1 Exporting from bibliographic databases This section of the guide looks at the exporting of records from the main bibliographic databases: Medline and Embase (via Ovid SP), PubMed, CINAHL (EbscoHost) and CENTRAL. Exporting records from OvidSP databases Medline and Embase Exporting records from PubMed Exporting records from CINAHL (EbscoHost) Exporting records from The Cochrane Central Register of Controlled Trials (CENTRAL) Exporting records from Ovid SP databases Medline and Embase 1. In Medline or Embase on Ovid SP, select the records you wish to export and click Export 2. From the Export Citation List, select Reprint/Medlars from the Export To pick list 1

2 3. From the Select Fields Display, select the option you want and click Export Citations. Checking Citation Abstract + Subject Headings will export core bibliographic data plus abstract and headings which will be enough to match the imported records to the existing records in the CRS. Tip: The CRS import filters have been designed to accommodate the majority of fields in an Ovid Embase or Medline record. Checking Complete Reference means most fields will be imported. The data in these fields may be useful but it is important to remember that if you are the sole owner, the values from the imported records can sometimes, depending on the choices you make in the matching screen, overwrite values in existing CENTRAL records. Importing the values from most fields in the bibliographic database records may result in data being published in CENTRAL that was not intended. For that reason the use of Citation Abstract + Subject Headings is considered the safer, if less comprehensive, option. It is also important to note that if you do export data from most fields, you still have an opportunity to check any possible changes at the synchronisation stage. 4. From the File Download screen, select Save, and name and save the file to a location you wish to 5. The file of exported records will look a bit like this: 2

3 Each reference is delimited by an index number encased in angle brackets. Each part of a reference is made up of numerous fields (the screen shot above shows some of them) such as author/s: AU, title: TI. In this format, the references can be imported into the CRS. This is covered in the Importing References section of this guide. Exporting records from PubMed 1. Select the records you wish to export, select Send To 2. Select File from the Choose Destination screen, and the MEDLINE option from the Format pick list. Click Create File: 3

4 Tip: As noted above, care should be taken when importing all fields, to ensure that the values imported do not lead to unintended and undesirable changes in the CENTRAL record. 3. Save and name the file. In this format, the references can be imported into the CRS. This is covered in the Importing References section of this guide. Exporting records from CINAHL (EbscoHost) Although written for CINAHL records, this filter will work with results of other EbscoHost databases. This export format corresponds to IMPORT Filter: CINAHL-Save-v1 1. Search results can be downloaded according to record type, e.g. journal articles, dissertations, book chapters, etc. The CINAHL import filter is designed for journal citations so your import will be cleaner if you export and then import results of one type at a time, however this is not essential. a. Limit results by Source Types Academic Journals and Magazines. The list of Source Types should be on the left side of results screen. 2. Click Alert/save/share 4

5 3. In the Add to Folder box, click on the results. Records must be added to a folder one page at a time (max 50 records per page). 4. When all records have been added to the folder click on Folder View 5. In the My Folder Articles view, select all records and click on Export 6. Select Generic bibliographic management software and click Save. 5

6 7. The file will open in a web browser. The appearance of the page will vary slightly depending on the browser you use. The example below is from Google Chrome 8. Save the exported records as a text file (.txt). There are several options for doing this: a) Option 1: Use the Save As command in your browser. b) Option 2: Right click, select all, and copy citations into a text editor such as NotePad or Word Pad, then save. c) Option 3: Right click, select all, and copy citations to MS Word (etc). REMEMBER to save as a.txt file, not as a.doc file. 9. The saved text file will look similar to the one shown below. In this format, the references can be imported into the CRS. This is covered in the Importing References section of this guide. 6

7 Exporting records from The Cochrane Central Register of Controlled Trials (CENTRAL) The following instructions apply to all databases in The Cochrane Library 1. On the results page click the button for Trials and then click on Export All 2. In the export dialogue box select Citation and Abstract as the File Type, then click on Export Citation 7

8 3. The file may be downloaded; in which case you ll need to open it or it may open automatically, depending on which browser you are using. Once the file is open, save it in text (.txt) format.
