1 NEW ENC360 WORKFLOW 1. Pipeline View: The default pipeline view will show you all loans that are in your pipeline and at which milestone each loan currently is. You can toggle between All Loans and My Loans in the event you need to see loans assigned to other Underwriters. 2. Accepting a File for Underwriting a. Look in the pipeline for a file with the Last Finished Milestone of Submittal. Open the loan by double-clicking it in the pipeline list. b. Go to the file Log (on the left navigation panel, click the [Log] tab) and click the Decisioned milestone. c. Click the [Accept File] button at the top of the screen. A message will appear that the Submitted milestone has been cleared. Do not click the [ ] Finished checkbox until your initial decision (Approved, Denied, Suspended) is complete and you are ready to pass the file back to the Loan Processor. d. If you find the submission to be incomplete and you wish to return it to the Loan Processor before making a decision, click the [Return File to Sender] button to push the file back to the Loan Processor. 3. Tasks/Required Fields If there are Tasks or Required Fields listed on the Decisioned Worksheet (the screen that appears when you click the Decisioned milestone and accept the file), use them as a guide to complete the Decisioned milestone. 4. Reviewing File Data a. Click the [Forms] tab on the left navigation panel and select the AFN Borrower Summary Origination form. b. Review the data, taking note of the Loan Program requested (in the Transaction Details section). 5. efolder (Reviewing Documents): The efolder is Encompass360 s paperless system (WebTrac and the DataTrac EDM are no longer used for this function). a. Click the [efolder] button to access file documents. b. Go to the Stacking Order dropdown and select * Underwriting View. Document names with an image or paperclip icon next to them contain a document for viewing; other document names are placeholders. c. Before proceeding, protect the documents so they cannot be altered while the file is in the Underwriting Decision stage. Click the top document in the list of documents. Press the [Shift] key and click the last document in the list. Press the [Ctrl] key and deselect any document that does not have an image icon or paperclip icon next to it. Click the Set Document Access button ( ) on the toolbar; the Document Access Rights dialog box will appear. Scroll down to the Role PROTECT DOCUMEMT* and click the checkbox next to it. 2 NEW ENC360 WORKFLOW Click the [Save] button to save the document protection status and close the dialog box. A message box will appear; confirm the action by clicking the [OK] button. d. To review a document: Double-click the document in the Documents list; the Document Details dialog box for that document will appear. Review the document in the view panel on the right. If the document is acceptable, click the [ ] Reviewed checkbox; the system will enter the date and name of the reviewer (Underwriter). If the document is not acceptable, click the [ ] Re-requested checkbox; the system will enter the date and name of the Underwriter. Click the [Close] button to return to the list of documents and repeat these bullet points for each document to be reviewed. e. Click the [Close] button (bottom right corner) to exit the efolder: 6. Order a FraudGUARD report for the file. a. Go to the [Services] tab in the left navigation panel. b. Click the Order Fraud/Audit Services option; the Fraud/Audit Services dialog box will appear. c. Select FraudGUARD and click the [Submit] button. d. The FraudGUARD Request dialog box will appear: Enter your credentials under Login Information Check the [ ] Fraud Report checkbox under the Products heading Select PDF as the Report Format Click the [Finish] button to proceed 7. Auditing File Data a. Click the [Forms] tab on the left navigation panel and select a form for review. b. Change any data that needs to be changed (borrower income, assets, liabilities, etc.). c. Click [Save] (or press [Ctrl] + [S]) to save your progress. 8. Get MI: An alert will pop up advising you to Get MI when a value is entered or changed in the following fields: Subject Property Appraised Value Subject Property Estimated Value Transaction Details Agency Case Number Transaction Details Interest Rate Transaction Details Lien Position Transaction Details Loan Amount Transaction Details Loan Type Transaction Details LTV AFN-F-Und_NewEnc360Workflow-UW Rev. 09/06/2013 Page 2 of 6

3 Transaction Details Purchase Price Transaction Details Purpose of Loan Transaction Details Term NEW ENC360 WORKFLOW To re-calculate MI, go to the Total Monthly Payment and select/edit Mtg Ins then click the [Get MI] button. 9. efolder (Conditioning a File): The efolder is where an Underwriter enters conditions for loan approval. a. While in the efolder, click the [Underwriting Conditions] tab; a window will appear on which you are to enter Underwriting Conditions. b. To add a set of conditions based on loan type, click the New Condition icon ( ); the Add Condition dialog box will appear: Select Add conditions from Condition Sets and click the [OK] button; the Conditions Sets dialog box will appear and a list of conditions will appear in the left panel, based on the Cond. Set option that is selected above. Select the For Borrower option to which conditions you will select should apply. Add conditions by selecting them on the left panel and then clicking the [Add>] button between the panels. TIP: To select a range of conditions in the list, click the first condition on the list, then press the [Shift] key and click the last condition in the range. To select multiple conditions, but not all, hold down the [Ctrl] key while selecting conditions to add. Click the [Add] button at the bottom of the dialog box to add the selected conditions to the file; the Condition Sets dialog box will close and the conditions will appear on the Underwriting Conditions screen. To edit a condition that now appears in the Underwriting Conditions list, double-click the condition and the Underwriting Condition Details screen will appear. (See the bullet points on Step c. below for instructions on editing the details screen.) c. To add a single condition, click the New Condition icon and select the Add a new condition option and click the [OK] button; the Underwriting Condition Details screen will appear. Complete the Name field (either select a name from the dropdown list or type a condition name). Complete the Description field. Select an option from the For Borrower dropdown. Select an option from the Category dropdown. Select an option from the Prior To dropdown. Select the Owner as the role that is to fulfill the condition; if Underwriting must clear the condition DO NOT check [ ] Allow to Clear checkbox. 4 NEW ENC360 WORKFLOW Click the [Close] button in the lower right corner; the window will close and the condition will appear on the Underwriting Conditions screen. 10. efolder (Uploading and Splitting/Filing Documents) a. Uploading Documents You can upload any miscellaneous documentation you have received from the borrower and saved to your computer (i.e. copy of Driver s License, Bank Statements, etc.) by entering the efolder, clicking the [Add] button and then using the Browse and Attach feature. Be sure to name the document in the upper left corner of the Document Details screen, otherwise it will come in as Untitled. OR You can upload miscellaneous documentation by opening a PDF you have received, clicking Print and selecting Encompass efolder as your printer. IMPORTANT NOTE: It is against company policy to keep borrower information on your computer desktop or your computer s local (C:) drive. After documentation has been uploaded to the efolder you must remove it from your computer. b. Splitting/Filing Documents While in the efolder, click the [File] button to open the file manager. Click on a document you want to file or split. Click the document thumbnail image that appears between the document list and the document view and drag it to its proper place in the document list. o Disclosure GFE: The GFE, Itemized Fee Worksheet and Settlement Service Provider forms should all be filed under this document name. o Disclosure TIL: The TIL and Itemization forms should both be filed under this document name. c. Follow instructions on Step 4.c. of this document and protect the documents you have uploaded. d. See the Encompass efolder Quick Reference Guide for more information. 11. Underwriter Summary: Complete the Underwriter Summary screen. a. Go to the Tools tab in the left navigation panel and select Underwriter Summary. b. Complete the Date field at the top of the screen (press [Ctrl] + [D] for today s date). c. Review data in other sections of the screen. d. Complete all applicable fields in the Underwriting Decision section, including action and expiration dates. e. Be sure to click the UW P2 option on the page header and review/complete Page 2 of the Underwriter Summary. 12. Underwriter Comparison: Complete the Underwriter Summary form. a. Go to the Forms tab in the left navigation panel and select Underwriter Comparison. AFN-F-Und_NewEnc360Workflow-UW Rev. 09/06/2013 Page 4 of 6

Compare the Decision Loan Data to the Current Loan Data; if any data has changed and you approve of the changes, click the [UW Validation of Changes] button at the bottom of the screen. 13. Milestone Completion (Decisioned) a. Click the Log tab and select the Decisioned milestone. b. Click the spyglass next to the Loan Processor field and select the file Loan Processor. c. Click the [ ] Finish checkbox and [Save]. 14. File Access Encompass360 Banker is a start-to-finish system and only allows one user to edit a file at a time. You must exit the file so the Loan Processor can access it and begin the PTD milestone. When a user is in a file, it can only be accessed by others in read only mode. After completing the Decisioned milestone, some users, such as Loan Processors will have read only access to some fields. 15. Milestone Completion (PTD Reviews) a. The Loan Processor is responsible for ensuring PTD conditions are ready for Underwriting to sign off. b. The Loan Processor will upload all PTD conditions and tie them to the Underwriter s conditions. c. Go to the efolder to review and clear PTD conditions. Look at the filter toolbar and under Prior To select Docs Double-click a PTD condition to view the document that was uploaded to satisfy it (only conditions with an image or paper clip icon next to them have a document uploaded); the Underwriting Condition Details window will appear. Review the document in the preview pane on the right. o If the condition is satisfied, click the [ ] Cleared checkbox. o If the condition is not satisfied, click the [ ] Re-requested checkbox. Click the [Close] button to close the details screen. Repeat these bulleted steps for each PTD condition. d. The Loan Processor will finish the PTD Reviews milestone. NOTE: The number of times a file is passed between an Underwriter and Loan Processor before the PTD Review milestone is completed is counted by the system. 16. Milestone Completion (Approval): After the PTD Reviews milestone is complete, the Underwriter must log a final Approval prior to Doc Request. Click the spyglass next to the Loan Processor field that appears below the Underwriter name and select the Loan Processor. c. Click the [ ] Finish checkbox and [Save] and close the file.
