3 1. Purpose The purpose of this document is to step the user through the basics of the Admissions Cube. It will provide enough information for the user to be able to change the cube to report on their requirements. This manual will be supplemented in the future with an advanced version to cover in detail the further aspects of the cube. 2. Definitions Measures are values for a data item. Dimensions are categories of data and a Dimension can have many members. ANU Planning and Performance Measurement Division 3 of 16
4 3. How to access the cube Log into Insight To log into ANU Insight you use your UID and password, a reference guide on how to log in can be found on the Insight web page. Select either Direct admissions or UAC admissions under the main Student menu. The cube allows for analysis of either or both and has a link in each area. This will display the Direct Admissions area, from the area select the Warmest Lead Cube link ANU Planning and Performance Measurement Division 4 of 16
5 This will now display the cube 4. Work Screen description The following describes the different screen area of the cube report, these will be reference throughout this document. Source Tree The Source tab of the Insertable Objects pane contains the source tree for the package selected for the analysis. Information Pane The Information pane shows the name, level, attributes (if any), and aggregation associated with the selected item in the source tree, as well as any additional information provided by the data modeller. Properties Area You can use Properties pane to make several changes and apply them at the same time, instead of running different commands. Work Area This area contains the crosstab or charts to perform the analysis. You can display analysis in the form a Crosstab, chart or a combination of both. Menu The menu items. Row and Column Content This displays the information in either the row or column. Cube Filter This is a filter applied to the whole cube. Initial Data This is the initial data that is displayed when the cube is opened, this will change as the information changes. ANU Planning and Performance Measurement Division 5 of 16
6 5. Start Point The cube will open up in a new window displaying a basic cube report: 6. Add a Program The first task we will do is to add an item. First expand the Admissions source tree by selecting the plus sign next to Admissions This will expand the list to display the measures and dimensions: ANU Planning and Performance Measurement Division 6 of 16
7 Expand the ANU Program tree and drag the ANU Program across to the work area and drop it after the colleges. You will see a thick black vertical line beside the colleges, this is where you drop the program. When you have selected or requested the cube to conduct some action, at the bottom centre of the screen you will see the timer while it is working. This will now display the program next to each college as such: If you drop the program in the wrong spot you can click on the back button from the menu to start again. 8 7. How to do suppression Often when displaying values there are some items that have no values, to remove these from your report you can apply suppression. To do this, from the menu select the supress option and select suppress rows only. This will remove any null values. You will know that suppression is activated as it will be displayed at the top. To remove the suppression click on the text Remove All Suppression. 8. Add a session We now want to add a session under the years 2017 and To do this drag the sessions dimension from the source tree and drop it under the years, note you will see the thick black line under the years when you can drop the sessions dimension: ANU Planning and Performance Measurement Division 8 of 16
9 Your display will now look like this: We have now decided that displaying the two half years and the full year is too much on the report so we will move the sessions to a Context Filter to allow us a greater selection. To do this, from the Columns list at the top click and hold the mouse on Full Year and drag this to Context filter and drop the item. This will display the item in the Context filter with the name Full Year greyed out. Select the down arrow on this to display the menu and select First Half Year. 10 The menu will now display First Half Year as this is the selected option. The results in the work area will be updated to only reflect those numbers for the first half year. We will now add another filter to just show the YTD figures. Expand the View dimension and drag YTD to the context filter filed. This will now just display the YTD values. 11 9. Change the measure We now require to change the measure as we no longer want to view the Applicant Count as we now need to view offers. Expand the Applicant Measures and then drag the measure Applicant offer onto the word Applicant Count to replace the count with offers. As you do this the areas will be highlighted in black Drop the offer and the results will update: ANU Planning and Performance Measurement Division 11 of 16
12 10. Exclude an Item At times you will need to exclude an item from your report. Exclude is different from hide in that with Exclude the values are not included in the calculations whereas with Hide they are. In this example we will exclude the Program Career Non Award from the report. Right click the mouse on the word Non Award, this will display the menu, then select the menu item Exclude. This will change the report by removing the Non Award ANU Planning and Performance Measurement Division 12 of 16
13 11. Drilling through the data The cube report allows you to drill down and up through information. You are able to drill through the information in two ways, either by clicking on the item where you will notice the drill through pointer to display the menu. or by right clicking with the mouse on the item To see this let s first open the YTD offer cube by college and career make some changes to the information and then drill through the information. Firstly after you open the file, now move the Program Career from the Rows area to the Context Filter. Now expand the ANU Program dimension and drag the Program Type into the rows. 14 Now click on the first item PHD by Research to drill down to further information This will expand this item To now drill back up through the information, there are two ways depending on how far you are into the data. If you are at the lowest level of data the drill icon will change its arrow direction to up, you can just click on the item to drill up. The other way is to right click on the item and use the menu option drill up. ANU Planning and Performance Measurement Division 14 of 16
15 12. Save your cube Use Save As You can save your cube for future use, to do this from the menu select the Save As button This will display the save area in the property area of the screen. Form here select the My Folders and in the name field enter an appropriate name that you will know for future use: Then click on the Save button. Note: If you have the appropriate privileges and you click on the Save button you will overwrite the original cube, please use Save As. 13. How to access a saved cube To access a saved cube in the future, when you open Insight select the Warmest Lead Cube from either Direct Admissions or UAC. Then select the open icon and at the bottom right select My Folders and select the saved cube by clicking on it with the mouse and it will open in a new window. 16 14. Other items: These are just some other items you should know about: 1. Sort allows you to sort your data, you need to select a dimension, in this case we will select Academic year. Then click on the sort button and select your requirement: 2. Swap rows and columns, occasionally there is a requirement for you to display the information in another view by swapping over the columns and rows.
