2 Summary The purpose of this document is to give an overview of the setup and use of the standard interface between Encompass and etrac. What is entailed in the initial integration setup? The integration between Encompass and etrac is multi-point integration: Orders are sent to etrac from Encompass Status updates are sent to Encompass from etrac Files are pulled from etrac on request by Encompass Appraisal Order files are directly uploaded to etrac from Encompass Architecture In order to make the architecture portable and ease future development and the deployment of LOS Plug-Ins, the solution has adopted 3-tiered service and application architecture. The system components implemented in this project consist of the following: Global DMS Directory Service: this web service will be hosted in IIS with a static domain name and URL which will be contacted by the Encompass Plug-in to obtain the URL for the Global DMS LOS Windows/Web Service that is client-specific. This will be common to all the Global DMS clients. Global DMS LOS Windows/Web Service: this Windows/web service will be installed as a Windows Service with a static domain name/url if not residing within the same network as the Encompass Plug-in. This service is responsible for contacting Global DMS Web Service to submit appraisal orders and obtain appraisal statuses periodically. This will be one per Global DMS clients. Global DMS Encompass Plug-In: this component will be part of the Encompass application and will be deployed by Ellie Mae. It contains the Global DMS Order Form and the Global DMS Order Status Form. It will determine which form to display based on the Global DMS order status returned from the Global DMS LOS Windows/Web Service. A new functionality has also been added to the Order Submission and Order Status screens Send Attachment. This form is responsible to submit order files after the order is submitter successfully. At the time of order, attachment functionality is incorporated in the Order form. It is also responsible for updating the relevant Appraisal information in Encompass. Installation The Global DMS Directory Service consists of 2 components, the Database, and the Web Service. For each Global DMS client, you will need to create an entry in the Directory Service database to indicate the client company information and the associated LOS Web Service URL. The Global DMS Directory Services should be deployed only once. You will need a domain name reachable from the internet, IIS, MS SQL Server 2008 R2 and MS SQL Management Studio 2008 R2. 3 How does the Loan Originator submit and appraisal order? The user will now have the ability to submit an appraisal order directly through the Encompass user interface. Once they have completed the Loan Application they will have the option to submit the property appraisal. The user will click on the Order Appraisal tab under the Service menu to select the Global DMS Order form. The form will auto populate the Borrower and property information that was entered in the loan application. The user will be able to select the date needed, report type and enter any necessary order notes before submitting the order. Global DMS Encompass Integration 3

4 New functionality within our new Encompass integration (as of ): Order multiple Report/Product types Send attachments within the appraisal order Add Processor Payment Type selection Property contact information TIL Date How does the Loan Originator track the status of their order? Once the order is submitted through Encompass the Loan Originator will have the ability to track the status of the order through the Order Appraisal tab under Service menu in Encompass application. The order status form will populate with the order status as seen in the screen shot on the next page. Global DMS Encompass Integration 4

5 Within the order status form you will now have the ability to send additional files to etrac after the order has been submitted. This will allow you to transmit important appraisal related documents to etrac without having to go outside your Encompass system. All documents that are uploaded to etrac are saved to the Encompass efolder. Global DMS Encompass Integration 5

6 Also within the order status screen you now have the ability to use the etrac functionality. This allows the user to send an to either the Appraisal Office or the Appraiser based on user settings. How are the orders assigned and fulfilled by the Staff and Appraiser users? Once the order is submitted the Staff users will assign the order directly through etrac. Appraisers will also be able to fulfill the order through etrac directly and deliver the appraisal values and documents back to the Staff and Client users. Once the Staff users have completed the review of the finalized appraisal document, the Staff user will be able to release the documents to the Client user through Encompass. How does the Loan Originator obtain their finalized appraisal documents? The Loan Originator will be able to track and see the status of their appraisal order through the Global DMS Order Status screen within Encompass. Once the order is reviewed and updated to a Completed status by the Staff user, they will then be able to access their finalized appraisal documents. The user will be able to access the appraisal documents through the efolder located within Encompass. Global DMS Encompass Integration 6
