XP & 2000). If Pro Plus was installed on a different PC than the one you are installing User Management on, click Change to browse to and select the SmartLock Pro Plus folder you mapped in the previous steps. Click OK to select the mapped folder. Once you have selected the SmartLock Pro Plus data folder, click Next to proceed. Page 18 of 36

21 User Management PRO PLUS SOFTWARE STATUS You can tell if SmartLock Pro Plus is running from within the User Management software. Each time User Management is run the status bar will display Getting SmartLock Pro Plus status Page 21 of 36

22 After about 10 seconds, the message will change to SmartLock Pro Plus is running. or SmartLock Pro Plus is not running. depending on whether the software is running or not. NOTE: The Pro Plus software MUST be running in order for users who are added, deleted, or edited in User Management to be immediately added, deleted, or edited in the Pro Plus system. If Pro Plus is not running when a user is added, deleted, or edited in User Management, the user will not be added, deleted, or edited in the Pro Plus system until the Pro Plus software is run. If Pro Plus is not running, the following alert will appear: USER MANAGEMENT REFRESH INTERVAL A refresh interval can be chosen to dictate how often the User View in the User Management software is refreshed to reflect any users that may have been added, deleted or edited through the Pro Plus software. The Pro Plus software MUST be running in order for this to occur. Page 22 of 36

23 ADDING A NEW CARDHOLDER To add a new cardholder to the system, click the New button on the toolbar, or go to Edit -> New. On the Identification tab, enter the 10-digit User ID number of the cardholder. NOTE: The first five digits are the system code and the last five digits are the credential ID number. If necessary, add leading zeroes to the system code or credential ID number so they are both 5 digits long. Enter the name of the cardholder. Keep in mind that cardholder searches are case sensitive, so enter all names using the same convention. Set Auto Validate and Auto Void dates for this cardholder s credential. Page 23 of 36

24 To restrict the number of times the cardholder can use his credential, check Limited Use Card and enter the maximum number of times the credential can be used in the Maximum Use Count field. Click on the Fields tab. If these fields have not been named in the Pro Plus software, they will appear as Field 1, Field 2, Field 3, Field 4 and Field 5. If the fields have been named, they can be filled in with the appropriate information. In the example below, the fields have been named, and the user can fill in the appropriate contact details for this cardholder. Filling in these fields is optional. Page 24 of 36

25 Click on the Notes tab. This space can be used to record additional information about the cardholder or credential. Filling in this field is optional. Page 25 of 36

26 Click on the Access tab. Choose from the drop-down menu an appropriate Access Profile to assign to this cardholder. Page 26 of 36

27 Click on the Photo tab. If you have access to a photo of this cardholder, you can click the Load Image button to browse to the location of the saved image, then select it and click Open. This step is optional. Click OK, and the new cardholder entry will be created. Page 27 of 36

28 EDITING A CARDHOLDER Editing a cardholder is very similar to adding a cardholder, however, there are some restrictions on what fields may be edited. To edit a cardholder, select the entry of the cardholder in question from the User View pane, then click on the Edit button on the toolbar, or go to Edit -> Edit. Page 28 of 36

29 On the Identification tab, the following fields may be edited: First Name, Last Name, and Auto Void Date. The fields that are greyed out cannot be edited from the User Management program. Page 29 of 36

30 On the Fields tab, all fields may be edited as necessary. Page 30 of 36

31 On the Notes tab, the text in the notes field may be edited as necessary. Page 31 of 36

32 On the Access tab, you may select a different Access Profile to apply to the cardholder. Page 32 of 36

33 On the Photo tab, a new image of the cardholder may be selected. Click Load Image to browse to the location of the new saved image, then select it and click Open. Click OK, and the edits to this cardholder will be applied. Page 33 of 36

34 CARDHOLDER SEARCHES There are a number of options available for searching for a cardholder. These are selected from the search toolbar. Available search options include: Select All Records - Displays all records in order of ID number. Search By ID - Specify an ID range by entering values in the From and To fields. ID numbers in the range specified will be displayed. To search for a specific ID, enter the ID in the From field. Search By First Name - Enter a user s first name or part of a user s first name in the From field to display users with that name. Enter a first initial in the From field to display users with that initial, or enter different initials in the From and To fields to display users with first names that fall in that range of letters. Search criteria is case sensitive. Search By Last Name - Enter a user s last name or part of a user s last name in the From field to display users with that last name. Enter a last initial in the From field to display users with that initial, or enter different initials in the From and To fields to display users with last names that fall in that range of letters. Search criteria is case sensitive. Search By User Information Fields Enter a phone number, department, or other optional data saved in the user information fields to display users with that information. If the user information fields have not been named in the Pro Plus software, they will appear as Field 1, Field 2, Field 3, Field 4, and Field 5 in the cardholder search drop-down list. Select one of the search methods from the drop-down menu. Page 34 of 36

35 Enter the desired data in the From, or From and To fields. Click Search to view the users who match the criteria you entered. SAVE OR PRINT SEARCH RESULTS If you want to save a user search, go to File > Report. Enter a name for the report. Choose a document format and a report type. If necessary, click Browse to select a location where the report should be saved to, then click OK. Otherwise, it will be saved to the Data folder of the SmartLock Pro Plus software. This will open the report in Notepad. Page 35 of 36

36 SEARCH TIPS Search values are case sensitive. If the From and To fields are blank, all records are displayed. If names for the user information fields were defined in the Pro Plus software, the field names will be displayed in the search criteria drop-down menu. To display all users again, choose the Select All Records option and click Search. Page 36 of 36
