1 Using the Pocket PC Revised: 1/11/2010 The WinTen² program allows you to manage physical inventory electronically in the field, using a portable handheld device called the Pocket PC. The inventory process using the Pocket PC involves the following tasks: program: Setup Pocket PC information for appropriate employees. Pocket PC: Issue items from inventory/stockroom. Pocket PC: Return items to inventory/stockroom. Pocket PC: Perform inventory counts. program and Pocket PC: Synchronize/Download data between the Consumable Inventory program and Pocket PC. Setup Employee Pocket PC Information You must enter this information first in order for employees to use the Pocket PCs and to successfully transfer data from the Pocket PC to the program. 1. Access the program through TenCentral (on your desktop) and click SETUP on the Main Menu screen. On the Setup Menu screen that appears, click EMPLOYEE. The Maintain Employee screen opens with all consumable inventory employees displayed in a table. Any consumable inventory employee can be authorized to go out in the field to manage physical inventory. 2. Highlight the employee you want to work with in the table and click. The bottom portion of the screen becomes available for editing. 3. Select the portable computer name which the employee will be using from the drop-down list. The available choices are provided by Tenmast. 4. Enter the employee s PPC (Pocket PC) User Name and PPC User Password. 5. Click on the toolbar to save and apply all changes. Issue Items Out of Inventory/Stockroom With the Pocket PC, you are able to issue items assigned to a work order, unit, development, or charge to account. 1. 3 Using the Pocket PC 4. Make sure the Issue radio button is selected to indicate you are issuing items. Selecting this option sets the default and all subsequent items you process will be recorded as issued. 5. Select the warehouse from which you are issuing the item(s) and select what you are issuing to (work order, unit, development, or charge to account). If the work order, unit, development, or charge to account already has items assigned to it, they will display in the grid at the bottom of the screen. Note: Only warehouses that have been assigned to the logged in user are available to choose from. If you are issuing items to a work order, enter the work order number; or, you can scan the bar code of the work order and the work order number automatically appears in the Work Order field. Hint: If the work order does not have a bar code to scan, select the keyboard icon on the bottom, right-hand side of screen and a keyboard appears on the screen. Using your navigation pencil and the keyboard, enter the work order number. To exit the keyboard tool, just select the keyboard icon again. If you are issuing items to a unit without a work order, select the appropriate unit number from the dropdown list that appears. If you are issuing items to a development without a work order, select the appropriate development from the drop-down list that appears. If you are issuing items to a charge to account without a work order, select the appropriate charge to account from the drop-down list that appears. 6. 4 Using the Pocket PC Highlight the item in the table and then select OK. The Issue/Return screen appears again with the scanned or selected item information, with a quantity of 1, displayed in the grid at the bottom of the screen. Note: If the item does not have a bar code to scan, you can also manually enter the item number using the keyboard tool. Select the keyboard icon on the bottom, right-hand side of screen and a keyboard appears on the screen. Using your navigation pencil and the keyboard, enter the item number. After manually entering the item number, you must select the Add button. This adds the item to the grid at the bottom of the screen and the program will recognize it as issued. To exit the keyboard tool, just select the keyboard icon again. To add or decrease the quantity of an item, highlight the item in the grid and select either the or buttons. 7. Select the Finish button to finish issuing the item(s). 8. When you are done issuing items, select OK in the top, right-hand corner of the screen; the Main Menu screen appears where you can either logout and exit the Pocket PC, or synchronize/download the data from the Pocket PC to the program. Return Items to Inventory/Stockroom With the Pocket PC, you are able to return items assigned to a work order, unit, development, or charge to account. 1. On your Pocket PC and using your navigation pencil, select your username from the drop-down list; your password is automatically entered. 2. Scan the barcode(s) of the item(s) you want to return; or, select the Find button to select the item(s) from a search screen. Highlight the item in the table and then select OK. The Issue/Return screen appears again with the scanned or selected item information, with a quantity of 1, displayed in the grid at the bottom of the screen. 6 Using the Pocket PC 2. Select the Logon button and the Main Menu screen appears. 3. Select the Physical Inventory button with your navigation pencil. The Physical Inventory screen appears: Note: If the logged in user does not have any physical inventory items assigned to them for counting, a Not Found message appears when trying to access this screen. 4. Scan the barcode of an item you want to inventory; the item s information displays on the screen. 5. If necessary, you can correct the Counted Qty of the item using your navigation pencil and the buttons at the bottom of the screen. The > button deletes/backspaces one space a time; C clears an entire reading entry. 6. Continue scanning and correcting the items counted quantities. The counted quantity you enter will save after each new scan. 7. When you are done performing your physical inventory, select OK in the top, right-hand corner of the screen; the Main Menu screen appears where you can either logout and exit the Pocket PC, or synchronize/download the data from the Pocket PC to the program. Synchronize/Download Data from Pocket PC to Program 1. After all items have been issued and/or returned, or your physical inventory has been processed, select OK at the top right-hand corner of the Pocket PC screen. The Main Menu screen appears. 2. Place the Pocket PC into its cradle and select the Synchronize button. A Microsoft ActiveSync window appears on your desktop. Important Reminder: Make sure the Pocket PC cradle is attached to your desktop computer using the USB cable. The sync/download usually takes about 2-3 minutes to complete.
