1 Overview Ship-to Address in Sage BusinessVision A ship-to address is a secondary address associated with the main customer profile (also known as the Bill-to customer). Ship-to addresses can be setup on the customer screen in the ship-to tab or on the fly in order entry. A Company with multiple locations would be an ideal candidate to use this function. The head office would process all invoices and billings and the ship-to addresses would be the drop shipment locations. In Sage BusinessVision 7.0 or later the bill-to (main) customer would be setup in Customer Detail and any associated ship-to addresses are setup under the Ship-to tab. Ship-to Address Options (Save icon) When changes are made to the ship-to address, you must click this icon to save your changes. The keyboard shortcut is CTRL+S. (Delete icon) - When a ship-to ID is highlight clicking on this icon will delete the ship-to address. The keyboard shortcut is CTRL+D. (Change ship-to id icon) This will allow you to change the ship-to ID. Highlight the ship-to ID you wish to change and click this icon. The keyboard shortcut is F2. (Set as Default) - This option will set the selected ship-to ID as the default shipping address for orders created for the main (bill-to) customer. The default shipping address is indicated with a blue arrow. The keyboard shortcut is CTRL+L. (Copy from bill-to address details) When creating a new ship-to address, clicking this icon will copy all applicable information from the main (bill-to) address to the ship-to ID. The keyboard shortcut is CTRL+C. (Copy address to clipboard) - This will copy the ship-to ID address to the clipboard allowing you paste the information to other programs such as MS Word. When this icon is click it will seem like nothing has happened but in fact the address information is copied to the Windows clipboard. The keyboard shortcut is CTRL+A. 1 of 12 1
2 (Copy from Customer) - This allows you to copy all applicable information from a different billto customer setup in your system. The keyboard shortcut is CTRL+M. When this icon is clicked, you will be presented with a browse window Double-click on the customer you wish to copy from and will be presented with a confirmation dialog box. If you have the Custom Pack installed, you will be prompted to copy Customer Specific Pricing information. If you answer No to the Customer Specific Pricing confirmation, customer specific pricing will not be copied. (Move to customer) - This Option is only available in Sage BusinessVision version 7.2 or later. The keyboard shortcut is CTRL+V. The user must have permission to access this function, permission can be granted in User Details. This option allows you to move a ship-to ID from one customer to another. To move a ship-to ID, highlight the ship-to ID and click this icon. You will be presented with a window allowing you to type in or browse the customer id you wish to move the ship-to id to. Once the ship-to ID is moved, you may load the customer ID where the ship-to ID was moved to confirmation the operation. 2 of 12 2
3 (Workbook Details) - This is only available when the Custom Pack module is installed and active. The workbook allows you to create custom fields and store additional information for the ship-to ID. The keyboard shortcut is F7. (Notepad) - This allows you to add notes for the ship-to ID. The keyboard shortcut is CTRL+T. Taxes and Shipping Tab Note: Information on this screen is unique to the ship-to ID and as such, these settings will be used when the ship-to ID is engaged even if you leave the field blank. For example, if you specify TOR as the Territory Code for the main (bill-to) customer, but leaves Territory Code blank (not filled in) for the ship-to ID and if the ship-to ID is used in Order Entry, the territory code for the order will be blank. On hold - If this box is checked, it will not allow this ship-to to be set as current or allow this shipto to be used on an order. It will remain on the screen for information only. Territory Code - This field is to assign a territory for this ship-to address. You can use the browse icon to select the territory code from the mini browse. Once you select the code, the full name for that territory will be filled automatically in the field below. You can also click on the browse icon at the end of the full name field and select the territory name from the mini browse. Salesperson - This field allow you to assign a salesperson for the ship-to ID. Selling price level This filed allows you to select a price level for the ship-to ID. Use bill-to specific prices This option is only available with Sage BusinessVision version 7.2 or later with the Custom Pack module installed and active. When this option is checked, the customer specific pricing setup for the main (bill-to) customer is used. This option will be grayed out if you have customer specific pricing setup for the ship-to ID. You must remove all specific pricings setup for the ship-to ID before this option becomes available. 3 of 12 3
4 Sales tax 1 This will allow you to assign the tax 1 code for this ship-to ID. You can also select the tax by code or use the browse icon to select by description Sales tax 2 This will allow you to assign the tax 2 code for this ship-to ID. You can also select the tax by code or use the browse icon to select by description. Exemption No. This field is used to exempt tax 2 from calculating on an order. If any characters or numbers are in this field, tax 2 will be exempted for the ship-to on an order. Shipping Method This field will allow you to assign a shipping method for the ship-to ID. Warehouse This field will allow you to assign which warehouse the inventory items will be selected from for order entry. G/L Income This field is grey out if you don t have override sale account enabled in System Setup. This field will allow you to select a different income account for the journal entry when an order for the ship-to ID is invoiced. This option will not override Inventory Sales Department; it will only override the special accounts setup. Specific Pricing Tab Note: This tab will only be available if the Custom Pack module is installed. The grid displays the part number, description unit price and unit of measure setup for the ship-to ID. If an inventory part is setup with a specific price for the main (bill-to) customer as well as the ship-to ID, the specific price for the ship-to ID is used. If a part is only setup for the main (bill-to) customer, specific pricing will be ignored when the ship-to ID is engaged. 4 of 12 4
5 (Home) - Clicking on this icon will take you to the first record. The keyboard shortcut is the Home key. (Previous) Clicking this icon will move back one page. The keyboard shortcut is the Page Up key. (Next) Clicking this icon will move forward one page. The keyboard shortcut is the Page Down key. (End) Clicking this icon take you to the last record. The keyboard shortcut is the End key. (Refresh) Clicking this icon will refresh the list of specific pricing for the ship-to ID. The keyboard shortcut is the F5 key. (New) - This icon will allow you to add in a new specific pricing for the ship-to ID. (Edit) This icon allow you to make changes to an item in the specific pricing grid for the shipto ID. This can be done by highlighting the item in the grid and then click on the edit icon. This will present you with the Customer Specific pricing window for you to make your changes. (Copy) - This icon will allow you to copy all customer specific pricings that are setup for the main (bill-to) customer. (Delete) This icon allows you to delete the specific pricing item highlighted in the grid. (Help) - Allow you to access the help menu for this module. 5 of 12 5
6 e-commerce Tab Note: This tab will only be available if e-commerce is enabled. The only option on this screen is to specify if the ship-to ID will be uploaded to the web store. This option will only be available is an address is specified for the ship-to ID in the Address tab. 6 of 12 6
7 Adding Ship-to Addresses The steps below will guide you through adding a Ship-to address for a customer. 1. Open the Customer Details module. 2. Load the main customer (billing customer). 3. Click the Ship-to tab. 7 of 12 7
8 4. Click the New Icon or press Ctrl+N to add a ship-to address. 5. Overwrite NEW_SHIP-TO_1 with a unique ID and fill in the fields in the Address tab with the ship-to address and contact information. You can enter up to three contacts by clicking the down arrow icon beside contact #1. The Taxes and Shipping tab will allow you to specify tax and shipping information relating to the ship-to address. If you have the Custom Pack add-on installed, the Customer Specific Pricing tab will be available for you to setup specific inventory prices for the ship-to address. If you have the e-commerce service enabled, the e-commerce tab will be available with options relating to e-commerce. When you have finished setting up the ship-to address information, click the Save icon to save the changes. 8 of 12 8

10 How to use a Ship-to ID in Order Entry: When you begin a new order and select a customer, the default Ship-to ID (explained in the Shipto Address Options section) is selected. If you wish to use another Ship-to ID that was pre-setup for the main (bill-to) customer, click the Ship-to tab. Highlight the ship-to ID you wish to use and then click the Set as current icon move besides the ship-to ID indicating that it is selected for the order.. 11 How add a Ship-to Address on the fly in Order Entry There may be occasions when you are creating an order but the ship-to ID is not yet defined for the main (bill-to) customer. You are able to create a ship-to ID on the fly in Order Entry for that particular order. To create and use a Ship-to address on the fly, start the order, select the main (bill-to) customer and then click the Ship-to tab. Click the New Icon to add a new ship-to ID. Fill in the necessary information on the Address and Taxes and shipping tabs. You will not get the Specific pricing or e-commerce tabs like you would if the ID were created in Customer Details. Once you have entered all applicable information, click on the Save icon. Ensure the new ship-to ID is highlighted and then click the Set as current icon to tell the system to use that ID for the order. An arrow will move besides the ship-to ID indicating that it is selected for the order. 11 of 12 11
12 Note: In Sage BusinessVision version 7.20 or later there is an option to add the ship-to ID permanently to the main (bill-to) customers for later use. To activate this option the user must be given appropriate permission in User Details. 1. Click Utilities. 2. Click System Manager and then click User Details. 3. Load the user. 4. Click the Access tab. 5. Select Order Entry and then Options. 6. Set the permission Prompt to create customer ship-to addresses to Prompt, set default button to Yes. 7. Click the Save icon to save the changes. With this option enabled, the user will be prompted to save the ship-to address to the current customer when creating a ship-to address on the fly in Order Entry. 12 of 12 12
