1 HOW TO IDENTIFY, FIND, &DOWNLOAD USER ATTACHED FORMS AT GRANTS.GOV FOR YOUR KC SYSTEM- TO- SYSTEM (S2S) PROPOSALS

2 HOW TO IDENTIFY THE REQUIRED FORM VERSION If you try to connect to an s2s opportunity and you get a message that some required forms are not available in KC, take note of the specified forms in the message. In the example below, the Project Abstract 1-2 is mandatory, but not available. The numbers 1_2 indicate the version number, 1-2. To connect to this opportunity, you ll need to retrieve this form, complete it, and upload it as a user attached form first, then you ll be able to connect to the opportunity. January

3 HOW TO IDENTIFY THE REQUIRED FORM VERSION (CONT D) If your proposal is connected to an s2s opportunity with Optional, but Unavailable forms, you can see the version number on the Forms tab in your proposal. If there is no number, this means it s number 1.0. Confirm the form version number required for your selected opportunity before downloading the form at Grant.gov. Older/parent funding opportunities may not use the latest/highest version available! January

4 FORM VERSION - FYI Confirm the form version number required for your selected opportunity before downloading the form at Grant.gov. See the next slides on how to find the versions at G.gov. Older/parent funding opportunities may not use the latest/highest version available. Do not be fooled by a form s OMB Expiration Date it is NOT accurate! This date reflects the initial 3 year life-span, but forms are extended by the Office of Management & Budget regularly. Because there are no changes, the old date still appears on the form. If a form with an expired date is included in posted funding opportunity, it s still valid! January

5 ONLY USE ADOBE READER PLEASE! Only use Adobe Reader with Grants.gov PDF forms. Do NOT use Acrobat or Pro, as these edit pdf programs break GG forms! Launch Adobe Reader first, then use the Open menu option to find the saved Grants.gov form file on your computer. January

6 GO TO THE GRANTS.GOV WEBSITE FORMS PAGE Use your browser to get to: January

7 G.GOV FORMS PAGES RR, SF, MANDATORY, & SHORT Most of the forms are located on the R&R Family page (research and related). If you don t see your form on the R&R page, search on one of the SF-424 Family, SF-424 Mandatory Family SF-424 Short (Some forms appear on several of these list pages.) January

8 LOCATE THE FORM ON THE GRANTS.GOV LIST SCREEN Scroll the list to find your form name. If the Version matches the one in your proposal, click on the PDF hyperlink to download the form. (Follow the method appropriate to your computer and browser to save the PDF file to your local computer.) If the version listed on the main page is HIGHER than the one in your proposal click the FID hyperlink. January

9 PRIOR FORM VERSIONS AT GRANTS.GOV - FID If the version is not a match to your proposal, click on the FID hyperlink to open the Form Items Description page. January

10 PRIOR FORM VERSIONS AT GRANTS.GOV - FID Find the version to match your proposal, click on the Download PDF hyperlink to download the form. Follow the method appropriate to your computer and browser to save the PDF file to your local computer. The Data Elements table details some of the requirements and specific data limits, like the maximum number of characters. In a field. The full details are in the DAT file. January

11 NEXT STEPS Remember to ONLY use Adobe Reader with Grants.gov PDF forms. Do NOT use Acrobat or Pro, as these programs have edit tools, and just the act of saving the file has been known to break or corrupt these forms. Launch Adobe Reader, then Open the Grants.gov form file from Reader. Follow the sponsor FOA instructions to complete the required items for the form. Re-open your KC Proposal & navigate to the S2S Opportunity Search screen. January

12 ADD USER ATTACHED FORMS TO YOUR PROPOSAL Open the S2S Opportunity Search screen. If you haven t connected to an opportunity, the screen will display the User Attached Forms tab. Otherwise, click on that tab to maintain optional forms. Click the +Add User Attached Form button. In the Add User Attached Form window: Enter information about the form, like the title of the upload, in the Description field. Click the Choose File button to navigate to and select your completed Grants.gov Adobe form. Click the add button to upload and add to your proposal. The form will be added to the User Attached Forms tab. You can click the Action link to view the form after adding. January

13 PRINT/PREVIEWING USER ATTACHED FORMS Print/Preview: Previewing and printing of most User Attached Forms is managed via User Attached Forms Tab > Action > View PDF option NOT on the Forms tab. The no symbol on the Forms tab, this only means there is no PDF print from this Forms tab. If you tried select all and Create PDF, the User Attached Forms would NOT appear in the group print. It doesn t mean the form isn t part of your proposal it just means you can t print it this way. January

14 PRINT/PREVIEWING USER ATTACHED FORMS Print/Preview: Previewing and printing of most User Attached Forms is managed via User Attached Forms Tab > Action > View PDF option. Note: you may need to use your browser s download file option in the generated window to view the and print the form. The view action opens a view of the PDF form; if the form contains uploaded files, you must use the form tools to open and view the attachments. Please note: changes are NOT be saved to your proposal! January

15 EDIT / REPLACE USER ATTACHED FORMS User Attached Forms cannot be refreshed; you must replace the uploaded form. Edit: The only editable field is the Description once the form is uploaded in KC. User Attached Forms Tab > Action > Edit. The Description field is now editable. Update the KC description then use the screen s save or save and continue option. Replace: To replace the user attached form; delete the existing form. Click the trashcan icon at the end of the row and click OK in the confirmation window. Use the + Add User Attached Form option to Search, Choose, and Add the replacement. January

16 FINAL TIPS Take care naming the files uploaded in the forms- no duplicates, no spaces, and be sure to retain the file extension (ex..pdf). Avoid using special characters (ex. # or & or * ) stick to numbers, letters, hyphens, and underscores whenever possible. User Attached Forms must include all the required attachments within that form. Any files in the KC Proposal Attachments screen will not map to User Attached Forms and thus will not transmit with your proposal.
